3 2 Welcome Fair On Saturday 29 September and Sunday 30 Septemeber 2018, UCL s Quad and Wilkins Building will be transformed into a buzzing market place hosting over 400 stalls, including clubs and societies. Last year, over 15,000 new and returning students attended the Welcome Fair. The fair gives you the chance to target students directly in their first weeks of university and establish your brand as one they know and recognise. We advise early booking as the fair will sell out. 5 4 Welcome events Events During the Welcome period, we run an extensive entertainments programme for new students in London s most iconic venues. Each event has its own theme and identity, and each event is available to be sponsored by the right brand. We host events at Ministry of Sound, Fabric, Scala, XOYO, Bloomsbury Lanes and Koko. Wristbands Alongside individual event tickets, we sell 800 premium fabric festival style wristbands, giving students access to all events. The wristbands are stitched in full colour and are worn throughout the two-week Welcome period and become a lasting memento afterwards. An opportunity exists to have your logo stitched onto the wristband and worn by 800 UCL students. 6 Want to do something not listed here? Call us Students Union UCL is a busy and vibrant place over 4,000 students walk through our main building every day. We are located across three buildings at the heart of UCL s Bloomsbury campus in central London. Our rates are split into three categories; charities, local independent businesses and national chains. Stalls and stands You can develop a very personal relationship with students as they pass through to our cafe or shop and generate a positive response to your brand by hosting a stall in our Union foyer in our buildings at 25 Gordon Street and 136 Gower Street. Our stall spaces can accommodate a 3x3m set up. It s the one-stop shop for UCL students to find out about upcoming events, join Clubs & Societies, look for part-time jobs, get advice and information, and purchase items in our online shop. 9 7 Sponsorship From fashion shows and opera productions to sports tournaments and club nights, Students Union UCL vibrant activities calendar is packed with events, many of which are managed by students. Wherever possible, events are run for free and open to all of the UCL community. However with over 250 student groups, many seek extra funding to keep the costs low for their members. Most have members and considerably more on their mailing lists. 13 11 Terms & Conditions On-site activity: 1. No more than three people involved with the campaign are permitted within the designated promotion area at a time 2. Organisations must only use the designated hire area and must not cause obstruction 3. Any promotional merchandise (including food/ drink) to be distributed during any activity must be cleared with Students Union UCL Marketing in advance of the booking 4. Requirements for WiFi access must be specified in advance and will not be supplied unless requested. Please notify ou if you will need an electricity access point 5. Full payment must be made before the day of your booking. Unless payment has been recieved, Students Union UCL reserves the right to cancel the booking 6. Bookings should be made at least one week in advance 7. Floor vinyls must be removed by the advertiser at the end of the booking unless otherwise agreed. Any vinyls that are not removed will be charged for the additional time they are present. Flyering/Distribution: 1. Must be carried out by Students Union UCL student staff only i.e. external staff may not flyer on UCL grounds 2. At least one week notice of a flyering/distribution campaign is required (in order to roster student staff to undertake the activity) 3. Flyering/distribution is carried out between 11:00 and 14:00, unless otherwise agreed. 4. Flyers must be received by Students Union UCL Marketing at least five working days in advance of a campaign start date 5. Students Union UCL reserves the right to reject artwork deemed offensive, inappropriate or demeaning Website: 1. The web advert must be 386 pixels wide by 217 pixels high. It must be PNG, GIF or JPG.
