3 Dear Scouts and Scouters: Welcome to Camp Edgewood s 2018 Winter Camp Guide. We are excited you are interested in joining us this November. Summer Camp 2018 was one for the books with high marked survey results on food quality, staff enthusiasm, and program delivery and we look forward to continuing this level of service to your units! This guide has important information you will need for your stay at Camp Edgewood. It is designed for Patrol Leaders Councils, parents, and adult leadership of your unit. Please review it completely. We have worked hard this year to organize our most exciting program yet! At Edgewood, we have a wide range of programs and activities all on one property. There are opportunities for traditional merit badge work but we also provide personal development options. The older scout who has earned plenty of merit badges probably thought he would sit this camp out. Our hope however is that he will still attend with the troop to take advantage of programs we built with him in mind. It is vital as he transitions from a youth to a young adult that he sees to whom much is given much is expected. It is our goal to provide a program that each Scout can benefit from. A Scout should not have the time to attend everything that interests him in a single year. Through these varied offerings we hope to see you at Camp Edgewood for years to come! Our Summer camp staff each year is committed to exceeding expectations as they are carefully selected and trained. The best of these are asked to return to act as counselors for Winter Camp where they are joined by you, dedicated leaders with real world experience. Your camp experience will be more filled with adventures as you share your knowledge and skills! This Winter come see changes we ve made and be a part in planning the next ten years of Edgewood! The natural beauty of Southwest Louisiana and programming found in no other camp is organizing it s facelift. Summer 2019 is our 65th Summer so in the decade to our 75th each camp will come with new updates. We look forward to greeting you this Winter at Camp Edgewood. 4 PRE-CAMP CHECKLIST Review the Program Guide with the Patrol Leader s Council, Troop Committee, and Scoutmasters. Make notes and record any questions, then contact our Camp Director. Ensure that all youth and adults complete theirmedical forms, collect them and review them. Communication with Parents: * Schedule to collect all camp fees. * Communicate time, place, and date of departure to camp and arrival home. * Communicate the camp s mailing address: 3419 Camp Edgewood Road DeQuincy, LA * Communicate directions to camp for Family Night on Wednesday 50% of Camp Fees due by September 14, 2018 to begin online class/program registration. 100% of Camp Fees due by November 9, 2018 or per Scout late fee assessed. Troop Committee: * Arrange for two deep adult leadership at all times or shared leadership with another unit. * Arrange for necessary transportation to and from camp. Patrol Leader s Council: * Develop a list of troop and patrol equipment to take to camp. Individual Registration: * Register each individual (Scout and adult) online. * Discuss class schedules individually with Scouts and preparations required prior to camp. * Register for classes online (opens in September 2018 for those up-to-date on payments). Going to Camp: * Final review of checklist; classes, fees, and more. * Collect and review medical forms for signatures and insurance information. * Conduct pre-camp health screening within 72 hours of departure. 5 Schedule of Fees for Winter Camp Troop Deposit - $50 Admin fee per unit and $15 per head toward Scout Fees Early Scout Fee- $140 per Scout registered with deposit before October 12th Scout Fee - $160 per Scout Registered with deposit before November 9th Late Scout Fee +$20 per Scout Charge for outstanding fees on Nov 10th NEW for 2017 Units who wish to work together on the Cooking Merit Badge and receive a $40 discount per Scout may provide their own patrol boxes and groceries for the duration of Camp. Adult Registration One Free Leader for every Full 7 youth Additional Adult Fee - $70 FEES MUST BE PAID IN FULL BY Deadlines to secure pricing Class scheduling will begin September 14th, 2018 Troop Deposit and a total of 50% of all fees due. Early payment does not receive early registration privileges before September. Cancellation Policy Cancellations made prior to 5pm Oct 26, 2018 will be eligible for a full refund. Past then and in process cancellations will follow the Refund Policy listed at CalcasieuBSA.org/servicecenter Overpayment of camp fees will be documented at check-in if not settled ahead. A check or online credit for the amount will be mailed or submitted from the council Office as we are not permitted to issue refunds from camp. 6 Campsite Reservation At Camp Edgewood, there are several options for camping accommodations. We offer you the opportunity to camp in your own tent, sleep in an eight person Adirondack, or try out one of our screened twelve person cabins. Cabins and Adirondacks are available on a first come first serve basis (based on troop reservation and payment). Please request your campsite preference when completing the Online Troop Registration, and we will do our best to accommodate you. Scouts with Physical Disabilities have the option of using Campsite 14, which is a more accessible Campsite for those in need. Scouts with disabilities, along with their Troop, will be given priority access to Campsite 14 when campsites are assigned. Provisional Camping is a program designed for the Scout who can never get enough of the camp experience! Scouts who attend camp without their Troop will be adopted by another Troop and will fall into one of their patrols for the week. Any unit unable to send adequate adult supervision may request to be paired with another Troop. 6 CalcasieuBSA.org/CampEdgewood

7 ONLINE CLASS SCHEDULING IMPORTANT NOTE: After you enter your class selections, make sure to submit them from your cart. You will also receive an with confirmation showing the class selections on your receipt. If you don t receive this your classes are probably still in the cart. Online Class Scheduling You will register for merit badge classes, specialty programs, and other programs using our online class scheduling module. It is important that you prepare in advance for your class scheduling. The online module is a real-time system, and you will get the most out of it by completing your unit s entire schedule at one time. Be sure to have a program session at a troop meeting to discuss available classes, then have the Scouts decide on a schedule based on their interests and advancement needs. You will need to provide them with copies of the class schedule and program descriptions. Many classes will fill up quickly, so it is important to complete your class scheduling as early and completely as possible. Class scheduling will begin September 14th, You will receive authorization to begin Winter Camp class scheduling as long as the Council Office or online system has received the Troop Deposit and a total of 50% of all other fees due. Instructions Fall 2018: Make your reservation (The earlier the better as space fills quickly) August/September 2018: Set aside at least one troop meeting to review Winter Camp programs and to have Scouts select their desired class schedule. Use the Schedule Worksheet to help collect your Scout s selections. By October 2018: Have Winter Camp Deposit and 50% Troop Fees paid. Make sure course selections are inputted and appropriate for each scout. Secure Early Bird pricing by submitting deposit by October 12th. Before November 2018: Make final payment of fees (Balance Due) by November 9th, 2018 to avoid late fees. When the class registration opens up in September, you will be able to log in to your Troop s registration and use the online class scheduling module to register Scouts in classes. Be aware that courses are first-come, first -served, and our online module is real-time. Class capacities are rarely expanded, so register early! Print your unit s schedule from the online scheduling module. Review each Scout s schedule with them and be sure to check online for open spots in classes and to make last minute scheduling changes. Our staff will also send you a copy of your Troop s class schedules for a final review a week or so before you arrive. Last minute changes: Class schedules can be changed online up to five days before your arrival at camp. Our staff will be available after opening campfire to help with last-minute changes as needed. 7 CalcasieuBSA.org/CampEdgewood

8 At Edgewood, the foremost rules for personal and group behavior are the ideals found in Scouting. Scouts and Adult Leaders should follow the Scout Oath, Scout Law, and Outdoor Code for all behaviors. Beyond these ideals, the following rules are enforced at the Camp Edgewood: Fireworks are prohibited. Throwing rocks is forbidden. Vehicles shall be parked in a parking lot unless designated by the Camp Director or Ranger. Alcoholic beverages and illicit substances are prohibited. Use of tobacco products is to only take place only in designated areas as discussed at the Sat SM meeting No firearms or any kind of ammunition may be kept in the possession of any Scout or adult. No pets or other animals should be brought to camp (registered service animals permitted). Aerosol cans in campsites should not be placed near flammable substances. All white gas lanterns, propane lanterns, stoves, etc. are to be filled and stored only by adults though they may be operated by youth under supervision. Fuel must be secured and locked away. Closed-toed shoes are encouraged and appropriate at all times. All camp visitors must sign-in/sign-out at the camp office. Two-deep leadership is required at all times for youth. BSA Youth Protection guidelines must be practiced; leaders and parents must be trained so all adults staying in camp should be input to the online system. No running on trails, bridges, or outside of sporting activities. No one may ride in the back of a truck or trailer; seat belts must be worn by anyone in a vehicle. Bicycles are not permitted. Speed limit in camp is 5 mph. Pedestrians always have the right of way. Extension cords are allowed if used in accordance w hazard prevention policies. No fires or open flames are allowed in tents, adirondacks, cabins, or any other camp structure. Anyone leaving camp must sign-out at camp office. Fishing Fishing in the lake on Camp Edgewood property does not require a fishing license but is a catch and release system. SCOUT OATH On my honor, I will do my best To do my duty to God and my country, And to obey the Scout Law; To help other people at all times; To keep myself physically strong, mentally awake, and morally straight. SCOUT LAW A Scout is Trustworthy, Loyal, Helpful, Friendly, Courteous, Kind, Obedient, Cheerful, Thrifty, Brave, Clean and Reverent OUTDOOR CODE As an America, I will do my best to Be clean in my outdoor manners, Be careful with fire, Be considerate in the outdoors and, Be conservation minded. 9 Medical Forms Every person who attends camp must submit a complete BSA Medical Form. All parts, including the physicians approval, are mandatory for anyone who is staying in camp longer than 3 days while adults staying two or less days may use just parts A&B.. These forms are due at the time of arrival into camp; please do not mail these forms into camp prior to arrival. We encourage you to turn in copies of these forms to camp and keep the originals but all forms will be returned at the close of camp. Dietary Needs Review youth and adult medical forms well in advance of leaving for camp. Please give special attention to dietary restrictions. Our dining hall staff will be glad to do what they can to help accommodate these needs. Please contact us as soon as possible if any of your Scouts or adults have special dietary restrictions. Pre-Camp Health Screenings Units are required to complete a pre-health screening within 72 hours before arriving at camp. This screening may be done all at once or over the phone of all youth and adults to check for fever, congestion, sore throat, and cough. In the event of a flu or other outbreak, participants with an illness will receive care in a quarantined environment. Others in their campsite will be immediately re-screened for fever/ other symptoms. Hospital or Doctor Visit If a participant requires medical attention from a physician or hospital the following procedure will be followed: 1. It is the responsibility of the unit to provide transportation for members of their unit requiring non-emergency attention. Staff is not available to assist with transportation but can aid in on site adult supervision. 2. At least one adult leaders from the unit will accompany the Scout requiring medical services and must obtain the Scout s medical form before leaving camp property. Two deep leadership must be followed at all times; you may be accompanied by adults from other units or off-duty staff or another youth in your unit. 3. Parents or guardians will be notified immediately by the Camp Director or unit leader of any serious illness or injury. Parents who will not be at home while Scouts is at camp must advise adult leaders of contact information in the case of emergency. 4. The Camp Medical Officer or other Administrative staff must clear all cases requiring outside medical care. 5. The troop is responsible for providing proof of insurance upon arrival at the doctor s office or hospital, or pay cash for services provided. Trading Post/ Lost and Found Our shop is stocked to support you and your scouts w snack needs but also sells a variety of camping supplies, crafts, souvenirs, toiletries, and even some uniform items. The trading post accepts cash, checks, and credit/debit cards. Lost and found items are to be turned in at the trading post. Leaders should encourage Scouts to mark their belongings with name and troop number. Lost and found items will be kept at the office in Lake Charles for one week after camp, then donated to a local charity. Mail Service Long term camps can be a rough experience especially for first year campers. Whether they admit it or not in the teen years youth still enjoy hearing from back home. Mail service to camp generally takes 2-5 days so we encourage units to have parents write and send a letter or two the week before camp. To write a Scout at camp, the mailing address is: MAIL- Troop # Scout s Name Camp Edgewood 3419 Camp Edgewood Road DeQuincy, LA Cell Phones At Camp Edgewood we ask that Scouts not use their cell phones during classes however leave the question of their existence in camp to the unit. That said just as we would with a pocket knife it is expected Camp Staff and unit leaders will request to see a Scout s Cyber Chip if that Scout wishes to use electronics in camp. 9 CalcasieuBSA.org/CampEdgewood

10 Uniform in Camp The BSA Field Uniform is worn each evening at flag ceremonies, dinner, by the unit raising the morning flag, and the opening and closing campfires. Uniform must always be worn buttoned up and tucked in. Activity uniforms are appropriate for the remainder of the day. A shirt must be worn at all times, except when at the Aquatics area or shower. Damage to Camp Facilities All campsites and equipment will be inspected upon check-in and check-out. Any damages will be assessed and documented by the Camp Staff and a report given to the Camp Management. Damages may include lost equipment, defacing buildings, or ecological damages. Ammunition, Firearms, and Related Items Personal weapons and ammunition are not allowed on the Camp Edgewood. No hunting arrows, ammunition, or rocket engines may be brought on the property. Emergency Procedures This outline is designed to familiarize any camp visitor or employee with the plan on emergency procedures. This will cover possible situations, protective measures, and how situations will be handled. Some situations could include: Missing Persons Fire, Tornado, Windstorms Epidemic or Mass Illness Serious Accident or Fatality Excessive Heat or Humidity In the event of an emergency, use the following procedures: When the siren is sounded, you will hear one of the following: Intermittent Blasts (not continuous): When intermittent blasts of the siren are heard, all Scouts and Adult Leaders should report immediately to the flagpole. Staff members will then serve as runners and go to each campsite that members are not accounted for. Scout leaders should take a head count and report any missing person to the staff runner. Instructions will be given at that time. One Continuous Blast: When one continuous blast of the siren is heard, it indicates that dangerous weather conditions are imminent and that everyone should take cover in a ditch or appropriate tornado shelter. The interior of the dining hall and other are the best shelters to use during hazardous weather. In the event of High Temperature and High Humidity, everyone should drink plenty of fluids. Each person should drink as much as four (4) quarts of water a day. Even those in excellent physical condition should avoid strenuous exercise during these times. In the event of High Humidity even at Low Temperature, the camp staff will remind Scouts and leaders at each meal to continue drinking water and change their clothing layers each night before going to bed. In the event of Severe Lightning, all outdoor activities will halt and all participants will move to the nearest shelter (not a tree). When the storm passes, Scouts will be advised by the area director as to their next step. In the event of a Chemical Spill, the Fire Department and Sheriff s Office will be notified. The all-clear signal is the ringing of the camp bell normal camp activities will then be resumed 10 CalcasieuBSA.org/

11 Camp Program To us, program is more than merit badge classes. It is also specialty programs and camp wide games. It includes flag ceremonies and campfires. It s the songs and the cheers. We believe that program is everything you experience, from the time you step out of your car until you are headed back home. We believe we are prepared to deliver one of the best camp programs in America. New Scouts will enjoy our Brownsea program, while your older Scouts will be challenged in personal development programs. We know that every troop is different and approaches merit badge work in its own way. We have developed a curriculum that has a wide variety and are looking forward to helping you plan the program that is best for each of your boys. The Staff Summer hiring and training is a 10-month process, starting the day camp closes the previous year. We hire the best candidates for each position and complete a week long training program before they see any Scouts! From this staff the best are requested to come back and work our Winter Camp for more traditional badges while we solicit specialized instructors to cover those that are more advanced.. Food Our meals are planned and prepared by professionals. You will enjoy well-balanced meals with the option to enjoy our salad bar, pb&j, potatoes, and seconds! Merit Badge Courses Scouts should begin planning and preparing for their merit badge courses many weeks before coming to camp. Experience shows that some of the classes tend to be more academic and difficult for our less mature campers. We strongly encourage you to help your newer Scouts choose a schedule that will ensure they can succeed! We are eager to work with your Scouts on their completion of merit badge requirements. However, we abide by the BSA policy on requirements; we will not amend a requirement. Just because a boy comes to camp and is registered in a class does not mean he will automatically complete the merit badge. A Scout s actions are the predominant factor in whether or not he completes requirements. It is recommended that each Scout have a current merit badge book for any course they are taking that they can read before camp. Occasionally, we may offer additional courses or sections, when skilled instruction is available. If any of your leaders are able to instruct a unique merit badge course not currently listed as being offered, or wishes to take on the instructor role one we are offering please let us know! Personal Development Courses It is our belief that Camp has essential development aspects that can impact a young man s life. Thus planning was has been done to aid Older Scout in their next steps of life and their Scouting adventure. Course Guide Our 2018 curriculum has been developed through a unique collaboration of Scoutmasters, Camp staff, and our council s camping and advancement committees. Camp is primarily about fun! Too often, younger Scouts create an aggressive class schedule focused on rank advancement. Please encourage your Scouts to take on an appropriate schedules that mix advancement with adventure. Prerequisites will be added to these charts after discussions w instructors are finalized The following course guide is tentative and minor changes could be made as we make final plans. In addition some of these courses lend themselves to being taught better over a chunk of time and have material better suited for the older scout who has a longer attention span and seeks to learn more specialized skills. 15 Brownsea First Year Camper Brownsea is our first-year Scout program and has been designed to give Scouts the greatest opportunity to learn basic Boy Scouting skills. The Scouts will work on Scout, Tenderfoot, Second Class, and First Class requirements. This program is run through the full day and skills have been coupled with the Camping, Hiking, Backpacking, Pioneering, First Aid, and Scouting Heritage Merit Badges to advance learning and create a program specifically designed to help transition scouts from their Webelos mentality. Through engaging activities participants who will learn to return to their units and advance Scouting utilizing the proper techniques to take charge of their own learning and event planning at the unit level. Mafeking Named after the South African village Lord Baden-Powel helped save during the Second Boer Wars Mafeking is our answer to the second year or first year camper who simply needs advancement requirements. Scouts will work on advancement requirements up to first class that they need in a personalized fashion. Adventure Trail Named after the Rockwell Painting Adventure Trail is designed for scouts who are currently in or wish to seek a Patrol Leader, Senior Patrol Leader, Troop Guide, Instructor, Quartermaster, Camp Staff, or Junior Assistant Scoutmaster related position of responsibility. This class is one a boy may take as many class sessions as they would like as an individualized development plan will be made with each participant. Those enrolled will be given the opportunity to aid a Brownsea Patrol s Staff Guide and have leadership training from camp administrators so they can become reenergized. 15 CalcasieuBSA.org/

16 Cope/ Climbing Offered as a Morning or Afternoon Class COPE Challenging Outdoor Personal Experience Scouts will work in groups through a series of initiative/ team building games then move on to lower element obstacles and then experience traversing a path through the tree tops. Encouraged for scouts over the age of 13. Climbing Scouts will work on the climbing merit badge to cover safety, rope care, advanced knots, then scale our tower, and get to repel it. Wilderness First Aid Available to youth over the age of 14 or adults. Wilderness first aid (WFA) is a course for everyone planning a remote high adventure ranging from lay responders to medical professionals. It focuses on prevention, assessment, and treatment for an ill or injured person in a remote environment where definitive care by a physician and/or rapid transport is not readily available. This is defined as being an hour or more away from advanced care. For more information contact bertiloken@gmail.com

17 Adult Program and Activities The fun and adventure of camp isn t just for the Scouts! At Saturday s orientation we ll have the full schedule and details but, following are some of the activities that will be available: Leader s Lounge We are proud to offer our Leader s lounge as a place for adults to relax, top off your personal jug of coffee, or rest when walking around to check on classes. Service Projects/ Class Instructors We are always in need of your expertise, whether its for an improvement to a facility or instructing a merit badge. Let us know your talents or interests. 18 TROOP ACTIVITIES AT CAMP Campfires Can t wait for you to Join Us! OPENING CAMPFIRE: Saturday at 8:35pm, we ll kick off the week with excitement! CLOSING FAMILY NIGHT CAMPFIRE: Tuesday at 7:30pm, we ll close the week together with fellowship and fun! Adult Leader & Senior Patrol Leader Meetings An orientation meeting for each will be held at 7:00 pm on Saturday. Information will be given out concerning the camp, its policies & procedures, and any specific items related to your camp week. We will also address any specific needs or questions you might have at this meeting. - It is important that every unit is represented at both the Adult Leader and SPL meetings. In addition to this meeting the opening night of camp the following will be held: An Adult Leader meeting will be held each morning, Sunday-Tuesday, after breakfast, 9am, in the Leader s Lounge for you to discuss any concerns or needs you may have. A Senior Patrol Leader meeting will be held Sunday and Monday nights at 9pm at the office. Directly after the closing campfire on Tuesday we plan to have class reports completed to offer a chance for Troop Leaders to ask Camp Leaders any questions about MB completion. Lagniappe Program Dutch Auction Offered Sunday and Monday Nights to accommodate each half of camp. Utilize your creativity to compete against other troops and patrols to find new uses for common items. The winners from each night will compete in a final round at the closing campfire! Night Orienteering Bring your compass and be ready to experience another level of land navigation! Night Experience As a patrol be led on a hike around camp by a member of the staff to play fun games and learn informational tidbits not commonly covered in standard merit badges! Polar Bear Swim Time TBD depending on weather and will be announced at check in! A Scout Is Reverent The final point of the Scout Law is an integral part of camp. 20 Arrival Times Check In Time is Saturday 11:30pm 2:30pm. Upon prior arrangement with the Camp Director troops may request a Friday arrival. Troops arriving before Saturday afternoon registration and/ or staying past Wednesday morning check out will be charged $5.00 per person. Troops arriving early or staying late will be responsible for their own two-deep leadership, medical staff, and extras meals. Saturday Check-In Procedures All units must go directly to the Camp Office upon arrive, please do not go to your campsite. Each unit will be assigned a troop guide when they arrive that will assist you through the check in procedure. Please have the following items ready when you arrive: Pre Health Screening Forms Medical Forms for all Scouts and adults Final payment for any outstanding fees Unit proof of insurance 1. Check-In Your unit will be greeted upon arrival at the camp and met by the Camp Staff. You will turn in your prehealth screening form and conduct an arrival health screening. 2. Troop Photo Troop photos will be taken during the tour, please ensure that all Scouts and adults are in complete uniforms. The unit may bring a thumb drive to receive a copy from Office Staff. 3. Medical Check-In, Business Office, and Program Packet Turn in all medical forms and review them with the health officer. He/She will also reconcile the unit s account with the camp and pay any outstanding fees. Turn in unit insurance information. The adult will also receive a program packet, containing all Scout schedules, this should be reviewed before leaving Office. 4. Camp Tour and Campsite Inspection Scouts and adults will complete a camp tour with their troop guide. They will proceed to the campsite and complete but the camp tour will include visits to all pro gram areas, and dining hall orientation. 5. Adult Leader/ SPL Orientation Meeting Saturday 7:30pm at Leaders Lounge and Program Building, one youth and adult representative from each unit is requested to attend. The session will includes a review of the schedule and program areas. Checking Out Check out is Wednesdayday by 9:30am; all troops must be out of their campsites and parking lots by this time unless prior arrangements have been made with the Camp Director. 1. Troop Guides will arrive post breakfast to assist with check out and inspect campsites 2. All trash must be removed from sites and placed in dumpsters. 3. After campsite inspection has been completed, an adult leader must report to the camp office to complete check- out and pick up medical forms and Class Completion Reports. Units wishing to check out Tuesday Evening may do so by coordinating with the office staff. Leaving During Camp Scouts and adults should have no reason to leave camp except for an emergency. If a Scout must leave camp for an emergency, they must be under the supervision of an qualified adult.
