Moved into Delegate fee is $35 and staff fee is $65 (includes staff stuff) Each lodge gets 100 spaces, other lodges can use those if a lodge does not use all of them. Health Form is required. Dixie Expo (from 2005) is going to happening again when you come into camp. Booths will be set up. War Canoe has been added to Quest Dixie Grand Fair, Friday Night after the show Vigil Rededication, Sunday Morning at sunrise Dietary Restrictions need to be sent to host lodge Budget is currently balanced Is there a limit on asking for more spots? o There can be more spots available if needed. Are the Cracker Barrels figured into the budget? o Yes, won t affect current budget Riley Dabbs Motion made: At midnight on Saturday night of the Dixie Fellowship, ownership of any unsold Dixie memorabilia items will transfer to the Service Lodge. The Service Lodge will purchase these items from the Section at cost, or at a price above cost but not to exceed the retail price, which will cause the event to be in the black financially. Once transferred to the Service Lodge, they may opt to sell some or all items at reduced prices on Sunday in order to expedite liquidation of the inventory.
4 ed Riley Dabbs Motion made: I move to add "Ditty Bag" and "Water Bottle" to the list of allowable items found on page 15 of the Proposal, item 15, "Use of 'Dixie Fellowship'." Rationale: These are items that will be given to all delegates. The ditty bag is an often provided item that also has often included the "Dixie Fellowship" name. This motion just formalizes that this common practice is allowable. The water bottle is being provided and encouraged for all delegates as their drinking container for meals. This is a significant part of our waste reduction "green" efforts. ed Riley Dabbs Motion made: I move to change the requirement regarding golf carts brought by delegates, found on page 13, from the present wording: "If any delegates desire to bring their own golf carts or other similar transportation devices, you must ask for approval of the Service Lodge by January 31, 2017" to now read as "If any delegates desire to bring their own golf carts or similar transportation devices, you must have prior approval, in writing, from the Service Lodge. To ensure a response, requests should be submitted to the Service Lodge by March 31." Rationale: On January 31, the current deadline, many lodges still do not know who from their lodge is going to Dixie, much less who will have or need Golf Carts. March 31 is a much more reasonable date. Important note is that the motion says SHOULD be submitted by March 31, not MUST, so we can consider requests after March 31. ed Unali Yi asks if COC members can buy staff items Host lodge clarified that by directing attention to item 14 on page 15 Motion made to revoke motion to approve and passing it now with amendments stated. ed
5 Quest/Program Motion made to approve Quest/Program proposal Alex Jernigan could not be at the COC due to illness, Carter Harwell stepped in. Program can be found on pages Alex Jernigan could not be here, so I am stepping in. 2. You can find the program portion of the Dixie proposal on pages Changes to the traditional program proposal include: a. All participants in range activities are required to attend a brief range safety training course b. Shotgun and canoe racing will be new events at this year s Dixie c. Egg toss will now be hosted by the section. d. Rubber or plastic Cleats are acceptable in Ultimate Frisbee only, NOT Tug of War 4. The events at this year s Dixie will be as follows: a. Shotgun Shooting b. Chariot Race c. War Canoe Race d. Fire Building e. Knot-tying relay f. Tent Pitching g. Archery h. Rifle Shooting i. Arrow/Softball j. Cross Country Run 5. Lodges get to pick what program event they want to do in Dixie rotation schedule order: a. Muscogee b. Skyuka c. Eswau Huppeday d. Tsali e. Itibapishe Iti Hollo f. Unali Yi g. Santee h. Catawba i. Bob White 6. Lodges will receive points according to how well they performed compared to the other lodges. If a lodge places 1 st place in an event, they will receive the maximum amount of
6 10 points, if they place 2 nd, they will receive 9 points, and so on until 10 th place, which will receive 1 point. 7. Scoring will be different for each event, though they will all remain on the 10 point scale. Be sure to read through the entire program section in order to understand procedures for tying, and for your lodge to achieve the most points they can. 8. The descriptions for the new events are as follows: a. War canoe is an event where each lodge will submit one 7 man team i. Each lodge will go separately and be timed to see how they place. ii. Each rower will receive a single blade paddle iii. There will be 2 judges for this event iv. Points will be awarded depending on each lodges time compared to the other lodges. v. Each lodge will get 1 opportunity to have a practice run in the canoe. b. Shotgun Shooting is an event where each lodge will enter one Arrowman to shoot at a total of 12 clays. i. 10 of these clays will be counted, and 2 of these will be for the shooter s practice. ii. You receive one point for each clay hit. iii. You receive zero points for each clay missed. iv. Muscogee will provide one shotgun, and the appropriate amount of shells to conduct this event. v. This shotgun will be a 20 gauge, and all contestants must use it. vi. MUST ATTEND RANGE SAFETY MEETING 9. Open the floor for any questions Floor opened for discussion Cleats can be worn for Ultimate Frisbee as long as they are not metal Cleats may not be worn for tug of war If a lodge hosts shotgun, will the launcher and Range Safety Officer be provided? If there is a tie in the top 3 places, contestants tying will shoot (5) more shots in a random order. If another tie occurs, the same procedure will be followed until the tie is broken. Ties below 3rd will share their placement.
