BOOKING TERMS & CONDITIONS Please read the Terms and Conditions carefully as they incorporate the basis upon which bookings are accepted by Richmond 2015 Travel Office. By paying your deposit/full payment, you will be deemed to have understood and accepted these Terms & Conditions. Note that the conditions on any invoice, flyer, website or electronic product are to be used in conjunction with these Terms & Conditions. Prices: All prices quoted by Richmond 2015 Travel Office are in United States Dollars (except where specified) & current at time of printing. Prices are exclusive of taxes & charges that apply. Prices are provided as a guide only and may vary due to changes in taxes or charges or due to fluctuations in foreign exchange rates. Please check all prices & information with your Richmond 2015 Travel Office consultant. Please note that the price of your holiday may change at any time if any taxes or charges are introduced or varied, even after you have paid part of the quoted price of your trip. If we have to change any part of your booking for reasons beyond our control, we will notify you. *All hotel rates are exclusive of state and federal taxes. Initial Deposit: A non-refundable deposit of 50% of the total confirmed rooms is payable within seven (7) days to secure your booking. Minimum Night Accommodation Stay: Unless indicated otherwise, accommodation bookings are subject to a minimum 3 night stay per room during the Championships period. Rooms and Bedding: Accommodation prices are quoted per room per night. All accommodation prices are based on utilizing existing bedding in the room / apartment, not rollaway beds or foldout sofa beds / divans. Most hotels do have the capacity to provide additional rollaway beds or foldout sofa beds / divans. Should guests require additional beds in the room(s), please advise the Travel Office at the time of booking. The Richmond 2015 Travel Office will advise the exact bedding configurations in each room / apartment when confirming the rooms. Additional charges will apply for additional beds where required. Check-in and Check-out: Check-in time at most hotels is 3:00pm and it may be possible that room(s) will not be ready prior to this time for immediate occupancy upon arrival. If you feel it necessary to guarantee and early arrival, you can ensure immediate availability by paying the extra day s tariff and book rooms for the night before arrival. If you decide to take this precaution, please advise the Richmond 2015 Travel Office at the time of booking so that the hotel can pre-register the room(s). Check-out time at most hotels is 12:00pm Noon. Please note that a credit card or an appropriate cash deposit is necessary to cover incidentals. The guest is responsible for room, tax, incidentals and other mandatory fees or gratuities. The Richmond 2015 Travel Office will not be responsible for unpaid balances left by guests. Credit Cards: All prices shown are payment by Cash, Cheque or Direct Deposit. An additional 3.0% Credit Card Service Fee will apply for Visa and MasterCard payments. Richmond 2015 Travel Office does not accept American Express. A signed credit card debit authorization form is required by Richmond 2015 Travel Office for all credit card payments prior to release of documentation. A copy of both sides of the credit card is required. Booking Arrangements: The person affecting a booking shall be deemed to have accepted the Booking Conditions on behalf of all persons named in the booking. Events: Richmond 2015 Travel Office cannot be responsible or liable whatsoever, for the non-appearance of any individual player or participant. The details of the Event shown in any material supplied by Richmond 2015 Travel Office are correct at time of printing but the customer shall be responsible for checking with the Event that no alterations have been made. Richmond 2015 Travel Office shall not be held liable for any omission by any person not employed directly by Richmond 2015 Travel Office. Richmond 2015 Travel Office has no control over the Event and does not have any and cannot accept any liability for the actions or omissions of the organizers or operators of the Event or their servants, agents or employees. In no circumstances shall Richmond 2015 Travel Office be liable for any consequential loss or damage. Richmond 2015 Travel Office shall not be liable to give any refund in the event of the Event being cancelled or postponed save where the customer has insured against cancellation. Cancellations: Prior to thirty (30) days participating groups may release up to ten percent (10%) of rooms without penalty. The excess deposit amount(s) as a result of this maximum 10% release of the initial booking confirmed by the Richmond 2015 Travel Office will be rolled over to the final payment or refunded. Any rooms above this 10% maximum release will be forfeited. Unused Services: Unused vouchers for services that are provided as part of a Richmond 2015 Travel Office package are non-refundable and not transferable. Comprehensive Travel Insurance is highly recommended. NO SHOWS: In the event a confirmed reservation does not check in on their scheduled arrival date, no refund will be given and the room will be released for sale.
