1 Minutes of the Executive Committee Meeting Tuesday 2 nd May 5 th Dartford Scout Hall Present: Neil Young (Chair) Paul Boreham Jason O Brien Vicki Watts Karen Hannah Pauline Butler Dave Monteith Sean Hodder John McCloughlin Del Hurd Wendy Hurd Carolyn Young 1. Apologies for absence Apologies for absence were received from Lesley Bauckham, Tracy Gardner and John Chuter. 2. Minutes of the previous meeting Minutes were approved from the last meeting. 3. Action points from the previous meeting Utility Bills - Paul has passed most bills over to John Chuter. ACTION: Neil to speak to John about organisation of transfer of the bills. Equipment Wish lists - Karen speaking to Activity Leaders (Lynn, Gary & Stuart) - Karen has sent letter to Fire Brigade Charity but has had no response as yet. ACTION: Karen to try Gary Abrahams of the Fire Brigade again. New Hall Plans - No meeting arranged as yet. Neil has received paperwork through from Royal Architects?? Neil & Dave to have separate meeting on New Hall Plans. Bernard Sunley want to see plans so that they can decide on how much they want to donate. ACTION: Phil Wells to be added to New Hall Committee. Dave & Paul have spent 311 on 6 new patrol tents a lower figure than that approved at the last Exec. A dedicated account needs to be opened for to show the shared fundraising/ camp funds for those raising money on bag filling. ACTION: John Chuter was to set up new account. John to please confirm that has been done. It was decided at the last meeting that section budget payments will be paid by quarterly standing order. No standing orders have been received. ACTION: John Chuter please to confirm that the standing orders have been set up. 95 th Anniversary Banner Neil has contacted 2 flag makers and given them loose specs. He s waiting for prices and material samples. 4. Section Reports (from those sections represented at the meeting) Early Troop Scouts 19 invested : 2 recently joined : 2 up for Chief Scout Award on the 16 th June 2012 Minutes
2 Easter Camp a small camp but a good one with unusually excellent weather. Back-to-basics, including cooking, fishing, kayaking. DIY & First Aid completed. Coming up: Visit to Dartford Fire Station in June. Jason has written to the Dartford Bee Keepers Association to arrange a visit to their Aperies. Jason also written to local Power Station for a proposed visit and is again waiting for a response. Power kiting has been rearranged for Blackheath, again weather permitting. Jason needs help in May as he and Paul are away on Archery camp. Dave Monteith said he was happy to run that Friday s scout troop. Edwards Beavers Colony 20 invested : 2 linking to Cubs Vicki asked if anyone could give up some time to help her and Kim run the Beavers group on a Wednesday. Johnston Explorers 27 invested Explorers went fishing with the Scouts on Easter Camp. There are 4 teams on Friday night (4.5.12) doing the Edinburgh Chase. There will be lots of map work and the Explorers are running their own night. Neil commented on the large rise in numbers for the Explorers group and praised Dave for its success. Dave said that the philosophy was to run it as half youth/half Scout group. He said that he would have to close the section to new members at the moment as he didn t feel he could cope with any more than 27. Leigh Cubs Pack invested The two Dartford Grammar School boys who have been helping out for their Duke of Edinburgh Award have said that this coming Friday (4.5.12) will be their last session. John said that he has at the moment boys going on Jubilee Camp but he feels that the numbers will rise. Tina has been upgraded from occasional helper to Leader. Action: Tina s to be added to group list. Helpers in Leigh Cubs Tracy, Jacqueline & Ellis. John has had to start a new 6 due to the number of boys now in the group this was pointed out by a boy who had 7 cubs in his six! Burne Troop Scouts 26 invested Had 5 attend Easter Camp all had a good time. Two thirds of group are going to Jubilee Camp. Philpott Beavers Colony 21 invested Minutes
3 Cross Country completed. Two leaders from Fleetdown Football Club came along to help with health and fitness badge. There are 3 places open for new Beavers. Wendy has had enquiries but no-one has as yet turned up to join. 5. Year end accounts Neil asked how many books had been returned to John Chuter. There were comments that the books were not handed out, but it was established that 2 out of 7 books were in and 2 more were returned at the meeting for Neil to pass to John Chutre. Maggie, Dave & Tracey are still to return their books to John and this needs to be done a.s.a.p. as the books are needed for auditing by Bev. ACTION: Neil to take the books given in to John Chuter and to keep pressing John to get them to Bev in a timely manner. 6. AGM planning The AGM have a go day will go ahead on Sunday 17 th June Paul has spoken to Angela who is currently holding the position of District Commissioner and she has given her verbal approval to go ahead with the event as a have a go day. He is still waiting for her written approval. It was noted that Paul would contact the new District Commissioner, when elected, so that they could look over what had been agreed by Angela. There will be archery/pistol shooting/climbing wall/an aerial runway (which will run down the drive). 5 th Dartford will be looking for lots of volunteers to help. Paul will invite D.C., D.S.L., Old Scout Leaders, John White etc. Neil has already invited Gareth Johnson & Eddie Lampkin but has had no response as yet. He will invite new Mayor in the next week. Neil has also invited Kevin Ball from SGN (who donated the new driveway) and he is coming. Neil wants to talk to him about the problems that are occurring with the top half of the driveway and wants to ask if there is anything he can do to help or advise. Neil asked for recommendations of any other appropriate/influential people to invite? Dave suggested inviting someone from Laing O Rourke s as they donated the steel for the climbing wall. ACTION: Check with Lyn for any contacts she might have at Laing O Rourke. Paul spoke about specs for the Aerial Runway. He feels that it will come in at around 800. The Exec has already approved purchase of the aerial runway. The Exec questioned whether we need permits to operate it? It was agreed that a sign will go up at the AGM stating that only 5 th Dartford members would be allowed on the aerial runway. ACTION: Neil to organise the making of the sign. Catering Karen will be talking to the caterers who supply the Amar Hall for the Curry Night if they could come up with a good price for supplying curry to us at the AGM. The Cake Stall sold out too quickly last year so the prices for 2012 definitely need to be looked at and more cakes to be made. Pauline has offered to do teas & coffees. She will also look into the feasibility of buying and selling Krispy Kreme doughnuts. After much debate, it was decided that we purchase 100 doughnuts. Kay has requested money to buy more paints for the Face Painting Stall Jason has told her to buy around 25 worth of stock. Fund raising AGM it was felt that there was simply no room to do this so the idea was dropped. Minutes
4 Neil asked those present to consider who might be nominated as parent representatives. He acknowledged that not enough has been made of the skills of those people who volunteer to take on this role and that more needs to be done in the future to rectify that weakness. Ted will officially be made Group the AGM. 7. Camps & Forthcoming Events Power Blackheath moved to Archery Camp in 2 weeks (Russ Ketley will attend camp) Tuesday nights Lyn, Debbie & Jim will be at the Hall helping out with archery skills Wednesday 9 th May there is a Jamboree Camp Meeting (1-5 June) Potential Gravelines Camp we are interested in attending by only for the weekend. Alan to come back to Paul. Bisley Lots of members wanting to take part in this event. We have invited 9 th Dartford to also attend with us. Dates proposed for NSA Shooting Course running on Tuesday evenings leading up to Bisley. John McCloughlin suggested that we hold a Parents Meeting before the Camp on Wednesday 7.45pm. JOTT Dave will start from 8.30am & Del will start from 10am, so that members of other sections will be able to meet them there at those times. 8. Fundraising Dartford F.C. Can Collecting Event only 2/3 children turned up and collected money in cans as most children were away on camp that weekend. Even so, 180 was collected from 3 cans, with 1 can still to come in. Even with the low numbers, it was a successful event, we will do again. Saturday 19 th May 2012 Curry Amar Hall being run jointly with Darent Valley Radio. Admission: 12 adults 6 children (under 14). This will include a disco. Neil has printed the tickets and Karen has given 60 tickets to Andy of Darent Valley Radio to sell. Couple of bag packing dates coming up. Sainsbury s offered 2 nights & troop to Sainsbury 7pm in uniform and will stay until 9pm. Karen s brother has asked his employer, John Lewis for support and a donation is currently under consideration. Karen suggested investigating bag packing in John Lewis Food Hall. Morrisons were also suggested, as we have a parent link to them. ACTION: Karen to write letter to Louise Morrisons to suggest bag packing. Olympic Torch is Hall Place on Sunday 2 nd July 5.45pm then going onto Danson Park. The Council is happy for 5 th Dartford to be there. It was suggested that we maybe run some events, face painting / BBQ etc. but it was felt that the torch wouldn t be there for long and people would probably disappear very soon after the torch had gone so just a 5 th Dartford presence to experience the event would suffice. Mamma Mia Scout Hall has been suggested having the film running throughout the evening with various tables singing a song. With Greek food available. Minutes
5 A close friend and work colleague of Neil s, Mick Murray, has agreed to do some fund raising aimed specifically at large business and charitable trusts for large donations towards the new hall fund. He is a recently retired businessman, having twice sold successful business, with lots of spare time on his hands. He is currently getting more acquainted with the Group and researching the best way to proceed. The Exec confirmed that they are happy for him to act in this way on our behalf. Neil congratulated Karen for the way that she has been leading the fundraising with great energy and has moved it forward brilliantly, with fantastic support from people like Lesley Baulkham, Lyn Medcalf and others. A cheque from Dartford Freemasons, following the craft fair, of 425 has been received in advance of the official presentation. This was a 50/50 split with Wilmington Scouts. A donation has been received from The Co-operative Membership Community Fund for 1, to pay for a new kitchen when our new hall is built. 9. A.O.B. The new driveway, whilst a significant improvement on what went before and a considerable donation from SGN, has its problems. We had imagined that the driveway would be fully compacted on completion. The bottom half is fine but the top running down to where it flattens out at the bottom has started to break up. Kevin Ball of SGN will be coming to the AGM and Neil has already ed him about the driveway, to request further help or advice. Vicki, Stuart & Dan are doing the London Brighton Night Ride for the British Heart Foundation and asked if the Group could help out with any donations Neil suggested that Vicki share the Night Ride information with everyone via . Dave Monteith requested that Jim Lillicrop was voted onto the Exec and that was unanimously agreed. It was noted that the parents representative, Shaun Hodder has shown great willing but has been under-used and that we want to recruit and make better use of more active parent representatives next year. Family Camp Dan & Zara have volunteered to be Leaders. Camp site is booked. Forms have gone out to the Group to register interest. Next Executive Committee Meeting will be at the AGM on A final Executive Committee Meeting (following the AGM) before Summer Holidays has been arranged for Tuesday 10 th July 8pm. Minutes
