3 The Venue Here East is a unique events space ideal for conferences, exhibitions and product launches. Home to a community of pioneering companies and institutions, Here East is the place for making, creating and innovation. The venue boasts a capacity of 1,000, a private and landscaped roof terrace, breakout spaces and a fantastic canalside location with City views, offering flexible environments to suit your needs. Smart Group is delighted to be the event management and catering partner for this amazing space. 3

6 The Theatre An ideal space for product launches, talks, screenings, exhibitions and presentations, with a 6m ceiling height and high-end conferencing technology. The Theatre 29m wide x 44m long theatre space (1,276m 2 floor area) Black serge wall linings Anthracite carpet tiled floor Viewing window overlooking the Olympic Park (can be blacked out) Pre-installed basic AV technical kit DINNERS RECEPTIONS CONFERENCES

7 Venue Specification Access to the Venue Load in/out: Loading is between 6am and 11:30pm. Please share your delivery schedule with your Account manager Venue Build/De-rig 6am 6am, build can commence in the venue over a 24 hour period as long as all kit has been loaded into the venue before 11:30pm. Additional security charges will apply if you wish build overnight. Lift Stewards All clients must have lift stewards on the ground floor half an hour prior to the event commencing and on the venue floor half an hour after the event finishes, to ensure all guests leave and arrive smoothly. Kitchen/Storage Here East has no permanent back of house space so the kitchen space, crew mess and storage must be allocated within the given event spaces. Licensing Licensing at Here East is until 11:30pm, with the venue being vacated by 12:00am. Breakouts There are no permanent break-out rooms within Here East. Should you require conference breakouts, our experienced team will be happy to suggest a number of different solutions for creating breakouts suitable for your requirements, from simple draping to more intricate lead lined draping, as well as internal pop-up structures. Please liaise with our inhouse production company, Hawthorn, with regards to installation and associated costs. Shuttle Here East estate runs a shuttle service from Here East to Stratford Tube station and Stratford International station, operating every 5 minutes from 7am until 10:30pm, Monday to Friday. Please refer to the map on page 25. For events with over 350 guests in attendance, additional charges will apply for our clients and their guests to use the Here East shuttle. 7 Parking Please note that there is no parking available at the venue. The closest public car park is at Westfield Stratford City shopping centre. Please see parking rates and opening times via this link. Capacities BANQUETING CONFERENCING RECEPTION / PARTY Internet Access There is a complimentary public Wi-Fi available for your guests. If you require a dedicated line please liaise with your Account Manager for associated costs. Waste Management All waste must be disposed/taken off site by the guests or client.

9 Production Hawthorn deliver creative technical event production services at Here East and work with you to bring your vision to life. Their technical expertise will help transform this impressive blank canvas into the perfect space for your event. 9

10 Production Pre-installed AV tech package Hawthorn has partnered with Smart Group to provide a turnkey production solution that includes venue lighting, extensive draping, a sound system for background music and power distribution. Hawthorn must also provide all rigging, trussing and suspension along with electrical distribution within the venue. The below costs are per event day, with 50% discount for build/ de-rig days: Up to 3,000 + VAT 500 4,000 + VAT 700 5,000 + VAT Package inclusions: Perimeter black drapes Divide black drape where it s currently fitted from front of control across width of room Steel deck stage and steps where they are currently fitted with the house carpet. (There will be additional charges to remove or re-fit any of the items above) The LED house light rig: - 8 x soft edge Fresnel lights to light the stage in a general wash pre-set arrangement; - 8 x Profile hard edge lights to light the stage, in a pre-set arrangement; - 32 x wide-angle Profiles with gobos for the auditorium break up wash; Background sound system: - Basic sound desk with CD player and the facility for a client s ipod as background music - One radio mic - Overhead speakers, as currently installed. One x 7000 Lumen video projector for a 4m wide front projection screen in the centre of the stage area, using the existing projector - This excludes any computer and any playback equipment - This excludes an operator to control the video (Hawthorn s responsibility would be to plug in the client s laptop and set it working) Technician Costs: - Duty technician/engineer rate of 365 per 12 hour shift PLEASE NOTE: Hawthorn are the exclusive rigger in the venue. All the spare cabling and dimmers/ hard power channels not used within the pre-installed AV tech package, are not included unless used with Hawthorn equipment, but can be rented at extra cost for use with an incoming production companies equipment.
