2 IMPORTANT INFORMATION FOR STUDENTS ACCOMMODATION Accommodation in our centres is single, twin, triple and larger study bedrooms in the schools own boarding houses. Each house has at least one common room or recreational area. There are plenty of shower and toilet facilities in each house. Card and payphones are available. Phone cards offering cheap international call rates can be purchased from the course office or the school tuck shop. Boys and girls are accommodated in separate houses or sometimes (only in the case of younger students) in separate areas of the same house. LAUNDRY Clean bed linen is provided every two weeks. At Ardingly College, Cheltenham Ladies College, Dean Close School, Gormanston Park, New Hall School and Wycliffe College, we also provide one laundry service per week for personal items. Please ensure that all clothes are properly labelled with your name to avoid confusion. At King s College London, Oxford Brookes University and Oxford Corpus Christi, laundry facilities are available for personal use, and incur a small fee. Staff are onsite to provide any assistance that is required. INSURANCE Before arrival it is mandatory that students take out insurance for their own financial and personal security. You can take out your own insurance or an insurance policy offered by one of our recommended providers. MEDICATION Students who have any medication should bring this with them in correctly labelled packaging, which clearly states doses and times of administration. The only types of medication the students should carry themselves are: Epipens for severe allergies Insulin pens Reliever inhalers (generally in a base case) 1

3 POCKET MONEY You will need pocket money for postcards and stamps, toiletries and drinks as well as any optional activities that you wish to attend. There is no need to bring much money. We recommend that 100 per week is sufficient. For those who wish to know their money is secure, we run a banking service at all schools. Students may withdraw money as needed as long as 48 hours notice is given. Your money, passports, tickets, etc. are handed in at the school office on arrival. We strongly recommend that you do not bring valuables with you. In all cases, you must give us a deposit of 30 on arrival. This will be refunded on the day of your departure providing you have not been responsible for any damage during your stay. If the damage costs more than 30 to repair, we will seek full reimbursement. WHAT TO BRING Casual clothes for everyday wear Warm sweaters Something to wear at a party Waterproof walking shoes A warm coat/jacket (preferably waterproof) A bathrobe A tracksuit Sportswear and sports shoes 2 pairs of sports shoes one to wear outdoors and the other pair of shoes with white non-marking soles to wear indoors Swim wear An alarm clock Two towels Tennis racquet Any items that may be useful for a talent show A refillable water bottle (ideally with your name on it) A pocket sized dictionary from your own language to English SPORTS EQUIPMENT If you want to use indoor sports facilities, please remember that you must bring shoes with non-marking soles. Bring a tennis racket particularly if you are following the English + Tennis course. All other sports equipment is provided for you. For those following the English + Horse Riding course, it is recommended that students bring their own riding hat. For students that don t have their own riding hat there are a number of riding hats for use at our riding schools however. LOST PROPERTY Any unclaimed lost property will be kept for 1 month, then given to charity. 2

4 COURSE RULES & REGULATIONS Students are expected to follow the course rules concerning bedtimes, attendance at activities, behaviour both in and out of the school, and absence from the school site. Any students breaking these rules may be asked to leave the course with no refund of fees and any unavoidable travel costs will be charged to the students. 1. Students are subject to the course rules. In particular, they are expected to attend all meals, lessons and arranged activities and excursions. 2. Students are responsible for keeping their rooms tidy and for making their own beds. 3. All damages to property, equipment and rooms will be charged to the student. 4. Consumption of alcohol by students under the age of eighteen is not permitted. (Note: it is against the law in Britain for persons under the age of eighteen to purchase alcohol). Alcohol must not be brought on to the school premises by students of any age. Students caught in possession of alcohol, or who have consumed alcohol will be asked to leave the school. 5. Drug taking or possession of drugs or suspicion of drug taking or possession of drugs of any kind will result in instant dismissal. 6. Smoking is not permitted in school buildings at any time (Smoking will, in the event activate the smoke detectors and then the fire alarm. Should the local Fire Service attend as the result of any false alarm caused by a student, the student may be required to pay the Fire Service s charges). NB: Any evidence that smoking has taken place in a student s room will be considered sufficient evidence of the dismissal of that student. 7. Students are required to be in their rooms and to maintain silence at a certain time set out by the Course Director. 8. Personal mobile phones are not permitted in the classrooms and must be turned off during scheduled activities. 9. From time to time, photographs or videos may be taken of the students enjoying the course. BSC reserves the right, unless we are advised to the contrary by the parent/guardian in writing, to use these photographs or video clips as part of future promotional material. 10. Students and the parent/guardian are asked to complete course evaluation form at the end of the course. 11. We will, unless advised to the contrary by the parent/guardian in writing, use any comments in future promotional material. 12. Students may only leave the course in the company of an adult if prearranged with the course office. Students that choose to break any of the rules may be asked to leave the school and the course immediately and at their own expense. TIMETABLE You should now have received a sample daily schedule for your course. At this stage the daily schedule is only provisional and the order and the times of activities may change. You will be given your finalised schedule on arrival and the daily time table will be placed on the Course notice boards and on the notice board in the accommodation. 3

5 ENGLISH LESSONS We hope you are looking forward to improving your English. The lessons are a very important part of your course programme and we want everyone to benefit from studying with us. TESTING On arrival, you will be given a short test to assess your English language level. The test will involve reading, writing, listening and speaking. The aim of the test is to place you in a suitable class with the correct level of learning. LANGUAGE PROGRAMME Your English tuition includes a mixture of classroom lessons, fieldwork activities, language activity sessions and course/diary/project. The emphasis throughout is on developing and extending your communication skills and on improving your grammar and vocabulary. Your teacher will use a variety of methods to help you learn. FIELDWORK Fieldwork gives you an opportunity to practise your English language skills in real life situations COURSE DIARY / PROJECT WORK The course diary offers you the chance to demonstrate your creative flair. You may decide to write about your activities and excursions or to produce a single project. Alternatively, you may be involved in a class project to produce a magazine or video. LANGUAGE ACTIVITY SESSIONS These sessions are an opportunity for you to enjoy yourself and to mix with other groups and levels while participating in language activities. Although the emphasis is on having fun, these sessions are very carefully planned to help you practice your English. At the end of the course you will have a file of work to take home. In return we would like you to: Speak English Mix with and get to know other nationalities Join in all classrooms activities Be prepared to try activities you may not have done before Tell your teacher if you have any problems Work hard and enjoy yourself! 4

6 ARRIVAL & DEPARTURE PROCEDURES AIRPORT TRANSFERS Students who have booked an airport transfer will be met at the airport on their arrival by a representative of BSC. Once the flight has landed, students should go through Passport Control and then collect their baggage. Once they have their baggage, students should follow the signs to the Exit/Arrivals Hall. Immediately on entering the Arrivals Hall, a member of staff will be waiting for the student. Please note, Heathrow airport is very busy and at peak times, it can take 1- from the time a flight lands to complete Passport Control and Baggage Collection. Our staff will always follow the live flight information and will be aware of any delays. Students travelling as part of a group: In the Arrivals hall, our staff will be easily identifiable wearing an orange t-shirt with a sign stating the centre name. The sign will also have the BSC logo included. The BSC representative will also be holding a sign displaying the group s name. In the unlikely event that a student is unable to see a member of BSC staff, the student should go directly to the airport information point in the terminal and inform a member of airport staff. Children using our Coach Transfer Service will be accompanied from the main Arrivals Hall to meet the correct coach in the coach arrivals part of the terminal. Students with a private transfer: If a Taxi Transfer has been booked, the student, upon arrival at the airport, will be met in the arrivals area by their chauffeur and escorted to the waiting taxi and transferred directly to the school. BSC use a reputable chauffeur company called Club Class Chauffeurs. All drivers will have the appropriate ID and will have the BSC sign displaying the student name, centre name and BSC logo. In the unlikely event that a student is unable to see a member of BSC staff, the student should go directly to the airport information point in the terminal and inform a member of airport staff. The student can, at any time day or night, contact British Study Centres on 0044 (0) for assistance. LETTER OF CONSENT TO TRAVEL Every student travelling to the UK without their parents or guardian MUST carry the Letter of Consent to Travel (Parent Confirmation Letter). This letter confirms that the named student is attending a BSC summer school and contains the telephone number for the Summer School. A template of this letter can be found and downloaded from our website: Parents must sign this letter and students should carry it with their passport at the time when travelling. They may be asked to show it at immigration / passport control when entering the UK. Parents and guardians may also want to consider having this letter notarised (witnessed or signed by a solicitor) as recently the regulations have changed for children travelling from certain countries without their parent. In particular this applies to children travelling from Italy or Spain who may not be able to board a flight without either a notarised letter or a letter from the local police (in Italy this is called the Dichiarazione Di Affido). 5

7 We recommend that you check with your airline and local police about whether your child will need any official documentation to leave the country without being accompanied by a parent or guardian. UNACCOMPANIED MINOR ASSISTANCE If your child is flying to the UK without a parent or guardian, you can request UNACCOMPANIED MINOR (UM) Assistance directly from the airline. This means that a member of the airline staff will stay with the child from check-in until handing him or her over to a named representative at the destination. This service is available from most airlines and should be arranged with the airline when making the flight reservation. Most airlines will charge a small fee for the UM Assistance. Some airlines will not accept child travellers under the age of 16 without also booking the UM service. BSC recommend you check the airline s policy about child travellers in advance of the date of travel. Where the UM service is booked, the airline will usually request the details of the person who will be meeting the child at the destination and we can provide you with this information if it is required. On occasion there may be changes to arrangements and the named member of staff given for the UM Assistance may change. If this is the case we will always arrange for another member of our team to meet your child and the named member of staff will sign a Letter of Authorisation for the collection of the UM child traveller. VISA SUPPORT Students will need entry clearance (a visa) if they are a visa national. A visa national is a national or citizen of certain countries that require a visa to come to the United Kingdom. The type of visa required is a Child Visitor visa. You should not apply for a Tier 4 Student or Tier 4 (Child) Student Visa. To come to the United Kingdom as a child visitor you must be able to show that the child: Is genuinely seeking entry as a child visitor for a limited period not exceeding 6 months and their parent/guardian agrees to them travelling. Does not intend to seek private medical treatment during the visit (other than in an emergency). Does not intend to take employment in the United Kingdom. Is under the age of 18. Can demonstrate that suitable arrangements have been made for travel to and from the United Kingdom and that reception and care in the United Kingdom have been arranged for the duration of the stay. Has a parent or guardian in the child s home country or country of habitual residence who is responsible for his or her care. To assist with the visa application, BSC will provide a Visa Support Letter, once we have received the deposit payment. The Visa Support Letter will contain the following information: Full name and date of birth of the child Passport number, date of issue and date of expiry The start and finish dates of the course and the full address of the school at which the child will be staying Confirmation that the course is residential with all meals included, confirmation that all English lessons and activities are included The Visa Support Letter will be sent by once we have received the deposit payment. BSC can arrange for the original letter to be sent by courier (at a charge of 50). Please check with your Embassy if you need to provide the original letter or if an ed copy is sufficient. It is important to note that depending on the country, visa applications can take around 20 working days (or 3-4 weeks). If a visa is required, you are advised to begin the visa application process as early as possible. 6

8 Once the visa is obtained, BSC will need to receive a scanned copy of the child s passport and the visa by e- mail. Please note, if your child is unable to obtain their visa, then provided we receive a valid visa refusal letter, BSC will issue a full refund (Please refer to our terms and conditions). The visa application must be made with sufficient time prior to the arrival date as indicated by the UKBA, all necessary documentation must be provided as indicated by the UKBA, and the parent/guardian must be able to demonstrate that all necessary steps were taken to obtain the correct visa. No refund will be given if any of these criteria are not met. For more information on applying for a visa see CENTRE ARRIVAL Once at the centre, students will be checked in at the course office, where they can hand in their passport and any valuable documents to be kept securely in the school safe. We ask that all pocket money is also handed in to the office to be kept in the school safe. Students can come to the office to reclaim their pocket money at lunch time each day Once checked in, the students are then shown to their accommodation and are given time to unpack and settle in to their rooms. Students will be introduced to their House Parent and to other students in the accommodation. DEPARTURE PROCEDURE On the departure day, BSC staff will wake up the students and ensure they have all their belongings ready for their flight our staff will return passports, valuable documents and any remaining pocket money. Students will either depart by taxi or if arriving with a group, by a coach transfer. A BSC representative will accompany your child from the school to the airport terminal on the departure date. It is recommended to arrive at check-in at least before the scheduled departure (for some destinations and long- haul flights we may allow up to 3 hours). BSC staff will assist your child with the check-in procedure, before taking them to the security point. Some airlines require online check-in prior to departure to guarantee a flight booking. It is the parent s responsibility to check the policy with the airline. Where online check-in is offered as an option, we recommend that parents do the online check-in, as this can save time once at the airport on the departure date. If possible, any registration documents, e-tickets or boarding passes should be given to the child prior to travelling to the UK. If this is not possible, we can assist with printing off any required documents if they are ed to the office during your child s stay. PARENT TRANSFER Arrival: For those parents or guardians who are bringing their children to the centre, we ask that parents aim to arrive at the school between and on the arrival day. When arriving at centre please follow the signs for the course office where there will be staff available to meet and check-in our new students. Departure: For those parents collecting their children at the end of their stay, please note the place for picking up your child is the Course Office. We recommend that you aim to arrive in the morning to collect your child between 9:00 and 11:00. 7

9 ABOUT THE UK PASSPORTS & VISAS Most students require a valid passport to come to the UK, but nationals of EU countries who intend to stay in the UK for 6 months or less may use their national identity card. Students coming from certain countries will need a visa or entry certificate; check with your travel agent or with the British Consulate, Embassy or High Commission in your own country to find out what is required. To make sure in advance that you are admitted to the UK you may ask for a letter of consent. You will have to support your application with some evidence. On receiving your application form we send you a letter confirming your place on the course and a letter in support of your application. MONEY The currency in the UK is pounds sterling ( ). 1 equals 100 pence (p). 1p and 2p are brown coloured coins (coppers); 5p, 10p, 20p and 50p coins are silver coloured. 1 is a gold coloured coin, 2 is a gold and silver coloured coin. Larger amounts of money are paper notes; the blue 5 note; the orange 10 note; the purple 20 note and the salmon-pink 50 note. BANKS Banks tend to offer the best exchange rates. Commission is sometimes charged for cashing travellers cheques in foreign currencies. Always take identification, such as a passport, when exchanging cheques. Generally, the banking hours in the UK are 09:00-17:00 Mondays-Fridays. A few banks are open in major cities on Saturday but none are open on Sundays. We make sure that you will have an opportunity to visit a bank if necessary. TAX FREE SHOPPING If you live outside EC and will return your purchases within 3 months to your own country, you can claim back the VAT (value added tax), which is included in the price of most goods. VAT is currently 20% (from 4 January 2011). Not all shops offer this scheme, so check before spending any money. Ask your Course Leader to explain the procedure. VALUABLES You should take care of your possessions at all times. Never leave valuables unattended; do not carry large amounts of cash with you. You will not need to carry your passport around with you either (unless you are intending to do some tax free shopping) so it is a good idea to leave it in your schools safe. We strongly advise you to carry your course ID card with you at all times. POST OFFICE Stamps are sold mainly in Post Offices and are also available in other shops. All overseas letters must carry an airmail label. If you have difficulty, seek advice from your school. If you are writing to a country outside Europe, pre-stamped aerogrammes are cheaper than sending letters by airmail. 8

10 WEATHER Even in the summer, the UK s weather is unpredictable and no doubt there will be some rain during your stay. The temperature can range from degrees centigrade during the day and it is always cooler during the evening. CULTURAL TRAITS There will be many aspects of British behaviour which seem very strange to your culture. For example the English in particular have a reputation for being reserved. This means that they are quite quiet in their public behaviour and like to keep their emotions private. For example on public transport people do not usually talk to strangers. Within our own culture we feel secure as we can easily interpret the things around us. Unfortunately, this can result in judging outsiders by our own standards which in turn can cause prejudice and stereotyping. Keeping an open mind is essential to benefiting from your time here. CULTURE SHOCK Culture shock is similar to the feeling of strangeness we might have when we are adapting to a new school or other environment, only more so. When people are surrounded by a different culture, where everything (including the language) is new and potentially confusing, they go through changes of mood and attitude before coming to terms with their new environment. These feelings of alienation can be caused by relatively minor things such as unfamiliar food; differences in routine; differences in travel arrangements and unfamiliar official procedures. They can be made worse by the deeper cultural differences in languages. Many students are initially excited and positive about the new culture. But as the reality of deeper cultural differences sinks in, this excited feeling wears away. We may then start to miss friends, family and places as we begin to have doubts about ourselves and our new environment. You should not let the differences distress you. Reserve should not be seen as unfriendliness as you will find that most British people are happy to help you if you have a problem or need some information. LANGUAGE You may have difficulty in understanding spoken English no matter what level of proficiency you have achieved in your country. You will be listening to and speaking in English all the time and this will certainly make you feel tired. Misunderstandings and mistakes are easily made when you are tired and others are speaking too fast. Do not feel frustrated or depressed if you cannot contribute to conversations as you can in your own language. Using a second language throughout the day takes a great deal of effort and may sometimes seem too intense an experience. These feelings are perfectly normal and things will improve as you get used to the situation. 9

All boarding houses have either coin or phonecard telephones. You can buy phonecards that give cheap international rates from the Course Office. We advise all students to call home on their arrival evening to ensure that their parents do not worry about them. International calls are cheaper at weekends or between 18:00 and 08:00, Monday - Friday. Telephone cards will be on sale for the students to use the card phones. Please advise the student that he or she should call you regularly if that is your wish.
