Packing Each employee is responsible for packing his/her own office before 15 August. You will receive information about the exact date of the relocation of your office later. Boxes will be available at all locations. Contact your local relocation coordinator if you need more boxes. Instructions for box packing and labelling are enclosed in this folder please make sure to follow the instructions carefully. Waste containers will be placed in the hallways at all locations. You should contact your local relocation coordinator if the waste container near your office needs to be emptied. EVERYTHING in your office must be packed and labelled including lamps, furniture etc. Packing it-equipment Instructions for packing it-equipment (PC, screen, key board etc.) are enclosed in this folder. Remember to leave the box with itequipment open as described in the instruction. Screen cover and white it-bags for cords, mouse and key board will be handed out by your local relocation coordinator. Remember to take all cords, cables etc. with you to your new office. Remember to take your telephone with you to your new office. Labelling All boxes, furniture, lamps, whiteboards, your desk etc. must be labelled. Labels will be handed out by your local relocation coordinator. DO NOT make your own labels. There are special labels for swivel chairs. Remember to write your initials and new office number on all labels. Remember to remove old labels from the boxes before you use them. Shelves 8000c: The shelves in your old office must stay. Tell your local relocation coordinator how many metres of shelves you need for your new office. Hermodsvej: You must take your shelf system with you to your new office. Remember to put labels on. Fuglesangs Allé: The shelves in your old office must stay.
2 A store room with extra shelves will be established. Contact your relocation coordinator if you need more shelves. Elevation desks Elevation desks must be placed in the lowest position. Cords must be fastened with tape under the desk. Name signs 8000c: Please take the name sign outside your door with you to Fuglesangs Allé. Hermodsvej and Fuglesangs Allé: You should not take your name sign outside your door with you. Keys and access cards 8000c: Please give your office key and access card to Bibiana Paluszewska when you have left your old office for the last time. Hermodsvej: Please give your key to Ann-Marie Gabel when you have left your old office for the last time. You should keep your access card as it will be coded to Fuglesangs Allé. If you are away during the relocation period If you are away during the relocation period, you must pack your office and label your boxes and furniture before you leave. Please make sure to contact your local relocation coordinator if you expect to be away for a longer period before the relocation takes place. This will make it possible for the painters to start renovating your old office. Local exchange rooms Exchange rooms will be established at all locations in order for you to get rid of old books etc. that you do not wish to take with you to your new office but which your colleagues might find useful: Fuglesangs Allé: Room M c: Table outside the mail room. Hermodsvej: Room FH 303. Office arrangement plan for your new office You must make an office arrangement plan for your new office so the moving company will be able to place your desk and other furniture correctly. Please see the enclosed instructions. The plan must be placed on the wall or the door frame of your new office. If you will not be able to place it there yourself, you must scan it and send it to Margit Sommer by msommer@econ.au.dk. Unpacking You must unpack yourself and as far as possible plug in your it-equipment in your new office. The it-plug outlet in the wall: The plug outlet for the internet is on top and the plug outlet for the telephone is below. Contact it-support if you need help: tel.: , 505@asb.dk. Hanging up white boards, pictures etc. in your new office Contact your local relocation coordinator after the relocation stating what items you would like hung up. Beware of thieves/suspicious-looking persons Beware of thieves that pretend to be from the moving company. If someone from the moving company contacts you, make sure to: check that they are from Møbeltransport Danmark check that they are wearing the red company clothes from Møbeltransport Danmark or that they have a company IDcard. 3 PACKAGING GUIDELINES FOR AARHUS UNIVERSITET In connection with the approaching relocation please follow the below guidelines: BOX PACKING: 1. Please assemble the box correctly (see the instructions on the box). 2. Only fill max kgs into the box (not more than you can lift it yourself). When packing documents/ books please only fill the box halfway up. Boxes filled with ring binders can be packed to the top, however, please stack the all ring binders vertically with the back of the binder upwards in the box! 3. All boxes must be marked with the labels already handed out. It is important that the labels have the correct colour (indicating the floor) and are marked with your initials and room number. Please place the label underneath the handgrip on both sides of the boxes in order to be visual when the boxes are stacked. 4. Rule number 1: Pack all small items in boxes - as long as the boxes can be closed! Please remember never to place boxes on your desk while you are packing/ unpacking - it can damage the table. PREPARING FURNITURE AND IT EQUIPMENT: 5. IT equipment, printers etc. must be disconnected. Flat screens must be covered with the screen cover (handed out), and together with the CPU/docking station and telephone, placed in an open box. Keyboard, mouse and cords must be packed in the white IT bag (handed out) and also placed in the open box. 6. Liftable tables must be placed in the lowest position and cords must be taped under the table. 7. Keys for office furniture must be taped firmly in the top drawer. 8. Drawer modules/ cassettes must also be emptied. 9. Labels do not stick very well to upholstery material. Please apply them to arm rest, base or the like. 10. Remember to label everything to be moved: Furniture/ things that are not marked will not be moved! 11. Please remember to remove labels right after the relocation. 12. In case there are furniture/ items which can not be immediately placed at the new address it will in stead be placed in the café/kantine area (eg. if labels have fallen off during the move or if the marking is indistinct) After the relocation, we kindly ask you to collect the folded boxes - on pallets if possible. 4 Instructions for making an office arrangement plan In order for the moving company to place your furniture etc. correctly in your new office, it is important that you follow these instructions carefully! 1. When drawing your office arrangement plan, remember to indicate where the door is. 2. Use the symbols to the right. In offices with more than one person you should put your initials on your desk and other furniture in the drawing. See the illustration. Example: 4.
