2 RECOMMENDATON t is respectfully recommended that the City Council approve a Resolution to adopt Specification #3633 for contracting the landscape maintenance of general government facilities; and authorize the City Clerk to advertise for bids. BACKGROUNDANALYSS The City has a contract with Parkwood Landscape Maintenance nc. to maintain general government contract facilities including libraries, fire stations, medians, and other city owned landscaped areas-a list of which is attached as Exhibit 1. The current contract with Parkwood Landscape Maintenance nc. (Parkwood), which will end on April 15, 2017, was a negotiated contract with a monthly cost of $31,850, at an annual cost of $382,200. Over the last three years, the total monthly fee paid to Parkwood has been adjusted as landscaping at facilities were modified, maintenance frequencies at certain sites were altered, and newly landscaped areas were added to the Parkwood contract. Since the Parkwood contract is coming to an end, staff has prepared a new specification, Specification No. 3633, for the landscape maintenance work of general government contract facilities that the City would like to contract out to a company for a new three year term. Given the cost increases in the industry, staff anticipates that the new bids received may reflect an increase in the monthly maintenance rates per facility. At this time, staff is requesting Council approval of the specification and authorization for the City Clerk to advertise for bids for a landscape maintenance contract. FSCAL MPACT The anticipated commencement date for the new three (3) year landscape maintenance contract is April 16, There are no revenue offsets or grant funding associated with this agenda item. Staff anticipates an escalation in the landscape maintenance cost of these facilities; as such, staff will return to Council to award the contract and to request an increase to the funding allocation to the respective departments, if any. ALTER NATVES Alternative 1: City Council can approve the specification for a landscape maintenance contract and authorize the City Clerk to advertise for bids. Alternative 2: City Council may consider further extending the current contract with Parkwood Landscape Maintenance nc.
