1 & Hockey Tournament Planning Guide (for January through April 2018) Updated: 09/19/2017 If you are reading this document it means that your team has registered for a hockey tournament at Jay Peak Resort. Thank you for making the commitment to play in the North East Kingdom of Vermont. The following information will help you to plan your lodging, meals and additional activities. Lodging Overview: Jay Peak Resort offers a broad range of lodging options, from hotel style rooms in the new Stateside Hotel, to five bedroom townhomes on the slopes of the mountain. All our lodging offers spectacular views of Vermont s Green Mountains. The Pump House Indoor Water Park is open daily, all winter long Lodging Options and Descriptions: Golf and Mountain Cottages and Timberline Cottages: (special rates!) Offer a mix of one and two bedroom duplex townhome style condominiums. All units have kitchens, washer/dryer, fireplace, cable TV and WiFi Internet. One Bedroom Suites have a King bed in the master bedroom and a queen sleeper sofa in the living room, one bathroom, includes full kitchen, and sleeps a maximum of 4 people Two Bedroom Suites have two bedrooms, two bathrooms, include full kitchen, Sleeps a maximum of 6 people Towels and linens are provided by the resort Timberline Condominiums: (special rates!) Offer a mix of one, two and three bedroom townhome style condominiums. All units have kitchens, washer/dryer, fireplace, satellite TV and Wi-Fi Internet. o One Bedroom Suites have a King bed in the master bedroom and a queen sleeper sofa in the living room, 1 bathrooms, includes full kitchen, and sleeps a maximum of 4 people o Two Bedroom Suites have two bedrooms, two bathrooms, include full kitchen, and sleeps a maximum of 6 people o Three Bedroom Suites have three bedrooms, two bathrooms, include full kitchen, and sleeps a maximum of 8 people Towels and linens are provided by the resort The Hotel Jay Jay Peak s largest hotel style lodging option, the Hotel Jay includes 176 studio, 1-, 2-, and 3- bedroom suites and is located mere steps from the aerial tram. The hotel includes a the Family Room, a restaurant (The Foundry), retail shop(the mountain shop), a pizza shop (Mountain Dick s Pizza), a coffee shop (Buddy s Mug), a fitness center and features the Pump House Indoor Waterpark (with snack bar, bar, gift shop, locker rooms and day storage lockers.) 2 o o o o King Lock-offs are Inn room style, with a single King bed and full bathroom, no kitchens, and sleeps a maximum of 2 people Studios have either a queen and a sleeper sofa or two queen beds, kitchenette and full bathroom, and sleeps a maximum of 4 people One Bedroom Suites have a queen sleeper or wall bed in the living room, 1 bathroom, includes full kitchen, and sleeps a maximum of 4 people Two Bedroom Suites have two bedrooms, two bathrooms, include full kitchen, and sleeps a maximum of 6 people Tram Haus Lodge Tram Haus Lodge offers 57 studio, 1-, 2-, and 3- bedroom suites and is located mere steps from the aerial tram. The lodge includes complimentary valet car service, a cafe (Aroma), bar (Tower Bar), and restaurant (Alice's Table)and Spa(Tiaga) high speed Internet (Wi-Fi), flat screen cable TVs : o Studios have one queen bed, kitchenette and full bathroom, sleeping a maximum of 4 people o One Bedroom Suites have a sleeper sofa in the living room, 1 bathrooms, includes kitchen or kitchenette, and sleeps a maximum of 4 people o Two Bedroom Suites have two bedrooms, two bathrooms, include full kitchen, and sleeps a maximum of 6 people The Stateside Hotel o Offering 85 suites, is located in the Stateside base area, located next to the Bonaventure and Taxi quad chairs. 3 How To Book Lodging for your Team: Once your team has a confirmed registration with GMA, the team manager should contact the Jay Peak Lodging Reservation Center to make an initial block of rooms for the team When the team is ready to proceed with a group block, the team manager or coach will coordinate the team block with Ms. Wendy Ext 8473, in Central Reservations, also available at: wlacourse@jaypeakresort.com Please provide a Team Name AND Level to put on the group block. The block is held for the individual families to call in on the toll free number: to make their individual reservations. Please make sure the families reference the team name and level, as well as the team Reference number included in confirmation from Jay Peak. o Often, several teams with a similar name will attend a tournament on the same weekend, so correct identification on individual call-ins is important. Initial room blocks offered to all teams will consist of 11 rooms/condos/cottages. Once your first 11 units have been individually booked by families on your team, then the resort will allow for additional units to be booked, as needed. The rooms on the group block are held until 30 days prior to arrival. If the rooms are not individually reserved, we drop the remaining rooms to put back into inventory, but the families can still book at hockey pricing based on availability. All lodging is based on space availability. We strongly recommend that you contact the resort immediately upon registering for your tournament, to get the best selection of rooms possible. The individual credit cards are charged 14 days prior to arrival at 50% of the total bill. Balance is due on arrival with credit card on room/file for incidentals. We accept VISA, MasterCard, American Express and Discover. For Canadian Bookings: Lodging: All credit card transactions are charged in US funds so when your 50% deposit is taken on your CDN credit card, it will be automatically converted from US to CDN at whatever rate your credit card company is using. The remaining 50% balance can be paid at par, on check in with Canadian Cash, Certified Check or Money Order. No exchange rate adjustments will be made for other payment types. All bookings in the properties with Special GMA rates are subject to the Cancellation Policy: Advanced deposits are non-refundable if you cancel your booking within 14 days of arrival. Changing or shortening a stay within 14 days of your scheduled arrival day will result in penalty charges of 50% of the night changed or dropped. The balance of the reservation is due upon arrival. In the event the tournament is cancelled, cancellation policies will be waived. Please call for all lodging questions. Package options are selected for each reservation for activities like skiing and splashing. Teams Travelling by Bus: Please advise the hockey coordinator Wendy LaCourse for advanced front desk notification and contact our Transportation/Security Supervisor Tom Howell at Ext 2723 for expected time of arrival and to make arrangements for bus parking. General Lodging notes: All Rates are based on individual call-in reservation method. All rates listed are nightly. All lodging packages subject to 9% VT State Meals and Lodging tax is included. All pricing based on occupancy per condo/room listed. o Final reservation value may differ from samples listed. A $26 Resort Fee is applied per night, per condo rented. (Example: rent 1 condo for 2 nights = $50.00) Hotel Jay, Tram Haus Lodge, and the Stateside Hotel are available at retail rates only. Page 3 of 7

4 Lodging Guest Guidelines: The following information is a copy of what all guests receive upon check-in at Jay Peak Resort. In order to further the code of Raised Jay, we ask that all of our lodging guests adhere to the following rules and acknowledge that you are sharing the Jay Peak experience with a wide variety of perspectives, attitudes and tolerances. As such, we ask that you respect the following: Quiet Hours are 10pm. After 10pm, please try and keep the noise to a minimum as many folks are focusing more on first tram than last call. If you are arriving back to your unit after 10pm, try not to bang on walls, pots/pans or sing anything, aloud, unless it s a soft ballad and you re Willie Nelson. If it gets loud, we ll send someone out to let you know. We may do this twice but please respect our non-hockey guests and don t make us come up more than that, or it may involve German Shepherds and psychological bullying. In other words - when you make excessive noise after 10pm and violate the policy we will apply a noise violation charge of $ to your room bill and/or move you to a new unit at an additional cost to you. Thank you Unsupervised Children. We love kids-especially reasonably supervised ones. For everyone s sanity, we would appreciate making sure that, after 10pm quiet hours, your kids 14 and under are supervised when using resort facilities and navigating the Hotel and Resort campus. Any unsupervised kids running around the Resort facilities out after 10pm will be escorted by our security back to their rooms. We appreciate everyone s attention to details on this one. Knee Hockey. A new phenomenon here at Jay Peak since the arrival of our Ice Haus, we ask that you, quite simply, refrain from it in our Hotels. You ll need your energy for the morning, whether you re in the glades or in the crease and many of our guests, quite surprisingly, don t appreciate having to duck defenseman (and women) to get into their suites. We appreciate this. Equipment and Gear. Whether you re a skier, hockey player, or zoologist, we ask that Hotel Guests store their gear (really just your skis, snowboards, hockey sticks, pandas) in the guest lockers we provide you upon check in. We acknowledge that it s nicer to have this stuff close to you, especially the pandas, but it s equally nice not to have to replace drywall, light fixtures and wall art. We can also accommodate stick storage down at the Ice Haus Arena. Thanks for understanding. Violation of Code Conduct. Should violations of code occur - Jay Peak holds the right to charge a $ noise violation, disturbance & damage fees and/or relocate your party to another Resort location at your expense - as compensation for other guests troubles. By signing below you acknowledge that we re all on the same page and agree to respect the terms of the code of conduct as outlined above. If your group meal requires any special planning (allergies, Gluten Free, etc.) please let us know at your earliest possible convenience, so that we may accommodate your request(s). Pot luck meal space is not available and shall be contained to condos and cottages.
