1 Association of the United States Army 2018 Annual Meeting & Exposition Exhibit Space Draft Memorandum To: AUSA Sustaining Members From: Michael M. Scanlan, CMP, Senior Director, Meetings Subject: 2018 AUSA Annual Meeting Exhibit Space Draft Date: 19 September 2017 The purpose of this memorandum is to inform Sustaining Members of the opportunity to reserve exhibit space for the 2018 AUSA Annual Meeting, and to provide details regarding the policies and procedures for the selection of space. The 2018 AUSA Annual Meeting & Exposition will be held 8-10 October at the Walter E. Washington Convention Center, Washington, D.C. The 2018 Annual Meeting Exhibit Space Draft will be held 9-11 October 2017, from 8:30am 5:00pm on each day, in the AUSA Exhibit Sales Office, located just beyond the AUSA Registration area in Room 102 at the Walter E. Washington Convention Center. AUSA will again use EXPOCAD event management software to facilitate the selection process. AUSA requires a non-refundable 10% deposit (check or credit card) for all space booked during the 2018 Annual Meeting Exhibit Space Draft. The deposit is due at the time you book your space. Space will be priced at $53.00 per square foot, the same as in A 10% deposit will also be required for display space at our Global Force Symposium and LANPAC Symposium. Please be prepared to pay this deposit if you plan to book space for either of these events on-site at the Annual Meeting. The following policies will apply to the selection of exhibit space for the 2018 AUSA Annual Meeting: The AUSA Annual Meeting & Exposition Exhibit remains a member only event Sustaining Member Organizations may book space on both floors, but can only book on the second floor at the end of the Draft A 10% deposit is required for exhibit space via check or credit card Booth dimensions that cause aisle displacements will not be permitted (example, 30 X30, 30 X60, etc.) As in the past, AUSA will allocate exhibit space based on the Order-of-Merit ranking for each Sustaining Member exhibitor. The schedule for the 2018 Annual Meeting Exhibit Space Draft follows this memorandum. Please arrive no sooner than 10 minutes prior to your scheduled start time. At your scheduled start time, you will be directed to an AUSA representative who will assist you in the space selection process. Sustaining Members who wish to participate in the 2018 Annual Meeting but are unable to attend the exhibit space draft may authorize AUSA to select space for their firm via proxy. We ask that all exhibitors RSVP for the space draft by clicking on the RSVP link below. RSVP HERE

2 Each exhibitor will receive a copy of the contract for exhibit space via . Based upon the contract, your firm will be invoiced in November 2017 for the value of the selected space. Deposit & Payment Schedule With Contract: 10% booth payment is due. Friday, 2 March 2018: Full booth payment is due. Cancellation/Reduction Penalties Before Friday, 4 May 2018: Any exhibitor who cancels or reduces their booth space is eligible for a refund up to 50% of the total value of the booked space, less the 10% non-refundable deposit. After Friday, 4 May 2018: No refunds for cancellations or reductions of booth spaces after this date. The exhibit space contract serves as the only official method to reserve exhibit space for the 2018 AUSA Annual Meeting. Each single booth measures 10 X10 or 100 net square feet total. The ceiling height in Halls A, B, C, D & E will support multi-level displays and equipment. In addition to the cost for the ground level, multi-level displays will be charged a $12 per square foot rate for the total occupied space on the 2 nd level.
