3 Welcome to the Girl Scout Camping Experience MAKE YOUR SUMMER MEMORABLE! Girl Scout camp is the place to be this summer and we are excited to have your camper join us for outdoor adventures at Shadow Rim Ranch! Please use this packet to start conversations with you camper about her camp experience. What is she looking forward to? What does she feel she needs to do to get ready for camp? What are her concerns? This is also a great opportunity to answer these questions for yourself as a parent. The sooner those conversations start the more comfortable you and your camper will feel as her time at camp gets closer. For further information on preparing for camp, great resources can be found at: Girl Scout camp is a place for your camper to build character, gain leadership, HAVE FUN, and experience independence. We are looking forward to this, and so much more this summer. In the meantime, if you, or your camper, have any questions, please do not hesitate to contact us. Burks Camp Director, Shadow Rim Ranch American Camp Association The American Camp Association (ACA) is an independent accreditation organization reviewing camp operations in the United States. ACA s nationally recognized accreditation standards program focuses on program quality, health and safety procedures. Shadow Rim Ranch is proud to be accredited by the American Camping Association. Open House and Visitors Shadow Rim Ranch May 31 10am 2pm Families are welcome to visit camp on our open house days. This is a great time to meet the staff, and to see the property and camp facilities. We encourage first-time campers and their families to attend open house. Thank you, in advance, for respecting our camp when you visit. We ask that you leave your pets at home, refrain from smoking while on the property, and place all litter in the proper garbage receptacles. NOT A GIRL SCOUT?!? Not a problem! 4 Registering For Additional Camp Sessions Often space will still be available for other camps and sessions. If you are interested in signing your camper up for additional sessions simply return to your camper s account if would like to add another session of camp. You can view which sessions are available at Remember campers don t have to be registered Girl Scouts to attend so bring your friends, cousins and sisters to camp! First Time Campers Here are some tips to make your daughter s first experience at camp the best it can be. The most important thing is to be positive when you are talking to your camper! Preparation and practice for campers: Live out of a suitcase for a few days. Take showers instead of baths. Wash hair on your own. Go over the Packing List and have camper help with packing so she knows what is in her suitcase. Drink water with meals. Talk about the positive aspects of what it will be like at camp: Group Living. Taking care of oneself and belongings. Encourage her to talk to a counselor when something is wrong (conflicts with a friend, if she is hungry or homesick, lost her toothbrush). Counselors can help if they know what the problem is! TALK ABOUT WHAT YOUR DAUGHTER MIGHT FEAR What if I wet the bed? No big deal. Just tell a counselor and they will take care of it discreetly and wash the bedding and clothes. What if no one likes me? There will be a variety of girls in the unit and there will be other girls there who don t know anyone either. Counselors will start the week off with games to help you get to know one another as well as check in during cabin meetings daily. What if I get sick? Your cabin mates and counselors can help you and will take you to see our Health Supervisor. She ll be able to fix you up in no time! What if I really miss you? That s ok. And I ll miss you too but you ll be having a great time and I ll see you on Friday! What if I m scared of bugs? There are bugs at camp but they won t hurt you if you don t mess with them. 5 Missing Home Most campers experience homesickness or missing home to some degree. We tell our staff that homesickness is not so much about missing home, as it is about making sure this new place is safe. This adjustment period usually lasts 48 hours. So by Wednesday, when you have just received your first please come and get me letter, she is feeling better and having fun. At this point, you have two choices: Call the camp director (but not at 2am when you can t sleep) to see how she s doing. Wait a day or two for the next letter. If your camper has not adjusted within 48 hours, the Camp Director may call you to discuss the situation. You may be tempted to tell your camper If you really miss home then I will come and get you. What you are really saying is I expect you to get homesick. Instead try Being at camp is going to be different. You may even be nervous sometimes, but I know you will make it. Your counselors will be there to help you. Take a look at ACA s website for parents at for more information on how to make your camper s stay at camp successful! Returning Campers Even though your camper has been to camp before, here are a few tips to keep things going smoothly. Returning campers can also experience homesickness. This may be due to changes at home: marriage, divorce, new sibling, death of a loved one, parents traveling, etc. If your daughter is in any of these situations, talk about it before she comes to camp. This will help her process the changes so she won t have to worry at camp. Sometimes returning campers have to adjust to the fact that camp is different than it was last summer. Talk with your camper about how things change and that camp will be different and might just be better! Campers who are returnees are often the experts at camp. We encourage girls who are returning to show other campers how exciting camp can be. THIS IS HANDS ON LEADERSHIP DEVELOPMENT. Last year, girls received a necklace or nametag with beads on it indicating how many years they have been at camp. Be sure to bring this back- it is another way for other campers and counselors to know who those experts are! Showers at Camp We do have hot & cold running showers available at all camps. In consideration of Arizona s water supply, showers will be limited to every other day or once per weekend. Girls are asked to keep their shower time to a minimum. 6 Our C ounselors Our camp counselors are primarily college students who are studying fields such as education, recreation, sociology, and psychology and want the experience of working with children. All staff complete a lengthy application process which includes a written application, employment history, three reference checks, verification of skills and certifications, a personal interview, drug testing and a background check. We choose counselors with an honest and deep desire to work with children in an outdoor setting. We look for maturity and special program skills as well. Camp counselors participate in a week-long staff orientation program to prepare them for working with our campers. Topics covered include: camper behavior, support and creating safe space, outdoor activities, roles of the counselor, group dynamics, emergency procedures, and much more! Health Procedures Camp is staffed by a qualified RN, EMT, or Wilderness First Responder. A local physician is on call at all times. All Campers receive a health screening upon arrival at camp. Trained staff members look for illness, injury, or signs of communicable diseases. Parents will be notified of any concerns. Parents / Guardians will be contacted if the following situations occur: If your camper spends the night in the infirmary. If your camper needs to see a doctor or visit the Emergency Room. If your camper breaks the Camper Behavior Agreement. If the Health Supervisor has a question in regards to information supplied on your camper s Health History form (medications, chronic health conditions, etc). If a camp staff person needs your assistance / support in regards to your camper s well-being. Medication can only be left at camp if the medication: 1. Is in the original container, 2. Labeled with the camper s name, physician s name and correct dosage, and 3. Is prescribed for her by a physician, and 4. Includes detailed written instructions in the Camper Health History Information Emergency Medications such as Epinephrine or inhalers will remain with the camper at all times and camp staff will know the specifics of that child s medical needs. HEAD LICE ALERT If head lice are found during the health screening your camper will not be allowed to stay at camp or board the bus. You will be asked to reschedule your camper s session for later during the summer. She will not be allowed back at camp the same week. Since head lice infestations are highly contagious, this is for the health and safety of all campers and staff. Thank you in advance for your cooperation. If your child has head lice before camp, here are a few tips to make sure it doesn t recur. Treat her hair with a lice removal product, remove all nits and re-treat in seven days. Pay close attention to the hairline at the base of the neck and behind the ears. Shadow Rim Ranch Confirmation Packet NA 01/15 5

7 Wash all of her bedding, pillows, hats, stuffed animals, bike helmet, sleeping bags, brush, comb and anything else her hair comes in contact with. Many children get re-infected from their own belongings. Treatment recommendations can be found at If you are not sure what head lice looks like, or how to treat your child, visit for helpful resources and links. HEALTHY CAMPERS Because your camper will be joining a camp community, living in a cabin with eight to ten other campers and sharing the camp with 150 other campers it is important that good practices (like hand-washing and catching your sneezes) are second nature. For additional information please read the healthy camp update from the American Camping Association here: SAFETY IN THE SUN AND HEAT At camp we have two very common and completely preventable problems: SUNBURN and DEHYDRATION Participants should have non-aerosol sunscreen of SPF 15 or greater. Participants should also bring and use chapstick with SPF 15 or greater. Water is critical to our body s health. Everyone needs to drink at least three water bottles a day. A water bottle with a strap for carrying is recommended. At camp, we all drink one glass of water at meals before other beverages. EMERGENCY PROCEDURES Parents will be contacted if there is an emergency that affects the camp community. Examples of emergencies include wildfire evacuation or other such occurrences. When these events occur please do not call Camp. You will be contacted by the Council office with information regarding next steps. Shadow Rim Ranch Confirmation Packet NA 01/15 6

8 Camp Program Themed Weeks Each week is a different theme at camp! There will be different events during the week that include the theme. If you have fun clothes or other stuff that goes with the theme, feel free to bring them along. We will also have themed meals like crazy hair lunch or PJ breakfast. You never know what is going to happen around camp! Week 1: June 7-12 Magical Mayhem Week 2: June Around the World Week 3: June Out of this World Week 4: June 28 July 1 Pirate Adenture Week 5: July 7-10 Super Heroes Week 6: July Welcome to the Circus Week 7: July Fairies, Elves, and mostly friendly Dragons Week 8: July Wild Kingdom Program Session Information Your camper is registered for a particular camp session for her assigned grade level in the fall. Listed below are examples of activities that your camper will participate in at Shadow Rim Ranch regardless of which program session she has registered for: Canoeing, Climbing Tower,Hiking, Singing, and Outdoor Cooking. Listed below are age eligibility requirements for specific activities at Shadow Rim Ranch: Archery for girls entering 4th grade and above Zipline for girls entering 4th grade and above Typical Daily Schedule Girls will be participating in traditional camp activities. Examples of activities include arts and crafts, hiking, cooking out, archery**, nature programming, and singing. All girls attending Shadow Rim will also have an opportunity to participate in climbing and canoeing. Archery programs are for girls grades 4th grade and up. 9 Girl Scout Camping Girl Scout camping is an experience that provides a creative, educational opportunity in group living skills in the outdoors. Its purpose is to utilized Girl Scout program, trained leadership, and the resources of the natural surroundings to contribute to each camper s mental, physical, social and spiritual growth.. Badges (Girl Scout earned awards) and Patches Although badge work is not the focus of our camping programs, every girl that attends camp will receive an award at the end of her week. Our primary focus is to facilitate experiences that create the conditions for girls to learn more about themselves (Discover), one another (Connect) and make choices that help their community thrive (Take Action). Girl Scout Leadership Experience (GSLE) All experiences in Girl Scouting incorporate the Discover, Connect, and Take Action keys to leadership. Girl Scout experiences are also, as much as possible, girl led and encourage learning by doing, and cooperative learning. Meals at Summer Camp Our meals at camp are prepared by experienced, professional cooking staff. We serve kid-friendly, healthy meals. Breakfast will usually consist of a hot choice (pancakes, eggs, bacon, hash browns) as well as a self-serve buffet with cereal, yogurt and a variety of options. For lunch we may have pizza, sandwiches, soup, or tacos. Dinner options often include things like spaghetti, chicken, or stroganoff. Dinner will also always include a salad bar; also, we will always have a vegetarian. These are just examples and different meals may be served while your camper is at camp. Milk is available at every meal and campers are encouraged to drink at least two glasses of water at each meal and before other beverages. Special Dietary Needs & Food Allergies Some dietary needs can be accommodated (vegetarian, lactose-intolerant, etc.), and others cannot. Special diets may require the participant to bring some of their own food to supplement the meals provided by camp. Although we cannot guarantee a peanut free environment; we can ensure that a camper s meal is peanut free. Please contact your camp director at least two weeks in advance if your child has any food allergies or special dietary needs. Additional Special Needs Please contact the Camp Director for campers requiring special heath care or with mobility limitations. At that time you will be able to discuss the nature of your camper s needs and gather additional information to determine if the camp can provide the proper support, supervision and necessary accommodations for your camper to have a safe, fulfilling camp experience. To be successful at camp, your camper needs to be independent with self-care (shower, dressing, using the restroom). Your camper needs to be able to be successful in an 8:1 camper to staff ratio. We are dedicated to serving ALL girls in our council and accommodations can be made in many cases. Please contact the camp director for more information prior to registering. 10 Telephones & Cell P hones Campers are not allowed to receive or make phone calls while at camp. If there is a problem or if your camper is not doing well, a staff member will contact you as soon as possible. We invite you to contact the Camp Director at any time during your camper s session if you have any concerns or questions. Cell phones are not allowed at camp for any reason. Camera phones can create privacy and legal concerns. It also interferes with your camper s ability to build trust and independence and interferes with other campers experience. Please do not send a phone with your camper. If you have concerns around this policy please contact the Camp Director. Any cell phone brought to camp will be secured in the camp office until the camper is ready to leave for home. GSACPC is not responsible for lost, stolen, broken, or damaged property. Camp Blog The Shadow Rim Ranch blog will be updated at least once a week, please feel free to check out posts from last summer and throughout the summer Happy Campers Get Mail! To ensure your camper gets mail every day, you may write a letter for each day and leave it with our staff when you drop off your camper. If you use the U.S. Postal Service, allow three days for mail to arrive. Consider sending letters before she leaves for camp and we will store those until your camper s session. Make sure your mail is cheerful and positive. Ask questions about what she is doing at camp, but please don t tell her about all the great things she is missing or how much you miss her. This can lead to homesickness. If you want to send a care package, we recommend sending stationery, puzzles, books, comics, pens, stickers, etc. Please do not send candy, food or soda to your daughter. It attracts insects and wild animals, makes a mess and can also create conflicts among bunk mates. 11 Camp Fees The balance of each camp session is due two weeks before your camper arrives at camp. This is a firm deadline because there are girls who are on a waiting list. If the balance is not received your original registration will be canceled so that another girl who is waiting can register. We encourage you to pay important attention to this deadline so that your camper is not disappointed. If you anticipate difficulty in being able to pay the balance, please call Camp Registration at the council office immediately. If your camper has earned cookie dough or program credits and will be using that to cover part or all of her fees, remember to include the cookie dough or program credits gift card number as a form of payment. Refunds, Cancellations and Changes If you need to cancel your camper s registration after you have submitted all fees, you have up to 10 working days before camp starts to do so. Notify the council office in writing at least 10 working days prior to the session and the camp fee will be refunded minus the $30 deposit. If you need to change the session for which your camper is registered, you will have a grace period of 5 business days, after the registration date at no cost. Any changes after that are subject to a $30 change fee which will be added to the balance on the account. If a camper must leave camp early due to illness, injury or a death in the family, the camp fee minus the deposit, will be prorated and refunded. However, camp fees will not be refunded if a camper leaves a session due to homesickness or misconduct. Requests for refunds will only be considered until August 31, We are unable to provide refunds after that date. Non-refundable camp fees are not transferable to other campers. No refunds will be given for no-show campers. Camper Paperwork Please use the online Ultra-Camp System to complete camper paperwork. In order to expedite the check-in process, as well as provide our health care staff with accurate health information for campers, we ask that your camper s information is completed in ULTRA CAMP at least three weeks prior to her camp session. 12 Getting to Camp by Bus! Volunteers needed! Did you know that your camper can earn a $60 credit if you chaperone the bus ride? This credit can be applied toward her bus ride or her trading post account. We need volunteers in several different areas to make the bus check-in process go smoothly. Bus chaperones are needed to help with check-in and ride the bus up to camp and then back down. We also need volunteers to help with lice checks, check-in, crowd control, parking etc. If you are interested please contact the Bus Coordinator at campbus@girlscoutsaz.org or RESERVATIONS Must be made in advance. If you did not indicate that you wanted your camper to ride the bus during the registration process or have not contacted us via phone or , your camper is not registered to take the bus! Space is limited. Please contact the Bus Coordinator at campbus@girlscoutsaz.org or if you would like to reserve a space. SAFETY PROCEDURES AT BUS STOP Please do not come early as our bus stops are outside and offer little shade. You may want to consider bringing an umbrella for shade. The Central bus stop is often crowded with long lines. Please bring water to drink and follow directional signs upon arriving at the site. You may want to consider leaving small children and pets at home. You camper will not be able to board the bus until she is called. Please remain with your camper until your camper boards the bus and the bus departs. We thank you in advance for your patience. LUNCH & WATER Please provide a sack lunch & a large bottle (at least 32 ounces of water) for your camper for the bus ride to camp. (Do not send sugared drinks as they leave a sticky mess when spilled.) EMERGENCY PROCEDURES DURING BUS TRAVEL If there is an emergency involving your camper or the bus you will be contacted by the Council as soon as possible. The Council office will use the primary phone number that you have listed in Ultra Camp. It is important that the number is accurate. HEAD LICE CHECK Each camper will be checked for head lice at the bus stop. Campers with head lice will not be allowed to board the bus. Please see the Head Lice section of this confirmation packet for more information. 13 C oming Home from Camp on the Bus You will be asked to present a photo ID and to sign your camper out. Every parent wants to see their child as soon as possible. Please be patient with the sign out procedure and our volunteers. This is for your child s safety. LUGGAGE PICK-UP Luggage will be removed from the storage area and placed in piles by camp. Please take time to find all your campers luggage including laundry bag, sleeping bag, pillow, stuffed animal, etc. Luggage may have expanded since she left check thoroughly. It s much easier to take it all home rather than make a return trip to pick it up from the Girl Scout Council Office. If a change occurs and buses will not be returning to Phoenix on time, the council office will make every attempt to contact you and be present at bus stop to answer questions. Parent /Guardian Drop Off at Camp CHECK-IN AT CAMP SITE Please do not plan to arrive early, as the staff will be preparing the site for campers. Gate opens promptly at 2:00pm and closes at 3:30pm. PARKING Staff will direct you to back in at the parking lot and then show you where to begin the check in process. Shadow Rim Ranch does not have large parking areas. Please be patient as we try to squeeze the cars in. Once in the parking lot, please remember the following: Shadow Rim Ranch Confirmation Packet NA 01/15 12

14 Leave all pets in the car Refrain from smoking on camp property Leave luggage in the car until after your camper has her health check Bring all your camper s medications, including emergency medications such as inhalers or epi-pens and prescription medications (all in the original containers) for check-in with our the Camp Nurse Make sure your camper has her water bottle and is wearing close-toed shoes Parents/guardians will not be visiting camper living units and will need to be prepared to say goodbye once their camper meets their counselors. CHECK IN PROCESS There are numerous stops during the check-in process. 1. Check your camper in with camp staff at the designated check-in table. Camp staff will confirm that all your forms have been received during this time. All camper information should be completed in the Ultra Camp System at least THREE weeks in advance of your camper s session. Camper mail is given to the staff at the check-in table 2. Check in all medications to the Health Supervisor. Includes emergency medications, prescription and over the counter medications all medications MUST BE in their original containers 3. Camp staff conduct a health screening with camper (foot and head). In order to check effectively for head lice hair bands, elastics, etc. must be removed. 4. Visit the Trading Post (camp store). Either add money to your camper s account OR check the accuracy to the online payment (if paid online). 5. Parent and camper return to vehicle to carry luggage to lodge area and place luggage in the appropriate unit trailer. 6. Camper and parent/guardian meet with the Unit Leader and camper joins her living unit group. 7. Parent says goodbye to camper. CHECK-OUT AT CAMP SITE The gate will open promptly at 2:00pm and closes at 3:00pm as staff will start cleaning and preparing for the next group. THE PERSON PICKING UP THE CAMPER WILL BE REQUIRED TO SHOW PHOTO IDENTIFICATION WITH A NAME THAT MATCHES ONE LISTED ON THE AUTHORIZED PICK UP LIST. There are NO exceptions to this policy even parents and guardians must show ID. This is for your child s protection. LUGGAGE PICK-UP Camper luggage will be sorted by session. Please take time to find ALL your camper s luggage including laundry bag, sleeping bag, pillow, stuffed animal, and so forth. Your camper s luggage may have expanded since she left. Check the luggage pile thoroughly. It s much easier to take it all home from the camp rather than arrange to pick-up Lost & Found Items. MEETING COUNSELORS At pick-up time feel free to take a few minutes and meet the staff who worked with your camper. They ll be happy to meet you and speak with you about your child. EARLY PICK-UP If early pick-up on check-out date is necessary, please plan to pick your camper up by 11am. Pickup on check-out date between 11AM and 2PM is not possible. 15 LATE PICK-UP It is NOT possible to make arrangements for someone to stay with your camper beyond the pick-up time at camp. She will be excited to see you and share her camp experience. This is also the beginning of staff meeting time and preparation for the next group of campers. MEDICATIONS Remember to pick up your campers medication from the Health Supervisor. TRADING POST The Trading Post will be open on check-out day to purchase items. LATE ARRIVALS AND EARLY DEPARTURES If your camper will be arriving late, you will need to contact the camp office prior to arrival. Please report to the camp office upon arrival. If your camper will need to leave early for any reason during the week, you will need to notify the camp office during check-in as well as make a note in Ultra Camp during the registration process. For you camper s safety, our gate remains locked 24 hours a day; without prior notification, you will not be able to enter the property. You will need to report to the camp office to pick up your camper. Shadow Rim Ranch C ontact Information You will find a map and driving directions located in this packet. We do not recommend the use of mapping websites such as MapQuest or Google since they often do not provide accurate directions to our facility. If you need directions please contact the council office at Campers are not allowed to make or receive phone calls while at camp. CAMP DIRECTOR Justina Ooops! Turn right onto Houston Mesa Road (after 2nd roundabout). In approximately 10 miles at the stop sign in Whispering Pines, turn left onto Control Road 64. Take Control Road 64 to Road 32 (first turn) and turn right. Continue on Road 32 for one mile to the next sign and turn left into the Shadow Rim entrance road. (See inset) From the White Mountains area: Take highway 260 west to Control Road 64 (Tonto Village turn off). Turn right onto Control Road 64. Continue west on Control Road 64. At approximately one mile after Whispering Pines, turn right on Road 32 (first turn) and turn right. Continue on Road 32 for one mile to the next sign and turn left into the Shadow Rim entrance road. (See inset) From Camp Verde/Northern AZ: Take Hwy 87 toward Payson. Turn left onto Control Road 64.
