Important changes include additional details for free local on street parking (especially for visitors but also for additional trade and exhibitor vehicles). Detailed information has been included regarding a Mother s Day afternoon tea deal (bookable direct with the Castle Kitchen). Work on the kid s activities is progressing well with many compliments having been paid to the quality of the activities on offer. The numbers attending the Saturday night Canape Evening are climbing fast. Please note the information on visitor entry and loss or damage to exhibitor s property. A list of local cash point locations can be found in Appendix G. Also, those who have kindly agreed to sponsor the show have increased. Now that the show is approaching fast, please note the reminders listed below and if necessary, refer to the relevant section for further details. Reminders for exhibitors and traders Please return your valid PAT test certificates by 20th February On arrival, please have your completed vehicle information form displayed in your vehicle s windscreen There has been a revised Canape Evening booking form issued electronically. For those wanting to attend, please promptly follow the instructions on the revised form and submit it, along with payment/s, by no later than the 20th February 2019 Property left on site, including in the castle grounds, is entirely at the owners risk Sunday breakdown will commence at 4:30 pm with all to be off site by 6:00 pm* Where Nothing further to add currently is listed under a heading, you can access previously published information by referring to earlier published news sheets on Bournemouth Orchid Societies website (see details at the end of this document). *A plentiful supply of BOS members will be on hand to assist with loading at break down Where we are with planning and development: All exhibitors and traders should now have received the current plan defining their stand allocation and location. In addition, you should have also received a copy of your unloading zones. For more details, please refer to the section on Access, accommodation and parking updates. Of particular interest to all traders, the RHS Orchid Committee and societies is that the advertising programme is continuing to develop well with local publications agreed to publish details about the show. Our programme of local advertising hardware production is nearing completion with local advert pitched having been agreed. No Breakdown of stands, or displays, will be allowed before 4.30pm on Sunday 31st March. Any electrical equipment you intend to bring on site will need to have been previously PAT tested. Please note that copies of valid PAT test certificates must be provided by 20th February Copies need to be sent to Chris Broomfield, Show manager, chrisbroomfield@ntlworld.com or C/O 152 Rossmore Road, Poole, Dorset BH12 2HL (Tel ). Electrical sockets are provided around the internal exhibition spaces with additional floor sockets provided in the dining room. Exhibitors and traders can bring food and drink on site, however; please note that there are no facilities for refrigeration or heating of food provided. As a reminder, no cooking is allowed to be carried out on site. All stands must be covered in black cloth, covering all legs to floor level. BOS will not be providing black cloth unless previously arranged and agreed. Where alternative arrangements have been agreed, these will be honoured. Tables sizes are as follows: either 6-foot round or 6 x 2.5 foot rectangular (see allocation on the previously provided site plan). Page 2

3 Under no circumstances must anything be attached to the walls, pillars, frames etc. of any room within the building. However; there are very limited hanging facilities available. If you desire to use hanging space, please discuss this with the show manager Chris Broomfield, Access, accommodation and parking Updates: Generally Information concerning the location and access to Highcliffe Castle can be seen in plan B1 in Appendix B. Visitors Extensive public parking is provided on site (150 spaces). Other than for exhibitors and traders, parking will 50p per 4 hours. Note, parking fees are not able to be topped-up and heavy fines will be imposed for any vehicle exceeding 4 hours on site parking in the public parking areas. Unfortunately, the on-site parking is now run by a private company, therefore; neither BOS or Highcliffe Castle staff have any control over this recently announced arrangement. Suggestions for alternative parking are shown in plan B2 in Appendix B. Also, there are a number of local roads (see list in Appendix F) that are free from restrictions and fees until April 1st. Walking from these roads to Highcliffe Castle should take no longer than 5 8 minutes. Trade and Exhibitors Generally Each society and trader will be supplied with 2 free passes for Saturday and Sunday. Passes will not be required for Friday s set up. As a reminder, all traders and societies who are setting up stands, should have previously received a vehicle information form. Please complete this form and ensure you display it clearly behind your vehicle windscreen. For those who have not yet received a form, please Ken Griffiths via his address shown in the page footer below. Trade and society stand vehicle parking has unfortunately had to be limited to one vehicle only. Permits will be issued on the Saturday which must be clearly displayed in the front window of your vehicle. Parking is free, however; the location will be weather dependant and will be decided at the time by Highcliffe Castle staff. Should any exhibitor wish to bring more than one vehicle, please refer to the visitor parking advice regarding their additional vehicles. On arrival All traders, and societies exhibiting, should have received an unloading zone list (see current copy in Appendix C). By instruction of Highcliffe Castle staff, please observe and comply with your allocated unloading zone point for the benefit of all (see location on plan in Appendix D). WINTERGARDEN/LIBRARY STAND (Eden Zone) - unload in, and where necessary, from the Wintergarden DRAWING ROOM STAND (Zen Zone) - unload in from the Octagon. DINING ROOM STAND (Serene Zone) - unload in from the Octagon. GREAT HALL STAND (Celestial Zone) unload in from the North Porch List of Zones for unloading To unload drive towards the Castle and make yourself known to the parking steward. They will direct you to your allocated unload in zone point. The attendant will also notify you of your subsequent parking location. Page 3

4 When arriving on site please park close to your unloading zone point. Please take extreme care whilst driving as this site is open to the public. All vehicles must be unloaded to your stand point before setting up. Members of BOS will be on hand to help with this as there is not much room to unload. Once unloaded please promptly move vehicles to your designated parking zone. During the Show Please be aware that on arrival on Sunday, as conditions may have changed, so may your allocated parking place. Please follow the instructions provided by the parking attendant. Where re-stocking of trade stands requires the movement of trade vehicles, please pre-arrange this at the time with the show manager who will organise vehicle access to a loading zone from the parking zone (please see his contact number elsewhere in this document). Breakdown No breakdown of stands, or displays, will be allowed before 4.30pm on the Sunday. Please breakdown your trade stand/society display fully before bringing your vehicles to your allocated loading zone, see list below, as there is a shortage of space at these points. BOS members will be on hand to help load vehicles if needed. Please ensure all rubbish is removed from site as BOS will be charged for this if left behind. WINTERGARDEN/LIBRARY STAND (Eden Zone) - offload out from the Wintergarden DRAWING ROOM STAND (Zen Zone) - offload out from the Octagon. DINING ROOM STAND (Serene Zone) - offload out from the Octagon. GREAT HALL STAND (Celestial Zone) offload out from the North Porch List of Zones for breakdown Once your vehicle is loaded, please move your vehicle ASAP for the benefit of others. Events: There will be a ticketed Canape Evening (open from 17:50 to 20:30 Hrs) with the choice of a glass of Prosecco or soft drink, on Saturday 30th March at the castle. There will be a pay as you go bar open during the canape. Tickets are available to Traders, Exhibitors, Orchid Society members and their guests. Page 4

5 At the time of publication, there are 31 paid up attendees, therefore; this is rapidly developing into a worthwhile social and networking gathering. Tickets are priced at a head. Please return payments by either of the following methods: Cheques, made payable to Bournemouth Orchid Society, sent to Ken Griffiths, Tally Ho, Hawthorn Road, South Bockhampton, BH23 7AD, along with a filled in application form. Unfortunately, by instruction from the caterers, no tickets can be purchased after the 20th February There will be two main raffles, to be drawn at 3:30 Hrs each show day, and hourly mini raffles where small orchids will be presented as prizes. Children s Activities: A selection of kid s activities will be provided, that will be largely centred in the Kid s Greenhouse, within the basement of the castle. Some activities will migrate to areas around the show with a few located around the venue. The activities have all been designed to engage parent and child with the view of promoting the fascination of orchids, kid s craft skills and parental participation whilst maintaining parental supervision. Repotting Demonstrations: Repotting demonstrations will be run between 11 am 1 pm and 2 pm 4 pm on both show days. Nothing further to add currently. Judging: Judging will be carried out with the judging of individual in situ plants on display stands. There will be a minimum of 3 judges per class. Separate stand judging will be carried out. Chris Barker has kindly agreed to organise the stand judges. There is to be ribbon judging between 8 and 10 am on the Saturday, with 1st and 2nd plants being awarded, followed by trophy judging. Cultural Certificates will be awarded to plants judged to be of sufficient merit. Unless otherwise stated, species and hybrids will be judged in the same class. A list of new genera in the Class, and their synonyms, will be provided for the judging teams. 6 Trophies: Best Amateur Plant Best Professional Plant Best Plant Exhibited by a Bournemouth Orchid Society Member Best Amateur Display Best Professional Display Work is progressing with the peer review regarding the list of hardy orchids for judges use. A copy will be made available to show judges, at the Saturday judges briefing, before judging commences. All trophies will be presented by Her Worship the Mayor, Councillor Lesley Dedman, at 11 am on Saturday morning in the Great Hall. Please Contact either Graham Smith graham@erythos.com or Mike Powell mgpowell@greenbee.net if you have any questions regarding the Judging. Visitors: Visitor admissions are via the Octagon where entry tickets can be purchased. On entry a show information sheet will be provided. The exit for visitors is strictly, emergencies accepted, via the Gift Shop. Museum Displays: Nothing further to report currently. Safety: In the event of any accidents, please contact a member of the Highcliffe Castle staff who will deal with all onsite first aid. If a member of the castle staff cannot be notified, please inform a BOS committee member who will contact a member of the castle staff. In the event of a fire alarm sounding, please promptly make your way to the fire assembly point, by the public toilet block, in the main car park. Nothing further to report currently. Disabled access: Disabled person toilet facilities are now provided at ground floor level On arrival: Show visitors will be able to purchase their entry tickets at the ticket desk in the Octagon. A show information document will be provided that will give pertinent information about the show. Internal facilities: Toilets are provided in the basement which will be clearly signposted. Outside facilities: For those wishing to withdraw cash, please see a list of local cash points in Appendix G. Nothing further to report currently Page 6

7 Refreshments: Exhibitors, traders, RHS and BOC judging teams will have a break out area, in the Pantry, where free tea and coffee will be provided. For the location please refer to your copy of the latest supplied site plan. BOS respectfully request that you please do not use this facility for friends and family. A café, called the Castle Kitchen, with both inside and extensive outside seating areas, is provided for all which is located adjacent to the castle. The café will be open for purchasing food and drink between 10 am and 4 pm each day. The Castle kitchen are offering a Mother s Day Afternoon Tea deal for 31st March between 12:00 16:00 Hrs. The set price is 14 per person and booking has to be arranged directly with the Castle Kitchen at least 24 Hrs in advance. The kitchens contact telephone number is and their website is (please see further details in Appendix E). The nearest available public house is currently The Globe Inn, BH23 5ET, in the centre of Highcliffe as the Galleon is currently closed. Nothing further to report currently.
