1 Newsletter #4 4 September 2016 Welcome the the last Newsletter before the event. Hope all the preparations are coming along well. SECRETARIES OFFICE This will be located in the Green and Gold Caravan - Ward Domain and at the large tent on site at 671 Seaview Road, Seddon. Managers packs can be collected from there between 9-10am on Thursday 29th September. Manager s packs will include an identification tag for managers and coaches which must be worn at all times otherwise you may be excluded from course walks and warm up areas. HORSE/PONY IDENTIFICATION TAGS Teams are to provide their own tags for identification of runaway mounts. 1 will be attached to your halter and the other to your saddle. Your tag needs to display your name and managers mobile phone number please. MEDICAL ARMBAND CHECKS Managers are asked to leave your teams medical armbands in the named envelope provided in the Managers Pack at the Secretaries office by 10am Thursday. Please ensure Medical Armband details are current. These can then be collected after the Team Cross Country Course Walk from the secretaries office. COACHES AND MANAGERS WELCOME & CROSS COUNTRY WALK Thursday 10am 29th September at the large tent there will be an introduction of Officials and a briefing on the cross country course after roll call. The course walk will start from here following the briefing. After the course walk all managers coaches can meet back at the tent to ask any questions of the officials. TEAM WELCOME & CROSS COUNTRY WALK 12pm Official welcome to the riders, coaches and managers. Lunch provided by will be available for all riders, coaches, managers from 12.30pm. At 1.30pm only these people (coaches/managers & riders) will be able to walk the course (STRICTLY NO SPECTATORS AT THIS TIME)
2 GEAR CHECK It is advised that all managers and /or coaches check all the gear on your team s mounts and riders as this may save time at the gear check area. If any gear is found unsafe or illegal, the team will not be allowed to proceed until it is replaced or corrected. It is the team managers responsibility to ensure that all riders helmets comply with current safety standards and should be appropriately stickered with either the blue or red sticker. There will be spot checks at Gear check. If you are unsure if gear will be acceptable you can take it to the Chief Steward to be checked out prior to the competition beginning. Comprehensive details of correct gear can be found on Equestrian Sports New Zealand website - Rules for Eventing. Effective 1 August 2013 Version 5.0 Annex 5 NZPCA covers any rules specifically related to Pony Club Events (Article 655-Dress and Article Saddlery) MARLBOROUGH EQUESTRIAN BARN DRESSAGE : FRIDAY 30th September Ward Domain 8.15am Gear check opens 9am Dressage begins Dressage times to be included in your managers pack. Or check online at Equestrian Entries. Gear check will be 45 minutes prior to allocated start time. CROSS COUNTRY : SATURDAY 1ST October 671 Seaview Road, Seddon Course designed by Robbie McLean. The course will be open to the public on Thursday 29th September from 4-6pm. Use of Radio equipment on the grounds at any time is only allowed with the permission of the organising committee. Permission must be obtained from the secretaries office by 5pm Thursday so channels can be allocated prior to competition beginning.
3 FENCE STEWARDS/JUDGES CROSS COUNTRY BRIEFING Cross country briefing for all fence judges at 5.30pm on Friday at the Ward Hall. All named fence judges are required to attend and a roll call will be held. As we have had a great response for this and have more than enough we will do a draw for those required on the day. These will be advised on Thursday (in your managers packs) and you will need to notify these people to be at the meeting Friday night PLEASE!!! Fence judges need to have their own stop watch and whistle by the start of the cross country on Saturday. High vis vests will be supplied. Teams are responsible for catering for their own Fence Judges needs during the cross country day, PLEASE make sure they have food and drink with them to take to their allocated jump. DUNSTAN HORSEFEEDS SHOW JUMPING: SUNDAY 2nd October Show Jumping course designed by Pete Collins. The show jumping course will be open for walking at 7.30am Sunday. NO walking outside of these times will be permitted. AGM: WARD HALL FRIDAY 30th September 6.30PM The agenda will be on the website soon. All branches/clubs are entitled to two voting delegates. Previous meeting minutes are on the Springston Trophy website. Please familiarise yourself with these. REMITS : will be read at the meeting from The Guardians and Kaiapoi Pony Club RIDERS FORUM: Rebecca Deardon of NZPCA Riders Council will hold a forum in the Supper Room of Ward Hall 6.30pm. We ask that each team send along their team captain and a junior member for this discussion. PARKING Ward Domain: access for teams will be via the main gate off Ward Street as signposted. Team parking will be allocated by signs and may flow into the neighbouring paddock by the yards. Please see map in managers packs for a rough guideline. We ask that you respect the space allocated for floats and trucks only. All public car parking is at the North end of the grounds with access off State Highway one through the main entrance. Officials will have allocated parking.
4 Seaview Road:(cross country) Teams will enter through the main driveway as signposted. See map for team parking space. ONLY OFFICIALS AND DISABLED SPECTATORS will be allowed access to the starters area by vehicle at the top paddock gate. Public will be required to park in another paddock as allocated. Follow the signs. RUBBISH AND MANURE At both venues please place all rubbish/manure in the allocated places. These will be clearly identifiable. YARDS AT WARD DOMAIN We have 12 purpose built yards available at $5 for daily use. Please contact Jo Cameron or phone if you are wanting to book the use of one of these on either the Friday or Sunday. Alternatively ask at secretaries office re availability on the day. BACK NUMBERS As per previous years we are using back number holders which means each team will need to provide their own back number holder. Printed numbers will be in your managers pack. PROGRAMMES A limited number of programmes will be available for sale at the secretaries office at a cost of $5. VETERINARY SERVICES: Vets on Alabama Ph: FARRIER SERVICES: Innes Redwood Ph: SHOWERS: If you are requiring shower facilities there will be showers available at the Seddon Domain, Foster Street. These will be open from 6-9pm daily Wednesday - Saturday -$2.00/shower please.

Hopefully Mr whippy will also be about for a sweet treat after or before the course walk. FRIDAY: WARD DOMAIN We will only have a coffee cart on site and the Good Icecream van. We ask that you bring any food requirements with you or ask that you shop at the above local businesses who can offer a wide range of beautiful food at reasonable prices. SATURDAY: SEAVIEW ROAD CROSS COUNTRY VENUE Our local Friends of Seddon School will have a full food site available selling burgers, sausages, slices, muffins etc etc. Please support this local organisation as they are fundraising for the local school in Seddon. - Coffee stand available - Mr Whippy - Banjo Brews: We offer a range of delicious tasting kombucha drinks, produced locally in Marlborough, New Zealand. -
6 SUNDAY:WARD DOMAIN Our local TEAM from Ward school will be available on site all day selling delicious food. Again please support them as they are raising money for the local school in Ward.
