3 Invitation Greetings from the IIW Convention Coordinator G day Inner Wheel Friends! On behalf of the enthusiastic International Inner Wheel 2018 Convention Committee and members of Inner Wheel Australia, I extend warm Aussie greetings to each and every one of you around our Inner Wheel world. Born and raised here, I am a proud Melburnian. This very cosmopolitan and multicultural city was founded in The grand Royal Exhibition Building in the Carlton Gardens is the site of the first Australian Parliament, held in Australia is regarded by many as a very young country and yet our indigenous Aboriginal Australians are the oldest continuous culture on Earth, dating back over 60,000 years. Melbourne is such a special city. I encourage you to take the time to explore and discover its many hidden gems. The Arts, fashion, sport, cafes, fine dining, parks and gardens are just the beginning! There is something to delight everyone. Why not consider the generous opportunity being offered by some Inner Wheel Australia members, to experience Home Hosting for up to three nights before or after the convention? We recommend you plan your trip early. Australia is a huge country with so much to see and do. Allow plenty of time if you can. Pre and Post Convention Tours and day trips have been carefully planned to offer an insight into our truly unique culture, history, flora, fauna and landscape. On some tours you will be met by Aussie members who will share their local area with you. The IIW Convention is such a wonderful opportunity we have every three years, to travel to a different country and take part in this celebration of International Inner Wheel friendship and achievement; to play an active role in the democratic decision making and future direction of our organization; to share the ideas and project work of our members and to be inspired by like-minded women helping to create Happier Futures for the lives of those less fortunate. We hope you will make the decision to join us at the spectacular Melbourne Convention and Exhibition Centre and South Wharf precinct, our Convention home from 11th-14th April No buses will be required for any social functions, enabling more time to relax and celebrate with old and new friends. 7 The Venue Melbourne Convention and Exhibition Centre 1 Convention Centre Place, South Wharf 3006 The Melbourne Convention and Exhibition Centre is superbly located on the banks of Melbourne s Yarra River, close to the heart of the CBD and just 30 minutes from Melbourne s International Airport. The new Convention Centre has received worldwide acclaim for achieving a 6 Star Green Star environmental rating by the Green Building Council of Australia, the first in the world for a convention centre. The modern complex is a landmark in the area, perched on the south bank of the Yarra River, and surrounded on all sides by trams, trains, buses, taxi ranks and ample car parking. A short stroll along the iconic Southbank Promenade places you in the heart of Melbourne city Australia s culture, cuisine and events capital where visitors can enjoy a perfect café latte or award-winning local wine at any time of day or night. The venue is an easy walking distance from a range of accommodation options, which will be available to delegates to book at the time of registering for the convention. 7
8 General Information 8 Please visit the Convention Website for more information about Melbourne: Climate Melbourne has a reputation for its changeable weather. A tip for any visitor is to be prepared for anything wear layers that can be worn or removed as needed. It will be Autumn in April so the days will be shorter and temperate and the evenings will be cooler. A full range of weather may be experienced within a few days, from warm, calm and sunny to cold, windy and showery. The average temperature for Melbourne in April ranges from 10 C (minimum) to 20 C (maximum). Currency Decimal currency is used in Australia units are dollars and cents. Current exchange rates can be obtained from your bank. All major credit cards are widely accepted in Australia. Electricity V is standard in Australia. Internet access There will be free Wi-Fi access for all delegates at the Convention venue. Internet access is also widely available to visitors in many hotels and cafés in the city. Language English is spoken throughout Australia and is the official language for the Convention. Simultaneous translation is available at participant s own expense. The cost of simultaneous translation will depend on participant numbers. Special Requirements Please provide details of any special diet, special needs or disability assistance required when you register. Taxes A Goods and Services Tax (GST) of 10% applies to all consumer goods and is included in retail prices. Transport around Melbourne Melbourne is a very walkable city. Many hotels and tourist attractions are within a 30-minute walk from MCEC. The Free Tram Zone in Melbourne s CBD makes it easier for commuters and tourists to move around the city. Myki is Melbourne s reloadable smartcard public transport ticketing system. For more information on purchasing and using myki please go to: Transport from the Airport SkyBus is an express bus service from Melbourne airport to Southern Cross Station in the city centre. This service operates 24/7, including all public holidays and takes approximately minutes. Tickets can be purchased on arrival at the airport terminal bus stop or purchased online at The taxi ride from the airport to the Melbourne CBD can take between minutes and may cost about $50-$70 depending upon the time of day. The Convention does not provide any transfers from the airport to Convention Hotels. All delegates must make their own transport arrangements from the airport. Travel and Health Insurance The Conventions does not provide insurance to delegates. We strongly recommend that you take out insurance policies to cover medical and travel expenses. If necessary, consult your travel agent. Visas All travellers to Australia, other than Australian and New Zealand citizens, must have a valid visa. Visas are either issued electronically (ETA) with nothing appearing in the passport or through application where a sticker is required in the passport (Non-ETA). It is advisable to apply for your visa as soon as possible to ensure adequate processing time. The minimum time frame stated for an Australian visa application is six (6) weeks. See the website for further information: Wheelchair access, or other mobility disability access, during Convention When you register, please notify the Secretariat of mobility disabilities you have, so any venue access requirements can be addressed.
9 Registration The 17th International Inner Wheel Convention 2018 is now open for registration. How to register The quickest and easiest way to register is online though the Convention website We encourage all participants to register online for instant confirmation. Alternatively, complete the enclosed registration form and return to the Convention Secretariat. Please read this Registration Booklet carefully before completing the registration form. Forms will be accepted by post, fax or . Registration Fees All fees are quoted in Australian dollars (AUD) and are inclusive of 10% GST (Goods and Services Tax). Please note on-site registration delegates will not be printed in the Programme Booklet. Final Registration Participants must register at the Registration Desk (Melbourne Convention Centre) upon arrival at the Convention. Please remember to Registration Desk The Convention registration desk will be located on the ground floor of the Melbourne Convention and Exhibition Centre and will be open at the following times: Wednesday 11 April Thursday 12 April Friday 13 April Saturday 14 April Please note the registration desk will not be open on Tuesday 10th April. 9
10 Registration bring your confirmation of participation. All participants may only collect their own registration packs. Method of Payment Payment of registration fees must accompany all registrations. No registration will be confirmed until payment is received. Payment can be made by the following methods: Credit card Visa, MasterCard, American Express and Diners Club. If you are making a credit card payment from a country outside Australia, for security reasons you must first advise your banking institution of the impending charge and authorise them to allow the charge to Australia to go through. Please note that charges to your credit card will appear as being from ICMS Australasia Pty Ltd on your bank statement. It is your personal responsibility that all details such as address, registration, number of tickets, hotel reservation, date of arrival and departure, etc. are in accordance to your wishes. We therefore strongly recommend that you read and check the confirmation carefully to avoid errors. In the event of any errors, please contact Convention Secretariat by . Cancellation of registration Deadline: 1 March 2018 Cancellations must be made in writing to the Convention secretariat. Cancellations received prior to 1 March 2018 will receive a full refund minus a $150 administration fee. Cancellations received after 1 March 2018 will not be refunded. 10
11 Voting Slip Collection Important Message for national representatives, district delegates and voting delegates Voting Slips may only be collected by the designated person (National Representative or District Delegate). No other delegates should go to the Voting Desk. Voting Delegates will be told in advance from whom and where they are to collect their booklets. If you have not received designated person instructions from IIW before you arrive in Melbourne, you are not the designated person. National Representatives and District Delegates Please Note: You will receive a list of all the people to whom you must distribute the booklets. Please bring this with you to the Convention. Single District Countries National Representative collects all voting slips relating to her country and distributes them to District and Club delegate vote holders. Multiple District Countries National Representative collects her own, the National Governing Body Booklet and any IIW Past President voting booklets for onward distribution at the Convention. District Delegate collects the District booklet and all booklets for the Clubs in her District, which she will distribute to the individual Club vote holders at the Convention. Where and When Voting Slips May Be Collected Only the designated person may collect Voting Slips at the following times and places: TUESDAY 10 APRIL between the hours of from Room 207 located on Level 2 Melbourne Convention and Exhibition Centre. WEDNESDAY 11 APRIL between the hours of from the Voting Desk, located in the Foyer of the Melbourne Convention and Exhibition Centre. THURSDAY 12 APRIL before 0900 from the Voting Desk, located in the Foyer of the Melbourne Convention and Exhibition Centre. Please arrange to distribute the Voting Slips to your delegates correctly and efficiently BEFORE the start of the Opening Ceremony 9am Thursday 12th April This timing is most important to ensure your Voting Delegates have their necessary paperwork in time for the commencement of the Business Session. Failure to do so will result in your members being unable to cast the votes they are carrying. Prior to Departing for the IIW 2018 Convention it is the responsibility of every National Representative and District Delegate to: Ensure you have the names, Convention accommodation and contact details of every Voting Delegate from your country and that she knows how to contact you if necessary. Arrange a meeting time and place to distribute the voting slips at the Convention. Please Note All Voting Delegates have a responsibility to collect the voting slips from the designated person at the designated meeting place on time. Please be considerate. Deputies and substitutions will not be accepted on-site. Any changes to delegate names must be sent to IIW in advance of the event with a reason for the change. The stewards will do spot checks. If you are holding a booklet not in your name, the booklet will be taken from you and all the votes will be forfeited. 11
12 Accommodation 12 The Convention Secretariat has confirmed rooms in the selected hotels below for the benefit of Convention participants. The hotels have been selected due to their proximity to the Convention venue. You are encouraged to secure your accommodation through the Secretariat to ensure that you receive very competitive rates, negotiated for Convention participants. 13 Cancellation of accommodation No accommodation deposits will be refunded after 1 March 2018 Participants who confirm an accommodation booking with a credit card and who cancel after Thursday 1 March 2018 or participants, who fail to arrive on the specified date, will be charged for the entire cost of their accommodation. Delegates who confirm attendance and provide credit card details but do not advise of cancellation before the 30-day period of the Convention commencement will incur charges for the no-show rate, as penalised by the hotel. This charge is calculated as the room rate per night multiplied by the dates booked and secured. Please ensure that accommodation dates are correct at time of booking. Terms and Conditions Deposits Accommodation will not be confirmed until a deposit of one night s tariff is received. This deposit will be forwarded to your hotel and will be credited to your room account. Delegates must settle the balance of their account with the hotel concerned upon check out. If accommodation deposits are not received before 1 March 2018 your room will be released back to the hotel. The Convention Secretariat does not take responsibility for accommodation if deposits are not received by this date. Deadline for accommodation bookings Deadline: Thursday 1 March 2018 The Secretariat must return all unsold rooms to the hotels/apartments on 1 March 2018, therefore accommodation bookings after that date cannot be guaranteed. The rates quoted are only valid for bookings made prior to Thursday 1 March Late bookings can be made through the Convention Secretariat after Thursday 1 March 2018 but are subject to availability, and credit card details are required to secure the reservation. Early arrival Some international flights arrive in Melbourne in the very early morning. As check in is not until 2.00pm at most hotels, your room may not be ready for immediate occupation if you arrive early. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation you can pay an extra day s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Secretariat on the registration form so that we can notify the hotel that your room is pre-registered. Late arrival and No Show Please indicate if you will arrive at your hotel after 6.00pm. Failure to do so might result in your booking being cancelled and your room given to someone else. If you do not show up for your reservation on the arrival date, your room will be cancelled, you will be charged for the full stay and your room may be given to someone else. Early departure Please note that if you depart your hotel earlier than your confirmed departure date confirmed prior to 1 March 2018, you will be charged for each night that is not used as this is calculated as a cancellation by the hotel. Change of Booking Any change in booking must be made in writing to the Convention Secretariat and not directly to the hotel. 13

We have members throughout Australia who are looking forward to hosting a delegate. What we are offering: Pre- Convention up to 3 nights on 8th, 9th and/or 10th April 2018 OR Post Convention up to 3 nights 14/15th, 16th and/or 17th April, We cannot offer Home Hosting during the Convention. Hosts are happy to accommodate Inner Wheel members travelling alone or married couples. Most hosts have indicated they can take 2 or 3 people but some are able to house more if needed. What will happen: If you would like to be Home Hosted, please complete the Home Hosting section on the Registration Form. You will be contacted by our Home Hosting Coordinator, Pam Watkins, who will take your details. Your name will be given to a host member who will make contact with you and arrange your stay. For information on distance from where you are staying to the Convention City, Melbourne, please type the following website into your browser You will see by the map and distances provided where the Convention will be held in comparison to your home stay location. It is important that you confirm your host allocation before making your flight details to Australia. All Capital Cities and some larger regional cities with the exception of Hobart, Tasmania, have International Airports and your hosts are willing to organise transport for you.
