Desert Islands Conference Centre Adjacent to Desert Islands Resort & Spa, located on the northern beach of Sir Bani Yas Island, the Desert Islands Conference Centre offers world class event facilities for up to 460 participants. The centre consists of a magnificent divisible ballroom, as well as six individually configurable meeting rooms, each with a grand foyer. Dhabi Ballroom (525 sq.m) Celebrate large scale events at the elegant Dhabi Ballroom, accommodating up to 460 guests. Enjoy the latest audiovisual equipment, complemented by magnificent catering options. The ballroom can be divided into three individual rooms, each of which can accommodate up to 130 guests depending on set-up. Dhabi 3 Terrace With 160 sq.m of space, the terrace adjacent to the Dhabi Ballroom is a meeting space by itself. Take your conference outside and enjoy a nice island breeze while overlooking the Arabian Gulf. The terrace can accommodate up to 150 people. Al Maha Meeting Rooms 1 and 2 (35 sq.m each) Enjoy natural daylight and a beautiful outdoor terrace at the two Al Maha meeting rooms, which can accommodate up to 25 guests each, or up to 60 people with the partitioning wall open. Take exit 113 marked Sir Bani Yas Island, and at the roundabout take the Sir Bani Yas Island exit. At the next roundabout, take the 2nd exit. Follow the road until the 3rd roundabout and take the exit for Sir Bani Yas Island. At the jetty you can park your car in a safe shaded area before boarding the water taxi for a minute journey to Sir Bani Yas Island. Transfers must be booked a minimum of 24 hours in advance. The price is subject to 10% service charge, 6% tourism fee and 4% municipality fee

17 TERMS & CONDITIONS. All rates are quoted in UAE Dirhams (AED) and apply per person. They are subject to 10% service charge, 6% tourism fee and 4% municipality fee. Children policy for Food and Beverage (on buffet meals): Below 4 years, free of charge 5 12 years, 50% discount From 12 years, 100% regular prices Commission policy: As per company policies, commissions on meeting room hire and Food & Beverage are not applicable. Media: It is required to get approval from the hotel for any media activities in the property. Minimum Attendance Guarantee: Guaranteed minimum attendance of guests will be as contracted. Charges for the event will apply on the guaranteed or actual number of guests attending or whichever is higher. Guaranteed number of guests to be reconfirmed 3 working days prior to the function date, hotel will accept maximum 10% increase or 10% decrease on the contracted number of attendees. Additional attendees after this date will be subject to availability of the meeting/event space. Should the actual number of guests in attendance of the event exceed the guaranteed number of guests, the customer will be charged for that number of attendees. The hotel will not be responsible to accommodate or serve any food and beverages to more than 10% over the final guaranteed number of attendees. Identification: As per the rules and regulations of the government of the UAE, all hotel events should be registered in their database. The hotel therefore requires any valid identification of the organizer or contract signatory with picture on it (i.e. passport or driver s license) to be scanned. As part of this procedure, kindly submit the required documents upon signing of the agreement to confirm the arrangements. Team Building Activities: For team building activities in the hotel, the hotel needs to be advised in advance with the entire program and requirements in order to confirm and get the General Manager s approval. Specific areas may need to be considered based on noise and activity requirements. Event Licenses and Permits: As per The Abu Dhabi Tourism and Culture Authority (ADTCA), all events taking place within the hotel premises require an event permit. The hotel will advise the organizer about the necessary documentation and applicable costs. Upon signing the Letter of Agreement, the hotel will apply for the relevant event permit via the ADTCA licensing website. Please find below the details pertaining to Event Permits. Event Permits and Fees: All required documents need to be submitted a minimum of 10 working days prior to the event in order to process the application. If there is a large number of speakers, the application needs to be submitted well in advance. In order to apply for the license, the below documents are required: - Signed contract (between the hotel and the organizing company) - Copy of the agenda using the company letterhead (this should include title of the event, company s name, date, time and topics discussed) - Speaker documents as outlined below Definition of speaker: The person who will speak, present or provide a training course. Note: for trainers conducting a training course, approval will be required from Abu Dhabi Centre for Technical and Vocational Education and Training (ACTVET). 18 Fees: An application fee of AED 200 will be applicable in addition to a fee of AED 50 per speaker. These fees will be borne by the organizing company/individual. In the case the event is rejected, the application fee of AED 200 is still applicable and will be borne by the organizing company/individual. In the case the organizing association is a government entity, permit and speaker fees will be waived upon submission of an official letter which will be attached to the application. Exhibition Permits and Fees: All required documents need to be submitted a minimum of 10 working days prior to the event in order to process the application. The required documents are as follows: - A Letter from the organizing company mentioning the start date, end date, time and brief description of the event - Copy of the signed contract - Undertaking letter that no jewelry and diamonds will be sold at the exhibition - Valid trade license of the organizing company (this should state the organizing exhibition activity) - Department of Economic Development (DED) approval for any exhibitions (consumer exhibitions, trade exhibitions, food trucks, real estate and others) - Abu Dhabi Food Control Authority approval for any exhibition which contains food items, equipment of food trucks - For all exhibitions held outside the hotel premises, a noobjection certificate is required from the venue or land owner Fees: An application fee of AED 200 will be applicable. These fees will be borne by the organizing company/individual. In the case the event is rejected, the application fee of AED 200 is still applicable and will be borne by the organizing company/individual. In the case the organizing association is a government entity, permit and speaker fees will be waived upon submission of an official letter which will be attached to the application. Social Events Permits and Fees: This is applicable for private events, company dinners etc. In case the event will provide any form of entertainment or alcohol service, a fee of AED 350 will apply. Should there be no entertainment or alcohol service, the social event permit fees is not applicable, however the permit will still need to be applied for. In the case of the event being a wedding or wedding related event, the social event permit fee is not applicable. These fees will be borne by the organizing company/ individual. Entertainment Permits and Fees: In case of any planned entertainment, the hotel requires detailed information about the planned program of the event to apply for the entertainment permit. In order to ascertain the applicable charges with ADTCA, the organizer is asked to forward an official letter with the event and entertainment to the hotel, this letter shall contain the type of the event, date, time and location along with details of the planned entertainment (how many entertainers on stage, period and kind of performance). If any entertainment such as, but not limited to a DJ, live band, singers, magician, performers etc. are planned during the event the following documents are required per entertainer: - Visa copy in colour - Passport copy in colour - Emirates ID in colour (front and back) - Passport-sized photo in colour - Mother s full name Fees: Private Party Permit fee of AED 350 will be applicable. Entertainer fee of AED 500 (this will be applicable per entertainer). Application fee of AED 200 will be applicable. In the case of the event being a wedding or weddingrelated event, the social event permit fees and entertainment fees are not applicable. These fees will be borne by the organizing company/ individual. Compliance Procedures: The Compliance Unit at ADTCA are responsible for enforcing all the licensing laws and regulations and ensuring compliance through detection and investigation of suspected violations. The unit will apply punitive action e.g. fines should their investigations reveal that there was a breach of regulations such as: - Events without permits - Speakers without permits - Event details which are not consistent with information provided in the system Should the organizing company violate the above mentioned rules and regulations, the fine/s will be borne by the organizing company. The fines range between AED 20,000 and AED 60,000 depending on the violation. General Terms & Conditions: The hotel will not be held responsible for circumstances beyond its control, such as cancellation due to unexpected government functions, power failures, new laws and regulations or force majeure. The client will fully indemnify the hotel against any 34 35

19 damage, injury and loss of equipment, furniture or fixtures caused by the client s guests to the hotel s property, and shall be responsible for any damage, injury and losses caused to any third party by himself, by his guests, or by any other party having any relation with the client. The client will notify and get approval from the hotel of his intention to bring any helpers, florists or contractors to assist him in his function. Any technical installation such as lighting, stages, decoration, etc. must be with the approval and under the supervision of the hotel. The hotel assumes no liability for loss, damage or theft of any materials or equipment kept or left in the hotel s possession for storage at any time. Goods left on the premises without prior arrangements, will be deemed abandoned. All deliveries of goods to the hotel must be made through the designated loading area. The hotel assumes no responsibility for personal items which are damaged or lost prior to, during, or following an event. Personal insurance coverage for valuables should be arranged by the client and /or the patrons/contractors if appropriate. of any articles not collected within seven (7) days. Signs, banners or other display materials are not permitted to be placed in any public areas of the hotel. The hotel reserves the right to approve all printed display materials. Signs are not permitted on guest room levels, elevators, main lobby areas of the hotel or on the exterior of the building. The client is responsible for any licenses, permits, approvals or consents that may be required from relevant authorities in connection with the event. Any displays or exhibits must conform to the Abu Dhabi fire ordinance rules and client assumes full responsibility in this respect. The client undertakes to adhere to the local laws, customs and regulations and will be fully responsible for the guest s behaviour. The client and his guests shall be subject to the instruction of the hotel and its employees. Storage of items and personal belongings: Any articles deposited for temporary storage within the hotel shall be at the sole risk of the client/owner.
