3 Hello Troop Leaders, We are so excited that you are interested in doing a troop rental with your girls. For over 100 years camping has remained a vital part of the Girl Scouting experience. You are now one step closer in helping your girls experience the outdoors, connect with each other, and connect with nature. According to a study done by Girl Scouts of the United States of America (GSUSA) only 4 out of 10 girls participated on a monthly basis in outdoor activities in Girl Scouts. Girl Scouting provides a powerful platform for girls to learn and grow in the outdoors. According to the study, many of girl s first experiences with outdoor activities occurs through the Girl Scout program. 71% of girls stating they first tried an outdoor activity in Girl Scouts and 50% of girls saying they would not have been able to do an outdoor activity if not for Girl Scouts. It has been shown that girls who have outdoor experiences with Girl Scouts have bigger impacts on the seeking challenge and problem solving outcomes related to the Girl Scout Leadership Experience (GSLE). Throughout the nation, girls have designated camping as their number-one most memorable outdoor experience in Girl Scouts. Now that you know the impact camping has on a girl s experience? What s next? Girl Scouts of Utah wants to support you through your camping experiences. Using one of our camps is a great first step in exposing your troop to the outdoors. Both of our camps are in secure locations and closed to the public so you do not have to worry about who you will run into at the camp ground. They re all Girl Scouts too! Our camps also have rangers that live on-site that are more than happy to help you if an emergency occurs. When renting our camps, we have resources on site that you will be able to use to assist with your cookouts, to do some new nature activities, and help you and your girls have as much fun possible during your stay. When your registration for a troop rental is confirmed, you will also receive a resource packet tailored to your age of girls to help you with planning some of the activities you will do with your troop during your stay. 5 Included with Rental: The facility only. A basic program curriculum based on the troop s level will be ed once the rental is confirmed (see next section below). Troops will plan their own program and meals. The camp will not provide staff, meals, or any other services. Troops will have the option to check out resource cabinets for a deposit of $50. (The deposit will be returned if all supplies are returned and in good condition). These resource cabinets contain outdoor cooking equipment (i.e. pots, pans, knives, mixing bowls, etc.) and program supplies (i.e. hula hoops, scissors, balls, cones, etc.). See a detailed list of all supplies provided on page 10. The program areas (waterfront & stables high ropes, low ropes, archery, pottery wheels, dark room, etc.) will not be available. Program Curriculum Guide: When you rent one of our facilities with camp, Girl Scouts of Utah will provide a curriculum guide via with activities that you can use to help plan your stay at camp. Guides will be created by level (Daisy, Brownie, Junior, Cadette, Senior, Ambassador). If you have a mixed troop you can receive the guides for each level. Guides will include recipes, games, songs, outdoor skills, badge/journey work, and nature activities that are age appropriate for the girls. Guides will also include a sample 24 hour schedule of what an overnight can look like for your girls. Camp Run Programming: On certain days throughout the summer, camp will offer outdoor themed programming options. Dates for the Camp Run Programming option can be found in the Troop Rental Availability document at under the Other Camp Programs Section. Camp Programming will from 1pm-5pm. You are welcome to enjoy camp with your own programming for the remaining hours of your day or overnight rental. Programs will be run by the girls participating in the leadership programs at camp that weekend. Programs will be based around basic outdoor skills. Examples include: hiking, fire starting, geocaching, map and compass, environmental education, and Leave No Trace practices. When you register for the Camp Run Programming, we will contact you for your programming preferences. The program areas (waterfront & stables high ropes, low ropes, archery, pottery wheels, dark room, etc.) will not be available. If you wish to participate in the Camp Run Programming, it will be an additional $2 per participant in addition to either the day rental or overnight fee. o Day use and Camp Run Programming = $5 per person o Tent unit rental and Camp Run Programming = $7 per person o Cabin unit rental and Camp Run Programming = $9 per person Dates Available: Troops may rent the camp any day of the week, pending availability. See the Troop Rental Availability Document at under the Other Camp Programs Section for popular rental dates. Contact the Outdoor Team (camp@gsutah.org) to check available dates. The camps are not available for select dates during summer (June-August). Camp Cloud Rim has a short season when you can drive by car into camp (June-September). The road to camp is not plowed during the winter months and the camp is not accessible for use. 5

There will be times when other troops may be on site at the same time as your troop. You will reserve the entire unit for your group, but only pay for the number of people you have attending. You do not need to pay for the unused bed spaces. You will share the restrooms and showers with other Girl Scout groups. (The main buildings will not be available unless rented by your troop.) Please note that if you have any male adults attending, they need to have their own sleeping and bathroom facilities separate from female participants. 7

8 GUIDELINES AND INFORMATION Trefoil Ranch and Camp Cloud Rim are accredited by the American Camp Association (ACA), therefore all troops are required to follow guidelines set forth by ACA during their rental period. Troop s Responsibility Ensure adults supervise girls at all times. Ensure all Safety Activity Checkpoints are followed. Ensure all guidelines in this manual are followed. Provide all meals, program, and supplies. Provide own transportation of gear and luggage to your designated location. The troop leader must check out with the Camp Ranger upon departure. o Those troops not checking out will not be refunded their Cleaning/Security Deposit Troops are responsible for collecting lost and found items. o There is no guarantee that items left at camp will be returned. For overnight rentals, the 24 hour period is 3pm-3pm. For day rentals, times are flexible for when you come. During the summer months, times may be limited by the Outdoor Program Team due to resident camp. Please contact camp@gsutah.org if you have any questions. Emergency Signal The emergency signal is three of any noise, pause, repeat. If you hear the emergency signal, line up everyone in your area and go to the parking lot. The troop leader will count everyone and give further instructions. Forms Troops need to have release forms signed on all participants. A medication log needs to be filled out on any participant that will be taking medications at this event. For events lasting three nights or longer, a Physical Examination form is required for each participant. Find all needed forms at Underneath the Camp Paperwork section click on Weekend Programs. Gate It is the responsibility of the troop to keep the gate locked at all times. You will receive a gate code in your confirmation that will allow you access to the camp for the duration of your stay. If you have guest coming in at a later time you will need to go down to the gate and let them in and out. Health Troops must have a first aider on site during the entire rental period. o See Volunteer Essentials for up-to-date requirements ( Volunteer Tab, Volunteer Essentials) o It is required to have at minimum an adult with current First Aid and CPR certification. Troops must provide a first-aid kit suitable for the events you are doing. It must be available for use by the first aider. 8

9 The first aider should have access to all the event release forms in case of an emergency. All medications including the over-the-counter medications must be given to the first aider with a complete medication log (adults included). Medications must be kept locked in a safe place away from campers. Inclement Weather Prior to troop s arrival at camp: o GSU will notify the troop leader prior to arrival to discuss the weather concern. o If GSU cancels the rental due to the weather, the troop will receive a full refund. o If the troop leaders cancel the rental due to the weather, no refund will be made. o The troop leader will then be responsible to notify all participants. During the troop s rental period: o The Camp Ranger will be in contact with the troop leader in the event of inclement weather during the rental period. o The Camp Ranger will decide if the troop needs to take shelter inside the lodge due to the weather. o If the troop decides to leave camp earlier than planned, no refund will be given. Insurance See Volunteer Essentials for up-to-date requirements ( Volunteer Tab, Volunteer Essentials) Groups/troops must purchase extra accident insurance: 1. For non-registered members to participate in a Girl Scout event. 2. When traveling three or more consecutive nights. 3. When traveling outside the United States Application for this insurance must be made with GSU at least four (4) weeks in advance of departure date. The Girl Scout Activity Accident Insurance, Basic Coverage, provides secondary coverage for accident medical expenses for members registered with GSUSA traveling to and from and participating in approved, supervised activities, including trips of two (2) nights or less. It does not duplicate medical-expense benefits collected under other programs, so after approximately $100 in benefits have been paid under this plan, the family s medical insurance takes over. If there is no family insurance or healthcare program, a specified maximum of medical benefits is available. Neither GSU and/or GSUSA assume responsibility for insuring members personal effects, including vehicles. Multiple Troops If your troop would like to rent camp along with other troops from your area, please contact the Outdoor Program Team (camp@gsutah.org) to discuss your options. Parking All vehicles need to be parked in the parking lots. No vehicles should be parked by the lodge or by the units; it blocks our fire lane and service vehicles. All vehicles must be backed into the parking space. This will help if there are mechanical problems with vehicles and will expedite movement of vehicles in an emergency. Phones There is a phone for emergency use only available in the Lodge Kitchen (back kitchen door will be open at all times during your rental). Most cell phones do not work at Trefoil Ranch. Some cell phones work at Camp Cloud Rim. 9

The site visit training takes only about minutes and can be done upon arrival. This training will be conducted by the Camp Ranger. Transportation See Volunteer Essentials for up-to-date requirements ( Volunteer Tab, Volunteer Essentials) Emergency Transportation The troop is required to have a car on site and accessible at all times for emergency use. Transportation Information to Families You must use the event release and permission forms found in your Volunteer Essentials Please let parents know the times of arrival and departure. Any motor vehicle used to transport Girl Scouts must be duly licensed, insured, safety-tested, and operated by an adult with a valid driver license. Vehicles must also carry appropriate insurance as required by Utah state law. When transporting Girl Scouts, use vehicles that are properly registered, insured, and operated by a GSUSA registered adult 25 years of age or older with a valid driver license and good driving record. Each passenger must have her/his own seat and use a seat belt. 1. If a group is traveling in one vehicle, there must be at least two unrelated, approved adult volunteers in the vehicle, one of whom is female, and the girl-volunteer ratios in Volunteer Essentials must be followed. 2. If a group is traveling in more than one vehicle, the entire group must consist of at least two unrelated, approved adult volunteers, one of whom is female, and the girl-volunteer ratios in Volunteer Essentials must be followed. Care should be taken so that a single car (with a single adult driver) is not separated from the group for an extended length of time. Use of 15 passenger vans are prohibited for any Girl Scout activity. However, 12 or fewer passenger vans are acceptable forms of transportation. 11

Since activity credits are in the form of paper and cannot be processed online, the process is more efficient through a paper registration. Before submitting this form, please contact the Outdoor Program Team (camp@gsutah.org) with the camp property and dates you wish to rent to check for availability. Once you have confirmed a date, complete this form and return it to the Council Resource Center along with your full reservation fee. A confirmation will be ed upon receipt of registration. Weather and Special Packing Considerations At Trefoil Ranch, the days are hot and the nights are cooler. At the beginning and end of the summer it may be quite a bit cooler at camp than in the Salt Lake valley. Camp Cloud Rim will, on average, be 10 to 20 degrees cooler than the weather in the Salt Lake valley. Afternoon rain showers are common. The mornings and evenings are cool, days are moderate and the nights are cold. The camp often has patches of snow on the ground through June. It is possible for camp to reach freezing temperatures at nighttime in June and August. 15
