1 Southeast District Summer Camp Registration July 4-8, 2016 Camp Information Enclosed is a 2016 SE District Camp Information for campers page that you should copy and give to every camper and adult interested in attending or serving in camp. The Registration Cost and Deadline boxes are left blank in case your church adds additional cost for transportation or desires to set an earlier deadline. Please fill in these boxes. Online Registration Registration for 2016 Southeast District Summer Camp will be completed online via the Lakeview Camp Registration System (LCRS) on the Lakeview website 2016 Summer Camp page at: Each camper s parent and each adult counselor must register individually on the website. Online Registration will close on June 3, After this date, the Local Church Representative must contact the Registrar or the Coordinator to inquire about the possibility of Late Registration. Local Church Representative online management access Each local church must designate a Local Church representative that will be given access to manage registrations from their church. The local church rep will have the ability to manage all those who have registered for a camp event and identified their church as their affiliate for participation. The local church rep can view, print, and manipulate registration data only from their church's participants. Part of the local church rep's responsibility is to ensure that adults/counselors are properly registered. This includes making sure there are enough adults/counselors to meet the camp required ratio of 1 adult to every 5 campers for each gender; securing the pastor's endorsement/sign-off; and confirming Safe Sanctuary training and background checks have been completed on all adults registered from their church. All Local Church login information from 2015 is still valid. If you need to register someone new or update your information, The Local Church representative must Mark Bunch, mbunch@stpaulfamily.com, with their name, church name, and phone number. Once this information is entered into LCRS, an access invitation will then be sent from the LCRS system. If you have questions regarding this process, please contact Mark Bunch via , or Registration Fees Each local church is responsible for collecting the registration fees and sending payment via church check to the Camp Registrar. Registrations will not be considered final until payment is received by the Registrar. Camper registration fee = $300 per camper registration fee = $200 per adult Scholarships We do have a limited number of half scholarships available for campers and counselors. If you have campers or counselors in need of scholarship assistance, please contact the Registrar for more information. To Complete Registration for your Church: 1. Have each camper s parent or each adult counselor complete registration via the LCRS by June 3, Review Registrations for your church via the LCRS System 3. Collect registration fees 4. Complete enclosed 2016 SE Camp Camper - Counselor Church Registration Worksheet or equivalent 5. Make one church check payable to Southeast District Camp for all camper and counselor fees 6. Mail payment and Registration Worksheet to: Southeast District Camp c/o First UMC P O Box 1570 Winnie TX All registrations from each local church will not be considered final until payment has been received. 2 Cancellations, Refunds, and Substitutions Immediately notify the Registrar of any cancellations. Refunds will be issued after the conclusion of camp (less a $25 fee) for all cancellations received by the Registrar by June 15, 2016 After June 3, 2016, Camper Substitutions may be made with the same age-level camper and gender. Contact the Registrar to request any substitutions. Counselor Requirements Each local church must ensure the appropriate numbers of counselors are registered. Each church must send one (1) counselor for every five (5) campers for each gender. Even if your church sends less than five campers, you will be required to provide one (1) counselor. Remember that the counselors must be the same gender as the camper(s). Thus, if you are sending 4 boys and 8 girls, you must send 1 male adult and 2 female adults. For smaller churches it is possible to partner with another church to help send your campers and meet the camper to counselor ratio requirement. Please notify the Registrar if you are partnering with another church to send the correct number of counselors. Counselors should be at least 21 years old. A person 19 or 20 years old may be allowed to come as a cabin counselor with the recommendation of the Sr. Pastor and consultation with a Camp Coordinator and the Age-Level Directors. Younger counselors will be asked to serve in the younger age-level camps (Elementary and Junior). Please recruit counselors who have a servant s desire to work with children and youth, who model Christ s love, who can enjoy the blessings of camp, and can serve as part of a team. Share the Counselor Covenant with any potential counselors and inform your adults that Lakeview is a smoke-free and tobacco-free environment. Safe Sanctuary Training & Background Checks All adults attending district camp in any capacity must be certified according to the Conference Safe Sanctuary policy. This includes completing the online Safe Sanctuary Training that now includes the required state Safe Camps certification. This training must be completed every two years. Information will be sent when the adult is registered. Each adult counselor must have had a background check completed within the last year. The local church is responsible for completing the background checks. Finally, their name must be submitted to the Annual Conference Safe Sanctuary Office once the training and background check is complete. Counselor Training ALL adults are REQUIRED to attend one of the Counselor Orientation & Training sessions: These dates and locations are still being finalized. Once they are set, this information will be communicated to churches and registered adults. We anticipate them being one being on a Sunday afternoon and one being on a weekday evening on different weeks. Please share this information for all adults registered from your church. s will be notified at this meeting or by the camp directors as to which grade level camp they are assigned. We will make every effort to honor the adult s camp preference, however camp assignments are NOT guaranteed and we need adults who will go where they are needed to serve, even if it is not their first choice. Please select adults that are mature enough to know that camp is not for them, but for the campers. Sunday Evening Please try to arrange it so your s can be at Lakeview on Sunday evening, July 3, rather than bringing campers on Monday. This Sunday night preparation is vital and we have discovered that adults have a much better experience when they arrive on Sunday. Give others in your church the opportunity to serve as drivers on Monday and/or Friday. Any further questions? 4 Important Camp Information Things to Bring... Bible, comfortable clothes, shorts, shoes and sandals (at least one pair of closed toed shoes), toiletries, pillow, bath towel, swim suit & towel, sleeping bag or bedding (twin), money for snacks & gift shop, sunscreen, fishing equipment, tennis rackets a good attitude! Refunds... Please have your church contact the Registrar by June 15, 2016, to request a refund. All refunds will be charged a $25 processing fee and will be issued after camp concludes. No refunds will be given after June 15, except for extenuating circumstances. Things Not to Bring... Electronic devices, ipods, ipads, tablets, etc. Mobile phones, water guns, water balloons, fireworks, a bad attitude or inappropriate clothing (see your church contact for the Camp Dress Code Guidelines). We are not responsible for items brought to camp. Campers will be asked to leave the above types of items in their bags or turn them into cabin counselors or Camp Directors. Late arrival or Early checkout... If you know prior to camp that your camper needs to arrive late or leave early, please have your church contact the Coordinator. Late arrivals and Early checkouts must be processed through the Camp Coordinators at the camp Staff House. For early checkout, picture ID of a parent or guardian and a note explaining the reason for leaving early will be required. Medications... All medication (Rx and OTC) must be turned into the camp director on the first day of camp. All medication will be dispensed at the infirmary by the camp nurse. All medication (Rx and OTC) must be in the original packaging and will be dispensed as directed. 9 Information About Medications Please give a copy of both sides of this form to your youth s parents/guardians so it can be included with any medications brought to camp. Parents need to complete the Medical Information form when sending any medications with their youth to camp. This includes any prescription or over-the-counter medications. All medications will be turned into and distributed by the Lakeview camp nurse. This form helps ensure that the camp nurse gives the proper dosage at the appropriate time as prescribed by the child s doctor. PLEASE NOTE 1. All medications must be in its ORIGINAL CONTAINER. 2. Campers MUST turn in their medications to their grade level camp when they check in on the first day of camp so it can be given to the Lakeview camp nurse. 3. 10 SOUTHEAST DISTRICT SUMMER CAMP COUNSELOR COVENANT Name: (please print) As a Counselor for the Southeast District Camp at Lakeview, I recognize that I am given a tremendous responsibility to help lead the youth entrusted to my care. Therefore, I covenant during the week of District Summer Camp: To set a Christian example at all times To follow the direction of the District Camp Leadership Staff including Coordinators, Directors, Deans, and Lakeview Staff To abide by all Conference and District Safe Sanctuary policies including the Lakeview "Standards of Conduct" policies To fully participate in all camp activities and follow the camp schedule, helping the campers to do the same To fully participate in all small group activities including worship, recreation, crafts, and studies To remain on the Lakeview campus during the week of camp, unless requested by my grade level Director to leave campus for specific purposes To keep my full attention focused on the youth entrusted to my care, remembering that camp is about the campers and not about me To remain in my grade level camp and not visit other camps without permission of the Directors in both camps To respect the personal belongings of others and to help the campers do the same To ensure that all personal medications are kept secure and non-accessible to campers To attend all training events provided by the District. 11 SOUTHEAST DISTRICT CAMP Guidelines for Special Needs Campers Dear friends, It has long been the goal of our Summer District Camps in the Texas Conference for every child or youth who desires to attend one of our camps to be able to do so and to have an enjoyable and very meaningful experience. We need the help of our local churches to ensure that this happens. Many youth and children attending our camps may be considered "special needs" campers - those who need a little extra help with fully functioning in our camp setting. Perhaps they need that special attention and assistance with mobility or with getting dressed or with their behavior. You as Pastor know whom these persons are within your congregation. We not only want them to come to camp, but we want them to have the same quality experience as everyone else!! To enable this to happen, we will need each church to send an extra adult counselor for each of their "special needs campers". This extra adult will need to be of the same gender as the camper and will reside in the same cabin as the camper. They will function as a "mentor and special friend" for these campers helping them to fully function and participate in our Summer Camp! These adults will also assist the other adult(s) in their cabin and in their Grade level Camp programs. By having an adult from their church with whom they are familiar and that is familiar with them, we believe this will better enable us to meet the "special needs" of these campers and at the same time ensure them and all of our campers a wonderful week of camp!! Also, it would be very helpful if you could let us know if any these campers who are taking medications will be "off" of their medications for the summer. Who falls into this category of "special needs" campers?? This decision will be left up to the discretion of each Sr. Pastor (reread paragraph 1). If you have any questions or need clarification and assistance with this matter, please call me as your District Camp Coordinator. Again, I want to stress that our goal is for every child who wants to attend Summer Camp to be able to do so and to have such a great time that they want to return year after year! 12 POLICY ON"SPECIAL NEEDS" CAMPERS It has long been the policy of the Camping Committee of the Texas Annual Conference that every child or youth that wish to attend one of our District Summer Camps be able to do so. It is also our commitment to see to it that every person attending a summer camp has an enjoyable and meaningful experience. Many youth and children attending camp may be considered "special needs" campers who need extra help and attention with fully functioning in our camp setting - persons who may need special attention and assistance with mobility, or with getting dressed, with staying on schedule, or with social skills. We not only want these persons to be able to attend camp, but we want them to have the same quality experience as everyone else. To enable this to happen, we will need the sponsoring church of these campers to: 1. Send an additional adult counselor to serve as a mentor for these campers. 2. This adult will need to be of the same gender as the camper. 3. This adult DOES NOT have to be a relative of the camper, but someone from the church who is familiar with the camper and their needs. 4. This adult will reside in the same cabin as the camper and be a part of any activities involving the camper. 5. This adult will need to be a member of the sponsoring church. 6. This adult will assist the other adult(s) in their camp, fully participating in their camp. 7. This adult will agree to follow Safe Sanctuary guidelines and is not expected to be one-on-one with the camper, but rather to assist the camper and other adults in their camp. 8. This adult will need to be someone whom the camper is familiar with and the camper needs to understand what the function of this adult will be. The Senior Pastor of the sponsoring church will be responsible for determining who fits this category and will be responsible for supplying these "mentors" for these campers within their church. As senior pastors sign all camp forms, they will be responsible for the actions of all "special needs" and their "mentor adults" while at camp. It is our belief that this policy will enable us to allow ALL children and youth to attend our summer camps and at the same time ensure ALL of our campers a wonderful week of camp. adopted by Texas Conference Camping Committee 09/02/ Special Needs Camper Policy (03/08)
13 CHARACTERISTICS OF SPECIAL NEEDS CAMPERS The most common "special needs" campers are those diagnosed with ADD or ADHD; however, persons who are diagnosed as bi-polar, ODD, PTS, FTT, and SAD may also exhibit similar behaviors as these disorders and are now thought to be related and to and have roots in common causes. In addition, because of their similarities most doctors are prescribing many of the same medications to treat these disorders - working for the most part by "trial and error". Campers who have been diagnosed with one or more of the above disorders may display any or all of the following characteristics: 1. Fidgets with hands or feet or squirms in seat constantly. 2. Has difficulty remaining seated when asked to do so. 3. Is easily distracted by extraneous stimuli. 4. Has difficulty waiting turn in games or group activities. 5. Blurts out answers to questions before they have been completed. 6. Has difficulty following through on instructions from others; fails to finish tasks. 7. Has difficulty paying attention to tasks or play activities for long periods of time. 8. Shifts from one uncompleted activity to another. 9. Talks excessively. 10. Interrupts people or butts in other persons' activities. 11. Does not seem to listen. 12. Loses things necessary for activities or everyday life. 13. Does dangerous things without considering possible consequences. 14. Needs lots of supervision. 15. Excessively runs about or climbs on things. 16. Is always "on the go" or acts as if "driven by a motor". 17. Often appears defiant to requests; responds better to being asked not told. 18. Often does not "fit in well with crowd"; prefers to be a "loner". 19. Very "moody"; often changes as quickly as a "light switch". 20. Needs LOTS of compliments; has very low self-esteem and self-image Characteristics of Special Needs
14 Southeast District Camp Camper Arrival and Departure Guidelines Please give a copy of these guidelines to any bus drivers, van drivers or any adult bringing campers to Lakeview on Monday or picking them up on Friday. Arrival Camp officially begins with ARRIVAL and CHECK-IN from 9:00 a.m. to 11:30 a.m. on Monday, July 4, Upon Arrival, vehicles and buses will be directed to go DIRECTLY to the various grade level camp areas. There will NOT be a centralized check-in as has been done in previous years. At each age level camp area, one adult should accompany the campers into the building to insure that the campers are properly checked into camp. Any adults serving as counselors who arrive on Monday with Campers will also need to check in at their grade level camp. If a camper or adult counselor has brought any medications (prescription or OTC), they must be turned in along with a completed Medication Information form when checking in at the grade level camp. The first activity for each grade level camp is lunch on Monday. Departures Camp officially ENDS on Friday, July 8, 2016, at 12:00 p.m. Departure before this time denies the camper and counselors of the full camp experience. Each camper must be checked out of their grade level camp before leaving. Each adult must also check out with their camp leadership before leaving. This verifies for us that all campers have left with their correct transportation. Any camper or counselor leaving before Friday is an Early Check-Out and MUST be cleared ahead of time with the District Camp Coordinator. An early check-out form will need to be completed and ID verified before the camper will be released. Please be sure your campers and adults are aware of these times to fully participate in camp SE Camp Arrival & Departure Guidelines
15 Driving Directions To Lakeview Directions from Dallas area: Take I-45 south to Fairfield. Take the Hwy. 84 exit. Turn left (east) on Hwy. 84. Travel about 25 miles to the intersection with Hwy. 79. Turn left (north) on Hwy. 79/84. Cross the Trinity River. About 1/2 mile past the Trinity River Bridge you will veer off to the right onto Hwy. 294 heading toward Elkhart. (There is a green highway sign indicating that Lakeview is this way). Travel about 6 miles to the Lakeview entrance on the left. Directions from Houston area: Take I-45 north to Buffalo. Take exit 178 for Hwy. 79. Turn right (north) on Hwy. 79 heading toward Palestine. About 30 miles down the highway you will cross the Trinity River. About 1/2 mile past the Trinity River Bridge you will veer off to the right onto Hwy. 294 heading toward Elkhart. (There is a green highway sign indicating that Lakeview is this way). Travel about 6 miles to the Lakeview entrance on the left. Directions from Tyler area: Travel on Hwy. 155 south to Palestine. At Palestine, turn left on Loop 256. Take the Loop to the south side of town (continue past Wal-Mart). At the intersection of FM 322, turn left (between Ryan's Steakhouse and Palestine Regional Medical Center.) Travel about 8 miles to the first stop sign which is at Hwy Turn right on Hwy Lakeview's entrance is about 2.5 miles down the highway on the right. Directions from Southeast Texas area: Travel north on Hwy. 287 to Elkhart.
