Apologies Joe Plant. 2. Minutes of the Management Committee meeting 5 th February 2014 The minutes were agreed correct, to be put on the website. 3. Matters arising from the minutes a) Gate plaque is fixed. b) Audience Development Plan has been updated & sent to & MS. A few suggested changes have been made. To re-send. c) Water & electrical work the water pipe goes through tree roots. Needs digging out and diverting. d) YBS match funding sent & received. Also spoke on phone. e) Cleaning the play area to trial SBC cleaner with pressure washer. f) South Seas Garden interpretation board with Marcus. g) The Bloom celebration board no progress. To follow up. Agreed to put the first, unusable board on the office wall. /KW

2 h) Visit of Whitby Naturalists Saturday 10 th May. i) Community Garden signs to liaise with Robert Lammerton j) Tree trail leaflets have arrived Leaf etchings for rubbings are ready for production at WCC Agreed to provide blank paper and wax crayons k) January Open Meeting, Assistant Operation Officer s report received. Minutes put on website subject to confirmation. 4. Communication reported A volunteer gardener at Newby Hall is researching Kent & Brydon. Referred to TGP & Anne Dennier. Love Parks Week no event this year as Pannett Day moved. Decision to enter volunteer gardening as an event, for publicity. Gardening for Disabled newsletter received. 160 likes on Face Book. Book voucher for 10 received for entry in Then & Now photography. All agreed this should be used for a book for the park library, to help training. Top up from training budget if necessary. Chair letter to ME re possibility of applying for proceeds of crime money to improve CCTV coverage. Letter to re state of FPP 1,000 hours tree. A replacement tree was planted today. congratulations card to JP on being elected deputy Borough Mayor. of thanks. MS informed of decision on questionnaires - Contact from Roger Allport checking we are happy with plants. 5. Treasurer s report AN reported in account reimbursed HLF money YCH grant application all agreed not to apply this year Homebase Community Fund to investigate Agreed to ask Chris Hunter to audit FPP accounts No reply to application to Mayoress fund to follow up. 6. Assistant Operations Officer s Report reported - Apprentice - Richie continues to do very well at Askham Bryan College, achieving 100% in a recent plant id test. A copy to be sent to WTC as they are sponsoring him. All agreed money from the HLF training budget be used for some additional courses for him, spraying, ride on mower & chain saw. Approximately 800. 3 HLF spend - 63,980 remains to be spent in the next 4 years. Some of this is divided between the 4 categories; training, advertising, events, interpretation. Proposals the horticultural sub group come up with ideas for the completion of the South Seas Garden. Important to work with local schools & link to Education. to develop the roundabout at the top of Chubb Hill as publicity for the park, museum & art gallery. Suggested a Jurassic sea bed with giant ammonites. To consider signage at the entrances to the town, in conjunction with Bloom. Harry Eatough bed planted with floribunda roses. Waiting for information from the family. Plaque will be needed. Problems obtaining replacement keys for the litter bins as incorrect, internal security locks had been fitted. Situation re damage to the main drive caused by Lawson s, contracted by WTC to clean museum gutters is with highways. There was an agreement that any use of equipment around the museum building should be discussed first with. This had not happened. To investigate specifying exactly what vehicles/equipment can enter the park. To contact SBC legal dept. Trees - Five Prunus Kanzan bought from Sainsbury s match funding were planted today, with a photo shoot. FPP 1,000 hours tree has been replaced by SBC. Investigate the possibility of a bowser for watering remote area of the park. To arrange a walk round the park for interested volunteer gardeners to identify signs of a healthy tree & potential problems. SBC should be doing annual tree inspections is this happening? To check. Lily Pool lighting the problem is being investigated by SBC technical services, Martin Asten. The pool lighting is very expensive drive lighting, only submersible for 30 minutes. The units are sealed & bulbs can t be replaced. The spring bulbs are coming up well. Grass cutting will be starting soon. Aucuba & holly below the Jurassic Garden is suffering from the cold & wet, possibly as a result of changed water flow when the Jurassic garden was built. One person has showed interest in the health walk, but doesn t want to be the only one. Visit to Holmestead Park, York, to be arranged. Community Education have requested an Art in the Park event for adult learners week.

4 7. Health & Safety High Vis vests have been ordered via Sheila Johnson. Not received to follow up. Recent training suggests anyone working near a highway needs a full sleeve high vis vest. To investigate further. 8. Horticultural sub-group Report reported Juniper Blue Arrow purchased & planted in entrance bed. There is a problem with badgers digging up bulbs in the peony steps area bed & twin rockeries. The privet hedge has been gapped up. Rosa New Dawn are now established on the museum terrace so there is the opportunity to introduce climbing plants among them. Following a training exercise clematis Niobe was selected. Areas for wild flower seeds have been sprayed off. Community garden- As Janet no longer works for Milewood Healthcare it seems unlikely they will have a bed. Church of the Latter Day Saints have been to the park several times but not made contact with Chris. Richie will have one of the beds 9. Maintenance Plant supports for the Gardener Bed metal has arrived needed for May. Lamp post to be painted OK to go ahead Wire and staples for plant supports for pergolas & walls has arrived. To be fixed during March. Old metal seat fixing behind seat below Community Garden removed. Plank has been replaced in damaged seat. Picture hangers in art gallery shortened, joint working 10. Open Meeting 30th April, 2 pm. Reports needed from &. All agreed it would also be good to have a volunteer gardener s report at every meeting. Police to be invited. Publicity / LS 11. Publicity 10,000 Park leaflet reprint arrived. Harry Collett will distribute 4 boxes to members of WDTA. ME will take 2 boxes to the leaflet exchange at Eden Camp. has taken leaflets to TIC, both Whitby & Scarborough Other leaflets to Perry s, Victoria Farm, Coliseum, Leisure Centre, Spa, Library Whitby Advertiser article is complete. All agreed it should also contain an element of recruitment. LS

Yorkshire in Bloom The entrants seminar for 8th March has been postponed. We have not received any information about judging but Whitby in Bloom have shared their information. There will be no spring judging this year. Our judges are Peter Oddy & Stuart Elwin, from Halifax. AS will work on a plan for the day. The park entry on the website is complete any suggestions for changes? Portfolio is progressing thanks to lots of help. A month by month look at a year in the park. Quote requested from Print plus for extra publicity copies. WCC will do judges copies. All agreed to offering last years spares to volunteer gardeners. 13. Mulgrave Castle Open Day Sunday 10th August. Regatta programme advert circulated & agreed Paper cups on sale or return negotiated Pam, cafe, sorry she will be away but will make fruit loaves for produce stall. 13 Friend s events in the park NYCC Rotters have confirmed Easter & Pannett Day Easter 2014 Tuesday 15th April ideas have been circulated. Peek s prizes ordered. Small chocolate eggs as prizes for egg rolling & egg hunt purchased. Photocopying arranged with WCC. Egg hunting sheets sent. Walter will run a plant stall. Book stall LS Games Bloom invited will do drawing competition Church group will be there weather permitting Planning meeting Tuesday 8 th April, after breakfast. Pannett Day, Wednesday 27 th August. Poetry competition joint project with art gallery

6 14. Friend s social events Breakfast in Park cafe suggested. Full English or bacon buttie. Vegetarian option? Tuesday 8 th April 9 am. Pam is happy to start early.
