Apologies Chris Roe, Kath Horsley, Joe Plant 2. Minutes of the Management Committee meeting 6 th August 2014 The minutes were agreed correct, to be put on the website. 3. Matters arising from the minutes a) Water & electrical work CR met with Adrian Hill, SBC, on Monday. With John Woodhead, to get Nobles in to do some of the work. b) Cleaning the play area SBC have been trialling some of the new cleaning products used on play areas at various sites in Scarborough, with some poor results. Helen Percival is taking this matter to the Yorkshire playgrounds steering group to seek further advice. Also advice on chewing gum removal. c) Pool lighting with SBC. If no progress by next meeting to send letter to SBC. d) No public parking sign the plan to put a temporary sign was over ridden by SBC. CR met with Kimberley Hudson, SBC legal dept. She is investigating the responsibility of SBC for parking, in the lease. No reply from WTC to the proposal for new signage. e) Trustees meeting sent to chair of trustees & WTC requesting a meeting & emphasising it is a requirement of HLF. No reply. f) Plaque for Harry Eatough bed is in place. Suggestion that the corners of the stone could be softened.

2 g) Letter sent to Lit & Phil committee with copies to chair, trustees & Keeper, expressing concerns re good partnership working. Paul Thompson, SBC, has been informed & Kimberley Hudson, SBC legal dept, is investigating arrangements relating to Anne Denier s book. h) 2 trowels received & 3 on the way from the Halifax. 2 pledges registered for prize draw of 250. i) 150 trees requested from NCVO. 4. Communication GW Geologist from Canyon City, Colorado wants to replicate our Jurassic Garden path & planting at Fremont Campus, Canyon City. Information sent. Whitby Whalers request a guided walk in June To get back to us in spring with a date in May. Facebook 219 likes Website hits in august 1147, 75% new. Thanks from RB & LW for gift RB to CR re concerns over litter in the park at weekends LW - Thanks from Rotters & Whitby Naturalists for invitations to Pannett Day. Also Joy Huish, complimenting the Friends on Pannett Day 5. Treasurer s report AN reported in account. 10 book token still to be spent. Mulgrave Open Gardens made 1375 profit Cheque for paid to Whitby in Bloom. Thanks from Bloom for FPP looking after the finances. Pannett Day made a profit of Assistant Operations Officer s Report CR provided a written report - August has been a cooler month, work continued, the bedding was reviewed by both Keith and the horticultural sub group with all views being fed to Steve at Manor road. I had a meeting with Kimberley Hudson at SBC legal department regarding both Car park issues and the proceeds of Anne Denniers HLF funded book, the main problems being:- Non park users parking spaces. SBC(parks) staff authority to enforce the proposed new sign Whether the lease covers the Car parking problems If there is an agreement where the profits from the book offset the use of the Normanby room.

3 The Parks team had an enjoyable training day at York where we had a walk round Both Homestead park and New Earswick sites. This proved a most useful day with both teams gaining some useful links and hopefully some good friendships were forged. I met with the family of the late Mrs Jameson to discuss the possibility of a donated tree in memory of their late mother. The location preferred was just behind the seat in the outdoor classroom area and I have ed them with a selection of species that would be suitable for the area (this was taken from the list created by the Horticultural sub group) These are :- Koelreuteria Paniculata Zelkova Serrata Robinia pseudoaccacia Frisia Cercidiphyllum japonicum Davidia involucrata Prices sent to family. Discussion as to whether the Outdoor Classroom area is the best place for the tree as other trees have not thrived there due to the dry conditions. List of trees & suitable areas is needed. Suggestions are needed for a suitable area, preferably near the Commemorative Garden, for some snowdrops to promote the snowdrop appeal. We will have both family and people from the appeal to help plant them in March. 75 per thousand, in the green. Decision to purchase 1,000 using the 50 donation from Beacon Farm & the donation from LS. Possible areas inside the stone circle or around the base of the arches. Possible purchase of more snowdrops if necessary, to discuss at next meeting. Ideas please as to the best place to plant them. The courgette plants for the children s competition suffered due to football damage & none have survived. The dahlias in the bed have done better but there is concern they do not receive enough sun against the north facing wall. The Horticultural sub group have been considering planting tough & prickly shrubs against the two walls to discourage football. There is interest in having some Folk Week activities in the park next year. One suggestion was a dance workshop in the Community Garden. Will need planning with SBC well in advance. When will recruitment for the new apprentice start? Richie finishes in July. 7. Health & Safety CR will be doing the tree inspection in September. He is devising a method of recording the inspections & will pay particular attention to trees mentioned in the original tree survey as needing regular checks. The hammock from the play area has been repaired. There is serious concern about the increased volume of traffic in the park. It is not only parking but also people being dropped off. Particular concern as the cars are driving past the play area. There was a suggestion that

4 signage should be No public vehicular access 8. Horticultural sub-group Report GW reported Herbaceous borders have been reviewed & areas for improvement identified. Some plants can be lifted & divided but some new plants will also be required. All agreed that the money raised at the Mulgrave open gardens should be used for a specific project. Discussion followed & there was general agreement for this to be in the area of the old cottage. Suggestions included * a cottage garden, although this was felt to be too high maintenance * work on the Garrya eliptica bed, leaving the green space * ruins to represent a corner of the cottage * include a garden path * larger than life spade with robin Whatever is decided the yew trees need reducing to let in light 9. Maintenance Teak oiling programme needs planning. Kupe to be reviewed in spring Bin locks 6 additional keys have been purchased, 48 Sign in bottom corner of park has been cleaned & touched up. Damaged letters need repairing. Ramp for newts in pond when it is drained in winter The varnish on the benches on the terrace is peeling. To be re-varnished during the autumn when the park is not quite so busy. Unravelling rope at the play area entrance needs whipping. 10. Publicity Reprints of Figure your way round the park & Turtle Trail leaflets are at Chomley Way. There will be a notice board & possibly leaflet stands at the park & ride. To use for publicity 2015 GW prepared a display featuring the Commemorative garden & poppies for the event focussing on World War One on 18 th August arranged by HB. This then went on display at Whitby Library. The display in early August at the TIC created a lot of interest. We have been offered display space at the TIC again. Discussion took place about the possibility of producing some panels with general information about the park, perhaps based on the general park leaflet. Pull up panels were also considered. To investigate costs. It was agreed the Joint poster needs bolder lettering for next year.

5 Article with photograph in Whitby Gazette for Tree Trail launch. 11. Yorkshire in Bloom & Green Flag Results September 16 th, York. Tickets received KW, GW, RW, AN. Additional ticket for Richie offered & paid for. Stand to promote the park arranged. Invitation to Scarborough in Bloom celebration evening received. 24 th September, Ocean Room, Spa, 6.30 pm. No-one is available to go. Invitation to Whitby in Bloom presentation evening, 1 st October, Bar 7. Points from the Green Flag judges about the Park Management & Maintenance plan to be addressed in October. Whitby expect to represent Yorkshire in Britain in Bloom in There was discussion about whether the park should be entered in Yorkshire in Bloom as this would be judged in July & the Nationals in August, creating a lot of extra work. Decision at a future meeting. 12. Friend s events The open garden afternoon at Mulgrave Castle went really well. The original date of 10 th August was changed to 17 th August due to torrential rain & strong winds from hurricane Bertha. RB & AS sent a letter of thanks to Lord Normanby. All other thanks sent. Any debrief comments to RB. Discussion followed as to whether we wanted to request another open garden event in All agreed to requesting one. Pannett Day, Wednesday 27th August, went well. Lovely sunny day with lots of visitors, although less than last year. Letters of thanks sent. The custodians were happy with the toilets being checked by FPP. PNSA play was appreciated by a young audience. Halloween SBC staff finish at 12 on Fridays but KW & RS have offered to stay on to help. CR has agreed to this. PNSA have suggested a spooky walk. Needs further discussion with CR. Open meeting, 12 th November decision to ask to hold this in the Staithes Room. The time could be later if necessary. Christmas - letter needed to Lord Normanby requesting tree Dates for 2015 suggestions circulated based on last year s dates. Halloween falls on a Saturday, should we move the event to mid week? Decision at next meeting. 13. Friend s social events Breakfast in the park Tuesday 21 st October, 9.15 am. Christmas lunch museum café 10 th December, 2 pm prior to switching on lights on tree

6 October Rusty Shears 14. Any other business The Antiques Road Trip will not now be filming in the park on 14 th September. A resident has commented that there are few song birds in the park. Suggestion that they look at bird list on website. Letter needs sending to WTC relating to use of coffee machine for volunteer gardeners. Date of next meeting - Wednesday 1 st October 2014.
