Minutes of the Management Committee meeting 1 st November The minutes were agreed correct, to be put on the website. 3. Matters arising from the minutes a) CTV cameras with SBC. b) Stone pillars for Chubb Hill entrances work starts 12 th December. c) Time line cleaning & new stones with SBC d) SBC are investigating repairs to the structure of the Mayflower. e) Compass rose in commemorative garden CR & RB met Paul Buck & Angus (Wilf Noble) Info requested on original supplier of stone. f) Children playing sign for drive received from Vinyl Signs g) Missing pear from new arch has been replaced. h) Defibrillator for the park JP suggests we apply to his Locality Budget for 1000 towards this. Also possibility of funding from Lions. i) First aid training February j) Captain Cook clock banner is ready for printing k) Clock celebration board design circulated all agreed l) Bagdale notice board locks to replace m) Wisteria support to build ready for planting in the spring n) Great British Spring Clean Tuesday 6 th March. Area to clean to be decided. 4. Communication LW JRHT invited someone from FPP to go to their inaugural friends meeting, 6 th November. Unfortunately no-one available to help, reply sent. sent to CR expressing our concerns about the pink cpmedia signs on the Chubb Hill roundabout. Forwarded to NYCC. Request from WTC to borrow FPP tables & chairs for Christmas Festival, agreed & for help stewarding the lantern parade, 4 volunteers. Invitation to opening of exhibition in Art Gallery Sea around us. Phone calls to Sophie in the Mulgrave Estate office re Christmas tree.

2 Acceptances to switching on tree lights. Thanks from Friends of South Cliff Gardens & Friends of Morpeth Floral Clock, for visits to the park. TCV asking us to re-join, 38. Decision not to. GW Request from Norman Pannett, Western Australia, for a copy of Anne Dennier s Book, sent. Two positive comments on the play area. relating to visitors delight with squirrels. CR Contact from a possible volunteer in the park but living in Scarborough so directed to Scarborough group. 6. SBC Report CR The brown bins in the Community Garden have been removed. One green & one blue will remain. The additional green bins in the play area have been removed for the winter. A review of bins is being undertaken with most needing attention. Use will be checked & re-positioning considered if appropriate. In particular the bin which features in photos of the clock will be moved if possible. Plans for the Little Free Library in the Community Garden have been circulated. We have been awarded 300 from the Aviva Community Fund towards this project. Decision to have doors hinging at the sides, possibly with a catch. All agreed to progress the idea & pay for the remainder of the project from HLF funding. Quote received from JCF for approximately 600. Poetry in the park ongoing project for the winter. The Friends of South Cliff gardens visited the park on Wednesday 8 th November, & The Friends of Morpeth Floral Clock visited the park on Wednesday 15 th November. Both visits went very well, lunch in the Tea Room was excellent & both groups were very appreciative. There has been an article & photo in the Morpeth herald, giving us good publicity. The cottage area project is progressing with foundations dug awaiting concrete delivery tomorrow. Gill & Ron s Katsura tree will be planted next week. The parade for the Winterfest will start at the park on Friday 1 st December, 6 pm. CR & RB plan to meet on the Monday before MC meetings. 7. Health & Safety The new fence in Little Park will have cross pieces when completed. There is a hole in the tarmac path between Jubilee Gate & the car park. Spirogyra has been removed for repair. Sharp metal bits on the climbing ropes have been taped up.

3 8. Horticulture 1000 Narcissus actaea donated by WT were planted in Little Park. Narcissus Mount Hood & Narcissus Carlton were planted on the banks. Hyacinths were re-planted in the spring bedding. U3A have purchased a Euonymous alatus, planted on St. Hilda s Terrace border. They would like a photo opportunity, perhaps when they visit in May. A Ginkgo & a Pinus in the Jurassic Garden have been moved. Report from the Horti sub meeting a) South Seas Garden - suggested planting, Plumbago, White Nerines, small Hebes, Caryopterius, bronze grasses. b) Missing tree on Kebble Homes side of half moon to be replaced by a white cherry. Half moons are to be sustainable planting with ferns providing a link to the Jurassic Garden. c) Planting behind Oak shelter at Lily Pool - Golden yew may revert back to green due to lack of light. Suggested Mahonia and Variegated Holly. d) Spraying Union steps rockery continues. e) Macrocarpa near the Floral Clock to come out and let the Oak develop. Macrocarpa by the Green Man needs taking down. All agreed to investigate carving as May Queen and to use funds from the HLF Art budget. Ash trees in bottom Bagdale border need to come down, dependant on a bat survey. Macrocarpa by Bagdale entrance needs reviewing with possibility of this being used to carve 'Pannett Park' into the trunk. f) Community Garden - decided to go with Dahlia mignon again, unless a different citizen science project is suitable. Red kale taking off and leeks are doing well. g) Suggested leaving a smaller section in the middle of the grass banks uncut as Weeds are becoming a problem. h) To investigate compost for the rose beds. Lonicera in Community Garden not doing well, to be monitored. Replacing Cyclamen under the Holly was discussed but there is a squirrel problem. The dry shady bank at Lily pool is a problem. KW has drawn up a plan of which roses need replacing in Harry Eatough bed. NO WALK ROUND PARK DUE TO WEATHER CONDITIONS Next meeting 6th February Maintenance Ladder stabilizer brace, not approved by SBC Health & safety. WT will clean bird boxes.

4 Work starts on the new museum air con units on 4 th December. RB is working with Alison Roberts & Hazel Wright on suitable screening of the units. RB repaired the leaking WTC coffee machine. The white background for the numbers on the clock face needs attention. To investigate alternative materials, metal or stone & circulate ideas. Experiment with the gravestone cleaning solution as an interim measure. To follow up with the company who provided the original as they had told us they would investigate. 10. Publicity Ideas needed for an image for the advert in the WADS programmes Thanks to be sent for the free ad in the November programme. All agreed to an advert in the Park & Ride bus for Ideas needed for an image. Suggested it should be the same as the WADS ad. Request via website for information & photos for a leaflet on sustainable transport for occupants of Chancel Meadows houses. Charlotte Best. Sent. Welcome to Yorkshire ST has arranged for us to send some photos & information Discussion on what to send. Decision not to advertise on the new Welcome to Yorkshire digital screen in Station Square, it is very expensive. Facebook Likes Max. post reaches 553 for lantern parade 3 x 5* reviews, Tripadvisor. 2 x 5* reviews Lovely & well kept, Nice clean park Google 12 x 5* reviews, 2x4*, Also 1x3* & 2x2*, because no dogs allowed. Decisions for JMG meeting, 18 th January a. The eye catcher boards will not be moved or enlarged b. There will be a park ad in the park & ride bus with text as before c. The park will not be joining Welcome to Yorkshire d. Lamp post banners should be spread further out from the park than CP suggests 11. Yorkshire in Bloom & Green Flag Green Heritage Site Award contact MS to see if he needs additional information. Portfolio/diary will be portrait. Green Man photo for front cover, ideas needed for back cover. 12. Treasurer s report AN reported in the bank. All agreed to renewing FPP insurance through RHS, 180. Agreed to donation of 15 to St Mary s Church Christmas tree festival.

5 13. Friend s events The switching on of the Christmas Tree lights, Wednesday 6 th December. Lord Normanby will provide a tree. Wilf Noble will collect 5 th December & the lights to be put on in the afternoon. Invitations sent for mulled wine & Christmas cake. St Mary s Christmas Tree festival FPP tree entered to be erected 30 th November. New silver & gold gardeners made. Preview & carols Saturday 2 nd December events booked with SBC & SJA. Paperwork in events file in office. Cloakroom booked for actors. Previous contributors informed of dates. NYCC Rotters available. Normanby Room booked for open meetings & AGM FPP ecard list circulated & amended. Card design agreed. Clarification is needed about reports for open meetings. All agreed to 6 monthly volunteer gardeners reports for March & October open meetings, with a brief annual summary for the AGM. Open meetings to be 6 monthly reports from SBC & FPP to cover all aspects. AGM to be an annual summary of these. Management Committee meeting minutes to be presented at open meetings, not AGMs. No separate reports for different aspects such as publicity, events, horticulture etc. 14. Friend s social events Christmas dinner at the Penny Hedge, Tuesday 5 th December is booked. Orders & deposits. To eat at 7 pm. Breakfast at the Penny Hedge after Christmas tba. 15. Any other business We can apply for funding to the Mayoress Community Fund. Forms needed. Suggestion a light wheelbarrow would be useful. New data protection regulations come into force in May.
