3 Reserve Pilot Scheduling This guide includes a summary to assist Reserve Pilots with Master Schedule, Assignments, and tools available to assist with planning. Please refer to the Flight Operations Manual and UPA for most current information. Reserve duties are categorized as short call, long call, or field standby. The following restrictions apply to all categories of reserves. See the UPA for additional requirements. On the last day off prior to a reserve period, check for new assignments after 1800 and acknowledge any awarded assignment by 2400 via CCS Pilot Check in (Scheduling> Pilot Check In) or by contacting crew scheduling. For FAR 117 duty purposes, and on an interim basis, this requirements it regarded to have been accomplished at 2400 (1800 once an automated process is developed). On each subsequent reserve day, recheck the Master schedule for a potential assignment after Scheduling is not required to contact Reserves who receive assignments prior to 1500 for the following day. Once released to an assignment the pilot is in rest and is no longer required to remain phone available. Trips awarded to reserve pilots, including through aggressive pickup, may be picked up by a lineholder. A reserve who wishes to fly the assigned trip may designate the trip as Unavailable to line holder pickup by contacting crew scheduling. If the trip is not designated as Unavailable, check the schedule 15 hours prior to departure to determine if a line holder has picked up the trip. If the trip is picked up by a lineholder, the reserve pilot reverts back to long call status. 3
4 Reviewing the Reserve Master Schedule Step Action 1 Begin by navigating to CCS. 2 View Master Schedule. Select the Scheduling Tab>Master Schedule. All assignments, including long call, short call, field standby, flight assignments, and days off will display on the Master schedule. 1. HDO Holy Day off: A reserve day off that may not be disrupted for the assignment of a trip 5-E-6-b. 2. CL11 Short call assignment beginning at 1100 and ending at Trip assigned E5A3PD 1340 report time. 3. LSR Long Call reserve must be phone available 24 hours a day until assigned a trip, short call, or field standby. 4. CL10 Short call assignment beginning at 1000 and ending at LSR followed by short call assignment LSR with an end time of Rest begins at 1915 so that the pilot begins the next short call assignment at 0600 with a minimum 10 hr rest period. 6. FDO Flexible day off: a reserve day off that may be disrupted for an assignment. 4
5 3 View Master Schedule. Some additional codes: 1. SLSN Sick Leave Short Notice: sick call after trip assignment 2. SKLV Sick Leave 3. MSG Crew desk has a message for the pilot. The pilot is not required to call in, but can check his schedule for potential changes or contact the crew desk for further information. 4. VAC Vacation 5

If a reserve aggressively picks up or is assigned a trip, they must call the crew desk to mark the trip as unavailable for pick up. For additional codes, please refer to the Scheduling User Guide located in CCS View Current Trip (ID or Pairing) Select the Scheduling Tab > My Schedule. All assigned Trips display. Click the current pairing to display details. To Print, select CRTL + P. Flight Information, Crew List, and Hotel information can be found in the Trip detail by clicking on the flight number. Select the Schedule located in the Help tab for additional information or Flying Together > One United > CCS training materials > Scheduling > Scheduling Menu 6
7 Review Reserve Availability - FIFO List The FIFO First in First Out List is still under development. As IT makes improvements, the FIFO list will provide additional information. Pilots will be sequenced based on criteria defined in the UPA. Step Action 1 Begin by navigating to CCS. 2 View Reserve Availability menu. Select the Trading Tab > Reserve Availability. Request Date Enter the date in the format DDMMYY. Class Enter P for Pilot. Base Enter the 3 letter code for the Base. Equip Enter the equipment type. Pos Enter the position, either CA or FO Enter the appropriate criteria and click the Enter key. 7
8 3 View Reserve Availability FIFO list 1. EMP NUM Employee number of pilots on reserve. 2. Name Name of pilots on reserve. 3. RS TYPE Reserve Type (e.g. number = call time, L = long call, F = field standby) 4. Legal to Report this field is under construction 5. SHORT CALLS number of short call assignments this month 6. NEXT SCHED next scheduled assignment 7. ST DT start date of next scheduled assignment 8. AV DY number of available days 9. F + NF Flying + Non-flying credit. 10. WAIVED noted if CAP is waived. 8
9 Review Open Trips To Review all open trips, you must review Real Time Trip Trades. Real Time Trip Trades is the only place to see all open time. Other trip trades, Seniority and Reserve Aggressive Pick-up, allow only trips that are eligible to be reviewed. Step Action 4 Begin by navigating to CCS. 5 View Open Trips. Select the Trading Tab > Real Time Trip Trades. 1. Date Range Enter the date in the format DDMMYY. 2. Pairing Days Min and Pairing Days Max select, or leave blank to view all trips 3. Base Select base from the drop down menu. 4. Equipment Select equipment from the drop down menu 5. Position Select position from the drop down menu 6. Click Display Pairings. 6 View Open Time Click on the Pairing number to view trip details. With detailed Pairing information displayed, click on the flight number to see Crew List and Meal information. 9
10 Reserve Aggressive Pick-Up (20-K-8) Refer to the UPA section 20-K-8 for more information. Reserve Aggressive Pick-up is designed to allow Reserves to pick up open flying beginning at 1100 the day prior to the scheduled report time of the Trip. A reserve may pick up an assignment that has the same number of days, or the same number minus 1, as the number of reserve days he has before his next scheduled unavailable days. Only trips that are available for pick up will be displayed. Once a trip has been picked up, if you would like to make it unavailable for pick up by a lineholder, you must notify the crew desk no later than 15 hours before the report time of the trip. Step Action 1 Begin by navigating to CCS. 2 View Reserve Aggressive Pickup. Select the Scheduling Tab>Reserve Aggressive Pickup. Only trips that you are contractually eligible to pick up are displayed. You may pick up a trip that is equal to the same number of days available, or available minus 1 day. 1. Reserve Status Today your current reserve status today. 2. Reserve Status Tomorrow Your current reserve status tomorrow. A means you are long call reserve. B means short call reserve. 3. Days available current number of days remaining in your current reserve block. If you are a long call reserve today, your available days will not include the current day after Equipment Your current equipment (cannot be changed). 5. Base your assigned base (cannot be changed). 6. Position your current position (cannot be changed). 10
11 7. Trips can be sorted by selecting choices from the drop down windows. 8. By placing a check mark in Desc, the order will be reversed. 9. Click Sort 3 Pick Up a Trip during Aggressive Pickup 1. Click the blue pairing number to view pairing details. 2. Click the radio button on the left side of the pairing number of the trip you wish to pick up 3. Click the Pickup tab Confirm the assignment on your Master Schedule. Note: FAR legality and other contractual issues are only checked once you click Pickup. A trip displayed on this page is not a guarantee that it is legal for pickup. 11
12 Reserve Schedule Modification (5-E-8) Refer to the UPA section 5-E-8 for more information. After Monthly Scheduling Preferencing, the company may solicit volunteers to convert RDO s (regular day off) or HDOs (holy day off) to CDOs (converted day off may be disrupted for a trip assignment). The day or period of days must immediately follow a period of reserve availability but may not follow a period of six days of reserve availability. Each converted day shall increase the reserves MPG by 1 hour. A reserve pilot may also convert a reserve day off to a VDO (voluntary day off may be disrupted for a trip assignment, field standby, long call or short call assignment). If the Company disrupts the VDO, the Reserve shall receive 50% add pay for all scheduled flight time and deadhead time on and after the VDO through and including the day the trip ends, with a minimum Add pay of 2:30 per disrupted VDO. Step Action 1 Begin by navigating to CCS. 2 View Reserve Schedule Modification. Select the Scheduling Tab>Reserve schedule Modification. 3 The Reserve Schedule Modification Screen displays. Only days OFF that are available for conversion will be selectable. To convert to a CDO, select the box on the left. To convert to a VDO, select the box on the right. 12
13 4 When choices are complete, Click Save All. Verify the message Changes Saved/Updated Successfully at the top of the screen. 5 If the pilot returns to this screen while the modification window is open, a message will display Last Changes were Made. 6 Assignments will be made no later than 3 days prior to the beginning of the Bid Period. Confirm any assignment changes on your Master Schedule. 13
14 Reserve Assignment Pick-up Reserve Assignment Pick-up is designed to allow Reserves to pick up field standby or short call assignments beginning at 1100 the day prior to the scheduled report time of the scheduled report time of a Field Standby assignment, or the scheduled start time of a Short Call assignment. Step Action 1 Begin by navigating to CCS. 2 View Reserve Assignment Pickup. Select the Scheduling>Reserve Assignment Pickup. The screen will display the Assignment date, Base, Equipment and Position. This information cannot be modified. Select the Type of Assignment, Short call or Field Standby. Only assignments available the next day will be displayed. 1. Confirm the Type of assignment (Short Call or Field Standby) 2. Click Select to pick up the assignment 3. A message will appear to ask if you are sure you want to pick up this assignment. Click OK. A red message will appear stating the assignment. 14
15 Confirm the assignment on your Master Schedule. FAR 117 Flight Duty Period Flight Duty Period (FDP) A duty period that begins when a pilot is required to report for duty with the intention of conducting a flight or series of flights and ends when the aircraft is parked after the last flight with no intention for further aircraft movement. A flight duty period includes duty by a pilot that occurs before a flight segment or between flight segments without a required intervening rest period (e.g. Dead head flight prior to a flight segment). FDP do not include debrief (15 or 30 minutes), thought the CCS display of Duty does. Reserve Periods LONG CALL RESERVE All reserve duty begins as long call reserve unless the pilot is awarded a pure short call line, or is assigned to (or picks up) a short call reserve or field standby assignment. While on long call reserve status awaiting a potential assignment, reserves must remain phone available 24 hours a day. Trip assignments must be made at least 13 hours prior to the departure time unless waived by the pilot. 15
16 SHORT CALL RESERVE A Reserve Availability Period (RAP) shall not exceed 14 hours from the beginning of the start time established by crew scheduling. A pilot should be available to receive an assignment during this time. Once awarded a trip, the flight duty period and time spent in the RAP may not be scheduled to exceed: Note: The maximum FDP is determined by the report time for the trip. Unaugmented Operations The lesser of the maximum flight duty period in Table B plus 4 hours, or 16 hours measured from the beginning of the RAP. Augmented Operations The flight duty period in Table C plus 4 hours, measured from the beginning of the RAP. (UPA) A short call reserve must be able to report for duty within two hours and thirty minutes (2:30) after the Company s initial attempt at contact. See Section 20-A-4 of the UPA for other provisions related to reserve call-out times. FIELD STANDBY The purpose of a field standby is to protect the integrity of the operation by having reserves available at the airport. The field standby duty period begins at the scheduled report time. All time spent in Field Standby reserve status is part of the pilot s flight duty period. 18 DEADHEAD 1. Deadhead segment followed by a Flying Segment: FDP begins at report time (0904) and ends at block in time (1709) in HNL. Rest begins after the debrief (1718). 2. Flying Segment followed by Deadhead: FDP begins at report time (0640) and ends at block in time of the last flying segment, SFO (1438). Rest begins after debrief of the DH segment (1750) 3. Deadhead as the only segment of the day: This is not a FDP for purposes of cumulative totals. It is also not Rest. Rest begins after debrief of the DH segment (0620) FAR 117 Summary Data To find your cumulative clock totals for FAR 117, you can access a report that displays your cumulative flight time and flight duty period limits. These files allow pilots to monitor compliance with FAR 117 accumulation clocks for block time and flight duty period time. These files mirror CMS and are updated each morning. Step Action 1 Begin by navigating to CCS. 2 Hover your cursor over the Scheduling tab and select FAR 117 Summary Data. 3 These files can also be accessed by navigating to Flying Together > Flight Ops > Pilot Resources > FAR 117 Summary Data. 18
19 4 The reports are listed by category in a large PDF file. Select the appropriate report by using the search function to find your file number. 5 Interpreting FAR 117 Block and FDP Lookback 1. Employee ID 2. Date and Time the report was generated 3. Total Cumulative Block Time in Last 672 hours 4. Limit Cumulative Block Time in Last 672 hours with Date and Time calculations began 5. Total Cumulative Flight Duty Period in Last 672 hours and scenario with a 4 hour delay. 6. Limit Cumulative Flight Duty Period in Last 672 hours with Date and Time calculations began 7. Total Cumulative Flight Duty Period in Last 168 hours and scenario with a 4 hour delay. 8. Limit Cumulative Flight Duty Period in Last 168 hours with Date and Time calculations began 9.
