MM1.3 10/17 HELPFUL INFORMATION Please plan ahead lodging, meeting rooms and activities fill up quickly. In order to ensure you get the most out of your stay, plan in advance by submitting your Request Forms early. Our Conference Coordinators are here to help you with planning your itinerary and any special needs such as wheelchair accessibility and first-floor rooms. Your group can be divided according to interests and levels, or activities can be planned for the entire group to enjoy. Let your group participants know about their recreational options by directing them to SnowMountainRanch.org. Alcohol & Controlled Substances We do not sell or serve alcoholic beverages, and alcohol is not allowed in common areas. You may bring your own and consume it in your lodge room, cabin or meeting room. However, the use of marijuana and other controlled substances are not allowed anywhere on-site. Computers Computers are located at the Buckboard Grill and the library. Free WiFi is available in the Administration Building, meeting rooms, lodges and cabins. Drones The safety and privacy of our guests is of the highest priority. For that reason we do not allow private or commercial drones to be used in the immediate airspace over Snow Mountain Ranch. Limited use may be allowed when the operator has received written permission from the YMCA of the Rockies. This includes use associated with special events, marketing and in film/photo applications. Maid Service Service is limited. Please ask your Conference Coordinator for details pertaining to your accommodations. Payment & Cancellations Full payment is due at check-out. We accept Visa, MasterCard, Discover, American Express, checks and cash. Please discuss your payment options with your Conference Coordinator. If you are a travel agent, full payment is due 45 days prior to arrival. You must report the guaranteed number of rooms, cabins, campsites and nights by the date shown on your contract. If you cancel after this date, you will incur a cancellation fee and your deposit will be forfeited. Pets No pets, except certified, trained or licensed service animals, are allowed in lodges and family reunion cabins. Quiet Hours For the comfort of all guests, please respect our quiet hours from 10 PM to 7 AM. Self-service Laundry Coin-operated laundry is located behind the swimming pool. 3 GROUP LEADER TIMETABLE You may reserve accommodations up to TWO YEARS in advance. Call Group Sales at Please review your contract for accuracy and record important dates below for easy reference. Upon Making a Reservation 1. Pay Deposit You will receive a contract via . Please sign and return with initial payment. The deposit is due when you confirm your reservation with Group Sales. Reserve Activities* Many activities are FREE and you should make arrangements to participate in them prior to your arrival. To do so, please complete the Group Activities Request Forms on pages * Activities must be cancelled two weeks prior to the reserved date or you will be charged full price. 60 Days Prior to Arrival 1. Final Cancellation Date Your deadline to cancel reserved rooms, cabins and nights is on your contract. Failure to meet this deadline will result in forfeiture charges. Please contact the Conference Office with your final numbers (see your contract for penalties). Contract Date (see contract): 30 Days Prior to Arrival 1. Meeting Room & Equipment Request Complete and submit the Meeting Room & Equipment Request Form on page 5. Meeting rooms are assigned on a space-available basis. 2. Submit Tax Exempt Affidavit (if applicable) and Billing Information Agreement (page 8). Three Weeks Prior to Arrival 1. Submit Room Roster (date to submit) Complete the Room Roster Form on page Order Refreshments, Food & Grills Refreshments can be delivered to your meeting room, sack lunches can be provided for outings and summer cookouts can be arranged by request (see pages 6 7). Grills can be delivered to your cabin or fire ring. Arrival at Snow Mountain Ranch 1. Check in hours: between 3 PM and 6 PM Accommodations will be ready between 3 PM and 6 PM. During peak season, accommodations may not be available until 6 PM. Group leaders should arrive prior to the group in order to confirm last-minute details, check the Room Roster and pick up room keys. Group members may check in individually if arrangements are made in advance (preferably 60 days in advance). Registered guests are free to participate in activities until accommodations are ready. 2. Check out: by 10 AM All groups check out at the front desk. Full payment is required at check out. You will receive an invoice detailing all charges posted to the master account. Individuals in each group receive designated wristbands that must be presented at each meal. A fee will be charged to replace lost wristbands. Special meals or menus must be arranged in advance. If you have food allergies or special dietary concerns, please contact our Food Service Manager at x1701. Enjoy delicious all-you-can-eat buffet-style meals! Catering & Special Events For information about our catering options, please call x4227. Snow Mountain Ranch offers a variety of indoor and outdoor venues for weddings, receptions and special catered events. For more information please contact our Special Events Coordinator at x4227. Special meals or menus must be arranged in advance. Boxed meals can be ordered a day ahead (see page 7) and should be picked up by the group leader during open hours at the Buckboard Grill. Meeting rooms are assigned on a firstcome, first-served basis, according to group size, needs, room availability and date request is received. Please make copies of this form for each meeting room/breakout room needed. Additional meeting room space may be reserved at a rate of $7 per person/per day/per meeting room, based on availability (minimum charge $100 per day). Chairs and tables are provided at no additional charge. There will be an additional charge each time a meeting room set-up is changed. Any special requests must be made prior to arrival. WiFi is available in most areas, please check with the Conference Office for further information. If your group is staying in cabins, a meeting room IS NOT included in your lodging fee. If you would like to request a meeting room, a rate of $10 per person/per day will be applied (minimum of $150 per day). Additional charges may apply. Availability is not guaranteed. Cookouts are Tuesday and Wednesday nights from the third weekend of June through Labor Day weekend, depending on availability. The shelter accommodates 200 people; your group may be sharing the space with others. Reservations are in half-hour increments, but feel free to stay as long as you like. 8 SNOW MOUNTAIN RANCH BILLING INFORMATION AGREEMENT GROUP NAME: During your discussion with Group Sales, an agreement is made to the type of contract you will create for your group/family reunion. If you choose the Online Reservation option, each of your attendees will make their own reservation online under your agreed contract and each is responsible for their own payments. If you decide not to choose this option, then you as group leader are responsible for collecting all payments from your attendees and will pay the total balance due at departure. Any changes to the billing plan created for your group must be received by the Conference Office at least 30 DAYS prior to arrival. NO CHANGES TO THE BILLING WILL BE MADE AFTER THAT DATE. ALL RETREAT CABINS WILL BE BILLED AS A UNIT PRICE AND THE TOTAL CHARGE WILL BE THE RESPONSIBILITY OF THE GROUP LEADER. UNIT PRICE WILL NOT BE SPLIT AMONG INDIVIDUAL GUESTS. Any additional charges that are made as a group, such as refreshments, group activities, cookouts, etc. will be charged to the master reservation and are the responsibility of the group leader. A $50 blocking fee will be paid by the group leader for each room blocked. Groups must have a minimum of 10 rooms to choose this option. Group Leader Pays All The group leader will present Snow Mountain Ranch with a room roster at least THREE WEEKS prior to arrival and will be responsible for payment of all charges incurred during their stay. All charges will be listed on the master invoice. I, the undersigned, agree to the billing terms specified above and understand that no changes will be made within 30 DAYS of check in or during my stay. I also understand that FULL PAYMENT IS DUE AT CHECK-OUT. SIGNATURE: MANDATORY AFFIDAVIT OF TAX STATUS DATE: ANY GROUP that makes purchases from the YMCA of the Rockies must complete this affidavit and declare their tax status. An original of this affidavit must be completed, signed and submitted prior to check in for each visit. We DO NOT qualify as non-taxable under Colorado law or we do not have appropriate documentation to that end. We agree to pay all applicable taxes associated with the charges incurred for goods and services provided by the YMCA of the Rockies (complete items 3 through 9 below). We DO qualify as non-taxable or tax exempt under Colorado law as outlined below. I understand and declare, under penalty of perjury, that the following statements are true: The name of our tax exempt organization is included (in-part or full) in the name on this reservation. Any payments for non-taxable goods and services will be made with a check, drawn on the tax exempt organization s bank account, or with a credit card in name of the tax exempt organization. 9 ACTIVITIES AT SNOW MOUNTAIN RANCH STAY PASS One Stay pass per guest is included in the price of your lodging accommodations and can be picked up when you check in at the Administration Building. Your Pass should be worn during your stay to allow us to recognize you as a guest, and provide you with access to activities. DAY PASS If members of your group are not staying at Snow Mountain Ranch, they will need to purchase a day pass (ages 6 and up) at the Administration Building or Program Building. Ages 5 and under and YMCA of the Rockies members (with proof of Y membership) receive a free Day Pass. Day Passes can be purchased for multiple days. FREE ACTIVITIES The following activities, depending on the season, are included in your stay. In most cases, children must be accompanied by a responsible adult 18 years or older. Some activities may require a refundable deposit for equipment rental. Year-round Indoor Basketball, billiards, foosball, pool, roller rink, table tennis, volleyball. Spring, Summer and Fall Trike park,18-hole mini golf and 9-hole toddler mini golf course, playgrounds, sand volleyball, tennis, tetherball, 18-hole disc golf, historic sites (seasonal activities are weather dependent). Winter Ice skating, snow tubing, sledding, dog sled presentation, Nordic ski trails, fat bike trails, and snowshoe trails. Family-Friendly Activities When you check in, pick up a copy of our Activity Guide. You ll find information on scheduled activities, musical performances, dancing, wildlife education, family campfires, night hikes and other family fun! Historical Sites The Rowley Homestead lets you experience the way life was as a Rocky Mountain rancher in the late 1800s and early 1900s. Indoor Swimming Pool Lifeguards are on duty during all scheduled pool times. Cameras, camera phones and video equipment are not allowed in the pool area or locker rooms. 25-yard heated pool and adult lap time aquatic climbing wall and slide sauna and showers Library Stop by for a wonderful selection of books, games and free Wi-Fi. We also have computers available for use. Summer Tubing Hill Our tubing hill is open from June through September (weather permitting). Groups up to 70 people can reserve one-hour time slots. For reservations call x4135. Note: that this may not be a private session. Trail Running/Walking Snow Mountain Ranch offers miles of beautiful trails for running, hiking, and walking. OTHER ACTIVITIES The following activities require pre-registration and a fee. Bike Pump Track Skills Course Sharpen your off-road bike skills in our Pump Track Park. Faith-Based Programs Devotional Hike This is a guided hike up the Grand View Trail. Along the way your group will read and discuss eight devotional meditations around the eight beatitudes. Faith-Based High Challenge Course Confront your fears and realize some of your untapped capabilities. A leader will guide your group through a safe experience, then lead your group through an exploration of the experience. Faith-Based Low Challenge Course A custom-designed low ropes experience that builds teamwork in your group, relating Scripture to real-life situations. Spiritually Focused Climbing Wall A leader will relate the climbing experience to Ecclesiastes 4:9-12 and help your group discover how Together is Better in climbing, life and faith. Vespers Campfire Vespers campfires are a combination of fun camp songs, skits, Scripture, prayer and s mores. Electric Mountain Bikes Tours, Rentals, Sales and Service Spring, Summer and Fall An electric mountain bike is for any age and skill level. We also offer trailer rentals and electric bikes for kids. Our staff can also help you pick the best trails for your skill level and available time.
