2 Administrative Note Introduction Dear Participants, We look forward to welcoming you to the 35 th Meeting of the ESAAMLG Task Force of Senior Officials which will take place in Arusha, Tanzania from 8 th to 13 th of April, Please find below information related to the logistics of the meeting. Venue All plenary meetings of the 35 th ESAAMLG Task Force of Senior Officials will be held at the Arusha International Conference Centre (AICC), Kilimanjaro Wing, Simba Hall from 8to 13 April, Arrival in Arusha Arusha City is served by Kilimanjaro International Airport (KIA) and Arusha Airport. KIA is located about 50kms from Arusha City while Arusha airport is less than 10km from the City Centre. There are direct flights from Amsterdam and connections to KIA from Nairobi, Kampala, Addis Ababa, Rwanda and Dar es Salaam. KIA is served by KLM, Precision Air, Ethiopian Airways, Kenya Airways (Jointly with Precision Air), Air Tanzania, Rwanda Air and Uganda Airlines. The taxi fare from KIA to the city is approximately $ An airport shuttle bus also takes passengers from the airport to hotels at a reduced cost of $10 per person. You can also get to Arusha town via Arusha Airport which is serviced by Precision Air and Air Tanzania. The Secretariat has arranged for airport transfers for participants who would like to use this facility. Upon arrival at any of the airports, delegates are requested to look out for a person with an ESAAMLG banner and he/she will gladly assist you. To enable the Secretariat to make arrangements to receive delegates, we are requesting you to communicate to us your flight details (including date of arrival, flight no. and time of arrival, the airport that you will be landing at etc.) as early as possible but not later than the 20 th of March, Otherwise, a participant may use a taxi paying a fare from KIA to the city approximately $ An airport shuttle bus Page 2 of 12

We expect most of the participants to arrive on Sunday, 8 April However, members of the Typologies Project Team on Procurement corruption in the Public Sector and Associated ML in theesaamlg Region will be expected to arrive in Arusha on Thursday, 5April 2018 (for the project team s [Angola, Lesotho, Malawi, South Africa, Swaziland, Uganda, Zambia and Zimbabwe] meeting on 6 7 April 2018) and Expert Review Groups A, B. C and D and relevant officials from the countries which will be reviewed will be expected to arrive in Arusha on Saturday, 7th April, In addition, there will be a meeting of the Assessors for Mauritius on 6-7 th April Member countries are requested to make the necessary arrangements to facilitate their officials participating in these meetings to arrive in Arusha on time for the meetings. Accommodation and Reservations A list of Hotels in Arusha has been attached for your ease of reference. The Secretariat has made block bookings in the hotels which are close to the meeting venue at negotiated rates. All rates are based on single or double occupancy and are on bed and breakfast basis. The Secretariat has tried to identify hotels within close proximity to conference venue to allow participants to walk to the meeting without any difficulties. However, should a delegate require transport to the venue, taxis will be available (at your own cost as indicated above). As agreed at the Task Force meeting in April 2012 in Arusha, and approved by the Council at the Maputo Meeting in September 2012, kindly be advised that the Secretariat will not provide transport to and from hotels during meetings. Delegates are requested to make their own bookings directly with the Hotel of their choice indicating that they are attending the ESAAMLG Task Force Meeting, (this will allow you to enjoy the negotiated rates) and to send a copy of the reservation confirmation to the Secretariat. 4 In order to benefit from the special rates, delegates are strongly advised to confirm their bookings at the hotel of their choice in good time and in any case no later than Sunday, 18 March, Kindly avoid double bookings as you will be ultimately responsible for meeting the no show fee payment to the Hotel management. The Meetings The draft outline agenda will be circulated by the Secretariat on Monday 12 th March In case you do not receive the same, kindly inform the Secretariat. Delegates are strongly encouraged to carry their laptop or any other alternative electronic device with them to use as documents finalized in Working Groups/Plenary meetings will only be circulated in soft copy during the meetings. Entrance to Tanzania Please note that a valid passport, and visa where applicable, and a valid yellow fever certificate are required to enter into Tanzania. Medical Insurance All delegates are financially responsible for meeting their medical costs and are advised to make appropriate arrangements for insurance to cover their medical expenses during their stay in Arusha. Weather During the month of April, climate in Arusha is warm, and as such no heavy clothing is required. However, light to heavy rains might be experienced. Registration. Delegates to the Task Force of Senior Officials Meetings must complete the registration form online, on the following link: Go to upcoming vents. 5 the meetings they will be attending including the Working Group meetings; the name of the Airline, flight number, date and time of arrival and departure; and The Hotel at which the delegate is booked. Delegates are requested to complete the online registration procedure at the latest by 20 March 2018, to assist the Secretariat with proper logistical arrangements.
