Eastern Suburbs have chosen not to attend as a club this year as lot of work and not much obvious gain Happy to help in the Combined Association, TrackCare, Parks and Wildlife Service Various suggestions tabled ie have to collect a stamp from the Association, more space, specific mud map with name of clubs, are we able to have a vehicle in the tent area, have vests that say Talk to me if you want to join a 4WD Club have people wandering around with leaflets Different format for brochures As a result of discussion it was decided to approach delegates and Premier Events that we have a couple of huge marquees and present the Association as not individual clubs but a combined force Club and Association brochures and Teardrop flags at marquees and have people wondering through the show with the hi viz vests and leaflets 2

3 A sub committee of Elizabeth Harding (Armadale), Morgyn Hastings (Southside), Adrian Longwood (Subaru) and Paul Ryan (Mitsubishi) will revamp the brochure and also put together a leaflet Main thing is not to shrink the area the Clubs and Association have but make it more presentable and combined This is to be presented to delegates at meeting 21 st August 2017 Gathering 2018 Plans are underway for the 2018 Gathering to be held in the Goldfields (Kalgoorlie) Eastern Goldfields 4WD Club are sourcing venues and once a couple of options are on hand the committee will do a recci Subject of heading to Karratha for the 2019 Gathering was discussed main question asked was are Red Dog interested in us heading that way and do they have any suggestions as to a suitable place to hold Gathering. Jan to contact Red Dog 4WD Club There may be a station that would be suitable Mark (Western Patrol) another possible event Perth Off Road Promotions run an event at Kirrup and will send info re the event Also Gymkhana type property Austraks 4x4 Beverley have a property with dongas, camp kitchen, hire is $500 for weekend, diesel generator Mark will look at viability of Western Patrol organising the event Mundaring to Albany Track Recci being carried out leaving 22 August 2017 taking 5 vehicles and hopefully will have details finalized to release at Perth 4WD Show Mark Skeels ( Peel) responsible for the work beening carried out Website/Facebook Suggestion was made to have trips on Facebook and Website This would be by the clubs deciding if an Open Trip - this then formulated into having a Calendar with all Open club trips on website with a level 1 5 rating Paul Ryan (Mitsubishi) will organize this to happen but clubs will have to submit the trips to Paul Clubs can take photos of trip events and upload to Facebook page instead of submitting a trip report for website and facebook Not everyone uses Facebook so perhaps some photos can be sent to Jesse for inclusion on website Require moderators from clubs as well as administrators for Facebook West Coast Wheelies Alliance is new group endeavouring to become peak body and work with Department of Biodiversity Conservation and Attractions (DPAW) 3

4 They are made up of Facebook Clubs. Geoff Couper who is involved with Wilbinga Shacks and is a 4WD Driver Trainer is heavily involved. Not sure they will have much luck with DPAW as they are not incorporated We need to be interactive with them and hopefully have them come under the umbrella of the Association Bruce has spoken with Victoria CEO and they do not have involvement with Facebook clubs Judith (Mitsubishi) asked how often do adoptees go on tracks to do work resources are not always available, DPAW have other concerns and it is difficult both summer and winter to find suitable time for DPAW Eastern Suburbs assist with Avon Decent and they were informed that on the north side of river two tracks Sapper Road and 37m hill will be bulldozed and will be closed for camping and all facilities removed This needs to be checked with DPAW Constitution Meeting was held on Tuesday 8 th August 2017 to scrutinize the old and what is required for the new to conform with new legislation. This has been done and will be sent to clubs for input. Hopefully the new constitution will be passed by October delegates meeting and then submitted to DOCEP by end of November Clubs need to look at the old and new to ascertain what has been changed and if they agree Also will have policies, procedures and bylaws to form part of the running of the Association It is easier to change these than have to change the whole constitution 10pm Motion was moved to extend the meeting another half hour Perth 4WD Club was in the Lancelin area and was approached by the Lancelin Ranger Infored that there was a line through the middle of area for water catchment and it is $100 per person fine if this is breached Land Manager to follow this up and let the clubs know Mundaring Cleanup This is to be held on 2 nd September am Flynn Road and Powerline track Information will be sent to clubs once Roger Masters has finalised General Business Colin from Eastern Suburbs asked as to the status on the defibrillator that is being purchased for Kaarakin. There is only one being purchased but a price will be sort for purchasing more than one if a club is interested. The one at Kaarakin will not be available for hire There are grants available that smaller clubs more gain for this type of equipment. Discussion took place re defibrillators and consensus was that they are only one form of assistance that can be given with CPR being the most essential. Clubs should look at members being trained in CPR and a satellite phone is also of benefit when in remote areas 4

5 Query on membership and insurance invoice/ payments Clarification as requested Clubs are invoiced (2017) on the amount of members they paid for the year previous (2016) When paying the current invoice (2017) they adjust up or down the actual members they have for 2017 This is when they are notifying Treasurer as to the actual figure for (2017) Then in 2018 Treasurer uses that actual figure from (2017) to charge on invoices for 2018 The most important thing is that Clubs must notify the Association if they have a change in postal or address so that the invoices are sent correctly Paul Ryan asked could an Agenda be issued for the President and Secretaries meeting in 2018 One was set for 2017 but not done until last minute due to Association Chairman being on leave We will endeavor to improve Question was asked re a generic JSA for the Association and Clubs but as each event covers different hazards it is very difficult to address problems with a generic JSA Roger will ask Paul Udunga (DPAW) if he has anything suitable Adrian (Subaru) asked re helping DPAW and TrackCare with the erecting of signage on tracks and areas Will follow up Adrian had taken a photo of all at meeting and posted on Facebook and within 1 hour 30 people had "liked The power of the media!!!! It was agreed to have President and Secretaries meeting once a year date to be set for August 2018 Meeting closed at 10.40pm 5
