3 INTRODUCTION Welcome to Capital Gate! This handbook contains all the information you as a tenant needs to make your experience here at ADNEC a great one. Whether choosing somewhere for lunch, who to call in an emergency or driving directions for your clients, we ve got it covered. Please keep this guide in a useful location for easy reference. For issues such as elevator faults, fire alarms or emergency lighting please contact the helpdesk on the numbers below and we will do whatever it takes to rectify them.* Helpdesk Helpdesk Out of office hours During these hours, calls will be answered by an ADNEC Building Management Services (BMS) operator. 00:00 08:00 Leasing Office / 4 / 09 ADNEC Capital Gate Security / Recording and feedback Each call (except between 00:00-08:00) will be issued with a unique reference number and this will be advised by to the caller. The FM team will remain in contact with the assigned person(s) to the task to update the caller as soon as possible. Closure of raised incident The raised incident will only be closed when the maintenance service request work order has been signed off by the person raising the issue. * Once a tenant area is fitted out, any damages caused within the unit are to be repaired and paid for by the tenant. Any issues such as leaks or power loss will be attended to by ADNEC FM staff to make safe, but not necessarily repair, unless recoverable costs have been agreed. For remote check-in at ADNEC, a charge of AED 0 per adult and AED 0 per child applies. Please refer to page 7 to see the locations on the map. 6 CAPITAL GATE TENANTS BOOKLET 0 CAPITAL GATE TENANTS BOOKLET BUILDING Access CLEANING & DELIVERIES Access cards Tenants will be provided with building access cards. Replacement cards can be issued by ADNEC Leasing Office at a cost of AED 00 per card. Access procedures In order to provide everyone with a safe working environment, our building security access procedures will be as follows: Access for tenants Tenants with access cards have 4/7 access to the building. A member of our security staff will be located on the ground floor office elevator lobby and on the Mezzanine level office elevator lobby to facilitate the entry procedure for all visitors. Access for visitors Visitors will be required to provide valid photo identification. Security will then contact a member of your staff, confirm access, and issue a temporary access card to the visitor whilst directing them to your offices. Parking access & CHARGES Multi-storey car park B Allocated parking access for Capital Gate Offices with dedicated bridge and elevators. If you wish to leave your vehicle overnight, please contact the Leasing Office for prior approval. Any vehicles left overnight without prior approval will be removed by the police. Cleaning ADNEC appoints an official cleaning contractor who services all Capital Gate office tenants under a separate cleaning contract. External cleaning contractors cannot be used at any time. Delivery and moving guidelines Please call security on or ADNEC leasing office on to schedule any activities requiring use of the loading bay. All delivery traffic must come through the loading bay entrance only. Deliveries must be scheduled with ADNEC leasing office at least 4 hours in advance. When your scheduled deliveries arrive, they will be directed to your office via the service elevators. GENERAL REGULATIONS To ensure proper use and care of the building as well as maintaining a professional and productive environment for our tenants, we have listed the following general regulations: Animals No pets or animals of any kind are permitted on or within the premises at any time. Office improvements and changes Any proposed plans for alterations affecting any area of your office require prior written approval from the landlord which can be obtained by contacting ADNEC leasing office. Additional parking requirements Additional parking access is available on request, please contact the ADNEC Leasing Office for further details. Visitor lost parking tickets will incur a charge of AED 50. Visitors should retain their temporary parking ticket at all times until exiting the venue. Parking fees for annual or extended use may be quoted by ADNEC Leasing Office. Smoking Smoking is not permitted within the building at any time. An external designated smoking area is provided. 7 CAPITAL GATE TENANTS BOOKLET Capital Gate location and directions From Abu Dhabi International Airport 5 minutes away by taxi or limousine Follow signs to Musaffah and Abu Dhabi (Highway E0 West) and proceed straight. This merges into Khaleej Al Arabi Street (Street 0) After approximately 5 kilometres, you will pass over Musaffah Bridge with the Sheikh Zayed Grand Mosque on your right Continue straight for approximately five kilometres Turn right into Capital Gate, following signs indicating the Abu Dhabi National Exhibition Centre From Downtown Abu Dhabi Travel along Al Khaleej Al Arabi Street from the Corniche (heading east out of Abu Dhabi) Pass the iconic Capital Gate and Exhibition Centre on your left Abu Dhabi Co-operative Society Danet Mall Carrefour Capital Gate To Abu Dhabi Airport, Dubai Shk. Zayed Grand Mosque To Abu Dhabi Airport, Al Ain Armed Forces Officers Club As you pass the Abu Dhabi National Exhibition Centre, move into the right-hand lane and take the next exit towards the Corniche Proceed towards Capital Gate and turn right into it as soon as you pass ADNEC Mushrif Mall (0th Street) Khaleej Al Arabi Street (0th Street) From Dubai Leave Dubai on Sheikh Zayed Road (E), following the signs for Abu Dhabi/Jebel Ali As you enter Abu Dhabi, the road name changes to Sheikh Maktoum Bin Rashid Road; stay on this road for approximately 5 minutes Exit Sheikh Maktoum Bin Rashid Road, following the signs for Abu Dhabi (E) and Al Maqtaa Bridge Once on the E, continue over the Al Maqtaa Bridge; the iconic Sheikh Zayed Mosque should be on your left Continue straight, passing a Carrefour supermarket on your left. Take the next exit to the right immediately after the supermarket, following the signs to the exhibition centre At the roundabout, take the fourth exit and follow signs to the adjacent multi-storey car parks From Al Ain Head out of Al Ain on E following signs to Abu Dhabi, use Mussafah Bridge to cross onto the island. You will be on Khaleej Al Arabi Street, continue past Sheikh Zayed Mosque and Zayed Sports City on your right hand side and you will see signs for the exhibition centre. 8 CAPITAL GATE TENANTS BOOKLET 4 Capital Gate Office Leasing Procedures Leasing & Fitout Process Client to contact ADNEC Leasing for any Capital Gate Office Leasing enquiries. To escalate the enquiry for an official quote the interested party must supply the appropriate documents and information in support of processing a lease. (i.e. Trade Licence or Initial Approval from the Department of Planning and Economy Abu Dhabi / Company web site or Company Profile). Once terms have been verbally agreed on an official Heads of Terms document, these will be approved by ADNEC Executive Management and sent to the interested party. Upon receiving the signed Heads of Terms from the prospective tenant, a Lease Agreement will be prepared and sent out to the company along with a Rental Invoice for signature and payment (stipulated Rent and Security Deposit) through cheque or bank transfer. ADNEC Leasing having received the signed Lease Agreement and payments, where the lease reflects an agreed commencement date, will give tenants access to the premises. Access cards for both the Office Unit and any allotted Car Parking will be given to the Tenant. However, prior to proceeding with any Office Fitout the tenant must first supply detailed technical drawings and supporting data of the intended fitout to be reviewed and authorised by ADNEC before any work commences (please refer to Official Capital Gate Fitout Guidelines). Tenants must also supply proof to ADNEC Leasing of direct accounts opened in their name with ADDC (electricity & water) and Dimarco (chilled water) before access is granted. No occupation and / or operation of the Offices will be authorised without first having all Fitout Contractor works completed, reviewed, and verified as being complete to ADNEC and Local Authority standards. Cleaning Contract All tenants are required to use the ADNEC appointed Cleaning Contractor services only. Outside cleaning contractors are not permitted in the building. Maintenance Contract Upon gaining final authorisations from ADNEC on the completion of all tenant fit-out works, Tenants will be required to provide a detailed Asset Register to Capital Gate Facilities Management whereupon Facilities Management will inspect and submit a Maintenance Contract quotation.
