3 1. Introduction First of all, thank you for choosing BFS! We are happy to count you amongst our students and we hope that you will enjoy your time with us in Belgium. This guide was created in order to provide you with the most important information needed to start your program in the most comfortable way possible. The following pages will (hopefully) answer all the questions you may have regarding the school, the way training is conducted, the access to the facilities, and much more! If, after reading this guide, you still have questions, concerns or any other problem, well you will be more than welcome to contact us and we will be happy to answer your question. As you can easily imagine, our major concern and our top priority is set on Safety. We want to make sure that you understand the most important concepts and rules related to safety, so that we can reduce the risk of something happening to you and to all the other students to its minimum level. But to do that, we need your help! Besides Safety, we also want to provide you with the highest level of Quality possible. And here too, you are going to be directly involved in the success of your program. So, take your time to read the following pages. 6 3. The airport The school has two operational bases on two major regional airports in Belgium: Charleroi Brussels South and Liege Bierset. Here are some more details about our main base, Charleroi. Brussels South Charleroi Airport (ICAO: EBCI - IATA: CRL) is located in Gosselies, a part of the city of Charleroi, 46 kilometers south of central Brussels, in Wallonia (Belgium). Ground transportation Bus Local TEC buses run between the airport and Charleroi railway station. There are also several shuttles between different cities in the neighborhood countries (Luxembourg, Metz, Thionville, Lille) plus a regular coach service that runs from the airport to Brussels-South railway station. Train A special bus (Airport Express - A) operates to Charleroi-South railway station. A combined bus and train ticket to any Belgian railway station can be bought in the terminal. Car The airport is accessible by the highway from Brussels, Liège or Lille. BFS Student Introduction Guide V1.1 January 2014 Page 6

9 Airport Diagram IMPORTANT NOTE: this chart is for information only. You shouldn t use it for flight planning purposes. Up-to-date airports charts will be distributed to you and are also available for download on MY BFS. Also, keep in mind that you will discover many other airports during training! You will not only fly in and out of Charleroi. This chapter was only made for you to familiarize yourself with your home base airport. Getting to know the other airports that you will be flying to is part of the flight briefing (refer to the Flight Training section below). BFS Student Introduction Guide V1.1 January 2014 Page 9
10 4. Building and Facilities The school is going to become your second home for a couple of months. Therefore, it is important for you to feel well and to know all the rules. Most of the rules related to the building are contained in the student contract / internal regulation document that you have signed. We kindly invite you to re-read this document carefully to make sure that you understand its content. Localization The main building of the school is located to the right of the old passenger terminal. The postal address is: Belgian Flight School S.A. Brussels South Charleroi Airport Building S7 Rue des Fusillés, 1 B-6041 Gosselies NOTE: According to some GPS models, you have to select 6040 Jumet as the city, instead of Gosselies The GPS may take you to another destination about 1 km from the school. Parking As you could see on the aerial picture above, there is a parking dedicated to the students and to the staff (not only for BFS, but for all the companies working on this part of the airport). You will need a special airport parking badge to enter this parking. To get one, please contact the Dispatch and provide your car plate number. Badges have to be ordered to the airport authorities and the delivery may take several weeks. While waiting for your badge, you can ring the bell at the entrance gate and inform the guard that you are a student of BFS. He or she will open the gate for you. You may also use the visitor parking, as indicated on the picture. To reach the parking, leave the roundabout one exit after the one you take to reach BFS. 11 Accessing the main building The building is normally open whenever a member of the staff in present, or whenever instructors are present. Normal opening hours are 8:00 18:00. Outside these hours, you may face a front closed door. But since we want our students and instructors to be able to get into the building 24/7, here is the procedure to follow in order to enter/exit de building outside regular hours. 1) To enter the building a. Next to the entrance door, you will find a little key pad (see picture). The code to open the door is 3108 followed by the bell symbol. BFS Student Introduction Guide V1.1 January 2014 Page 11
12 b. Once inside, the alarm may start to shout (if not, well it means that it was not connected ).The alarm box is located next to the entrance door, at your right hand side. To deactivate the alarm, type 3108A on the key pad. c. To change the operating system of the door (if other students, students or staff is entering with you), use the door control box located under the alarm box. Use the little arrows to change the operating mode of the door and use the little LED light to find out which mode is active. BFS Student Introduction Guide V1.1 January 2014 Page 12
13 2) To exit and close the building a. Make sure that you are the last one to leave the building and that all the offices and rooms are empty (don t forget to check if the simulator lights are on or not. If they are on, it means that the simulator is being used) b. Turn of the lights in all the rooms c. Activate the alarm by typing 3108A (the alarm will start to shout) d. This is the tricky part Move towards the door to activate the sensor, and as the door is open, quickly change the operating mode to CLOSED (red LED, at the top) and exit the building before the doors close. IMPORTANT NOTES: Although we know that all the students, instructors and members of the staff have the codes required to enter the building, we kindly ask you to NEVER communicate this information to people who are not members of BFS! If you are alone in the building, we recommend you to lock the door in the absence of the staff, in order to avoid uncontrolled movements of strangers in the building Use of the facilities As said previously, you are welcome to use the school facilities at anytime. But please, refer to your student contract and to the internal rules regarding specific rules that we want you to respect. - Always leave the rooms clean and welcoming for the next ones - Never use the simulators without an instructor - Kindly respect the material provided - Use trash bins and recycle whenever possible BFS Student Introduction Guide V1.1 January 2014 Page 13
14 - Turn the lights off when leaving a room - Don t disturb other students who are working/studying Accessing the hangars and the flight line To access the hangars and the flight line, you will have to pass through the mandatory security checkpoint located in the old terminal of the airport. On your way to the security check point, and if you are about to go flying, DON T FORGET TO STOP BY THE NAVIGATION OFFICE TO RECORD YOUR FLIGHT! You will have to show your airport badge to the security agents and pass through a metal detector. Your bag will have to go through a X-Ray machine (as in any international airport ). If you don t have a badge yet, you will be able to pass by showing a pilot license (if any) or a solo flight release form signed by your instructor. Some important rules to remember while on the flight line, or anytime you have accessed the air side : - Always wear your high visibility jacket (provided by BFS) - Smoking is totally prohibited anywhere on the airport - Groups have to stay together - Respect the instructions of airport representatives or security agents - Remain always on the non regulated aprons (marked by a red line on the ground). Never walk on taxiways - Never access the ramp during Low Visibility Operations (LVO) - Always report any safety or security hazard that you see - Never throw anything on the aprons (FOD) - WATCH FOR PROPELLERS AND CUTTING EDGES OF AIRCAFT PARTS (aircraft lights ON = DANGER) Opening and closing hangar doors Operating the hangar doors requires a lot of attention and care! Never operate the hangar doors without being accompanied by your instructor, or by a member of the maintenance department (who are always happy to meet and discuss with student pilots by the way ). To operate the hangar doors, refer to the posters placarded in the hangar. Never try to move the central pylons if the doors are not fully open! Students have already been injured by falling parts! 15 5. Safety & Security Safety is, as you can imagine, and as already stated before, our absolute priority. Safety is not only important when flying, safety is a culture deeply rooted in all our activities. Therefore, it is important that you understand that everyone has an important role to play in the safety chain. Whenever you see or hear something which could potentially harm someone or damage something, we need to know is ASAP (As Soon As Possible) in order to take the necessary actions immediately. Same if you are victim of an incident (again, whether in flight or on the ground), we need to know it immediately. Reporting a safety hazard or an incident will never be punished (unless if it was caused by a voluntary negligence, or by a criminal act). You should never be scared to report something, even if you did a mistake. Mistakes are human! Several forms have been implemented to allow us to track our safety performances. You will find them on MY BFS. It is also important that you respect all the safety and security instructions from the staff, from the instructors or from other people directly related to your activities (e.g. air traffic controllers, airport officers, etc.) Please refer to our Operations Manual (OM) and to our Safety Management System Manual (available soon!) for more details regarding safety management principles and safety policies. Also refer to all the other official publications from the school containing recommended practices and standards. Some of the most important reference documents related (directly or indirectly) to Safety are: - BFS Training Manuals - BFS Operations Manual - Aircrafts POH (Pilot Operating Handbook) - BFS Notes - Flight Safety Alert Bulletins - Annual Flight Safety Reports - SOP (Standard Operating Procedures) - Incidents/Accidents Reports BFS Student Introduction Guide V1.1 January 2014 Page 15
16 All of these documents are available for download and review on MY BFS. Take some time to go through these documents and always remember that Safety can never be compromised! Finally, take a minute to identify all the Safety related placards, posters as well as safety material such as fire extinguishers and emergency lights located all across the building and make sure that you know where the emergency exits are! 17 6. Flight Training Please refer once again to your student contract and to the internal regulations document regarding specific rules pertaining to flight training. In order to guarantee smooth operations, it is important that all the students carefully respect all the rules related to: - check-in and scheduling - flight preparation and planning - refueling - aircraft servicing and inspection - use of check-lists - respect of SOP You should always respect the instructions and recommendations given by your flight instructor. This is also a question of Safety! Several internet tools are available and should definitely be used while under training! These are listed below. MY BFS ( MY BFS is a on-line web portal reserved to our students, instructors and staff. It can be accessed directly via our main website, as shown on the screen captures below. To access MY BFS, you will need a personal username and password. These will be provided by the dispatch at the beginning of your program. For obvious security reasons, we strongly suggest you to keep these details for yourself. MY BFS has several purposes, but the main one is an on-line library and information center. Hundreds of important documents can be downloaded and latest internal news can be reviewed. BFS Student Introduction Guide V1.1 January 2014 Page 17

19 The DOCUMENTS section is divided into several sub-sections. Each sub-section refers to a specific topic or department and contains documents related to this topic. For instance, you will find, within the sub-sections: BFS Notes, Training Reports & Forms, Airplane Documentation, Flight Safety, Charts and Maps, Training Manuals, Operations Manual, etc. As said before, there are hundreds of documents available for you to review. You obviously can t read them all in one day, but as soon as you can, you should review the content of this library and get familiar with all these documents. The PLANNING section actually sends you to our E-Planning system (see below). BFS Student Introduction Guide V1.1 January 2014 Page 19
20 The CREW NEWS section contains all the internal news. These are only published to the attention of the students, instructors and members of the staff. External visitors do not have access to the crew news. Here again, it is important that you spend some time reviewing the internal news and that you regularly monitor the publication of new articles! Please note that a reminder of the last three crew news is shown on the right part of the screen in any section of MY BFS. 21 Belgocontrol ( Belgocontrol is the national provider of aeronautical information and air traffic control services in Belgium. Their website is the only official source of pre-flight information that you should use to prepare your flights. This is also where you will have to fill in and submit all your flight plans and get your pre-flight briefings (NOTAM, weather reports, restrictions, etc.) In order to have access to all these services, you have to create a personal account. This is totally free, but the process is not that simple Follow the steps and the screenshots to make your way through this website. 1. 22 2. Accessing the AIS Services Once your account has been created and validated by Belgocontrol, you will be able to access the various AIS Services (AIP, FPL, MET, PIB). Your instructor will show you how the system works at the beginning, but you should be able to use it on your own rapidly! BFS Student Introduction Guide V1.1 January 2014 Page 22
23 E-Planning ( The E-planning is our on-line flight booking system. You can access it either directly by saving the link, or via MY BFS (see above). The system will require a username and password. These will be provided by the dispatch, and they will be the same as for MY BFS! Once logged in, you will land on your personal flight schedule. A list with all the flights booked under your name will appear in the center of the screen, as shown below. You can eventually change or fill in your details by clicking on My account, but please, DO NOT CHANGE YOUR USERNAME OR PASSWORD. BFS Student Introduction Guide V1.1 January 2014 Page 23
24 On the left side, you will see a calendar. If you click on any of the dates, you will open a new page showing a graphical agenda of the aircrafts reservations. The planning is divided into 30 minutes slots, between 07:00 (AM) and 23:00 (PM). A reservation is represented by a red bar. If you swipe your pointer on the reservation (without clicking on it), you will see the details of the flight (name of the student, name of the instructor, reservation start, end and comments. Bookings are normally made by the dispatch or by the instructors. However, the system allows the students to book aircrafts themselves. You should only do so when required by your instructor or by the dispatch. To cancel or modify a booking, you will always have to contact the dispatch. 25 BFSdata BFSdata is a software that we have developed and implemented ourselves, which allow us to track and follow our operations. After each flight, you will be required to fill in all the details of your flight on the computers located in the crew room. It can be compared to an electronic logbook. In real-time, we can review all the activities of the crews (students and instructors) and of our aircrafts. At any time, you will be able to print a complete report of your flights. You will even be able to set some filters to fine-tune your querry. The system also has a technical side, which allows crews to review the technical status of the aircrafts and to eventually add a new defect in the system Please, never forget to record your flight details in the system. Supervision of our operations relies primarily on this program. A dedicated user guide has been developed to understand how the system work, and is available on MY BFS! 27 8. About Belgium What to do? What to see? Although Belgium is a (very) small country, it is known as the beating heart of Europe! Although training will be your main activity, you should definitely use your time off to visit this fascinating country and discover its specialties (you ve probably heard of our famous beers, chocolates and mussels But we have more than that!) Traveling across Belgium is easy. The network of ground public transportation is very developed (trains and busses), but having a personal vehicle will always be the most convenient way to visit. Crossing the country from North (Belgian Coast) to South (Ardennes) will take you only about 3,5 hours. And to cross it from West (France) to East (Holland/Germany) will take you about 2 hours! There are some cities that you should definitely discover, such as the capital Brussels, but also Antwerp, Brugge (also known as Venice of the North), Namur, Liege, Dinant, Gent and there are hundreds of unique small town and villages full of charm TO know more about all the things you should see while you are here, visit the following websites: BFS Student Introduction Guide V1.1 January 2014 Page 27
