Tour November 28, December 2, 2014 Final Information Packet and Itinerary PRIOR TO DEPARTURE Tuesday, November 11 4:00 5:45 Full Band Parade Practice (followed by Farewell Performance of 300) Thursday, November 13 4:00 5:30 Full Band Parade Practice Tuesday, November 18 4:00 5:30 Full Band Parade Practice Thursday, November 20 4:00 6:30 p.m. Full Band Practice & Final Logistics and Loading Meet in flight groups and sub-groups with check-in chaperone Distribute baggage tags for each flight group (separate color for each FG) Distribute travel day commemorative t-shirt Distribute per diem in sub-groups Meet in tour groups by bus, then by small group General Preparations Read through Gateway Domestic Travel Information Choose luggage that meets all airline regulations and ensure that your luggage is within weight and size restrictions BEFORE coming to the airport. Remember, if your luggage is overweight/oversized YOU will have to pay for the fee at the check-in counter before you can proceed to security. Consider weather when packing average high temperature according to weather.com in LA is 70, and low in the lower 40s. As we get closer to departure, you are encouraged to check forecast to see if below or above average temperatures are expected. Day Before Departure Have a HAPPY Thanksgiving Day! Complete packing and confirm travel plan to airport for assigned report time based on Flight Group. Make a final weigh-in of your luggage to ensure it is under 50lbs
2 DEPARTURE DAY Friday, November 28 - WEAR YOUR TRAVEL DAY T-SHIRT! Drop-Off and General Instructions Students are responsible for their own transportation to the airport on departure day! ALL Flight Groups will depart from the NORTH TERMINAL (BLUE) ALL DROP-OFF will be inside ticketing area of N-6 Door (see map for detail) o You may either drop-off at N-6 door from curb, or park in hourly parking and bring your child to ticketing area until we depart for security. o Once your child has been checked-in with their chaperone, please be respectful of the limited space we have to complete attendance and travel to ticketing. Eat lunch at gate prior to boarding flight. Next meal will be dinner in L.A. Security and Assurance Measures Each student will be assigned a travel-day chaperone from within his or her flight group. Each group will have between 5-8 students per chaperone. Travel-day chaperones will have color-coded signs to help their students find them in ticketing area. Upon arrival to airport, students will report to their travel-day chaperone once attendance is confirmed by ALL chaperones we will proceed to ticketing AS A GROUP. Once ALL students are accounted for and in ticketing a REMIND text will be sent to confirm that we have all students. After security check, chaperones will wait until their entire sub-group is through security and then will proceed to our terminal once all students and chaperones are accounted for in terminal another REMIND text will be sent. As students load their plane for departure (FG 1 & 2), their boarding pass for the connecting flight will be collected by chaperones and will be redistributed in sub-groups at the next boarding gate. REMIND texts will be sent upon arrival to connecting and final destination airports.
3 Trip Itinerary California, HERE WE ARE Friday, November 28, 2014 Upon Arrival to L.A. Flight Groups 1 & 2: Make a stop at the Grove and Los Angeles Farmers Market for lunch and free time. You will have a meal coupon to use for lunch at the Farmers Market. Flight Group 3: Upon arrival in Los Angeles, head straight to the hotel for check-in. 4:30 pm All flight groups: Arrive at the hotel. Kelli and Marcy will assist with hotel check-in. Long Beach Marriott 4700 Airport Plaza Drive Long Beach, CA Phone: (562) Fax: (562) Outdoor (unheated) pool hours: sunrise to sundown Indoor pool hours: open 24 hours 5:30 pm Depart for Long Beach Marina. 6:00 pm Group dinner at Gladstone s in Long Beach Buffet Menu: Caesar salad, garden salad, sourdough bread and butter, chicken picatta in a lemon butter caper sauce, sliced roasted top round of beef with a horseradish cream sauce, parmesan crusted tilapia, pasta primavera, Gladstone s rice, steamed vegetables, with soda, iced tea or lemonade 8:00 pm Depart for your hotel. Saturday, November 29, :00 am Hot buffet breakfast at your hotel Menu: Eggs, sausage, bacon, breakfast pastries, breakfast potatoes, juice and coffee 8:15 am Rehearsal followed by departure to DISNEYLAND! ALL Disneyland and Disney s California Adventure Students MUST stay in groups of 4 or more throughout their time in the park. Violating this rule will result in timeout at the chaperone station as administered by a director. Students will be required to check-in while in the park during two windows of time. Missing the check-in time will result in loss of park time and time-out in the chaperone station. We will meet at the end of the evening to watch one of the park closing evening shows in either Disneyland or California Adventure. Lunch and Dinner Coupons are provided for each student each voucher is worth $15 for a total of $30. 10:00 pm Depart for your hotel.
4 Sunday, November 30, :00 am Hot buffet breakfast at your hotel 8:30 am Rehearse in the parking lot next to the hotel (60 minutes). 10:00 am Depart for Santa Monica. 11:00 am Arrive at Perry s at the Beach. Before or after lunch, group members can play beach volleyball, football, smashball, Frisbee or swim in the water, if you re up for it! Lunch menu: La Freida Steak burgers, Nathan s hot dogs, fresh fruit, Caesar salad, homemade chips, homemade chocolate chip cookies and bottled water Santa Monica Pier After lunch, group members can walk to the pier to explore. The beach in Santa Monica is famous for its pier, lined with shops, restaurants, an amusement park as well as the best sand along the California coastline. Students will be in small, chaperoned tour groups during this time. 2:30 pm/tbd Depart for Hollywood (parade staging time and details will be provided closer to the parade date). 4:30 pm/tbd In-N-Out Burger will be catered near the parade route prior to staging (Timing of dinner will be based on staging and step-off time, assigned the week of the parade). Menu: Choose between a hamburger, cheeseburger, double-double burger or grilled cheese sandwich. All burgers or sandwiches come with chips and a drink. Parade Line Up Line up for the Hollywood Christmas Parade. Hollywood Parade The Hollywood Christmas Parade is rich in history. Today, the Holiday Season is kicked off with a star-studded extravaganza with nearly 100 celebrities offering their holiday cheer to the people of Southern California and the world. The very first parade, in 1928, consisted of only one actress, Jeanette Loff and Santa Claus. Kick off at 5:30 pm. 8:00/TBD Follwing the parade, we will be headed back to the hotel for a pizza party and band fellowship! We will also load all uniforms and equipment onto the truck for departure back to Cartersville. Monday, December 1, :30 am Hot buffet breakfast at your hotel 9:00 am Depart for Hollywood. 10:00 am Free time at Hollywood and Highland. The center includes the Grauman's Chinese Theatre and the Dolby Theatre, home to the Academy Awards. Located in the heart of Hollywood, along the Hollywood Walk of Fame, it is among the most visited tourist destinations in Los Angeles. This area is fairly enclosed. Students will be exploring this area in groups of 4 or more and will meet together back at Hard Rock Café. 12:00 pm Group lunch at the Hard Rock Cafe on Hollywood Boulevard Menu options: Burger, cheeseburger, bacon cheeseburger, veggie burger, grilled chicken sandwich, BBQ pork sandwich, grilled chicken Caesar salad, classic Caesar salad or fire roasted tomato pasta. All burger platters come with French fries. All meals come with a dessert, unlimited soft drinks, coffee or iced tea. 1:30 pm Local guides will board the coaches and take you on a driving tour to the Le Brea Tar Pits, through Hollywood and Beverly Hills, including Rodeo Drive.
5 3:00 pm Join a professional guide for a walking tour of Hollywood. The tour will include the Hollywood Walk of Fame, Grauman s Chinese Theatre, El Capitan and the Egyptian Theatre with plenty of entertainment and history along the way. Note: Group members will need to split into eight groups of 28. Please ask your chaperones for your group assignment. 4:30 pm Free time for shopping and dinner on your own at Hollywood and Highland. Again, students touring in groups of 4 or more and then meeting together at El Capitan Theater. 6:00 pm Meet as a group at El Capitan Theater. Plan to stand next to the people you hope to sit next to as you wait in line. 6:45 pm Attend Big Hero 6 in 3D at the El Capitan Theater. Disney exclusively premiers their movies at this restored theater from Popcorn, soft drinks and a fun-sized candy are included with admission. 9:00 pm Depart for your hotel. Tuesday, December 2, :00 am Flight Group 1: Pick up a to-go breakfast bag on your way to the coaches. 6:00 am Flight Group 2: Buffet breakfast in your breakfast room 8:00 am Flight Group 3: Buffet breakfast in your breakfast room Check Out Check out of your hotel this morning. 6 Pick-up Procedures and Other General Information Flight group leaders will use REMIND texting to update all parents throughout our return flights. Parents are encouraged to use hourly parking and come into the airport welcome area and baggage claim to pick-up your child and check them out with their travel-day chaperone. If you choose to use curbside pick-up, please make sure your child is aware that you will be picking them up at the curb. Once we arrive in baggage claim, the flight group leader will take any curbside pick-up students to North Terminal Door N-2 for pick-up (see attached map). If you choose to pick-up your child at the curb, consider using the cell phone lot that is located along South Terminal Parkway. Flight group leaders will stay until all students are picked-up! Please be respectful of the chaperones time and arrive on time for picking-up your students. Additional Airport Information and Support
