1 Aden Veterans Association Weymouth Veterans Weekend 2018 West Dorset Branch (Weymouth) Special Events Booking Instructions (Document date 1 st September 2017) The 2017 event was very successful and we have received many notes of thanks and appreciation. The event raised 900 we thank you all most sincerely for your kind generosity. In view of the great success of the 2017 weekend we are planning for 2018 to take the same format, with a little fine tuning in order to make the event as successful as possible. The venue for the 2018 event will be the Weymouth & Portland National Sailing Academy Osprey Quay, Portland (Post Code DT5 1SA), Coach transport is included with your booking and will depart from The Rembrandt Hotel at 17:00, the return coach travel from the Weymouth and Portland National Sailing Academy is available at either 22:00 or 23:30 please specify your preferred time on your consolidation form. We still have the accommodation arrangements with the Hotel Rembrandt, This is a 3 star hotel and offers great comfort and some wonderful facilities for our Veterans weekend. We have negotiated a Group discount rate of pppn for the following dates 21, 22, 23, 24, 25, 26, 27, 28 June Any number of nights between this period may be booked at the group rate provided the booking is made with Sylvia on the official booking form. Note; reservations made directly with the hotel will not qualify for the above discounted rate. Anyone wishing to stay longer than the dates provided will be charged the prevailing rate of the hotel tariffs. We have reserved about 60 rooms in total comprising of singles/twin/double rooms. There are a limited number of single rooms available. We also have two rooms with Disabled facilities but they are already spoken for, anyone requiring Ground floor rooms please specify clearly on your booking form as we have a limited number of ground floor rooms available. The hotel also offers lift access to all floors so should a room be required with lift access please specify on your booking form and we will do our best to accommodate this for you. We shall be having 2018 Sunday lunch in the same place as 2017, which was the Fairhaven Hotel. Cost of lunch for 2018 will be 13.50pp (Including gratuities). Our Sunday Evening Buffet and Social meeting we be held at The Famous Old Spa on Dorchester Road (This is situated about minute walk from the Hotel Rembrandt and approximately 3 mins from Lidl supermarket, adjacent to London Lounge) the cost will be 8.50pp On the Monday after the flag raising ceremony at the Weymouth & Portland Council Offices (Commercial Road) we will be holding a Buffet and Social gathering at the Centenary club (Jubilee Sidings) at a cost of 5.00pp All bookings will be managed by Sylvia Johnson (address below), and all cheques should be made payable to AVA West Dorset Branch. 4 BEST WESTERN Hotel Rembrandt Terms & Conditions of Contract 1. The rates, terms & conditional applicable to groups are conditional upon the deposit, balance of account and rooming list being received by the due date specified above, together with the minimum number of people arriving and departing together. The company reserves the right to review the tariff or the booking status should any of these conditions fail to be met. 2. Single accommodation is limited and subject to availability. An additional premium may be imposed in the event of accommodation being occupied by less than the minimum occupancy levels agreed. 3. The balance of the account is payable no later than 14 days prior to the arrival date, we only accept cheques 21 days prior to arrival. 4. Your provisional rooming list must reach us no later than 4 weeks prior to arrival and your final rooming list must reach us no later than 14 days prior to arrival, at which time any unsold accommodation will be released back to the BEST WESTERN Hotel Rembrandt for re-sale. Any additional requirement thereafter will be provided subject to availability. 5. A non-refundable deposit of is due one month after booking has been made. The booking / agreement become valid only after the BEST WESTERN Hotel Rembrandt has received the requests deposit / payment. The deposit is a booking fee and in the event of cancellation is non-refundable. If the group or any rooms cancel then the following charges will apply:- More than 30 days prior to arrival Loss of deposit 29 days 25 days 50% of total amount 24 days 20 days 60% of total amount 19 days 15 days 75% of total amount 14 days 0 days 100% of total amount 6. The BEST WESTERN Hotel Rembrandt reserves the right to terminate this agreement at any time by written notice to the person / operator named above without prejudice to any other right they may have, in the event that the person / operator named above fails to comply with any terms of the agreement. 7. Failure by the BEST WESTERN Hotel Rembrandt to enforce at any time of the provisions of this agreement shall not construed as a waiver of any of its rights not affect the validity of the agreement nor prejudice the company as regards subsequent action. 8. Once a reservation has been confirmed, all future amendments should be directed to the Reception Manager at the BEST WESTERN Hotel Rembrandt. 9. In order to ensure the suitability of accommodation and general facilities, details pertaining to handicapped or disabled members and requests for near accommodation must be given at the time of booking and confirmed in writing to the Reception Manager. The availability of rooms near facilities and wheelchair friendly are in high demand. We are therefore unable to guarantee any requests. Where a written request cannot be met, the Rembrandt will advise the organiser / operator in advance of the guest stay. The Rembrandt cannot accept liability of costs incurred as a result of non-notification of requirements and such cost may be forwarded to the organiser / operator.

Should any member of your party be ill or disruptive on arrival or during their stay at the Rembrandt and/or be found to be carrying any infectious or contagious disease which is not classed as a disability they may be requested to leave immediately. 11. All tariffs shown are inclusive of VAT, at the appropriate rate which is correct at the time of going to press. 12. If this holiday is to be advertised in any way whatsoever, the Rembrandt request full details of any literature or advertisements which promotes the facilities and services being offered as part of the holiday contract. We cannot accept liability in the event of service/ facilities being advertised by the organiser, that have not been previously confirmed in writing with the Rembrandt as being available during the course of the holiday as detailed. 13. It is the responsibility of the group organiser / tour operator to ensure all members of the holiday party are aware of these special conditions of booking and as shown in the BEST WESTERN Hotel Rembrandt s current brochure. 14. Any guests within your party wishing to stay extra nights outside of agreed dates on contracts will be at the prevailing rates. Group reduced rates will not apply. Document Ends
