3 WELCOME TO OUR 2017 BROCHURE We hope you enjoy our new brochure and find fun and exciting holidays for 2017 that meet your personal needs Breakaway has been providing breaks for adults with learning disabilities since 1998 when we started running a few day-trips for adults attending day centres. The need for longer, supported holidays quickly became apparent and since then we ve grown to become an established and experienced company offering a wide range of holidays. This year we have added extra dates for our most popular holidays to avoid disappointment. We have also brought back some old favourites and added some new destinations to be able to offer lots of choice to customers old and new. As always the holiday is the focus not the support after all, it s your holiday so you should be able to enjoy it without your time being constrained or determined by your support needs. When you have a holiday with Breakaway you will find there is plenty to see and do, but always with an option to take it easy and relax. Having fun is what holidays are all about! We are offering some more Breakaway Explorer holidays which were very popular last year. Especially Disney Explorer so you have the choice of two one in springtime and one in winter full of Christmas Disney magic. Also we will be doing a Truckfest Explorer to Norfolk to visit the Peterborough Truckfest These fantastic Breakaways give you a two-centre holiday so you can relax for a day or two after the journey and then whizz off for a couple of nights at a hotel to explore. To make things simple we ll provide a bag for your midweek nights away - plus we ll pack it for you and you keep the bag as a souvenir of your adventure. Last year our canal boat cruise was very popular and this year we are taking two boats to offer more spaces and to make it really fun with a big group of friends! The Lake District was another success and because the hotel was exceptional and there was so much to see and do we are going again in Our Pick and Mix holiday in Great Yarmouth in 2016 was a lot of fun and many customers stayed the whole of July with us. This year you can do the same, or come for one week, two weeks or three weeks. It is a real English summer holiday with entertainment, all the seaside amusements and games and picnics on the beach. 6 FREQUENTLY ASKED QUESTIONS Here are the answers to some frequently asked questions - if you need to know anything else just give us a call How do I book? Look through the brochure and select your break, or call us on for help selecting the right one. As soon as you have chosen your holiday you can reserve a place with a non-refundable 100 deposit. There is an easy three-step booking process on page 60. What is included in Full Board? Our Full board holidays include breakfast, a light lunch plus an evening meal. We adopt a flexible approach to meals and like to serve whatever is appropriate according to our location, the weather, the day s activities and customer requests. Meals are either home-cooked or eaten in hotels, restaurants, and cafes. For example, some days we will have a light or continental breakfast and on others a traditional English. Lunch may be a picnic or a meal in a café, auberge or pub. Evening meals vary and include home-cooked suppers, meals or buffets in pubs or restaurants and BBQs on summer nights. Early morning tea or coffee, drinks with breakfast and water or squash with meals are all included. Customers pay for any other drinks, snacks, sweets and ice creams. What type of accommodation will it be? We always strive to provide accommodation that exceeds our customers expectations and we have many favourite hotels and resorts that we use regularly. We also stay in a guest house in Great Yarmouth, Norfolk and a rural cottage in Pas De Calais, France. These locations form a great base from which to explore and provide comfortable, homely accommodation to come back to in the evenings. The Guest House Close to the seafront, the guest house in Great Yarmouth is perfect all year round, not just in the summer. Accommodation is in shared rooms with en suite or shared bathrooms, and all rooms have a TV. Wheelchair users can enjoy the adapted ground floor accommodation. The French Cottage Set in a peaceful hamlet, the cottage offers homely charm plus a large garden with heated outdoor pool, sundeck and outdoor dining area. There is crazy golf, archery, boules, and table tennis for sunny days and a big games room with a pool table and other amusements. Accommodation is in shared first floor rooms and is suitable for anyone that isn t fully reliant on a wheelchair. The type of accommodation is shown in the icon panel for each holiday in the brochure. Some of our accommodation is unsuitable for those who cannot climb stairs easily and we will discuss this at the time of booking. Will I have a single room? Accommodation is in shared twin rooms. If you require a single room you need to enquire about availability when you book and pay the supplement due for that holiday. How do I get there? Breakaway run adapted nine-seater mini buses and holiday prices include picking you up and returning you to designated meeting points which will be confirmed on your itinerary. After that you will either go to your destination on the bus, or to an airport for a flight. The mode of travel is shown in the icon panel for each holiday. Our main pick-up point is in Chelmsford, Essex, and some holidays include additional meeting points at locations between Chelmsford and the destination. If you wish to upgrade to our door-to-door service you may do so for an additional charge. For customers in the north of England the meeting point will be the holiday destination for holidays marked Suitable For Customers Living in the North. You can also upgrade to our door-to-door service for an additional charge. Who is going to help me? We have a team of holiday couriers who are trained to support you, but most importantly enjoy doing so. Every member of the team is there to help you with what you need, when you need it, but to also make sure you are as independent as you want to be while remaining safely in their care. Detailed information on what support is included in your holiday and what additional support we can offer is on pages How will you know what help I need? When you book a holiday we send you a Customer Support Profile to complete with details of your full and exact needs for daily, living, medication, medical and other conditions, mobility, communication, continence and dietary requirements. We can t stress enough the importance of disclosing to us your full support needs so we can provide your individual requirements. See pages for a full explanation. What do I need to bring? On pages there is a description of the bags, clothes and extras we suggest you bring. Any specific information relating to your holiday such as airline luggage limitations and the amount of money to bring will be on the itinerary sent to you prior to your holiday. What if I have to cancel my holiday? Call us to discuss your support requirements and to pay your deposit. This can be paid over the phone by card or by sending a cheque (made payable to Breakaway Ltd.) with your completed Booking Form. You can download a booking form by going to our website at and clicking on Booking at the top or we will send you one by or in the post. Note: It is essential that a completed and signed booking form is received in our office before you travel. Step 3. Complete the Customer Support Profile we will send to you or download it from our online brochure available at BOOKING INFORMATION We accept payments under the Direct Payments and Individual Budget schemes. Please speak to your social worker or primary care provider for advice. A full itinerary will be sent to you approximately one week before departure. If you would like a single room, for your comfort or because of sleep problems, please request this when booking as we may have limited single rooms available. An additional nightly rate applies which varies depending on the holiday. Terms and Conditions Enquiries are welcome by phone and bookings can be secured with payment of a non-refundable deposit of 100 per person per break, followed by a completed and signed booking form. The full balance payment is due 60 days prior to departure. If your holiday starts within 90 days of booking the full cost is payable with your booking form. Debit and credit cards are accepted by phone. For payment by cheque, make payable to Breakaway Ltd. Prices are subject to change and should be confirmed prior to booking. DOCUMENTS INSURANCE, EHIC CARDS - You are required to buy travel insurance appropriate for the destination to which you are travelling, including the UK. It is your responsibility to ensure you have adequate cover. If you travel without insurance, all costs for cancellation, curtailment, illness and medical expenses plus loss or damage to your property will be your responsibility. We recommend that you obtain an EHIC card for all travel to Europe. Terms and Conditions Your travel insurance must be valid for the entire duration of your holiday including the return date. We will need the name of your insurer, your policy number and your insurer s 24 hour help line number before you travel with us. An EHIC covers most urgent medical costs but this varies from country to country and additional fees will be charged to the customer. PASSPORTS You must hold a valid passport for travel outside the UK and for UK holidays which include a flight. Terms and Conditions It is your responsibility to ensure you have a valid passport if needed. Your passport must be valid for the entire duration of your holiday and for 30 days after the return date. If you are unable to provide a valid passport at the time of departure you will not be able to travel with us but will still be liable for the full cost of your holiday and any pre-booked pickups. If your destination country demands other documents, travel permits, or a visa you will be notified at the time of booking and will be required to obtain them before travelling. TRANSPORT The mode of travel for each holiday is shown in the icon panel for each holiday. Holiday prices include pick up from, and return to, designated meeting points which will be confirmed on your itinerary. Our main pick-up point is in Chelmsford, Essex, and some holidays include additional meeting points at locations between Chelmsford and the destination. If you wish to upgrade to our door-to-door service you may do so for an additional charge. This service is provided by our DBS-cleared transport team, and you may be collected by taxi and not by our minibus Customers who wish to specify male or female drivers or have additional chaperones as part of our door-to-door upgrade service must request this at the time of booking. A charge will be made for this service For customers in the north of England the meeting point will be the holiday destination for holidays marked Suitable For Customers Living in the North. You can also upgrade to our door-to-door service for an additional charge. Please advise us of any extra equipment such as wheelchairs that you will need to bring with you. Terms and Conditions If you are unable to arrange transport to the meeting points, you will be required to pay for door-to-door service. Some departure and return dates are subject to flight availability and may vary by up to 24 hours from those stated. PACKING INFORMATION Cases and bags One medium suitcase or holdall, clearly labelled, maximum weight 18kg, and no larger than 65cm x 45cm x24cm. We reserve the right to refuse to take, or charge extra for, luggage that exceeds these dimensions. Plus one small piece of hand luggage, backpack or handbag. If the holiday includes a flight please call us to check baggage allowances. The only exception is when travelling on continental holidays where we have requested that you pack an overnight bag for the journey. Clothes It is important to pack for the weather at your destination. If you are unsure weather conditions please contact us before departure. If there is a pool at your destination you will need to pack swim wear and a swim towel. We suggest you bring: One clean outfit for each day (plus extra in case of spills or accidents.) 61 INFORMATION, TERMS & CONDITIONS Underwear and socks for each day of the holiday plus spares and two pyjamas/nighties. Cardigans and/or sweatshirts for cool days and evenings even in hot climates. One warm waterproof coat for autumn and winter breaks, or a lightweight waterproof jacket at other times. A maximum of three pairs of shoes or trainers. Towels and toiletries Please pack a toothbrush, toothpaste, flannel, soap/shower gel, shampoo and sun cream/block. Men to bring an electric shaver (with an adaptor if needed at the destination) or shaving foam and new razors. Sanitary towels and continence protection Please ensure you have sufficient sanitary and/or continence supplies for your holiday. (If you need a large quantity of continence supplies we advise you pack them in a bag that can be disposed of or fitted into the main case at the end of the holiday.) Remember to pack bed and seating protection you would normally use. Spending money and valuables All of our breaks are full board (please see the description of our Full Board definition in the FAQ section at the front of the brochure) but you will need spending money for additional drinks and for snacks, sweets and ice creams. Bear in mind that a cola or coffee on the continent could cost you 5 each. We always recommend a minimum amount for each break in our holiday itinerary sent prior to travel, to cover basics and anticipated extra entrance fees for optional activities. However if you wish to buy souvenirs and gifts you will need to bring more. For foreign holidays spending money must be in euros with a little sterling for possible stops in UK. Couriers will look after customers money if required. We cannot accept responsibility for the safe-keeping of mobile phones, music equipment or other valuables. Cameras We always send a small selection of holiday photos as a souvenir shortly after you return from your trip and try to include individual photos of every customer. However if you wish to bring your own camera we cannot accept responsibility for its safe-keeping. MEDICATION Medication must be in clearly labelled holiday blister packs or dossette boxes with the correct combination and quantity of medication in each compartment. One pack containing all medication is required for each week, to be started on the first day of the holiday. Most pharmacists will provide medication in this format as a free service. We DO NOT accept medication in any other format including packets, bottles (unless liquids) or for periods exceeding the holiday duration. For holidays abroad bring enough medication for one extra day in case of unforeseen travel delays. Medication must be labelled with customers name, the name of the medication, the condition to which the medication relates and the daily dosages with times and instructions. Creams/drops must clearly state dosage, when and where to apply and the expiration date. Couriers are trained in prompting and assisting with medication provided and cannot be held responsible for errors arising from medication supplied in other formats. Example of suitable blister pack CANCELLATION We understand that occasionally you may need to cancel your holiday due to unforeseen circumstances or illness. A holiday booking is a legally binding contract and is created when we receive your booking form and deposit. In the event you are unable to travel for any reason, we have a cancellation policy based on the estimated cost of termination and we will charge an amount dependent on the timeframe of the notice you are able to give us, set out in our Terms and Conditions below. We strongly suggest you buy travel insurance appropriate for your holiday and it is your responsibility to ensure you have adequate insurance cover for cancellation and curtailment. Terms and Conditions In the event of cancellation for any reason the following non-refundable payments are due: cancellation more than 90 days before the start of the holiday - deposit only; cancellation between 90 and 60 days before the start of the holiday - 50% of the full holiday cost; cancellation between 60 and 30 days before the start of the holiday - 75% of the full holiday cost; cancellation less than 30 days before the start of the holiday - 100% of the full holiday cost. Cancellations are only accepted in writing and will be deemed as accepted on the date they arrive in the office by post, or the date acknowledged by Breakaway if submitted by . Please note that payments made in respect of holidays that are cancelled for any reason are not transferrable to alternative holidays in any circumstances. OUR SUPPORT Support is at the heart of what we do. It sets us apart from other holiday companies and is the reason you travel with us. We can t stress enough the importance of disclosing to us your full support needs when you book your holiday so we can accommodate your individual requirements. The base price of your holiday includes 24 hour support for basic needs such as help with water temperatures for baths and showers, assistance with hair washing and shaving, dressing, sorting (but not laundering) clothing, safekeeping of money and prompting and assisting with medication. The courier team is provided by HELP Personal Assistant Services, CQC Reg RGP , who ensure our high standards are met at all times. 62 INFORMATION, TERMS & CONDITIONS SUPPORT PROFILES We ask all customers to complete a support profile detailing their full and exact support needs with daily, living, medication, medical and other conditions, mobility, communication, continence and dietary requirements. It is your responsibility to provide us with accurate up-to-date information for each holiday you book. As our customers needs change over time we do not usually carry-over support profiles from one holiday to the next so you may be required to complete a profile for each holiday you book. We take no responsibility for costs and consequences arising from any undisclosed support requirements. Please contact us to discuss your support requirements if you have any questions about specific needs. Support is provided by HELP Personal Assistant Services (CQC Reg No: RGP ), rated by the CQC as Good in all areas. Terms and Conditions It is essential that we are made fully aware of your support needs as failing to do so may result in understaffing and so restrict the activities in which you are able to take part. We reserve the right to refuse travel where support needs have not been fully disclosed on our Customer Support Profile and in this circumstance you waive all and any right to a refund of monies paid. All costs incurred as a result of laundering soiled and/or wet clothing and linen will be invoiced at the end of the holiday. We do not offer clinical or medical support as part of our standard support package. SPECIFIC NEEDS Night Time Waking - We will provide waking night cover on request and this must be paid for at the time of booking. Wandering - If your safety may be compromised by wandering away from the group, please disclose this on your Customer Support Profile so that we can put appropriate measures and staffing in place. It is very important to tell us if you may sleep walk or wander at night. Medical Support - Please ensure we are notified if you have the following conditions so we can provide appropriate support: epilepsy, diabetes, asthma, heart and respiratory conditions. In the event of a medical emergency we will access services available locally. Challenging Behaviour - Customers who display challenging behaviour should make us aware of their individual communication needs to ensure we can respond appropriately in all situations whilst on holiday. Please note that our holidays are not suitable for people who display physically challenging behaviour. Sleep Apnoea and Snoring - Please advise us at time of booking if you need to use Sleep Apnoea equipment or if you are a heavy snorer. These conditions can disturb other customers and you may need to book a single room. Socialising - Making friends and being part of a group is an important part of the holiday. If you have difficulties taking part in group activities, are uncomfortable in noisy or busy social groups, or present challenging behaviour in group situations, please advise us so we can offer you appropriate support. Dietary Requirements - Please inform us in advance if you have a food allergy or intolerance, or special dietary needs at time of booking and on your Customer Support Profile to ensure that we can cater for you. Please also advise us of any recommendations relating to the consumption of alcohol. Complex Needs - Some holidays are unsuitable for customers with complex needs. However we have vehicles and accommodation which are suitable if you have a combination of physical and learning disabilities and are always happy to discuss your individual requirements. One-to-One Support - Individuals with high needs can be accommodated on most holidays with a one-to-one courier. This increases the cost of the holiday to cover the costs of the personal courier. Physicality - Please disclose at the time of booking, and on your Customer Support Profile if you require reinforced sleeping or seating equipment or you require additional seating space on vehicles and any other mode of transportation in order to accommodate your physical size. Continence - If you have any problems with continence, or suffer from night-time incontinence, please advise us at the time of booking so that we can ensure the right protection is in place for your comfort. Please bring your own continence products, ensuring that you bring enough to last for the duration of your holiday including those days spent travelling to and from your destination. Terms and Conditions We reserve the right to refuse travel and to curtail trips if your needs have not been fully disclosed prior to departure. The full costs of curtailment in these circumstances will be charged to the customer. All costs incurred as a result of laundering soiled and/or wet clothing and linen, and for cleaning of furniture and vehicle seats from undisclosed continence issues will be invoiced at the end of the holiday. Costs incurred through non-disclosure of support needs or failure to supply all required medication and personal hygiene products will be invoiced at the end of the holiday. All supplements are payable in advance. VEHICLES The ability to provide appropriate, comfortable and safe travel is critical and we run a fleet of vehicles that is well maintained and fit-forpurpose. Our two nine-seater mini buses are disabled adapted and can accommodate customers travelling in a wheelchair. FINANCIAL SECURITY Breakaway Holidays & Weekends Ltd holds a payment protection fund which offers you financial security should the company be unable to trade. This insurance is not travel insurance or an equivalent policy. HOLIDAY AGENDAS We reserve the right to make changes to the programme/activities/ transport shown on our brochure pages without prior notice. Substitutions and alternative plans may occur depending on customers preferences, weather and unforeseen circumstances.
