VENUE OF THE MEETING 1.1 The AIS-AIMSG/9 Meeting will be held in Tokyo, Japan, at the Ministry of Land, Infrastructure, Transport and Tourism (MLIT) Annex and the Ministry of Internal Affairs and Communications (MIC) located at Kasumigaseki, Chiyoda-ku, Tokyo (Japan). 2. REGISTRATION OF PARTICIPANTS 2.1 Participants are requested to register on Monday, 21 April 2014, for a visitors pass between 0900 and 0930 hours at the gates of the Ministry of Internal Affairs and Communications (MIC). Participants are informed that they will be required to bring valid identification with photo to facilitate the registration procedure and the issuance of a visitors pass. 3. DOCUMENTATION FOR THE MEETING 3.1 Documentation for the meeting will be issued as study notes/information papers. All documentation will be posted on the AIS-AIMSG website at Participants are requested to download papers since no printed copies will be available. 3.2 A summary of discussions (SoD) will be issued shortly after the meeting. 3.3 Reference documents will be available to participants on the AIS-AIMSG secure website at (6 pages)

2 AIS-AIMSG/9-IP/ OPENING OF THE MEETING 4.1 The opening of the meeting will take place at 0930 hours on Monday, 21 April 2014 in the Meeting Room Number 5 which, when you enter the MIC building, is located in the first corridor on the right, before reaching the escalators. Detailed location instructions and methods of transport are found in the attachment to this paper. 5. WORKING HOURS 5.1 The following daily working hours are proposed: hours with a 15-minute coffee break at 1030 hours hours with a 15-minute coffee break at 1530 hours. 6. LANGUAGES 6.1 The meeting will be conducted in the English language. 7. SOME USEFUL TRAVEL INFORMATION 7.1 Passport and visa requirements All foreign nationals entering Japan must possess a valid passport. It is recommended that participants also check whether they will require a visa for entering Japan. Visa requirements differ according to the purpose of the trip, nationalities and type of passport. More information and advice can be obtained from the Consular Section of the Embassy or Consulate General of Japan. The contact information can be found on For those participants requiring a visa, it is suggested that the meeting organizer, Mr. Tomoya Miyoshi be contacted by at miyoshi-t41ka@mlit.go.jp prior to 17 March 2014, to obtain documents that may be required in the visa process. Participants are reminded that they should allow a minimum of one month prior notice to process visa requests.
