2 PARENTS GUIDE On behalf of our instructors, Queen s University, and Queen s Recreation, I would like to welcome you and your child to the Queen s Summer Sports Camp program. All camps promise to be filled from start to finish with developmentally appropriate activities which promote life-long learning of recreation and sports skills. The skills are experienced in a recreation setting to encourage each child to explore fun and diverse activities. We have an excellent group of experienced and enthusiastic instructors leading the program this year who have participated in an extensive pre-camp training program and are certified with CPR/First Aid. The Athletics and Recreation Centre (ARC), located in the Queen s Centre, is a state-of-the art athletic facility featuring all the latest amenities. The ARC has two gymnasiums which can be used for a multitude of sports and set for a variety of configurations. These include basketball, volleyball, badminton and several other multi-purpose sports. The ARC also has the most squash courts and racquetball courts in Kingston. Highlighting the West Side of the ARC is a 38x25 metre pool with several swim lanes, diving boards as well as dedicated pool-side change rooms with shower facilities. Campers will also use Tindall Field as well as Nixon Field which are full size artificial multi-season playing fields. PARENT S NIGHT You are invited to attend our Annual Parent s Night in June (date to be determined), in the Alumni Lounge located in the ARC near the customer service desk. You will be able to meet the counselors, tour the facility and ask questions! 3 WHAT TO PACK FOR A DAY AT CAMP CLOTHING AND SHOES Campers should come to camp dressed for a day of activity. We recommend outdoor activity clothes and athletic shoes (no sport-sandals or open-toed shoes). You may want to include an additional pair of socks to help with blister prevention. A hat is also recommended. WATER BOTTLE Water is a vital component when physically active. Parents are asked to send a water bottle/squeeze bottle each day, labeled with your child s name. Please encourage your child to drink water while they are attending camps. We also allow for many water breaks throughout the day. SUNBLOCK Your child will participate in outdoor activities everyday (except for Just for Fish and our Elite camps). For protection from the sun s rays, we recommend applying SUNBLOCK (SPF #15 or higher) on your child, prior to arrival. We encourage you to send sunblock with your child. SWIMMING GEAR Please pack a swim suit every day for your camper. Towels will be provided. If your child is swimming at multiple times throughout the day, a second suit may be required. Backpack/Gym Bag A backpack, gym, or book bag is recommended for your child s belongings. Please LABEL all of your camper s items with his or her name. LUNCHES We offer three options: 1. Bring your own bagged lunch from home. 2. Purchase a PITA PIT meal plan option. 3. Purchase food from our on-site canteen (pizza, hotdogs, etc) We are excited to be offering a PITA PIT meal plan option for lunch this summer. You can choose from a petita or regular meal plan. Our full canteen service will still be available also. Please see the PITA PIT meal plan order forms and canteen information and order forms at the back of this guide. WE ENCOURAGE ALL PARENTS AND CAMPERS TO LIMIT THE USE OF PEANUTS AND PEANUT BUTTER IN CHILD S LUNCHES. As you are aware, severe peanut and nut allergies are around us and we are trying to do the best we can to control this. We cannot guarantee a totally nut free environment as we are open to the public. SNACKS Please include a few snacks in your child s lunch as we will break from time to time throughout the day, especially in the ActiveFUNdamental camp. We have added a milk vending machine that includes both chocolate and white milk. 3

4 ARRIVING AT CAMP March Break and Holiday Camps: A regular March Break and Holiday camp day is 9:00 am - 4:00 pm. Before and after camp care is available starting at 8:00 am or in the afternoons until 5:00 pm. Summer Camps: A regular Summer camp day is 9:00 am - 4:00 pm. Before and after camp care is available starting at 8:00 am or in the afternoons until 5:15 pm. CHECK-IN PROCEDURES As you will have noted in the online registration system, you were asked to list the people who have permission to sign your child in and out of camp. This is essential as we are making it mandatory that parents provide photo ID upon both signing in and out their camper. We will have a list of those people at sign in and sign out, so please ensure it is accurate. All campers must be checked (signed) in before the start of our camp day at 9:00 am. Please bring your child into the Athletics and Recreation Centre (ARC) from the main entrance off of Earl St. When entering the ARC, walk past the Customer Service Desk, down the hallway to the viewing area of the main gym where you will see the registration tables down in the gym. Lists will be posted at the top of the bleacher stairs to help you find which group your camper is in. Find your camp table and check (sign) in. LATE ARRIVALS ALL late arrivals (after 9:00am) must report to the Customer Service Desk of the ARC. Please try to arrive on time. DEPARTING FROM CAMP EARLY DEPARTURES Advanced notice must be given in writing to the staff at check-in or check-out if your child needs to leave early. ALL campers who need to leave early will be picked up from the Customer Service Desk and signed out accordingly. Due to programming, pick-ups must occur before 3:00pm. CHECK OUT PROCEDURES As you will have noted in the online registration system, you were asked to list the people who have permission to sign your child in and out of camp. We will have a list of those people at sign in and sign out, so please ensure it is accurate. It is mandatory that you present photo ID upon signing out your camper. Please pick up (sign out) your child in the Athletics and Recreation Centre (ARC)and enter from the main entrance off of Earl St. When entering the ARC, walk past the Customer Service Desk, down the hallway, to the viewing area where you can sign your child out down in the gym (tables will be in the same spot as sign-in). On page 12, you ll find a Camper Release Form that will need to be filled out if your child needs to leave camp for any reason ie. Dentist appointment. Please give this directly to your child s camp counselor. BEFORE AND AFTER CAMP CARE PROGRAM This program is available to parents who need to drop/pick up their child outside a typical day of camp. This portion of the camp is supervised with minimal programming. Children will be asked to relax and participate in low activity games or crafts. March Break and Holiday Camps: Before and after camp care is available starting at 8:00 am or in the afternoons until 5:00 pm. Pick up / Drop off location: Back foyer on level 1 To access the back foyer on level 1 enter the Athletics and Recreation Centre from the main entrance off Earl St. and continue straight, past the Customer Service desk and main gym, to the very end of the hallway. Registration for before and after care can be added while registering for camps online or in person at customer service. 4

5 SINGLE DAY REGISTRATIONS We are allowing campers to register for a single day of Sports Camp. If you have registered for a single day of camp, you should follow all of the procedures laid out in this document. We are accepting single day registrations in-person only. The cost for single day registrations is $55 per day. VALUABLES Please leave all valuables at home. Label all of your belongings. Cell phones, ipods and other portable music players, collector cards, hand held video games, etc are not allowed at camp (even at lunch). Please leave them at home. Items that are not appropriate for camp will be confiscated and locked in the camp office until check out. Queen s is not responsible for lost or stolen items. ACCIDENTS AND EMERGENCIES In the case of an emergency or accident involving your child, you will be notified following notification of the appropriate emergency personnel. All members of the camp staff are certified in First Aid and CPR and have been trained in emergency procedures at all locations. Please be sure to provide the most accurate and update emergency contact information. ILLNESS If your child should become ill while at camp, you will be notified. We do not have a registered nurse on staff, therefore, we will ask you to make the decision whether to remove your child from the program for the day. We ask for your discretion on bringing your child to camp if he/ she is ill. Please call ext , if your child is ill and away from camp for the day. 5

6 MEDICATIONS/EPIPENS/INHALERS We are not responsible for administering your child s medication. If your child does require medication, the parent/guardian will be required to administer it at camp. The camper is responsible for carrying his/her EpiPen or inhaler with him/her at all times. The camper will show the counselor where it is carried. The use of a fanny pack has proven the most successful way to do this. In the event of an emergency, the camp counselors will administer the EpiPen. Please see the permission form on page 12 that will need to be signed and brought to the first day of camp. SUMMER CAMP SOUVENIR T-SHIRT Each camper will receive one complimentary Queen s Summer Camps T-shirt as a keepsake for attending camp. T-shirts will be distributed at the session of camp for which the camper is enrolled. DISCIPLINE At the Queen s Summer Sports Camps, we are aware that there will be a time when every camper has a difficult day. First and foremost, we want to quickly resolve any conflicts and keep your child involved in the activities. On occasion, it may be necessary to give the camper a chance to re-group away from the activity area. If your child still has difficulty in a situation, you will be notified by way of a telephone call and/or discussion with the counselor at drop-off or pick- up. If the behaviour persists and conflicts cannot be resolved, or the situation is severe, you will be contacted immediately and the incident(s) may result in suspension from the program. In some repeat situations, expulsion may result. We are not a child care facility and do not have the staff for one-to-one supervision. Therefore, if there is a behaviour incident that requires removal from the day s activities and you are not available, your emergency contact will be asked to come and pick up your child. 7 POOL ADMISSIONS REQUIREMENTS To ensure that children have a safe and enjoyable swimming experience, Queen s Athletics & Recreation has updated our wristband policy. This system allows staff to identify children at greater risk and ensure adequate supervision when in the pool area. Additionally, children who are unable to pass the swim test and who cannot touch the bottom of the pool and keep their head out of the water must wear a lifejacket. *Due to the depth of the Queen s ARC shallow end, all children who are unable to pass the facility swim test and unable to reach the minimum height requirement of 4ft 10 inches will be required to wear a lifejacket in the shallow end. Each ratio indicates the maximum number of children that one responsible person (aged 16 or older) is able to supervise. Responsible person should be in proper bathing attire, in the water, actively participating within arm s reach at all times. High-risk participants must be in a ratio of 1:1. High-risk participants are defined as those who have a condition or illness that may put them at risk in an aquatic environment (i.e. frequent seizures, fainting conditions, etc.) and those who are unable to control behaviour or impulses and require direct supervision. Facility Swim Test Children must swim on their front across the shallow end of the pool (50m distance) without touching the bottom. Children may attempt the swim test ONLY ONCE during a scheduled swim time. 7

A person having an anaphylactic reaction might have ANY of these signs and symptoms: Skin system: hives, swelling, itching, warmth, redness, rash Respiratory system (breathing): coughing, wheezing, shortness of breath, chest pain/tightness, throat tightness, hoarse voice, nasal congestion or hay fever-like symptoms (runny, itchy nose and watery eyes, sneezing), trouble swallowing Gastrointestinal system (stomach): nausea, pain/cramps, vomiting, diarrhea Cardiovascular system (heart): pale/blue colour, weak pulse, passing out, dizzy/lightheaded, shock Other: anxiety, feeling of impending doom, headache, uterine cramps, metallic taste Early recognition of symptoms and immediate treatment could save a person s life. Act quickly. The first signs of a reaction can be mild, but symptoms can get worse very quickly. 1. Give epinephrine auto-injector (e.g., EpiPen, Twinject or Allerject ) at the first sign of a known or suspected anaphylactic reaction. (See attached instruction sheet.) 2. Call or local emergency medical services. Tell them someone is having a life-threatening allergic reaction. 3. Give a second dose of epinephrine in 5 to 15 minutes IF the reaction continues or worsens. 4. Go to the nearest hospital immediately (ideally by ambulance), even if symptoms are mild or have stopped. The reaction could worsen or come back, even after proper treatment. Stay in the hospital for an appropriate period of observation as decided by the emergency department physician (generally about 4 hours). 5. Call emergency contact person (e.g. parent, guardian).
