3 FROM THE DIRECTOR We are pleased that you have chosen Jockey Hollow Day Camp this summer! We hope the experience will bring her back year after year. The Jockey Hollow Day Camp experience will provide daily opportunities to build girls of courage, confidence and character, who make the world a better place. Girls will develop awareness for the natural environment and increase their outdoor skills by participating in hikes, cookouts and nature activities. Through girl planned activities, your camper will develop leadership skills and increase her independence. Enclosed is information you will find helpful for your camp preparation. Please take time to read this booklet thoroughly with your camper. We look forward to sharing all the fun and excitement that Jockey Hollow Day Camp has to offer! 4 BALANCE DUE REGISTRATION TIPS The balance of the camp payment is due May 30, All payments are to be charged with a debit/credit card online. To pay the balance, return to the online registration website anytime but no later than May 30, 2018 and pay with your debit/credit card. All registrations submitted after May 30, 2018 must be paid in full. A camper will NOT be permitted to board the bus or attend camp until the full payment is received. Need assistance? Please customercare@gsnnj.org or call CHANGES TO REGISTRATION AND CANCELLATION/REFUND POLICY Any changes made after your initial registration is processed will incur an additional $20.00 fee per request. All changes need to be submitted by to customercare@gsnnj.org. For cancellations, camp fees will be refunded, less the $75.00 per session non-refundable deposit, ONLY if a written request is received by the camp director no later than May 30, ADDING ADDITIONAL SESSIONS During camp, we often hear from campers and parents that they would like to return for additional sessions. Pending availability, girls are welcome to return provided all paperwork and online registration is completed. Please contact customercare@gsnnj.org or call for availability. EARLY BIRD REGISTRATION INCENTIVE GIFT For girls who qualified, their GSNNJ summer camp $10 Trading Post Voucher will be distributed at camp. Limit one voucher per camper. The first 500 girls combined from both GSNNJ camps qualified if they were registered by February 28, paid in full by May 30 and submitted a completed Health Form with immunizations to the Randolph Service Center. The voucher must be used at day camp this summer. Cash back will not be given for purchases less than $10. CAMP PHOTOS AND T-SHIRTS Every camper will receive one free Jockey Hollow Camp T-shirt. It should be worn every Monday that she attends a new session to be ready for her unit photo. A free Unit Photo will go home with the camper at the end of each session. 3

5 CAMP LIFE ARRIVAL The camp day begins at 9:00 a.m. Those campers being transported by private vehicle should arrive between 8:30 and 8:45 a.m. Back in and park your car into a parking spot. Walk your daughter to the Check-In Canopy in the parking lot to check her in. Every day begins with an opening flag ceremony and singing. Girls are greeted by their unit staff and depart as a unit for their day s activities immediately after the flag is raised. CAMP ACTIVITIES Each Unit s schedule is different every day. All campers will participate in the following activities at least once during the session. They are facilitated by a Program Specialist: Arts & Crafts Archery (grades 2 and up) Environmental Programs Zipline (grades 4 and up) Low Ropes Challenge Course SWIMMING All campers participate in swimming each day. A 45-minute swim period includes an American Red Cross swim lesson and free swim. Testing is done on the camper s first day of camp and each camper is assigned to a swimming level according to her ability to demonstrate strokes. She will receive a swim cap that will stay at camp for the week. (She should bring the cap back for each session she attends.) Use of the American Red Cross system sometimes means a strong swimmer is placed in an intermediate group because she is not proficient in one or more strokes that are required for that level. Campers are moved to higher level groups as they progress. BADGE WORK Girls will work on the GSUSA badges with their units during the course of each session. A Badge Sheet will go home at the end of each session indicating the badge components that have been completed. If the sheet indicates the entire badge was completed, it can be brought to any GSNNJ council shop and the badge can be purchased. Girls are welcome to complete any missing requirements on their own. SPECIAL INTEREST DAY As a girl-driven organization, we encourage girl participation throughout the day camp experience. Special Interest Day, held each Wednesday, allows the girls to select a 1 ¼ hour activity that interests them from a list of activities provided. It is a time at camp when they can interact with other campers outside of those in their unit. Some of the activities have limited space. If space is not available in her first choice, she is offered another activity. 4

6 FRIDAY FEST PROGRAM Our Friday Fest Program is held each Friday as a fun way to end the session. It gives the units a chance to participate in a program together. The activities are usually selected in connection with the session s theme. LUNCH Campers bring a bagged lunch each day except Thursday, when they will cook out their meal (food provided by camp for cookout). Only pack foods that DO NOT require refrigeration as there is none available for lunches. Special eating procedures are in place for girls with food allergies. Milk (white or chocolate) is provided to all campers for all lunch meals. Campers can bring fruit drinks or water (in non-glass containers) if desired. DO NOT send soda. A cold lunch program is available from Simply Gourmet, an independent food service company offering kid-friendly, nutritious, nut-free meals delivered daily and individually packaged with the camper s name. Participate by going to Menus and prices will be available for ordering by mid June COOKOUTS Every Thursday the camper s unit will experience cooking their meal over an open fire from a menu they have selected. Each girl will need: Mess kit (or plastic plate & bowl) and eating utensils Dunk bag, used for washing and sanitizing their dishes (found in the laundry department at dollar stores) Hair band or bandana to tie back hair All items are will be available at the camp Trading Post prior to the cookout (see Trading Post below). TRADING POST Your daughter will have an opportunity to shop in the Trading Post (camp store) during the week. Cash or checks made payable to GSNNJ will be accepted. Please send money in a sealed envelope of zip loc bag labeled with your daughter s name and marked Trading Post. Items sold include camp apparel, sit-upons, mess kits, dunk bags, stuffed animals, patches and other novelty mementos. A complete price list will come home with your daughter on the first day of camp. DEPARTURE The camp day ends at 3:30 p.m. Girls board their buses and depart for home at approximately 3:45 p.m. Those being picked up by private vehicle should be picked up in the parking lot at 3:35 p.m. Photo ID will be requested for the afternoon pick-up, whether at camp or at a bus stop. 5

7 EQUESTRIAN PROGRAMS PONY & HORSEMANSHIP INFORMATION Pony riders will learn safety on and around the ponies, grooming techniques, basic riding skills and other primary horsemanship skills for 1.5 hours, Tuesday through Friday. Monday is set aside for camp orientation and other Jockey Hollow Summer Fun camp and unit activities. Horsemanship participants will cover more in-depth horsemanship skills and techniques, as well as have a group riding lesson, in a rotational program for 2 hours, Tuesday through Friday. All campers in your daughter s unit are assigned according to their grade and all will be participating in the Pony or Horsemanship program. These units will have swim time each day and participate in other Jockey Hollow Summer Fun camp activities, as well as their riding instruction. WHAT ALL EQUESTRIAN PARTICIPANTS MUST WEAR Long pants Strong hiking type shoe with small heel (ASTM) F approved Riding Helmets (optional). The camp will supply approved riding helmets. Campers will only be wearing pants and boots only during their riding time. 6

8 OVERNIGHT PROGRAMS Campers entering third grade or higher who have pre-registered for an overnight program will experience the following (weather permitting): Hour of free swim Dinner cookout and continental breakfast Campfire Evening snack Fun night activities Sleep in cabins on mattresses Each camper should pack the following for overnights: OVERNIGHT BAG DAY CAMP BACK PACK (Add these in addition to daily items) Sleepwear (shorts and top or PJ s) Extra swim suit and towel Change of clothes for the next day Flashlight with new batteries Toiletries (toothbrush, toothpaste, hairbrush) Mess Kit (or non-breakable plate, bowl and cup - sold at camp Trading Post) SMALL stuffed animal (optional) Silverware Sleeping Bag or blanket and sheet (small pillow- optional) Dunk Bag (used for washing and sanitizing their dishes - sold at camp Trading Post) The overnight bag, sleeping bag and pillow should be tightly packed in a plastic garbage bag. Use masking tape on the outside of the garbage bag and label with your daughter s name, unit name and bus route number. Any medications brought for the overnight must be given to the nurse Wednesday morning when arriving at camp. All medication (prescription and over-the-counter) brought to camp must be in the original container, labeled with the child s name and accompanied with a physician s orders for administering the medication. PLEASE PACK LIGHTLY AND COMPACTLY- THE BUSES ARE VERY FULL. CAMPERS MUST CARRY THEIR GEAR INTO CAMP. NO EXTRA FOOD FROM HOME, PLEASE! 7

9 BUS INFORMATION Each bus has a First Aid/CPR certified counselor who will be in charge of the campers travels to and from camp. To ensure a positive experience please regard the following: Buses cannot wait beyond the scheduled times. Arrive at the bus stop at least 10 minutes prior to pick up and return times. An adult must remain with your daughter in the morning until the bus arrives. Any authorized adult picking up your daughter at the bus stop must present a photo ID each day. If no one is at the stop to meet your daughter, she will be kept on the bus and the camp will be notified. Parent/guardian or emergency contacts will be notified immediately. She will be brought back to camp unless other arrangements have been made. Buses may be delayed due to traffic or weather conditions. Monday afternoon buses are often later than scheduled. Each session there are many new campers and it takes additional time to ensure all are on the correct buses before departure from camp. Girls are not permitted to change buses without the written request from the parent/guardian and only if space permits. BUS DELAY NOTIFICATION REMIND.COM When a bus is experiencing a delay of more than 15 minutes, parents/guardians will be notified via a phone text. You will receive an at the beginning of the session regarding signing up for this phone notification system. You must sign up for each session your child attends. To ensure your daughter s safety on the bus please discuss these rules with her. Remain seated at all times. NO walking or standing in the aisle or in the seats. Seat belts must be worn at all times. No excessive noise or shouting. No leaning out or putting arms out of the windows. No eating on the bus. Water bottles only. No littering. Wait for the bus to come to a complete stop before getting up to leave. 8

10 TRANSPORTATION The day camp fee includes bus transportation to and from camp. Buses arrive at camp between 8:50-9:00a.m. and leave camp at approximately 3:45 p.m. A bus stop (or parent transport) must be selected at the time of registration. Bus times may vary due to traffic and weather conditions. Buses cannot wait beyond the scheduled times. Arrive at the bus stop 10 minutes prior to pick-up and drop-off times. For the safety of our campers, an authorized adult must present a photo ID when picking up a camper each day. Arriving and Departing by Car: Campers transported to camp by a parent/guardian should arrive between 8:30 and 8:45 a.m. and should be picked up at 3:35 p.m. For campers being transported by parent/guardian, select Parent Transport during online registration. Select PM Care for those staying for extended care. 11 CAMPER PICK UP RELEASE OF CAMPER The camp office must be notified, either in writing or by phone, if your child will be leaving camp before the close of the camp day. The adult picking up the camper should park in the parking lot and walk to the camp office, sign a Camper Release Form and show photo ID. Campers being picked up at camp s dismissal time instead of taking their regularly scheduled bus will be picked up in the parking lot. A note from a parent/guardian indicating this change needs to be sent to camp that day. Photo ID will be required at time of pick up. Any authorized person picking up your daughter from camp or a bus stop MUST present a photo ID. If a non-custodial parent is denied access to a child by a court order, a copy of that documentation must be provided to camp. In the absence of a court order, the camp will honor the requests of the person who registered the camper. RELEASE OF CAMPER TO OTHERS FORM If your daughter will be released from camp to adults other than the parent/guardian, we ask that you complete the form located at the back of this guide and submit the completed form to the bus counselor or parking lot check-in staff on the first day of camp. A separate note is needed any day your camper is being switched from bus pick up to camp pick up. DRIVING DIRECTIONS FOR JOCKEY HOLLOW CAMP For security purposes, GSNNJ does not post driving directions for our camp properties on our website. They are attached to your camp registration confirmation. Use these directions and not a GPS as they are much more accurate. EXTENDED PM AFTERCARE Campers enrolled in the Extended Aftercare program will remain at camp and be supervised by camp staff. They will participate in crafts and games, and receive a healthy snack. Campers MUST be picked up no later than 6:00 p.m. Unless there is severe weather, park in the main parking lot and walk up to the Extended Care area to pick up your camper. Parents/guardians must call the camp if an emergency arises and they will be late. A fee of $10 per every 10 minutes after 6:00 p.m. will be charged to the parent/guardian for tardiness. 10

12 WHAT TO BRING The following items should be brought or worn every day. A day pack is ideal for packing and carrying needed items: One piece bathing suit and towel (bathing cap provided by camp should be brought back each day of each session the camper attends). Water Bottle - reusable is preferred over a disposable one. Sweatshirt or sweater for cool mornings and overnight. Rain coat or poncho (to keep in day pack in case of rain). No umbrellas, please. Sit-upon (or something waterproof to sit on the ground). (sold at camp Trading Post) Bagged lunch, OR take part in the optional Lunch Program (see information under Lunch on page 3). Insect repellent (must be non-aerosol). Plastic bag for wet suit, towel and clothing. Watershoes (crocs, old sneakers or boots) only used for Stream Exploration time. White Tie Dye item (i.e. t-shirt, pillow case, socks) for day unit does tie-dying. WHAT TO WEAR TO CAMP Adjust daily for the weather. Bathing suits are to be worn only when in the pool. Old clothes should be worn. LABEL every item your daughter brings or wears to camp with her first and last name. This will give you a better chance of everything coming home at the end of camp! Shorts or pants and shirt (no halters or spaghetti straps). Sneakers or sturdy shoes with socks (to prevent blisters). Shoes must cover the foot. NO open-toe or heel shoes, sandals or Crocs allowed. WHAT NOT TO BRING TO CAMP Please do not pack or bring the following. Camp is not responsible for these lost or stolen items: Electronic devices (i.e. IPods, Tablets, Cell phones - very minimal reception anyway) Candy, gum or snacks of any kind (we supply an afternoon snack) Aerosol containers Jewelry, including earrings, necklaces, rings and bracelets Pocket knives, personal sports or craft equipment Umbrellas 11

13 HEALTH & SAFETY Any serious or unusual health related issues or concerns should be discussed with the director and nurse prior to the camper s arrival at camp so that we can create a safe and healthy environment for your camper. To contact the nurse during camp hours, call HEALTH HISTORY FORM In accordance with American Camp Association (ACA), New Jersey State Department of Health and Girl Scouts of the USA regulations, each camper must submit a completed Health History Form. It does not need a doctor s signature, but a copy of her Immunizations must be attached along with any applicable Allergy Action Plan(s). No camper will be permitted to attend camp without a completed Health History Form. Submit the form no later than May 30, 2018 in one of the following ways: scan and to healthforms@gsnnj.org fax to mail to: Girl Scouts of Northern New Jersey Attn: Summer Camp 1579 Sussex Tpke. Randolph, NJ HEALTH SUPERVISION & MEDICATIONS A nurse will be on duty at all times. All medication brought to camp (prescription and over-thecounter) must be in the original container, labeled with the child s name and accompanied with a physician s orders for administering the medication. All medications must be left with the nurse except Epi-Pens and on-demand inhalers. Epi-Pens and on demand inhalers are kept by an adult supervising the camper after being presented to the nurse. Campers with Epi-Pens are encouraged to bring two Epi-Pens to camp. One will be with the adult supervising the camper and the other will be kept in the nurse s office. FOOD ALLERGIES Any campers food allergies, including peanut and tree nut allergies, should be documented on their Health History Form. An Emergency Action Plan must be attached to the Health History Form. Safety is our first concern and every effort is made to maintain a safe environment for your camper while at camp. Feel free to contact the camp nurse during camp hours at prior to your daughter s arrival at camp to discuss any concerns. 12

14 COMMUNICATIONS ABSENT FROM CAMP If a camper is unable to attend camp any day, call the camp at between 8:00 a.m. and 9:30 a.m. It is essential the camp be notified to assure the safety of all campers. ILL OR INJURED CAMPER In the event a camper is injured or becomes ill while at camp, the camp director or nurse will notify the parent by phone. If the parent/guardian is not available, the emergency contact will be notified. PARENT/GUARDIAN QUESTIONS OR CONCERNS Should you have questions or concerns relating to camp, feel free to contact the camp director at between 8:00 a.m. and 5:00 p.m. CAMPER COMMUNICATION We strongly discourage campers from making phone calls home except for illness or injury. Homesickness is kept at a minimum by keeping the campers busy all day. Cell phones for campers are not permitted. CHECK US OUT ON FACEBOOK! We know you would love to be a fly on the wall while your camper is having fun at camp! We try to post daily pictures on our Jockey Hollow Facebook page so Like us and check back regularly! Visit You do not need a FB account to view photos! LOST AND FOUND Lost and Found items are shown to campers each day. Any items not claimed and in good condition will be kept at camp in a Lost and Found container until the end of the summer. Girl Scouts of Northern New Jersey is not responsible for lost items. Please label all of your daughter s items so they may be returned if lost. 13

15 RELEASE OF CAMPER TO OTHERS This form is to be used if your camper will be released from camp to adults other than the parent/guardian. Submit completed form to bus counselor or parking lot check-in staff on the first day of camp.
