6 YMCA SUMMER DAY CAMP & LEADERS IN TRAINING Summer Camp Ages 5-12 Whether it s splashing in the pool, exploring nature, learning a new skill, or going on fun field trips, summer camp at the Y provides an opportunity for children to build meaningful relationships and engage in unique experiences that only a camp environment can bring! With a new theme each week such as Y s Got Talent, Wild & Wacky Science, Water Wonders, and more, your camper s summer will be full of new activities, new experiences, and new memories to last a lifetime! Our holistic approach creates an environment where campers learn values like honesty and respect, improve personal and family relationships, appreciate diversity, become better leaders and supporters, develop specific skills like STEM, all while having fun with their friends. Leaders in Training Ages The YMCA Leaders In Training program is an opportunity for youth to connect with other like-minded participants and build friendships and self-esteem. Leaders In Training will be assigned to day camp groups to shadow a camp counselor and use their talents and skills to support and interact with children in their traditional camp activities. Two times during the summer they will participate with the Teen Camps in leadership retreats for service learning opportunities, developing job-readiness and leadership skills, and overall character development. The Leaders In Training program is offered at all locations except locations with a Teen Camp. See the camp locations page or visit ymcamemphis.org for specific location information. Leaders In Training spaces are limited at each location, so be sure to register early! 6

7 TEEN CAMPS Teen Camps Ages Y Teen Camps provide creative and educational experiences through unique activities and positive relationships with mature staff. Teen campers will develop a sense of achievement, relationships, and belonging as they help plan their activities, trips, ongoing community service projects, and educational experiences. Camps include weekly themes and traditional camp activities including: swimming, working in teams, playing fun games and making new friends. Teens also have the opportunity to learn and grow by participating in: Interactive field trips Planning and volunteering in various service projects Leadership retreats for service learning opportunities, developing job-readiness and leadership skills, and overall character development Our goal is for teens to learn to collaborate, develop new skills, practice effective decision-making and conflict resolution skills, and discover something new about themselves. FEE ASSISTANCE It is the mission of the YMCA to serve all families. As part of this mission, and in effort to make sure all children and parents are able to receive a quality child care experience, we offer fee assistance for all of our camp locations. Our Open Doors program provides weekly rates that are catered to your household income and is available to all applicable households. Financial Assistance is provided to families with an Annual household income less than $20,000, however, we understand the challenges that families may face during different periods of their life and know that income is not the only factor in awarding financial assistance. We encourage families that may have a special financial circumstance to apply for assistance if the weekly fee is a barrier for camp attendance. Financial assistance is awarded based on a first come, first serve basis. To Apply, Visit: ymcamemphis.org 1. Go to OUR PROGRAMS > SUMMER CAMP. Click the link called Income Based Rates/Fee Assistance Forms. 2. Fill in the required information. Once you submit your application, you will receive an within 1 business day including our decision and your subsidized rate. 3. Follow the Camp Registration instructions provided on Page 10 to register your child. The subsidized rate will be applied automatically at check-out. 4. You will be required to show proof of income (for the household) including most recent 1040 tax forms and 2 most recent pay stubs. This documentation can be submitted by: Fax to (901) ; to Lori Franklin, lfranklin@ymcamemphis.org; or drop off at your nearest YMCA branch or child care site. NOTE: Proof of income MUST be submitted before your child s first day of camp or the regular weekly rate will be automatically billed without subsidy.

9 PAYMENT POLICIES TABLE & DRAFT OF CONTENTS SCHEDULE Weekly Payments/Late Payment Fee All fees are weekly. There are no daily rates. Weekly fees will be auto-drafted every Friday morning for the upcoming weeks of service that you have reserved. No payments will be accepted at the sites. If weekly fees are paid late, there is a $20 late fee per child charged. Children may not attend our program unless their payments are current. There is no second child discount. Returned checks must be paid in full, along with the $30 service fee. Should your child s account have two returned EFT s, we will no longer be able to accept EFT s as payment. Returned EFT s must be paid by debit/credit card only. Cancellation Policy & Administrative Fees (New for 2018) When weeks are cancelled, camper will forfeit their camp spot and the account will be charged a $10 administrative fee. If you have registered for weeks and your child does not attend, you will be automatically charged the $10 administrative fee. Registration fees are non-refundable. For YMCA members whose registration fee is waived, the first week s fee (up to the amount of a program participant registration fee) is non-refundable. Weekly fees are not refundable if your child is suspended/expelled from our program. If you pay for a week that your child does not attend, the weekly camp fee will be refunded minus the $10 administrative fee. No credit is given for closings due to inclement weather, emergency situations, or acts of God. Refunds can take up to 30 days to process. Refund requests should be made within 30 days of withdrawal from the program. Refund requests that are submitted past the 30 day limit will not be accepted. 9

11 ONLINE REGISTRATION Click Programs on your account home page. Choose Summer Camp. Select your location and click Register. Click the name of the camper you are registering, then select the weeks they will be attending camp. Complete the Medical Form and Waivers section. Review your camper s information and click Next. Use the dropdown box to select and enter your payment method. Click Pay to complete your registration. *If payment is not completed registration information will need to be re-entered. Note: The payment method entered for this transaction will be stored for the weekly auto-draft payments. 12 OUR GOALS & OBJECTIVES Our camp strives very hard to create a true camp environment for your children. Summer Camp is a place where children can go to experience things about life. It allows children to enjoy the experiences and people around them. Our daily schedule allows for children to have fun while engaged in learning activities. YMCA Summer Camp focuses on traditional camp activities that include field trips, swimming, enrichment learning, STEM (Science, Technology, Engineering, and Math) curriculum, songs and games and a whole lot more all designed to increase children s knowledge and skill set. In YMCA Summer Day Camp Your Child Will: Learn Values YMCA Day Camp helps children of all faiths develop moral values and ethical behavior consistent with Christian principles. The YMCA promotes the four values of caring, honesty, respect, and responsibility as essential for character development. Through day camp, youth learn to define and demonstrate these values in everything they say and do. Improve Personal & Family Relationships The YMCA supports families of all kinds by giving children a safe place to grow into responsible members of their families and communities. During day camp, youth learn to care for, communicate, and cooperate with others. We encourage children to improve personal relationships everyday through our family groups. Each child will be assigned a family group and will build lasting memories and relationships with the people in this group. We also host family nights during the summer because we believe in the importance of family. Our family nights are focused on families having fun with each other and developing relationships with other families. Appreciate Diversity Diversity is the mosaic of people who bring a variety of backgrounds, styles, perspectives, beliefs, and competencies to the YMCA. By practicing inclusion, the Y not only addresses societal trends and remains relevant to the community, but also remains true to the YMCA s mission, goals, and values. YMCA Day Camps teach youth to respect and celebrate these differences, fostering an environment where everyone feels valued and able to contribute to their community. Become Better Leaders & Supporters For youth to emerge as better leaders, they practice doing what leaders do through work projects around camp, daily camp responsibilities, and community service. Children develop leadership skills by planning and executing ideas that help others, and they benefit most if there are three parts to the endeavor: identification of learning objectives; a meaningful project; and reflection before, during and after the project. Develop Specific Skills & Assets Diverse activities help campers acquire new knowledge and discover ways to grow in spirit, mind, and body through a STEM and literacy based curriculum. YMCA Day Camp helps youth succeed in their daily lives through programs that build self-reliance, practical skills, and good values. This might mean learning to swim, build a fire, get along with others, use a computer or speak a foreign language. We also allow older children to pick the activity out of the different ones offered, so that they can be engaged in something that interests them. Have Fun! Life is enjoyable. Fun and humor are essential qualities of day camping and contribute to youth feeling good about themselves and others. Our success in reaching the other six objectives often depends on our ability to incorporate fun and friendship to make these new lessons stick. 12

Christian Mission The mission of the YMCA is to put Christian principles into practice through programs that build healthy spirit, mind, and body for all. In keeping with our Christian mission children will have daily and weekly opportunities to participate the following: morning devotions, activities and songs, blessings before meal times, Bible verse of the week. 14

15 CAMP SCHEDULE Before Camp: 6:30 a.m. - 8:30 a.m.* Children will arrive to their camp location and place their belongings in a designated space. Parents will sign their children into camp using an ipad that keeps an electronic active roll for our staff. Children will break into age groups and rotate through locations with counselors. Each morning, the group will complete a structured activity like crafts, games, or activity stations. *Collierville Baptist Church and Ridgeway Baptist Church locations begin at 7:00 a.m. Camp Day: 8:30 a.m. - 4:00 p.m. Our camp day is intentionally designed for children to learn, grow, and thrive in a supportive and fun environment. Our camp curriculum includes: S.T.E.M. (Science, Technology, Engineering, and Math), Reading Enrichment, Group Games, Songs, Arts & Crafts, Nature Exploration, Swimming and Safety Around Water, Leadership Skills, Field Trips, Physical Activity, & Fun! After Camp: 4:00 p.m. - 6:00 p.m. Similar to our morning block, children will break into age groups and rotate through locations with counselors. In a typical afternoon groups will complete a structured activity like crafts, games, or activity stations. 15

16 ADDITIONAL PROGRAMMING - SWIM LESSONS & MORE Summer Camp Swim Lessons - Only $30/Week! At the Y, we believe that the ability to swim is a critical life-saving skill for every child, teen and adult. Our swim instructors use a variety of fun methods to help kids overcome fears, build confidence in the water, and develop skills that last a lifetime. Save on Swim Lessons when you register for our Summer Camp Swim Lessons! Each of our camp locations will offer camp swim lessons for $30 a week (4 sessions per week) during camp swim time. Each session will consist of 30 minute lesson and 15 minutes of free time so campers can get the best of both worlds! When you register for Summer Camp Weeks at your camp location, simply add Summer Camp Swim Lessons for your location and save your child s spot! Specialty Camp Add-Ons Our branch locations offer various additional programming opportunities for your child during their normal camp day to enhance your child s camp experience. 19 PROGRAM TABLE OF OPERATIONS CONTENTS Program Hours Our program hours have been established to accommodate as many families as possible within the limits of our resources. Camp program hours are 6:30 a.m. until 6:00 p.m. Note: Collierville First Baptist and Ridgeway Baptist camp program hours are 7:00 a.m. - 6:00 p.m. All children must be signed into our programs by an adult 18 years or older. Sign In/Out Procedures All children must be signed into our programs by an adult 18 years or older. No child, regardless of circumstances, will be allowed to leave the care of the YMCA staff with an unauthorized person. Your child will only be released to the people you have listed on the Registration Form. We will not release your child to anyone else unless we have written authorization from you. Phone calls/faxes will not be accepted as verification for pick up. The safety of the child is more important than any inconvenience to the parent. If a non-custodial parent has been denied access to a child by a court order, you must submit documentation to that effect (within 24 hours of registration) and we will comply with it accordingly. Anyone picking up your child must be at least 18 years or older and must show a valid picture ID. You are required to show your picture ID at every pick up. ID CARD Late Pick Up Policy Children must be picked up by the time the site closes at 6:00 p.m. If an emergency arises and you are unable to reach the site by close, please let us know when we can expect your child to be picked up. The YMCA is required to notify the Department of Children s Services or the police when children are left in a program without notification from families and when no contacts can be reached to pick up the child. Each center follows these guidelines in response to a late pick-up: Immediately after 6:00 p.m. staff will try to call the family to ensure that someone is on the way to pick up the child. If the family is not able to be reached, staff will notify emergency contacts and ask for pick up. If the family and emergency contacts cannot be reached within 30 minutes, staff will notify DCS and the police. When parents are late, a fee of $1 per minute late with a $10 minimum will be automatically drafted with weekly fee for the upcoming week of service. If the child is picked up late on three or more occasions, their participation in the program may be suspended or terminated. The late pick up policy is strictly followed and enforced. 19

20 CAMP COMMUNICATIONS Weekly Newsletter A weekly newsletter will be sent to you each week. The newsletter will be ed on Fridays before weeks begin to the primary that registered the child. Printed copies will be available at your child s camp location. The newsletter will provide the following information for the upcoming week: Theme for the Week Camp Phone Numbers Important Site Updates Important Billing Information Memory Bible Verse Special Events Field Trip Schedule (Includes days and times) Swim Schedule (Includes days and times) Lunch Menus (USDA Sites) and Snack Menu Due to the flexible nature of camp, we are unable to provide specific details for swim times, field trip times, and specific activities, prior to the release of our weekly newsletter. Generally, camps will follow similar schedules for field trip days and swimming times, but this can vary week to week based on field trip destinations. Text Messaging In order to communicate quickly and effectively with our parents, we use a texting service to share important information with you about your child. Texts will be sent to the primary parent or guardian who registers the child or is listed as the primary in the account. Texts will be sent when weekly newsletters have been ed to parents. Texts will also be sent if there is an important update concerning schedules or other important s. Additionally, in the event of an emergency, a text alert will be sent. Please make sure that your and cell phone number is up to date to make sure information is received. 21 OUR STAFF Staff Team Qualifications YMCA programs are about learning skills, developing character, and making friends. Few environments are as special as camp, where kids can become part of a community, learning both how to be more independent and how to contribute to a group when engaging in camp activities. Our team of couselors help to foster this great learning environment and make camp fun for your child! Each camp counselor/team member is required to go through an extensive hiring process which includes criminal history background, national sex offender check, and a pre-hire drug screening. Along with a series of reference checks and interviews, our team is also required to receive multiple hours of training in camp program areas, relating to children, health and safety skills, and are First Aid and CPR certified. All camp staff and mentors are committed to being positive role models for all campers. It is my job to care for your child just as you would. I try to look through your lens when helping your child throughout the day. I have experience working with children and my supervisor has 2 or more years of experience working with children. I am CPR and First Aid certified and am ready to respond if needed. I am at least 18 years of age and my supervisor is at least 21 years of age. I operate my group as a family unit. 21

22 WHAT TO BRING TO CAMP What to Bring to Camp Tennis shoes are required daily. As most of the day is spent outside, please dress campers for play and for the appropriate temperature. Campers should be prepared to play and get wet every day. Pack all personal items in a camp tote or backpack clearly labeled with your child s name. Please pack the following labeled items in your child s backpack daily: Hat Sunscreen Water Bottle Pool Shoes, Towel, & Swimsuit (Girls must have one piece bathing suit. No bikinis.) Lunch and Morning Snack (Lunch will be provided for USDA sites, but snacks/supplemental food is encouraged) Please label all of your children s belongings. Your child is responsible for keeping up with their own belongings. We will have a daily lost and found box for misplaced items. All items not retrieved after each camp session may be donated to a local charity. What Not to Bring Please do not allow your children to bring personal items from home including: chewing gum, candy, soft drinks, glass bottles, drinks with red dye, cell phones, electronics of any kind, large water toys (pool noodles, squirt guns, etc.) 22

23 LUNCH Y Food Program Sites: USDA Lunch The YMCA of Memphis & the Mid-South participates in the U.S. Department of Agriculture (USDA) Summer Food Service Program (SFSP), also known as the Summer Meals Program. SFSP provides kids and teens in qualifying areas free meals when school is out. Each meal served meets nutrition standards set by the USDA. A sample lunch includes: turkey and cheddar sandwich with wheat roll, celery sticks, banana, 1% or fat-free milk. Campers are welcome to bring their own foods to supplement the provided lunch. The YMCA encourages campers to bring healthy snacks to be eaten during designated breaks. Remember, your child will be more physically active than during the school day and will need to eat more. Lunch will be provided at the following camp locations through the support of the U.S. Department of Agriculture (USDA) Summer Food Service Program (SFSP): Cordova Community Center Munford Regions Bank Crossroads United Methodist Church Olive Branch Elementary E. A. Harrold Elementary Ridgeway Baptist Church Fogelman Downtown YMCA Southaven Intermediate School Holmes Road Church of Christ South Germantown Church of Christ Marion Elementary St. Luke s Lutheran Church Regular Camp Program Sites: Parent-Provided Lunch Except at the sites mentioned above, all campers will need to bring a non-perishable lunch daily. Campers should bring a non-perishable lunch and a beverage to camp daily unless otherwise noted. We recommend parents use only insulated lunch boxes or freezer bags to ensure the temperature of their child s lunch is not impacted by the natural heat that occurs in a camp setting. Campers can bring lunches in coolers packed with ice, blue-ice or frozen fruit juices. The YMCA does not provide refrigeration for camper lunches. Please do not provide your camper with food that will need heating as camp sites are not equipped to serve hot meals. Camp staff is not responsible for food preparation or heating meals. Please mark all lunches with camper s first and last name. Suggested Lunch Items: Sandwiches-Cheese, Chicken, Turkey, Bologna, Salami, Ham, Jelly/Jam, Tuna Fruit/Vegetables-Orange, Apple, Pear, Raisins, Celery/Carrot Sticks, Banana Desserts-Crackers, Dried Fruit, Muffins, Pudding, Jell-O, Granola Bars, Trail Mix Beverages Water (Preferred), Fruit Juice Remember, your child will be more physically active than during the school day and will need to eat more. Please do not send soda, chewing gum or candy. The YMCA is a peanut and tree nut free environment. Snacks (Afternoon) Afternoon snacks are provided to campers at all locations such as: cheese, baked chips/crackers, apple slices, bananas, grapes, oranges, apple sauce, carrot sticks/ranch dressing. (Campers are more than welcome to supplement snacks provided with their own food) Water Due to the structure of our camp day, children will be physically active and outside the majority of the time. It is critical that campers stay hydrated and bring a refillable water bottle. Our staff is trained to schedule hydration periods and times when campers will be able to refill their bottles. Glass bottles are not allowed. 23

24 SWIMMING AT CAMP All campers will swim every day except for their field trip day, weather permitting. A swim schedule will be sent out with the weekly newsletter. Generally, campers will swim at the same times each week. Children will be transported from their camp location to a YMCA facility to swim. Swim lessons are available at an additional discounted cost. Bathroom Usage & Changing Into Swimwear Most camps will have campers change into their swimsuits in the bathrooms at the camp site before loading the bus. We do this to avoid the use of public locker rooms at the swim location and to ensure the safety of the children. Some camps will change at the YMCA location if the YMCA has dedicated bathrooms for our children and no public interaction will occur. Staff members will supervise the bathrooms at the door, holding the door open to supervise by hearing the interactions in the bathroom. The staff member will enter the locker room if needed for the safety of the children. When available, staff members of the same sex will supervise the changing process. The YMCA has a very strict policy that no staff member will ever be left one-on-one with a child and children will change and use the bathroom in groups. After swimming, the campers will dry off, load the bus, and return to the camp location to change unless there are dedicated bathrooms for the children and no public interaction will occur. If on a field trip or in a situation where a child needs to change or use the bathroom in a public facility, the YMCA staff and group will enter the bathroom or locker room together and avoid public interaction as much as possible. Pool Safety All campers are required to follow all pool rules. If campers are unsafe or fail to follow the rules, swimming privileges may be revoked for the future. Pool belt or life preserver must be worn if asked to wear one. Lifeguards will be present during all camp swim times. YMCA pools are guarded by YMCA lifeguards. When swimming at a field trip location the Y will ensure that lifeguards are present. Swim Test All campers will be required to take a swim test. The swim test will be administered on the first day of camp each week by a lifeguard. A red or green swim band will be administered to children indicating their swim level. Red Swim Band Chooses not to take the swim test or does not pass the swim test. Must remain in the shallow end of the pool. Green Swim Band To earn a green swim band and swim in the deep end of the pool, swimmers under the age of 16 must pass a swim test administered by the lifeguard. Swimmer must be able to demonstrate the following: Jump into the pool and begin swimming with pushing off the wall Swim on top of the water using a forward crawl or breast stroke for one length of the pool (25 yards) Tread water for a minimum of 30 seconds without assistance Swim to the wall or ladder and exit the pool 24

25 FIELD TRIP POLICIES & TRANSPORTATION Our team is committed to providing a safe and enjoyable experience each and every day for our campers. All YMCA camps will take off-site, all day field trips to various locations when scheduling and transportation permits. There is no additional charge for field trips. Destinations will vary according to child s age. All campers are required to attend field trips on their designated days due to previously scheduled age-appropriate activities. Campers do not have the option to stay at the YMCA branch location if they do not want to attend the scheduled field trip. Parents must find alternative care for children who are unable to attend the field trip or make the scheduled departure time. For more information or if you have concerns, please contact your Childcare Director. Field Trip Policies In order to attend field trips, children must arrive at their camp site no later than 8:30 a.m. We do not allow parents to drop-off or pick-up children from the field trip location. This is for the safety of your child and the accountability measures we have in place to keep children safe and accounted for throughout the field trip. In the event of an emergency due to behavior or medical needs, parents may be required to pick their child up from a field trip location. The 2018 YMCA Summer Day Camp shirt must be worn on all field trip days. If your child does not wear the official camp shirt on the field trip day, the parent will be required to purchase a camp shirt for $6.00. This will be charged to the account on file. Some field trips will require a sack lunch. Check your weekly newsletter for specific details. Please do not send any additional money with your camper to use on field trip days. All children are transported on large school buses and maintained in accordance with all DOT standards. Most all buses are equipped with air-conditioning for the comfort of our campers. All YMCA camp bus drivers are required to hold a valid driver s license. Additionally, we require our qualified drivers to: -Drive safely, carefully, and courteously -Obey all traffic laws and posted signage- especially speed limits and parking restrictions -Always exercise extreme caution and great judgement when boarding or dropping off children -Account for every child scheduled to be transported -Ensure that all passengers are following our transportation rules Please remember to review your camp newsletter for special notes for each field trip. 25

26 MEDICATIONS, SUNSCREEN & ILLNESS Medications If your child is taking prescription medication that must be administered during camp or extended care hours, please complete the medication treatment form with the name, dosage, and time your child will need the medication. We cannot administer any medication without written parental/guardian consent. All medication will be collected by the Site Director/Camp Director at the beginning of each week of camp and administered as prescribed by the doctor. Medications must be in the original container with the appropriate dosage indicated. Unused medications will be returned to the parent at the end of the week. Only one week of medication may will be stored at camp. Campers who use asthmatic inhalers or medications for allergic reactions (i.e., an Epi-Pen) will be kept by a counselor in their group. Campers can only administer medication to themselves under supervision of a counselor/adult. Sunscreen Campers may keep sunscreen with them during camp hours. Please mark all your sunscreen with a permanent marker and cover the name in clear tape; this will keep the name from rubbing off. YMCA staff are not permitted to apply sunscreen to any camper. Please teach your camper how to apply sunscreen before they attend camp. Illness & Injury Camp takes place in an outdoor setting. Campers are outside 75% of the time. Minor injuries that could occur during the course of a normal camp day include: sunburn, minor scrapes or cuts, slipping, falling, splinters, bumps, bruises, insect bites, ticks, and poison ivy rash. In the event any of the above or similar conditions occur, YMCA staff will treat according to basic first aid guidelines (soap, water, ice, bandages). The parent will be notified and an incident report will be completed. If illness or injury results in a more serious condition than described above, YMCA Camp staff will contact the parent or guardian to make arrangements for care and/or contact 911. For the camper s safety, it is essential to provide the YMCA with two additional emergency numbers in the event of an emergency. Campers do not always inform camp staff of scratches, rashes, insect bites, etc. Please do a daily health check of your child. YMCA Communicable Disease Policy Each camp director has been trained to identify the signs and symptoms of illness. Should a camper exhibit any symptoms of illness, the parents will be called to arrange for immediate pick-up. Examples include: Diarrhea (more than one abnormally loose stool within 24 hours) Severe coughing Yellowish skin or eyes Conjunctivitis Temperature of 100 F or higher Untreated, infected skin patches Stiff neck Unusual spots of rash Sore throat or difficulty swallowing Vomiting Evidence of lice, scabies, or other parasitic infection A child exhibiting signs of illness will be isolated until they are picked up by the parent or other authorized adult. Any camper who has been diagnosed with a communicable illness will only be allowed back into camp with a doctor s release. 26
