1 Student Activity Fee Committee meeting 11/09/2018 Attendees: Terrazas, Sergio A, Garza, Mariana H Gilbert, Robert S, Prashar, Hayley N, Pandaru, Cristina E, Greszler-Gomez, Carla P, Lopez, Sandra, Johnson, Daniel, Morgan, Marie 1. Criteria for Non Allocated SAF Departmental Extracurricular funding requests: C. Pandaru and S. Terrazas were asked to come up with recommendations two weeks prior. These are the funds that are set aside for the SAF committee to vote on throughout the year. Typically this amount is between $3,000 to $5,000. The committee reviewed the recommendations and provided feedback. The following was voted on and are to be approved yet, feedback from members who were not in attendance is welcomed. Non Allocated Departmental Extracurricular funding requests: The following are the guidelines created and voted on by the FY NVC SAF committee Funds are to be only used for Extracurricular activities and excludes co-curricular events. Any department/program currently receiving funds cannot access the rollover unallocated funds until their allocation have been spent. Requests for the unallocated funds cannot be tied to a class assignment. Funds cannot be used to purchase food or beverages. Funds will not be used for giveaways or PR materials. Clubs and organizations are not eligible for the unallocated rollover funds. The committee is open to review specific cases and must vote Step 1: Requestor will submit their request through the AlamoSync form: Request for NVC Student Activity Fee funding (new link will be provided after migration of AlamoSync) Step 2: The SAF budget manager will provide all requests to the Student Activity Fee committee Step 3: The SAF Budget manager will provide notification of approval/disapproval via to the requestor. Additional information needed by the review committee to make a decision will be communicated by the SAF Budget manager to the requestor. Step 4: The Student Activity Fee Budget manager will assign a team member who will be responsible for all purchases, contracts, payments and record keeping 2.
