6 04 KEY TIP: Before you travel it s important to check over a few things to prevent any unwanted troubles. We have provided a small checklist for you to keep in mind and tick off each time you fly.

8 BEFORE YOU TRAVEL MEDICAL 01. The Guardians will cover the cost of necessary vaccinations. Contact the Travel Manager for details. 02.! Pregnant? Check our policy with the Travel Manager. 03. Read any pre-trip advisory s from International SOS.
9 BEFORE YOU TRAVEL SECURITY 04. Print two copies of your passport and travel visas one to leave at home and the other to take with you. 05. Put your meetings/ flights in your calendar with locations so your colleagues can locate you. 06. Do you need a data package for your phone? 07. **** Change your password to avoid being locked out in case it expires while you are away.
10 08 KEY TIP: While you re in the air it s important to take care of your body and mind to help adjust to your new destination. Here are a few things to keep in mind.

12 IN THE AIR DEEP VEIN THROMBOSIS 01. If you have a condition that slows the blood flow, you may face an increased risk of developing DVT. 02. Move and stretch frequently (every 30 minutes) while flying. 03. Wear flight socks for long-haul flights.
13 IN THE AIR JETLAG Try to sleep only when it is night time and make sure you can see the morning or afternoon light at your destination to help your body adjust. Eat on your new time zone s schedule. DEHYDRATION H20 Drink plenty of water before and during the flight and limit alcohol and caffeine consumption to prevent dehydration. Electrolyte tablets can help you stay hydrated.
14 12 KEY TIP: While you re away try to keep all your personal belongings like mobile phones, wallets and especially passports on you at all times and let friends or family know where you are staying in case of any unexpected troubles.

17 WHILE YOU RE AWAY CHANGING ACCOMMODATION, FLIGHTS AND CAR RENTALS For Emergency Assistance outside of New Zealand office hours (Monday to Friday 8am-5pm): 1. Call +64 (9) Press *0 to speak to an Orbit after-hours consultant. CYBER SECURITY Avoid connecting to public wifi hotspots where possible. Hackers use these to capture sensitive information.
18 WHILE YOU RE AWAY IF YOU LOSE YOUR Wallet Contact the Finance team and Westpac if your company credit card has been lost or stolen. International SOS can arrange emergency personal cash advances if required. Contact local authorities if needed. 02. Passport In the first instance contact International SOS.
19 WHILE YOU RE AWAY IF YOU LOSE YOUR Phone or computer If you have lost an item at a hotel or on an aeroplane, contact them directly. Orbit can assist with contact details. Inform IT immediately and provide an alternative means of contacting you.
20 WHILE YOU RE AWAY AT YOUR HOTEL 01. Keep your hotel access card secure. 02. G Avoid accepting rooms on the ground floor Check the location of fire exits and alarms and read the hotel s evacuation plan. Check that the locks on the windows and door work properly and the peephole is clear. Keep the door locked at all times.
21 WHILE YOU RE AWAY AT YOUR HOTEL Keep your wallet, phone and passport next to the bed in case you need to leave in a hurry. Don t open the door to a stranger leave the latch or chain in place until a positive ID is made. If you re unsure, ring hotel security for verification. Alert both the police and hotel security if an incident has occurred on hotel premises or in the vicinity.
22 WHILE YOU RE AWAY HOTEL FIRE On hearing a fire alarm: Head for the door with your phone, wallet and passport, keeping low if there is smoke in your room. Only open the door if it s cool to the touch. Keep your foot and shoulder against it to close it in a hurry if needed and check for fire or smoke in the corridor. Use the stairs.
23 WHILE YOU RE AWAY HOTEL FIRE If you re unable to reach an exit: Return to your room, close the windows and turn off the air conditioning to avoid drafts that can spread the fire. Let the hotel operator know you are stuck in your room. Fill your bath tub and rubbish bins with water.
24 WHILE YOU RE AWAY HOTEL FIRE If you re unable to reach an exit: Wet sheets and towels and place them around the door(s) of your room to keep the smoke out. If smoke fills your room: - use a wet towel over your mouth and nose and stay low to prevent smoke inhalation. - open/break the window and try to attract attention. Don t attempt to climb or jump from a window.
25 WHILE YOU RE AWAY AN EARTHQUAKE 01. Stay where you are, moving no more than a few steps to a safe place. DROP, COVER and HOLD. 02.! If outdoors, stay clear of buildings to keep away from falling window glass, overhead power lines, electrical and gas installations.
26 WHILE YOU RE AWAY AN EARTHQUAKE 03. If indoors, evacuate the building and head to your designated safe assembly area via a safe route only once the shaking has stopped. EXPECT AFTERSHOCKS 04. DO NOT re-enter buildings until the official all clear has been given.
27 WHILE YOU RE AWAY A TSUNAMI ! If you feel an earthquake while near a coastline and in a low lying area, move to the highest point available. Some areas now have tsunami sirens that will sound for ten minute periods if there are serious concerns. Don t wait for an official warning; let the natural signs be your warning. These include a sudden rise or fall in the sea level, the sea making loud noises or roaring like a jet engine. Wait for an official all clear before returning to normal activity.
28 WHILE YOU RE AWAY A TORNADO, GALE FORCE WINDS OR A SEVERE STORM 01.! Alert others if possible. 02. Seek shelter indoors immediately. 03. Close windows, curtains and doors. Pulling blinds over unprotected glass will prevent injury from shattered or flying glass.
29 WHILE YOU RE AWAY A TORNADO, GALE FORCE WINDS OR A SEVERE STORM 04. Seek shelter in the strongest part of the building, away from exterior walls and windows. 05. If possible, shut off power and turn off electrical equipment. 06. If caught outside, seek shelter from potential hazards, e.g. flying debris and flash flooding.
30 KEY TIP: Make sure to note down any key addresses and phone numbers of where you re staying and who you need to contact; you never know when you may need it.
