Our mission is to inspire people of all ages to learn, explore, grow and be their best selves. Mission Statement of The Aloha Foundation, Inc. PLEASE KEEP THIS HANDBOOK FOR REFERENCE BEFORE CAMP AND DURING CAMP!

2 General Information & Policies TRAVEL: Please arrive at Hive on July 25, between 9-11 am. Departure time on August 5 is between 9-11 am. Please contact Karen Danforth if you have any questions about travel. karen_danforth@alohafoundation.org CAMP TRANSPORTATION: Campers travel in 8-, or 12- or 15-passenger vans. All drivers are 21 years of age or older and are trained and tested each summer. Campers must abide by safety rules set by the van driver and/or chaperone(s). PHONE CALLS: We see camp as a time to learn about community living, focusing on our beautiful surroundings, on friendship and fun. We feel strongly that phone calls disrupt the camp focus and routine. Calls should be for birthdays only and must be arranged in advance with the camp office. LETTERS: The day camp opens, each Elfin will write a postcard home. Your daughter will love getting mail, so please write frequent and cheery letters. We have found that letters from home asking about all the great activities and adventures that are happening are best for girls. Hearing too much about what is going on at home can lead to homesickness. Remember, too, that parents can be homesick ; so watch to avoid missing you and a lonesome tone. We will call Elfin parents within the first few days and your daughter s counselor will write you a letter that you will receive at the end of her stay. PACKAGES: We ask that, with the exception of forgotten essential items like rain boots, an extra blanket, raincoat, etc., you not send packages to your daughter. Our experience has been that creating a simple and rustic environment for girls to grow, means not allowing girls to receive packages. Packages from home very often take girls out of the rustic and simple environment that we believe is so essential to the overall Hive experience. Packages can also begin to set up a competitive environment amongst campers. Please believe that a letter or card can be just as powerful or even more powerful. When the focus of the communication is on the message rather than on a tangible item, your words are even more important. PLEASE MARK EVERYTHING: Name tags and pen markings on EVERYTHING is essential. It also helps if you make a list of all items brought to camp and place on the inside lid of the trunk. ELECTRONICS: The central element of a summer at camp is a rustic, simple experience of the natural world -- directly, personally and in community with others. We know this can foster profound, life-changing opportunities for growth. We strive to keep all of our camps as technology-free as possible and request that campers leave cell phones, computers, ipods, e-books, DVD players, electronic games and other digital devices at home. CAMERAS: We discourage the possession of personal digital cameras, which younger girls can lose easily. Disposable film cameras are preferred. We strictly prohibit the use of cameras of any kind in facilities where campers personal privacy would be compromised. SUMMER PHOTOS: We want to share the summer with parents in a way that conveys the fun and activities campers experience from day to day. However, we do not try to photograph every camper, so cannot guarantee that you will see your daughter in the photo collections posted weekly online. We share this intention so that parents will have realistic expectations of our summer albums. To view camp photos online, please visit our website: GRATUITIES: Some camps allow their counselors to accept gifts or money from appreciative parents. Although we know these are given in the best spirit, we believe in our timehonored custom of doing without this type of expression. This is also an American Camp Association policy. A personal note to your camper s counselor is always very appreciated. A gift to the Aloha Foundation in honor of a particular counselor is another thoughtful alternative and highly prized by staff. PLEASE NOTE: It is the our strict policy that no camper shall be invited out of camp at any time except to visit siblings at Lanakila or Aloha. This policy has been adopted in what we believe to be in the best interests of the campers. We ask your cooperation in requesting no exceptions. pg. 1 HORSEBACK RIDING: Horseback riding is offered to Hive campers for an additional expense. Riding will take place at Open Acre Ranch: Advance payment is required. The registration form is available on Aloha Foundation website, in the Enrollment & Forms section. COSTUMES: If you have interesting clothing in girls sizes - glamorous, brightly colored clothing, dance recital outfits, party attire or Halloween costumes, they would be most welcome! Please pack the clothes in your daughter s trunk and mark them Hive costume donation. BOOKS: Pack some books for your camper to enjoy. We will also gladly accept book donations for our camp library. SUNDAY GATHERING: Our informal Sunday Gathering is a nondenominational, non-religious, camp assembly which allows people time to reflect on the week, listen to wonderful music and perhaps also hear counselors and campers explaining a life lesson or sharing a personal story about their lives. FOOD: The Aloha camps serve healthful meals designed to provide campers with all the nutritional values required to support participation in physically active outdoor experiences. Breakfasts consist variously of cold or hot cereals, juices, fruits, eggs, toast, waffles or pancakes. Lunches typically include soups, sandwiches and/or salads. Hot dinners offer meat, poultry and fish entrees, fresh vegetables, grains, salads, potatoes and pastas. Every meal includes vegetarian, gluten-free and dairy-free options. Aloha, Hive, Lanakila and Horizons camps and Hulbert Outdoor Center do not serve nuts, though we can t promise that ingredients we use have been made in nut-free facitilies. We cannot prepare special meals to accommodate every type of food sensitivity or allergy. If your child has a medically-diagnosed food sensitivity or allergy we ask that you indicate it clearly on the camper health form. If you have specific questions, please contact the Camp Director.

3 LICE CHECKS: MEDICAL INFORMATION Please check your child for head lice two weeks prior to camp departure and immediately before camp begins. If any sign of lice is found please arrange for appropriate treatment. Planning is required as treatment results are variable and the tedious process of removing nits (lice eggs) often involves a full two weeks. The Aloha Foundation is committed to a no-nit policy to benefit all campers. Therefore it is imperative that all nits be removed prior to arrival at camp. This prevents re-infestations caused by surviving and hatching nits (many treatment products are not 100% effective at killing nits), as well as lice that are resistant to treatment products. Removing all nits minimizes the need for repeated treatments and eliminates pesticide exposure. Screening campers for lice is a routine part of opening day. Expert lice technicians are available to inspect every child s head upon arrival (and departure) at camp. Should an arriving camper have lice and/or nits, his or her parents or guardians will be informed by the camp and treatment with Jolis Cheveux by LTC chemical free lice eradication products will begin. If your child needs to be treated for head lice he or she may regrettably miss a good portion of the first day s activities. While not a health risk, lice pose a huge inconvenience and a potential embarrassment. The $350 cost of a required treatment will be billed to the parents or guardians of the affected camper. Any camper who contracts head lice after the initial screening will receive treatment at the Aloha Foundation s expense. Fortunately, your careful attention to this issue before departure for camp will eliminate a tough start for your child and allow your camper to begin the summer without disappointment or delay due to treatment. If you are unsure how to proceed, your child s school nurse or health care provider can check for you and guide you on how to treat head lice. Please let us know that such treatment has taken place and what products were used. If you choose to use Jolis Cheveux lice treatment products they are available at: or by phone: / MEDICATION AT CAMP: If your child requires medicine of any kind, make sure the appropriate section of the Health History form is completed. The state laws regarding nurses dispensing medication are very strict. A prescription bottle with the information on it does not replace the actual doctor s order. Prescription orders may be faxed to us at or uploaded with your health forms. Medications must be in original containers with child's name and will be stored in the infirmary, unless otherwise pre-arranged with the camp nurse. Send enough medication to last the entire time at camp. If you are driving your child to camp, bring the medications to the Health House. If your camper is flying or taking the bus, he or she will need to inform camp staff that they have medications in their belongings. We request that any medication changes for your child during camp be discussed with our health care staff prior to camp. Our health care staff keeps in stock, and may need to administer, basic medications, either over-the-counter or prescription medications (Tylenol, Advil, antihistamines, cold remedies and antacids). They do so with the written authorization from our camp physicians. If your camper uses an EpiPen or inhaler, please bring two to camp, well marked with your child s name. Campers may only carry EpiPens or inhalers after consultation with the health care staff. Please send a permission note, signed by you and your child s physician. Campers who require allergy injections during the camp season should bring complete instructions regarding schedule and dosage, allergy serum and syringes with needles. EpiPens or other medications used to treat injection reactions should be included. Children who wear glasses, contact lenses, or dental appliances should bring pertinent information regarding them. It is helpful to send an extra pair of glasses in case of loss or damage. Our routine medication schedule is as follows: before, during or after breakfast (7:30-8:30 am), lunch (12:30-1:30 pm) or supper (6:00-7:00 pm), and prior to bedtime (8:30-9:00 pm). Except in unusual circumstances, medication administration is limited to these times because it does not interrupt activities. Please consider our routine medication schedule when you and your child's doctor are completing the health forms. pg. 2

4 MEDICAL INFORMATION HEALTH FORMS: Beginning this summer, in our continuous efforts to provide the best possible care to our campers and staff, we are partnering with CampDoc.com. CampDoc.com is an electronic health record system for camps, and will help us consolidate and integrate camper health information into a centralized and secure location. The security, confidentiality and privacy of your camper s personal health information will always be protected. CampDoc.com site is secure, encrypted and password protected. You will receive a Welcome from CampDoc.com with information about how to access your camper s health information. Click the link in this to login. You will be instructed to create an Authorized User for your CampDoc account, along with a password. Follow the instructions, and complete the health history for your camper. Alerts will appear for any missing required information. You may upload any required documents to your CampDoc.com account and return to app.campdoc.com at any time to make changes/updates to your camper s health information before camp begins. Please contact the CampDoc Help Desk with any CampDoc related questions. Help Desk hours are Monday-Friday 8am-5pm EST. The Help Desk can be reached via telephone by dialing or via at help@campdoc.com. INSURANCE: All campers must have proof of insurance on file. You may upload the front and back of your camper s insurance and prescription cards when submitting your health forms. Short-term insurance coverage may be available to you, depending on the state you reside in, through our local agent: A.B. Gile, Inc or If your child sees a doctor during the summer, your insurance company will be automatically billed by the provider. Any prescription charges, not covered by insurance, will be billed to your camper s store account. In addition to standard health insurance, you may choose to purchase Travel Insurance through CampDoc, or through another company of your choosing. International families: we will forward all bills to you. Please pay provider directly and then submit bills to your insurance company. IMMUNIZATIONS: Immunization records should be uploaded when submitting your health forms. In order to protect the camp community from the possible spread of especially contagious illnesses, the Aloha Foundation requests that campers and counselors come to camp fully immunized. In order to maintain the general health of the community, any camper diagnosed at camp with an especially contagious illness, including but not limited to, pertussis (whooping cough), diphtheria, meningococcal disease, measles, mumps, rubella or chicken pox, will be quarantined upon diagnosis and will return home as soon as possible thereafter. TUBERCULOSIS TESTING: Campers from any country on the WHO list for high incidence of TB must submit proof of a negative TB test, dated within six months of camp. Standard policy for notification of parents in case of medical conditions: Whenever we determine that a child should go to Upper Valley Pediatrics or Dartmouth-Hitchcock Medical Center. Whenever an illness or injury necessitates a stay in the camp infirmary of more than 24 hours. Whenever prescription medication is prescribed. Whenever there is a condition which might impact the family at home. Whenever a camper sees a dentist or an orthodontist. Whenever the Camp Director, camp physician, or camp nurse feels a phone call is in order. Emergency medical services are available within minutes of each campus and our camp programs involve only normal levels of physical activity. Our goal is for everyone to have a safe and healthy stay at camp. With that in mind, we ask that you please follow these suggestions: Please check your child for head lice prior to camp. Head lice are easily transmitted and their presence can go unnoticed; a visual inspection is required. If you are unsure how to check for lice, your child's doctor or school nurse can help. If you treat your child for head lice, inform the camp nurse in order to ensure follow up. Reinforce habits of good hygiene and health with your child. Discuss the importance of hand-washing, proper diet, staying hydrated and using bug repellant and sunscreen. Discuss dressing appropriately for the weather, and changing out of wet or dirty clothes. Remind your child that regular showering is an essential part of community living. pg. 3

9 Programs Offered by The Aloha Foundation, Inc. Aloha (802) The older girls of Aloha Camp - aged 12-17, experience a summer of adventure, challenge, goal setting, skills development, friendship and fun. The program is slightly more structured for the youngest campers, the oldest may decide to concentrate primarily on only one or two favorite activities. Beginner to advanced experiences are available in archery, biking, sailing, crew, swimming, lake and white-water canoeing and kayaking, tennis, photography, campcraft, a wide range of arts & crafts, sports, woodworking, ropes course, climbing wall, riflery, music and drama. While we are generally a non-competitive camp, girls can choose to test their skills in inter-camp sailing regattas, tennis tournaments and swim meets. Aloha offers an extensive tripping program with multi-day biking, hiking, kayaking and canoeing trips. Aloha Hive (802) Hive, designed specifically to meet the needs of young girls aged 7-12, is a warm, nurturing place where each camper can feel at home and learn to be her best self. Campers choose activities daily from a wide selection of options. A typical day usually includes four different activities, such as sailing, swimming, arts & crafts and tennis. Campers and counselors are matched carefully so that children can learn from one another and have an enriching experience. Tent families enjoy canoe breakfasts and overnights, playing together during free time and during quiet time, and forming a supportive "family". In addition to Hive s 3 ½ and 7 week sessions, the Elfin program is an opportunity for 1 st, 2 nd and 3 rd grade graduates to sample residential camp life. Lanakila (802) Boys at Lanakila - aged 8 years, 10 months - 14 (grades 3-8), find a community in which they can look at options for the kind of men they want to be, as well as a chance to excel in being the boys that they are. In addition to a major focus on the dynamics of living together successfully, the activity program offers them a safe environment in which to try out new skills and activities and, if they choose, to test themselves against a set of standards in each department area. For those who wish, there is enough competition to keep things lively, but the major thrust of the program is in finding challenges interwoven in a carefully designed set of Viking Honors which reward mastery and skill acquisition. Lanakila boys live in four separate units, divided by age, each with its own clubhouse, wash house and playing fields. Swimming is required of all campers, and the optional activities which are open to all ages include: sailing, boating, archery, riflery, tennis, arts, photography, woodshop, athletics, campcraft, exploring, biking, hiking, dramatics, canoeing and a superb ropes course. Local and wilderness tripping and an accompanying focus on natural history are also central parts of our program. Horizons Day Camp (802) Horizons is a co-ed day camp for kindergarten to seventh grade graduates. Sessions feature a full camp program with water activities, sports & games, arts & crafts, drama, nature, hiking and music. Horizons is located at our beautiful Middlebrook Campus on Lake Fairlee. Ohana Family Camp (802) A beautiful camp on Lake Fairlee where families and friends come together to relax, renew, regroup and learn. Accommodations include rustic cabins of one to four bedrooms with simple kitchens, modern bathrooms and living rooms warmed by fieldstone fireplaces. Campers enjoy comfortable cabin living, delicious shared meals and rewarding leisure and learning activities in a family-friendly community atmosphere. The waterfront is equipped with swim docks, rafts and boat docks for launching the camp s canoes, kayaks, paddleboards, sailboats and row boats. Landsport facilities include a 9-hole Frisbee golf course, tennis, basketball and volleyball courts, a horseshoe pitch and open spaces for group games. Back roads for walking or biking and woodland trails for hiking abound throughout Ohana s 100 rural acres.
