2 Day Camp hours are 9:00 a.m. 4:00 p.m., Monday - Friday Information is in alphabetical order Welcome! Our camp staff is so excited that your camper will be joining us this summer! Our staff is carefully selected and trained to help provide your camper with a great summer camp experience. We want you to know what camp is going to be like and this packet of information is designed to provide you with lots of information and answer your questions. Every summer is special and different, so even if your camper has been to camp before, we ask that you look over this information so she can be prepared. See you soon! American Camp Association Accreditation Girl Scouts of Connecticut is proud that our summer camps are accredited by the American Camp Association. ACA Accreditation means we care about your camper s safety, enough to undergo a thorough review of our operation (up to 300 standards) from staff qualifications and training to emergency management. American Camp Association standards reflect the most up-to-date, research-based standards in camp operation. Absences If your camper is going to be absent, please call or the camp office by 9:30 a.m. Camp contact info is on the cover of this handbook. After Care at An-Se-Ox, Katoya, Laurel, and Merrie-Wood After-camp care is available from 4:00 p.m. to 5:30 p.m. at an additional fee of $50 per week. Campers must preregister through the Camping Services Department. Staff will provide a snack and activities during this program. Before Care Before-camp care is available for an additional $50 per week at all day camps (except Clatter Valley) from 7:30 a.m. to 8:45 a.m. Campers must preregister through the Camping Services Department. Staff will provide a quick, light, cold breakfast and activities during this time. Bus Behavior Please review proper bus behavior with your camper. A. Wait for the bus in a safe location. B. Let the bus come to a complete stop before approaching. C. Tell the bus monitor your first and last name. D. Find a seat quickly and stay seated. E. Hands, heads, and other items are to remain inside the bus. F. Questions should be directed to the bus monitor. Please do not distract the driver. Please remember to be at the bus stop early at least 10 minutes prior to stated departure time. In the event of a bus delay resulting in more than 30 minutes, or in an emergency, you will be contacted at your primary number or via by the Camp Director or her designee.

3 Anyone picking up a camper up at a bus stop must have the Authorized Pick-up slip and be prepared to show a photo ID before their camper may be released. If the person picking up your camper changes any point through day, please call your child s camp so the bus monitor will be informed of the change prior to reaching your child s stop. If you choose to transport your camper to and from camp, please drop her off between 8:45 and 9:00 a.m. and pick her up between 4:00 and 4:15 p.m. to avoid conflict with the bus service. Campers who do not ride the bus will be dismissed after the buses have departed. Please be considerate of our camp speed limit and areas that are restricted of vehicles whenever visiting camp. Be sure to check in with the camp staff person on duty. If your camper is able to drive herself to camp, please review the speed limit and restrictions with her. When picking up your camper at camp, please have your Photo ID with you. Camp Clothing Campers should dress for fun and outdoor play. They will get dirty. All campers must wear socks that cover their ankles and shoes or sneakers to camp. Do not wear sandals, clogs, flip-flops, Crocs, water shoes, or arrive with bare feet. We encourage you to label your camper s belongings so that we can attempt to return items to their owners. We will contact you to pick up labeled items found after your camper has left for the season. Unmarked items will be placed in lost and found and held until one week after camp closes for the season. Camp Store/Trading Post A camp store is available for campers to purchase T-shirts and other camp souvenirs. Please send cash or a check made out to GSOFCT with your camper in an envelope with her name on it for these items. A shopping list with prices will be provided on the first day of each camp session. Please discuss purchases with your camper, so that she may be able to shop with confidence in the ability to make her own choices. Trading post is open every day but the first day of every one week session. Code of Conduct Please review our Code of Conduct with your camper. You and your camper are expected to agree and sign this document. A copy is within CampDoc or available for download from our website. Camp Doc GSOFCT will be using CampDoc, again, to help provide the best possible care for our campers. This year will be our seventh year with the system. CampDoc.com is an electronic health record system for camps in which you upload and complete camp forms online. Camp will have easy access to your information. If your camper s health exam has been uploaded to CampDoc and within the 24-month requirement (the date the physical was signed), it will not need to be provided the following year. CampDoc is secure, confidential, and safe. The site is encrypted and password protected. Only authorized GSOFCT staff will have access to camper health information. You will receive a Welcome

4 from CampDoc with information about how to complete your camper s health information. If you do not receive this welcome within two weeks of receiving your camp confirmation, check your spam/junk mail folder for it first, and then call Camping Services Department (800) Early pick up If you need to pick up your camper before 4:00 p.m., please write a note or send an to notify camp. If you have a young camper please call camp to verify they got your note. The camp will try to have your camper ready and waiting in the camp office. Please park in the lot, walk to the camp office with your Photo ID, and sign out your camper. Girl Scouts of Connecticut requires a current family address for every camper. You will be contacted by your Camp, CampDoc.com, and Girl Scouts of Connecticut with updates and communications. Please make sure that you use an that you check daily. Health History/Health Examination The Health History is the parent s portion of the health information and should be done through Camp Doc. This must be completed and updated every year. The Health Examination (physical) is the doctor s portion of the health form. This portion is valid for 24 months. We will accept the State of CT Health Examination form that you may already have as long as it includes an immunization record, including current tetanus with date of immunization. We just ask that you read and sign the parent s portion to be added to the non-girl Scout physical form. If your form was not uploaded to Camp Doc you will be required to provide another copy. Horseback Riding Program (Only for campers in Horse Fun program.) Horseback riding requires proper attire. Campers need long pants (no JEANS), a close fitting shirt (Tshirts are acceptable), and boots with a minimum of a one-inch heel. Soles should be smooth. Every camper in the program is required to have the Horse Farm Waiver uploaded to Camp Doc or mailed to the Girl Scout Council office by June 1. Campers without the proper waiver filled out completely will not be eligible to ride. Camp will provide ASTM-approved helmets. Campers who would like to provide their own helmet must ensure it meets these requirements. Horse Fun is held at: Camp Laurel On-site Illness/Injury The Director of First Aid is at camp to care for the campers. We do not call you for every bump or scrape, but parents will be contacted at the discretion of the Director of First Aid for the following: Fever and/or vomiting Unresolved asthma attack An injury that requires stitches Injuries that result in broken bones Head injuries A bee or wasp sting Tick bite If they spend more than two hours in the health center.

5 For any professional medical care needed outside of camp. Insurance Camper families are expected to provide their own health insurance. All campers are covered by a secondary medical insurance policy provided by Girls Scouts of Connecticut. This covers, to its limit, what a camper s own personal medical insurance does not cover. All claims should be filed within 72 hours of injury. The Director of First Aid can provide this form as needed. Kapers The following is an example of camp Kapers your camper could participate in. Late arrivals If your camper will be arriving late for camp, please let us know, by contacting the camp directly using either the phone number or the address on the front cover. Upon arrival at camp, please park in the parking lot and walk her into the camp office. You will need to sign her in at the office and a staff person will stow her lunch and escort her to her unit. Lunch Each camper should bring a lunch with a drink every day. The State of Connecticut requires that all lunches be refrigerated; therefore we request that you send your camper s lunch in a Ziploc-style bag labeled with her first and last name. Please do not send insulated lunch boxes, glass containers, or coolers. If your camper forgets to bring a lunch, you will be notified by the camp office that it has been forgotten, and your camper will be provided with a healthy substitute. Day campers at Camp Laurel will have lunch provided. Lice- No Nit Policy On the first day of every one week session, campers will be screened by the Director of First Aid or the Nurse. If lice or nits are present the camper will remain in the nurse s office and the parent or

6 guardian will be called to pick up the camper. The camper must be treated and may return to camp once she is nit-free. For more information visit: Medications All medications (over the counter or prescription) must be supplied by the family and require a medication administration form filled out by your camper s doctor. These medications will be stored in the Director of First Aid s office and returned at the end of the week. Inhalers and Epipens also require a medication administration form, but will be carried in a med bag by the counselor assigned to your camper. Please note: state law requires the label to be attached to the inhaler or pen. Ask your pharmacist to do this for you. If medications arrive without the proper documentation, they will be sent home at the end of the day. Girl Scout staff cannot administer medications without the appropriate documentation or uploaded to CampDoc. Medical Administration Form (one form per medication) completed by physician and parent/guardian and brought to camp or upload to CampDoc. Medications Returns on the last day of the session for each camper, medications will be sent home with the camper on the bus or given to the person picking up the camper. Parent will need to sign that the medication was recived. Medications will be held for one week after the camper has left and then it will be disposed of. Nut Free Day camp is not a nut free environment. Please let us know of any food sensitivity or food allergy your camper may have. Open House at Camp Campers and their families are encouraged to visit camp during open houses on Sunday, April 22, 2018 and Sunday May 20, 2018, from 1:00 3:00 p.m. Held rain or shine, open houses are a great opportunity to meet some of the staff, tour the facility, and get a feeling for how camp works. Clatter Valley s open house is Sunday, July 15, 2018, from 4:00-6:00pm. Not able to join us during open house? Self-guided tours are available. Contact us at camp@gsofct.org to make arrangements. Optional Overnights All girls 4 th grade and up who enroll in camp the week of the overnight are invited to attend an optional overnight. This optional overnight is an additional $15. Parents can preregister for this opportunity on line or you can have your camper wait and register at camp during her session as long as it is a sleepover week. The packing list/permission slip will be sent home on the first day of the session that includes the sleepover. All overnight guests, preregistered or registering at camp, must have a signed permission slip to attend and $15 dollars. The nights of the sleepover are July 5, July 18 and August 1. Despite the fun, adventure, and new friends at camp, some girls do become homesick. Campers and counselors are supportive when this happens. The homesickness usually passes quickly once she becomes involved in the fun of camp. If she does become homesick, counselors and camp staff will work with her. If her homesickness does not pass quickly or interferes with her camp activities, the camp will call to touch base with you and let you know what they are doing to help her. Please don t

7 suggest she just telephone home for you to come get her if she gets homesick. Since talking with parents on the phone may make homesickness worse for many campers, the camp procedure for handling homesickness generally does not include phone calls between parents and campers. Photos A unit photo is taken every session during the camp season. This 8 x 10 photo is available for $10 and is a wonderful keepsake to commemorate her time at camp. The photo is taken by Geskus, it will be produced and given to your daughter on Friday of her session. You will have the opportunity to pre purchase your photo when registering for camp. A photo can also be purchased by Tuesday of each session so they may process the order in time to get the photo to your daughter by Friday. If you do send in payment please make sure they have your child s name and Unit on it so we know who it belongs to and separate from Trading Post money. Required Forms and Good Information to Share You know your camper best, so we are relying on you, via your documentation on CampDoc or on paper, to tell us everything you can so we can take the very best care of her. State regulations require health forms must be on record with the camp office for a girl to be at camp. Using CampDoc or providing hard copies to camp meets this requirement. Refunds/Cancellations Cancellations and refund requests must be made in writing to Girl Scouts of Connecticut, Camping Services Department, 20 Washington Avenue, North Haven, CT or by at camp@gsofct.org. Prior to May 1, cancellation refunds will be made minus a $20 processing fee. After May 1, cancellation refunds will be made minus the deposit for each session. Cancellation made within two weeks of camp attendance will not receive any refund. Partial refunds will not be made if days are missed. Exceptions can be made with a letter from a doctor noting illness or injury, or notice of summer school attendance minus the deposit for each session. Snack/ Water A daily snack is provided to all the campers, however if your child has a food allergy or sensitivity, please pack an alternate snack for your child to enjoy. Water is available throughout the day so campers can refill their water bottles. Please help us by encouraging your camper to drink plenty of water while at camp. Special Accommodations If your camper requires special accommodations, please note these requests in CampDoc. GSOFCT can make reasonable accommodations for medical, dietary restrictions, behavior modifications, and individual educational program needs. Please call (800) x3344 for day camp and x3368 for resident camp so that we can discuss any specific needs. Our goal is to provide the best possible camping experience for all of our campers.

8 Supplies needed at camp We Tye-dye once a week, so please provided a white t shirt. However some suggestions in place of a t-shirts are; socks, pillow case, or a bandana Mess Kit for the cook out: this should be a bowl, plate, fork, spoon, knife and a cup. Camp An-Se-Ox will need an additional t shirt or pillow case for their camp Silk Screen Swimming Swimming levels are assessed during the first day of each session. Their colored bathing caps will designate their swimming level and will be worn every day. As part of our program, campers will receive instructional swim daily, weather permitting. All campers will also enjoy free swim time. Campers are encouraged to participate in all water activities. Swimming is not available at Camp Merrie-Wood or Clatter Valley. Tax ID Information: Please refer to your confirmation from registering on double knot to locate the tax id for Girl Scouts of CT for your tax purposes. Themed Sessions One-week themed sessions are available throughout the camp season. Themes add an element of excitement and surprise to the general camp day. Campers should be encouraged to participate in themed dress up days and special events. To see your camp themes please visit our website: and select your campers camp. Ticks Remind your camper that if she sees a tick or spot that she has not seen before, or feels a small bump, she should tell her counselor if at camp, or you at other times. For more information concerning tick removal, visit Weather/Cancellations Camp is open rain or shine. There are cabins, shelters, and covered porches where activities take place. Please pack a rain coat or poncho daily for summer showers. Should camp need to be cancelled in the event of emergency, we will attempt to call your primary phone number. The announcement will also be posted on the homepage of our website, gsofct.org. Who to Contact? 9 Typical Day at GSOFCT Camp The following is an example of a typical day. This is not a full meal. What to bring and what to keep home Please bring the following to camp labeled with your camper s name: Lunch in a Ziploc-type bag labeled with camper s name (first & last) A refillable water bottle Sunscreen (no aerosols) Insect repellant (no aerosols) 1 Piece Bathing suit or 2 piece (such as a tankini) and towel A plastic bag for wet items Rain poncho Sweatshirt Extra change of clothes in a Ziploctype bag (for youngest campers) And a back pack to carry it all! Please do not bring the following: Sports equipment Expensive clothing and jewelry Alcohol, drugs, or weapons Pets Electronics including cell phones should be left at home. Girl Scouts of Connecticut is not responsible for lost, stolen, or damaged items.

By following the checklist, you and your camper will be prepared to have a positive camping experience! Read camp handbook and share information with your camper(s). 11 Summer Camp Code of Conduct Form must be signed by both Camper & Parent/Guardian and uploaded to CampDoc or mailed to the Council office. Girl Scout camp has rules that we have to follow so everyone will have a fun and safe time. This Code of Conduct, combined with the Girl Scout Promise and Law, is our guide for behavior that is expected at Girl Scout camp (including transportation and at bus stops). I understand that rules are made to protect me and my camp friends and to help make sure program activities are safe, fun, and successful. I will treat myself, my camp friends, staff, property and equipment with respect. I will follow the principles of the Girl Scout Promise and Law. The Girl Scout Law The Girl Scout Promise On my honor, I will try; To serve God and my country, To help people at all times, And to live by the Girl Scout Law. I understand the following are unacceptable behaviors at camp: cursing or verbally abusing anyone for any reason display of jewelry, clothing, accessory or manner of grooming related to gangs, or illegal substances fighting, threatening, stealing, damaging property, or endangering the well-being of myself and others. discussing, viewing or engaging in sexually explicit matters. Girl Scouts of Connecticut is not responsible for loss or damage to electronic devices. I understand that all prescription and over the counter medications must be turned in to the Director of First Aid upon arrival at camp. I understand that if I am unable to follow these rules that my Parents/Guardian will be contacted and I could be sent home from camp by the Camp Director. Camper Signature Date Parent/Guardian Agreement I have discussed the above with my camper and feel that she understands what is to be expected of her while at Girl Scouts of Connecticut Summer Camp. I also understand that should she be unwilling or unable to live within these guidelines, I may be called to pick up my child at her camp. Parents must pick up their child within four hours at day camp, and within 24 hours at resident camp. If a parent fails to collect his/her child within this reasonable amount of time, the child will be reported as abandoned to the local police. I further acknowledge that should my camper be asked to leave due to her behavior there is no refund of tuition. Parent/Guardian Signature Date

13 GIRL SCOUTS OF CONNECTICUT MEDICATION ADMINISTRATION AUTHORIZATION for Summer Camp Only Page 1 of 2 Instructions to Parents/Guardians Page 2 of this Medication Administration Authorization form must be completed and signed by both you and the authorized Prescriber (Physician, Dentist, Physician Assistant, Advanced Practice Registered Nurse) for EVERY medication whether over-the-counter (e.g., Advil) or prescription (e.g., Albuterol) and each medication must have its own form. All over-the-counter medications must be in new, unopened containers. In Connecticut, licensed camps administering medications to children shall comply with all requirements regarding the Administration of Medications described in the CT State Statutes and Regulations. Parents/ guardians requesting medication administration to their child from camp staff shall provide the program with appropriate written authorization(s) and the medication before any medications are dispensed. Medications must be in the original container and labeled with child s name, name of medication, directions for medication s administration, and date of the prescription. All unused medication will be destroyed if not picked up within one week following the camper s departure from camp. In Massachusetts, all medications are administered in accordance with 105 CMR CMR (A) Medication prescribed for campers shall be kept in original containers bearing the pharmacy label, which shows the date of filling, the pharmacy name and address, the filling pharmacist s initials, the serial number of the prescription, the name of the patient, the name of the prescribing practitioner, the name of the prescribed medication, directions for use and cautionary statements, if any, contained in such prescription or required by law, and if tablets or capsules, the number in the container. All over-the-counter medications for campers shall be kept in the original containers containing the original label, which shall include the directions for use. 105 CMR (C) Medication shall only be administered by the Health Supervisor* or by a licensed health care professional authorized to administer prescription medications. The health care consultant shall acknowledge in writing the list of medications administered at the camp. If the health supervisor is not a licensed health care professional authorized to administer prescription medications, the administration of medications shall be under the professional oversight of the health care consultant. Medication prescribed for campers brought from home shall only be administered if it is from the original container, and there is written permission from the parent/guardian. 105 CMR (D) When no longer needed, medications shall be returned to a parent or guardian whenever possible. If the medication cannot be returned, it shall be destroyed. *Health Supervisor A person who is at least 18 years of age, specially trained and certified in at least current American Red Cross First Aid (or its equivalent) and CPR, has been trained in the administration of medications and is under the professional oversight of a licensed health care professional authorized to administer prescription medications. 15 Dear parents/guardians, Below are bus pick-up passes. You will need a bus pass to pick up your camper from the bus stop. You should write your camper s name and the name of the person who is picking her up on one for each day your camper will be picked up from a bus stop. Bus monitors will collect the pass from you as your camper comes off the bus. If you forget the bus pass, and the bus monitor does not recognize you, you may be asked to present identification.
