2 2 May 2018 Hello Camp Eagle Rock Parents! Summer is here and it s time to get ready for fun and adventure at Camp Eagle Rock! My name is Glenn, and I am the Director of Camp Eagle Rock, an Island Rec Program. It s been great getting to know many of the children through the after-school STAR program, and I m excited for my first summer with Camp Eagle Rock! My previous work experience includes summer camp art teacher and counselor at Appel Farm Camp in New Jersey, after school art teacher for Marwen in Chicago, farming, landscaping, and community organizing here on San Juan Island. In addition, I continue to grow my art and design practice and am working and teaching at Alchemy Art Center. I m truly grateful for the varied and diverse opportunities I have had and continue to gain, and I m looking forward to applying my skill set to creating a positive camp experience this summer. This year we are looking forward to a wonderful, experienced, and caring staff that s enthusiastic about creating a safe, fun, and memorable summer for your camper. We invite you to meet all the Camp Eagle Rock staff, and get answers to any questions you may have, at the Parent Meeting on Thursday, June 21st at 5:30pm. This meeting will be held in the cafeteria at the Friday Harbor Elementary School. Parent volunteers are welcome during the summer! Do you have a special skill or great idea for a craft project? Or just want to assist with games or other activities? We d love for you to share your time at camp! If interested, I m happy to discuss our camp schedule. All necessary information is available online at the program page, We will also have paper copies at camp, at the Island Rec office, and at the parent meeting. I encourage you to read this information. These simple guidelines, along with making sure your camper is prepared each day, will help make camp a great summer experience. I look forward to meeting you all very soon and thank you in advance for allowing me to direct your child s summer camp experience. 3 3 GENERAL CAMPER INFORMATION Camp Overview The purpose of Camp Eagle Rock is to provide a supervised, safe, enriching and nurturing day camp experience for boys and girls going into grades 1 st -7 th. Camp is structured to provide opportunities for every camper to learn, play, socialize, and grow. Campers will have the opportunity to develop new skills, and contribute to the camp community as an individual, as well as through cooperation and teamwork. Campers should ultimately have fun and leave the camp every day feeling good about themselves and their camp experience. Parent Meeting Please plan to attend a parent meeting to be held on Thursday, June 21st, at 5:30pm, in the cafeteria of the Elementary School. This will be a great opportunity to meet staff as well as to get any questions answered that you may have. Campers are welcome to attend. Cancellation Policy Refunds will be granted when a request is received by the Monday before the enrolled session. Refund will be reduced by an 8% service fee (with a minimum fee of $12, maximum fee of $45). A credit can be put onto your account without getting charged the 8% service fee. Camp Telephone The phone number for camp (once camp starts) is (360) This year our phone is a landline. Camp is a very busy and active place and we are often not near the telephone. Feel free to leave a message or call again if you do not get an answer. Campers are not allowed to use the telephone and must make after camp arrangements ahead of time. In case of emergency you may call Island Rec office at (360) What to Bring: The campers name should be written on all personal items brought to camp. Each camper should bring a backpack or duffle bag to camp each day. Try to place all items in this bag to minimize loss. *Sack lunch (that does not require heating or refrigeration) *Morning snack *Sunscreen (with their name on it) *Jacket/Sweatshirt *Water Bottle / Drinks *Sturdy walking shoes, tennis shoes suggested. *Swimsuit & Towel or change of clothes Camper Dress Code Campers attire needs to be safe and non-disruptive. T-shirts with inappropriate pictures, liquor advertisements, sexually suggestive messages, or drug-related messages are not allowed. Shoes need to be safe for running and playing; tennis shoes or teva-like sandals
4 4 are recommended. Flip-flops, high heels, platform shoes, or dress shoes are not appropriate. While Crocs are comfortable, they make running difficult. Campers whose clothing is inappropriate will be asked to call home for a change of clothing. Lost and Found: Take a few minutes at check-out time to make sure the campers have all of their belongings. Lost and found items will be located in the staff room; lost and found will be collected at the end of the week and displayed for the campers in order to claim ownership. General Rules and Procedures o Campers are to remain on the school grounds during the camp day, unless part of a sanctioned camp activity. o Any camper who must leave early needs to be signed out by a parent or authorized adult. o Electronic devices, cell phones, portable video games, trading cards (and any cards of same type) must be left at home. Those brought to camp will be confiscated and returned to the parent or authorized adult at the end of the day. o Clothing and other personal items brought to school are the camper s responsibility. o Camp is not responsible for any damage or loss. Names should be on articles of clothing and personal items. o The possession or use of weapons, tobacco products, alcoholic beverages, illegal drugs, or controlled substances on camp property is prohibited. o The use of language or gestures generally regarded as profane or obscene is unacceptable. Campers are not to bring pornographic or other inappropriate materials to camp. o No chewing gum. o Hats are not to be worn indoors. Personal Sports Equipment Campers are welcome to bring their scooters or skateboards to camp. However, they MUST wear a helmet and they may only scooter and skate at designated times and places each day. All equipment should be in good working order. Bicycles will only be allowed at camp for transportation to and from camp, due to new construction we will not have a secure place to store bicycles. To insure the safety and protection of staff and campers, we discourage campers and staff from bringing other toys and personal sports equipment to camp. If sports equipment is brought to camp, the Camp Director or Program Directors must approve its use. Any sports equipment that poses a risk to staff and/or campers may not be brought to camp (i.e.: climbing equipment, knives). Campers will not ride a counselor s bike at any time. Camper Groups Campers will be assigned to groups. Groups will be based on grade and age. We strive for a 10 camper to 1 counselor ratio. At times, this means that best friends or siblings are not in the same group. Direct any questions you may have about this to the Camp Director.
5 5 Camper messages/use of phone Campers are expected to make their after-camp arrangements before arriving at camp in the morning. Parents can help by sending notes instead of calling. Campers will not be permitted to call home for permission to visit friends. Absentee Camper Parents are to call camp if their camper will be absent. If a camper is absent, the Camp Director or Assistant Camp Director may contact the parent/guardian to verify the absence. All absences will be noted on the check-in sheet. If parents notify the camp of their camper s absence in advance, it will be noted on the check-in sheet. Request to Leave Camp Early Parents must submit a written note on the morning of camp giving permission for their camper to be dismissed early. The time the camper will leave needs to be included. A camper will be released only as directed by the parent note. Release of Campers Parents and campers must stop at the checkout table before leaving camp at the end of the day. Anyone picking up a camper MUST be listed as an authorized pick-up person on the camper application unless a written note is received from the parent authorizing a different arrangement. The Camp Director will review all such notes. At NO time may a camper be released to anyone, or allowed to leave camp alone without prior written notification from the parent. Camp Location Camp Eagle Rock is located at Friday Harbor Elementary School. Camp entrance will be at the front entrance of the school. We will have our registration table set-up at the entrance. Registration will begin at 8:30am. Please do not drop your child off before 8:30am, as there will not be any adult supervision. It is very important that YOUR CHILD check in and out each day. You are encouraged to accompany your child during check in and check out. Camp Hours Camp opens at 8:30am and ends at 3:30pm. Campers will not arrive to camp before 8:30am. All campers need to arrive by 9:30am, for this is when the formal camp day begins. Late campers may miss activities and field trips with their group. After-camp care is offered from 3:30pm to 5:30pm. Campers must be pre-registered for this option. Late Fee It is necessary that you pick your child up from camp on time. Our camp staff works hard to assure your child has a safe, fun, and eventful day at camp. If you are running late please call before hand, being late causes not only an inconvenience to all staff and your child, but requires that staff work overtime. You will be responsible for the costs as follows. 5 minutes late: $5; 10 minutes late: $10; 20 minutes late: $ 20; 30 minutes late: $30;
6 6 Special Events Wednesday afternoons we will be participating in the Library s Summer Read Program, to be held at the Elementary School. Van Field Trips groups will take turns going on off-site van trips led by the Camp Director or Program Director throughout the summer. All-Camp Trips We have several trips planned to 4 th of July Beach and Roche Harbor. End of Camp Party and Potluck On the last day of camp (8/10/17), we will all be going to Jackson s Beach for the day. Parents are welcome to join! We will be cooking hamburgers and hot dogs, and parents are encouraged to bring a dish to share. Health Care Procedures Staff Qualifications All staff members will hold current certification in American Red Cross Standard First Aid and CPR or the equivalent. Counselors will know the location and contents of the camp first aid kits as well as carry them on their person and will follow universal precautions at all times. At no time will any staff member give medical advice of any kind to a camper. All first aid treatment will be recorded in the First Aid Log and an incident report will be filled out. Sick Campers If a camper has a fever of 100 degrees or more, parents will be called to pick up the camper. Camper needs to stay home for at least 24 hours after the fever has ended without any fever reducing medication. Parents will also be called to pick up their camper if a child vomits, appears to have pink eye, or lice. Camper Health Needs All counselors are responsible for being knowledgeable of the specific health care needs of campers in his/her group. This can be found on the camper s registration form. Parents will complete additional forms for campers with asthma, those who have conditions causing severe allergic reactions, or those who have any medication needs. Copies of these treatment forms will be attached to the camper s registration form. Sun-Safety: -Parents are asked to apply sunscreen to campers before the day begins, and all campers are asked to bring their own sunscreen from home with their name marked on the bottle. Camp Eagle Rock will also supply sunscreen for those who do not have their own. -Campers should be encouraged to wear a light T-shirt to help protect from sun exposure. -All Camp Eagle Rock staff members are allowed to apply sunscreen to the campers unless a parent indicates otherwise. -Sunscreen should be applied at least 2 times during the day.
7 7 -When the weather is especially hot, counselors will ensure that their groups have cooloff times. -Counselors will encourage their group members to drink plenty of water throughout each day. Medications When a camper needs any type of non-prescription (Aspirin, Advil, Tylenol etc.) medication while at camp, policy requires a complete medication form. The staff member must be able to easily identify the medication as the one specified in the parent s note. A doctor s note is required for any medication taken for more than fifteen days. The medication is then kept in the medication box in the office. For prescription medications: Bring the medication to the Camp Director in a sealed container with the pharmacist s label stating camper s name, doctor s name, medication and dosage in addition to a medication form. Behavior Management Policy It is the goal of the School s Out Programs to provide a safe, fun, enriching and healthy environment for our participants. Children who attend the program are expected to follow the behavior guidelines and to interact appropriately in a group setting. Behavior Expectations: Children are responsible for their own actions Children will show respect for people and materials Children will be safe and kind Children will have fun! Our behavior management techniques include: Clearly tell participants what type of behavior is expected from them Let children help with the behavior guidelines Use praise and positive reinforcement that is immediate, sincere and specific Use consistent and age appropriate limits with natural and logical consequences Give choices whenever possible Re-direct the child to another activity before problems arise Help children use their words to express feelings and resolve conflicts When a Child doesn t meet the behavior expectations, staff will take the following steps: For Mild or First Time Offenses: 1. Give the camper one verbal warning; make it clear that the behavior or action was inappropriate. 2. Give the camper a chance to explain; he/she might have a good reason for the behavior. 3. Remove the camper from peers/activity for recovery time for a set time. 4. Document inappropriate behavior on an incident report.
8 8 For Moderate or Reoccurring Offenses: 1. Parent/guardian will be notified by Coordinator/Director regarding camper s behavior. 2. Behavior contract or action plan will be developed as needed. 3. Communication between staff and parents should be ongoing regarding any further incidences of inappropriate behavior. 4. Document inappropriate behavior on an incident report. For Severe or Reoccurring Offenses: 1. If a camper s behavior at any time threatens the immediate safety of them or others, parents will be notified and expected to pick-up the child immediately. 2. Stealing, breaking property, and harm to others are not acceptable and may result in immediate pick up and suspension from program. 3. If problems persist and camper continues to disrupt camp, suspension from the program may be considered. 4. Document inappropriate behavior on an incident report. Camp Eagle Rock 2018 will be a great experience, and we are excited for camp to get here and make this summer a blast for the campers, counselors, and community!
