1 Uniform guidelines for maintenance of Holiday Homes Facility of Bank s Holiday Home for our ex-staff members As per the decision taken in thet Central Welfare Committee meeting - i. Charges to be recovered from staff members for availing Holiday Home facility have been enhanced from Rs.50/- to Rs.100/- per day per room. ii. Expenses incurred by Zones for maintaining Zonal Holiday Home to be borne by Head Office (on the basis of expenses incurred in the year as informed to us) iii. iv. Decision regarding renewal of agreement (on expiry of the existing agreement) in respect of Zonal Holiday Homes also will be taken at Head Office only. Concerned Zonal Office will not take decision regarding continuation / renewal of agreement for Zonal Holiday Home. Retired employees (self and spouse only) a. retired from Bank s service on superannuation; b. voluntarily retired under Bank s Pension Regulations or Bank of India (Officers ) Service Regulations; c. voluntarily retired under Special Scheme i.e. VRS-2000;are eligible to avail holiday home facility. d. The rules / guidelines governing Holiday Home to be applied uniformly. Accordingly, funds for welfare activities (including for holiday home expenses) have been allocated to the Zones for the year and advised vide our IOM No.HO:HR:IR:VGK:I-576 dated The uniform guidelines for maintaining Holiday Home (Central as well as Zonal) are as following :- 1. Application form/request letter to be submitted by staff members for allotment of room(s) in Holiday Home 2. Proper record of applications received to be maintained by HR Department, Zonal Office. 3. Allotment of room(s) in the Holiday Home to be made on first-come-first allotment basis (may be maximum 90 days in advance) and the allotment of room(s) should not be made for more than 4 days at a time at a particular Holiday Home. 4. Allotment Letter to be sent by Zonal Office (signed by an authorised official from HR Department), administering the Holiday Home (Central and / or Zonal Holiday Home) Intimation about allotment of the room(s) OR non-allotment of the room(s) to be sent immediately to the applicant. 130

2 5. Allotment of room(s) not to be made in pre-decided block of 2/3/4 days. Allotment of the room(s) to be made on day-to-day basis (daily), means if the request received is for one / two / three specific date(s) / day(s), the same may be considered for requested day(s) only, subject to availability of room(s) 6. Room rent Rs.100/- per day per room to be recovered from the allottee (only when the allotment is made to the staff member). 7. The record of applications received / allotment of rooms / rent recovery, etc. may remain available for perusal by Secretary / Treasurer of Zonal Welfare Committee. 8. Retired employees (as mentioned in para 2(iv) above) are eligible to apply 30 days in advance for booking room in the Holiday Home. Application to be submitted to the concerned Zone maintaining the Holiday Home. 9. While allotting Holiday Home to Retired employees, it is to be ensured by allotting authority that no request of present employee is pending for allotment. 10. No retired employee should be allotted the same Holiday Home on more than one occasion in a calendar year. 11. The Holiday Home where the room rent is being paid by Bank on actual occupancy basis (i.e. Bangalore, New Delhi, Mysore) are excluded from being allotted to the retired employees. 12. Appropriate TDS, wherever applicable, to be deducted while effecting payment to the Hotelier / owner of the premises / Contractor of Holiday Home. The aforesaid instructions are to be followed by the Zone administering / maintaining Central and / or Zonal Holiday Home and also to bring the same to the notice of all staff members in your Zone. Other Zones who are not administering / maintaining any Holiday Home may only bring these guidelines to the notice of all staff members working in your Zone. (Ref.No.:HO:HR:IR:VGK:I-703 Date: ) 131
