4 Bardic Madness 2017 The Barony of Rivenstar hosted the Annual Bardic Madness event on November 18th, Bards, poets, and enthusiasts gathered from all over the Kingdom to entertain & educate. Moving from one job to the next, I didn t get to participate much in the event itself, but I managed to sneak in a few behind the scenes shots of people diligently working to make this a wonderful event for all to enjoy. 4 All photos and text on this page submitted by Katrin Grimsdottir.

7 Baronial Arts & Sciences Spotlight During Christmas Court, we had Arts and Sciences displays, informal teaching stations, and a Largess Display and Swap. Marilynde of the Rocks set up a calligraphy station and a felting station. Katrin Grimsdottir showed people how to make felt scissor fobs. William McFayden and Gunnarr Bogsveigir showed off their leather working crafts, and Lucius Antonius Ursus brought in a bag full of period games and invited people to play and learn. We did a largess Swap this year which is different from a typical derby. Seven people brought in their largess items and right before feast, we picked out our favorite items. Some people donated those items to the Middle Kingdom Largess Fund and others kept items to give as gifts and favors. Those participating this year were: Gunnar Bogsveigir with Saxon wire wrapped rings, Rocky with children s ribbon toys, Francoise Katze with beaded goblet covers, Katrin Grimsdottir with felt scissor fobs, Countess Catherine with beaded jewelry, Enkara of Darkhorse with hand illuminated cards, and Breanna the Small with Kumihimo braids (not pictured). 7 All photos and text on this page submitted by Katrin Grimsdottir.
8 Baronial Business Meeting Minutes Meeting Minutes for people in attendance Bardic Madness - We have a hotel block for Friday confirmed. - We discussed ideas for site tokens. Takaya suggested black and white beads for site tokens. We will need about 70 tokens. There were several votes for beets for the beat, but using beats or edible tokens would get messy. - We discussed the number of feast servers. Brianna will discuss it with Ursus, but we were thinking at least 3 people for the serving line. We have several volunteers for kitchen help as well. Christmas Court - Rocky found a site. It s Saint Ann s Church in Lafayette. We would only have the site from 1:00 pm to 9:00 pm, so we need everyone out by 8:30 pm. That seemed fine with the people in attendance at the meeting. - We chose December 2nd. - Katrin will make a Facebook event page when Rocky confirms the date with the church. - Brianna got confirmation that we are on the Midrealm calendar. - The site contract is confirmed and signed. - We had a conference call with Encara and confirmed who is doing what. Archery Gunnarr Thrown Weapons Wilhelm is working with Mary who did it for us 2 years ago Merchants Sigulf Rapier Briana Stone Heavy Ron? (we will need to verify) Feast-o-crat-??? 9 Baronial Business Meeting Minutes Meeting Minutes for people in attendance Event Reports: Jacob, Encara, and Andrew attended the fencing practice in Wurm Wald. Officer Reports: Exchequer Working on reissuing a check. Chronicler The newest edition of The RivenSTAR Newsletter is out and posted to the list. It should be up on Facebook and the website shortly. Archery The Purdue Armory is working out well. They have been running the Royal Kingdom challenges. Gunnarr will be teaching an archery class at RUM. Medieval Society of Purdue Sam participated in an interview with a film student. Bardic Madness - Coise found beads for the tokens. - Will Gold key be available at Bardic Madness? - Brianna will contact Rocky. Christmas Court When Rocky confirms the church date for Dec 2nd, Katrin will create a Facebook event page. - We confirmed that Ron will indeed be running the heavy list. - Malie confirmed that we will have royalty. We confirmed that fees would be waived for Their Royal Majesties and their children, but not extra aides. - Enkara and Coise will get prices for renting out dorm rooms in the A-Frame. - Katrin will do the Pale ad. - Ursus has already set up a Facebook event page and is working on the website. We will update him on the new items as they develop. - We discussed the feast. Margaret and Nicolai have volunteered to work on the menu with Takaya and Marion as advisors. - Contact Encara if you would like to volunteer for any of the duties at the event. - We discussed site tokens with a Sword in the Scone theme. Ideas included: plastic cocktail swords, plastic cocktail swords in mini scones, a whole bunch of plastic cocktail swords in one big scone, and one big scone with swords sticking out with a few swords tied to the table. ~~~~~~~~~~~~~~~~~~~~~~~~~ Meeting Minutes for people in attendance Event Reports: Crown Tourney We have new heirs: Sir Alric of the Mists & Baroness Katherine Vivian Officer Reports: Archery Gunnar is working on getting her background check for marshaling Youth Archery. Currently, the background check is not required by Middle kingdom law, but it is highly recommended for marshals working with children. - Katrin is designing an archery practice flyer and Sam will print and hang them up around Purdue campus to help recruit more students. Chatelaine She sent a draft of her report to the list. If you have anything to add, send it to Rocky so she can include it in her report. Minister of Arts and Sciences - We discussed getting paperwork for Sigulf to sign. Bardic Madness - Rocky confirmed that she will have the Gold Key (loaner garb) at Bardic Madness. - What time will we meet to set up Friday evening at the church? Brianna will coordinate a time with the church and Lorelei and give us an update next week. Christmas Court - Per Their Excellencies, we will start setting up food at 4:30 pm and begin feasting at 5:00 pm. - We must be completely cleaned up and out of the building by 9:00 pm which means we should end all activities by about 8:30 pm to complete the clean-up. - Site opens at 1:00 pm, so we can gather for A&S activities. - Send award recommendations to the baron and baroness. Adam will send out an and FB post. 9
10 Baronial Business Meeting Minutes - We discussed dorm room resources, prices, and if we want to rent them in the A-Frame. Their Majesties schedule may not be firm until closer to April, so Encara will inquire with Ross Camp how far out we can add those rooms to our contract. - There are two 2-Person rooms available if we have both sets of royalty. - According to our financial policy, we will waive royalty and their children site, feast, and A-Frame room rentals, but Royal Attendants will still need to pay fees. - According to the Ross Camp website, they do not allow camping until May. Encara will check to see if that is accurate since we did have camping at our event there 2 years ago. - Katrin will send Encara the pdfs of the site map and the other posters she made for the last event. - Troll received complaints last year since we only had one designated changing room. We will look into renting both 8-Person dorm rooms for changing for both men and women. ~~~~~~~~~~~~~~~~~~~~~~~~~ Meeting Minutes for people in attendance Happy Birthday Nicolai and John Skinner! Event Reports: Jacob and Katrin attended the Wurm Wald fencing practice. - Gunnarr s archery class at RUM (Royal University of the Midrealm) went well. Officer Reports: Chronicler Katrin brought in a full color hard copy of the newsletter for people to look at and brought the black and whites copies that were requested. The newsletter is available to download from the list and the baronial website. Minister of Arts and Sciences Sigulf is working on getting his paperwork completed. Medieval Society President The student film project is done and will be released to Boiler TV soon. You can see it on YouTube under the Medieval Project. Sam will also put up the archery practice flyers this week. Bardic Madness - Brianna is still working out a schedule for the Friday night set up. Several people have volunteered to help with set up; we just need to have the Provost there to direct us. - Ursus will not need additional kitchen help for feast. - Brianna and Coise are getting the seed money for the cash box at troll. - We discussed the schedule for challenges at feast. We need to communicate with the provosts that people need to finish up shortly after feast so we can clean up the church site. - Coise will get the beads for site and feast tokens. Christmas Court - Please let people you know that the feast set up and start times are 4:30 pm and 5:00 pm. We will most likely be starting court at 6:30 pm when people typically show up. - Get your baronial award recommendations in! - We discussed room rentals and reservation deadlines. Sigulf let us know that in years past, we didn t need to reserve the rooms so much as we need to let them know what rooms we ended up using. Encara will follow up with Ross Camp and discuss options with the exchequer. - Katrin brought in coupons for turkeys and passed them out to interested parties. - We discussed having a sword in the scone at the feast tables. Sword in the Scone seems to be the base line for this years theme so far. ~~~~~~~~~~~~~~~~~~~~~~~~~ Meeting Minutes for Event Reports: Francoise made site tokens and feast tokens for Bardic Madness. - Gunnarr went to Steren Codha's archery practice to help and ran the King's challenge for them to get them on the score board. Officer Reports: Exchequer - Coise will have a report for signing soon. 10
11 Baronial Business Meeting Minutes Archery - Gunnarr is having surgery on the 14th. Archery practice will still happen, but she just won't be shooting. Seneschal Breanna s report is due the 15th. If you have suggestions for her report, send them to her. Medieval Society President Sam is going to confirm the rooms reserved for next semester. Also, he will put up the archery flyers as soon as the medieval media project goes on PTV. Bardic Madness - Lorelai will get into town Friday and help up set up. - Breanna is scheduled Friday to work until 6 pm, but she will try to change her schedule to get off earlier. - Breanna has the check for the cashier box seed money. She will get the money to Francoise. - The Rivenstar Madrigals will sing during feast. - Ursus says he does not need extra help in the kitchen. He has it taken care of. Christmas Court - The Lafayette Christmas parade is downtown on the same night at 5:30pm until 8:00 pm. It will affect all of Main Street. There may be traffic issues. - Get your baronial award recommendations in! - Encara called asked about rooms. Ross Camp would like a couple of weeks notice. But even if it's day of, they will invoice us for the rooms. She will call the last week of March. - Gunnarr will contact Ursus to get thrown weapons on the website. - When will we discuss cost for troll/feast? Last year it was $15 gate and a $10 feast. - Nicolai and Margaret will be meeting in the next week to 10 days to start researching a feast menu. She is doing well, but she, understandably, will need to reduce her role in helping at Bardic Madness. Bardic Madness (Our Saviour Lutheran Church, WL) - Marion will take over running lunch. - Katrin will be the lunch cashier and will bring her cash box. - Marion will get change for the cash box since the price is $ Breanna is getting seed money for Troll this week. - Malie has offered to help with Gold Key. - Friday set up at the church starts at 6:00 pm. Lorelei will meet us there. - Katrin volunteered to go with Breanna on Wednesday to do a church walk thru. - Katrin is also bringing the Mosey Rivenstar sign and paper to make any last minutes signs on Saturday. - We are selling 50 feast tickets with off board seating. - We have access to all the classrooms. We do not have access to the sanctuary itself, just downstairs. - We also discussed having troll upstairs at the entryway blocking access to the sanctuary. Christmas Court (St. Ann s Church hall, Laf) - December 2nd, doors open at 1 pm, feast set up is at 4:30 pm, feast will begin 5:00 pm. We must be cleaned up and completely out by 9:00 pm. - Get your baronial award recommendations in! - We should expect people for the Tournament of Defense (TOD) according to the coordinator of the last TOD. - Coise will look into the cost of getting 400 rapier charms. ~~~~~~~~~~~~~~~~~~~~~~~~~ Meeting Minutes for in attendance Officer Reports Medieval Society of Purdue: Sam is working on getting the rest of our rooms scheduled for the semester. Bardic Madness Report: - Lots of people posted great reviews of the event on 11
12 Baronial Business Meeting Minutes Facebook. - We trolled in about 80 people. Coise will have the report done as soon as she gets all of the receipts. We served about 58 people in the lunch tavern. People were thrilled to have so many food choices including gluten free options. - The post revel happened at the Church site instead of the hotel. The hotel changed how late we could stay at the last minute. We will not likely use the Four Points Sheridan hotel again. Brianna got permission to stay later at the church. - People were confused about off board seating. Since we oversold the feast by 2 tickets, there was little room for off board seating with tables. We used one of the classrooms, but people were not happy. We had to choose between adding more tables and having adequate performance space. - If we ever use this site again, we will need to rethink the space and utilize it differently. - There was no fighter practice held on Wednesday due to the holiday closures at Purdue. - Northshield issued a challenge to the Midrealm to attend their upcoming Bardic Madness. See the Midrealm Facebook page for more information. Christmas Court - We discussed potluck options. There is a thread on the Facebook event page where people can discuss what they are bringing. - Katrin reminded everyone about the Largess Swap. She will send another and post on Facebook about it and more Christmas Court details. - Moonwulf got his deer this year, so there will be venison stew again for next year. - We are going to get the rapier charms at cost. They sell them in lots of 180, so we will end up with 540. Whatever we don t hand out at the event, we will use as tokens. We discussed using them as tokens for the Masters of Defense (MODs) to hand out. ~~~~~~~~~~~~~~~~~~~~~~~~~ Meeting Minutes for in attendance Officer Reports Exchequer She is finishing up the event report, issuing checks, and getting the final signatures. We are meeting Monday December 4th, but we may start our break after that. We have rooms scheduled for the 11th and the 18th, but unless there is pressing business, we might cancel those meetings and resume meetings after the New Year. Christmas Court Saturday Dec 2nd - We discussed the schedule; there were no major changes. - The madrigals will perform during feast. - There have been several garb requests, so Rocky will bring the gold key. - Encara talked to Fergus about what kind of numbers to expect. He said The rapier charm site tokens have been ordered. We will get 540 (since they are sold in lots of 180) at cost. Our total is approximately $70. His Excellency offered to purchase the excess charms to use as tokens for the Masters of Defense to hand out. - Katrin pointed out that one of the logistic issues for the Investiture 2 years ago was lack of bathrooms at Ross camp. There are only two in the A-frame and neither are handicap accessible. Encara will look into renting several handicap porto-potties for the site. - We discussed the dorm rooms in the A-Frame. Since we may have only one set of royalty, we can use the Conference room as a royalty room and the one 2- person room for their personal accommodations. The two 8-person rooms downstairs will be used as changing rooms. - We discussed the Pale ad. Jan 25th is the deadline for the March issue and Dec 25th is the deadline for the February issue. Katrin will have a design for approval next Monday. - Site fee will be $15.00 for adults with membership discount of $5.00. Family cap will be $ Children under 5 are free. Children 6-17 are $ Feast will be $10.00 per person. We will sell 80 tickets and we have set the Feast budget at $ We need to advertise that we only have 80 feast tickets & to get feast tickets early before they sell out. - We discussed head table and how many seats. 13 Baronial Business Meeting Minutes one set of royalty, we can seat 6 or 10 people at head table with the king and queen in the middle. We will have our royalty liaison discuss setting a 10 person max cap for head table. - Rocky will run the lunch tavern. We still need to determine who will help her this year. ~~~~~~~~~~~~~~~~~~~~~~~~~ Meeting Minutes for in attendance Event Reports: - Lots of Christmas Court reports, things seemed to go smoothly. We did not do a public poll census, but His Excellency did a silent count of members and we are still a barony. - Katrin and Jacob attended Wurm Wald s Christmas Moot on Sunday. Officer Reports Seneschal She sent her report in on time. Brianna relayed an she got from the higher up seneschal officers. They would like to see the local level seneschals have deputies. This is similar to a request we had several months ago about getting deputies for all the officers. Chronicler Katrin will have the next issue out by the 15th as usual. If you have anything that needs to be added to the newsletter, get it to her by the end of this week. Archery The archery practices in the armory will take a short hiatus until January. Herald Nicolai has not had anyone step up to become the next Herald, so Gunnarr and Nicolai got permission from their higher up officers for Gunnarr to act as the Baronial Herald and the Archery Marshal when Nicolai graduates and leaves Purdue. The next business meeting and Madrigal practice will be January 8th, We have the armory scheduled for the next 3 weeks, but a decision about fighter practices will be made at next Wednesday s practice. New Year s Eve Party will be at Takaya s house again. She will publish details online. Archery and Thrown Weapons Collegium - Nan has agreed to autocrat a small event at her home at a date to be determined later. - Wil has offered to teach bow making and several people will bring repair kits and tools so we can teach each other skills like sharpening and arrow repair. - This will not be listed on the Midrealm calendar, but it will be open to neighboring groups. 3 Saints & a Tournament of Defense - - Enkara approved Katrin s Pale ad designs. She will list Margaret as the contact for feast-o-crat so people aren t confused by having two s to choose from. - Enkara reported on the port-o-potty situation. Midwest Rentals no longer provides that service, but they referred us to Service Sanitation. *1-5 day rental: $ for the basic size, $160 for a handicapped size. $ for a hand washing station. They will deliver on Friday and pick up on Monday. Enkara will check with Ross camp about that Monday pick up. There is also a damage waiver fee. - We have tentatively decided that we need at least one handicapped unit and at least 2 regular units. We don t need the handwashing station as we have regular bathrooms on site. Enkara has more details and contact information. - Enkara brought up the idea to have more youth involvement in volunteering at the event. We discussed the pros and cons at great length. *There are legal issues with working with minors and we don t have a warranted Youth Minister. *If we can deal with the legal issues, finding small jobs like water bearing or runner jobs would be great for some of the youth. *This is not a babysitting option and team leaders and marshals would need to approve the use of child labor at their stations. *We would need to have a designated person to run the volunteer list who has the proper background checks. - Enkara and Coise worked on the insurance forms for the site.
