1 Children of the Earth Foundation 2018 Coyote Tracks Programs Handbook for our New York Programs Welcome to the Coyote Tracks 2018 Programs! We are very excited to have you join us this summer! This Parent Handbook should contain all the information you and your family needs in preparation for camp. Please review all sections for important policies and other program info. Waretown, NJ Holmes, NY Phone: (609) ; Fax: (888) Phone: (845) Equipment List REQUIRED: A warm sleeping bag and mat (it can get chilly at night!) Water bottle (durable and portable!) Changes of clothing for all weather types Rain gear Bathing suit Towel Personal toiletries (biodegradable soap only, please) Changes of shoes (one for staying dry, another to get wet) Portable flashlight (headlamps will work as well) A 3-5 inch, sharp, non-folding sheathed knife (with parent/guardian approval!) ( a proper knife will also be available for purchase from our School Store) Blindfold (a bandana works great) OPTIONAL/RECOMMENDED: Mosquito netting (unless you have your own tent) A small pup tent for individuals (around 6x8 or 7x7) Inexpensive ones can be found at box stores. Camera & film Extra batteries Hat Sunscreen Bug Repellent Notebook and pens Journal Reading material Letter writing material/stamps (we do not have stamps available) DO NOT BRING: Any electronics such as, cell phone, tablets, etc. See our Cell Phone & Phoning Out policy! Anything that cannot get wet or dirty Pets, firearms or other weapons, alcohol or illegal drugs. Tent/Sleeping Arrangements Sleeping bags and mats are required. Canvas, wood platform wall tents with cots are provided at the camp. These tents are each spacious enough to fit up to five campers. It may be preferred to bring your own small tent to keep out mosquitos. We can fit small tents inside the canvas wall tents so clothing, etc. can be kept outside the small tent if necessary.
3 P a g e 3 -- FAMILY EXPERIENCE: Families of four or five will be housed in their own tent. Since space is limited, families of three or less or large families splitting tents may be assigned to a tent with another small family (gender specific). -- UNACCOMPANIED YOUTH & TEENS: Students are assigned to tents of two to five students according to their age, gender, and camp enrollment. There will be adults sleeping in nearby tents in the event of a nighttime emergency. (Brief tent checks will occur throughout the week by Instructors in order to maintain general cleanliness.) Camp Arrival/Departure and Pick-Up/Drop-Off Information **If you are having someone other than a guardian pick up your child, please send us an stating your permission. CAMP ARRIVAL: Registration begins at 3:00pm on the day class begins. You may arrive before this time, but you will not be able to set-up and assistance will not be available until 3:00pm. Please arrive no later than 5:30pm on the day class begins. You will need time to register and set-up before dinner begins at 6:00pm. CAMP DEPARTURE: Programs end at 11:00am on Friday. As staff meetings begin immediately after, please be at camp to pick-up your child no later than this time. You may arrive any time that morning, yet be aware that your child and camp staff will be engaged in activities and camp good-byes until around noon. NOTE: You are welcome to join us in our final camp ceremony if you arrive prior to the time it begins, usually around 10:30am. PLEASE NOTE: We recognize that, despite best efforts, arrival/pick-up delays are sometimes inevitable. In the event of this, please notify us ASAP should you realize that you will be unable to arrive or pick-up your child by the time designated above. **We can do pickups from Patterson, NY train station. If you are arriving by air and need a pickup, please call us with your plans. There is a $50 fee for pickup and a $50 fee for delivery from the airport. We can only pickup from LaGuardia Airport. Bridge Program If your child or family will be staying for more than one week and needs to stay at camp during the interim between classes, they may participate in our Bridge Program. This operates from the time one course ends until their next one begins. Meals and supervision are included in the per person cost. You must register for this program separately! If you did not include this request on your Registration form, please contact our office. FAMILIES: $50 per person. This includes meals and camping only, no child supervision or programming. Families are permitted to participate in large group activities organized by COTEF staff. UNACCOMPANIED MINORS: $95 per person. This includes COTEF staff supervision, meals, camping and planned activities. Laundry For participants who are staying for more than one week, we will wash clothes during the interim between classes. Be sure that your child has enough clothing to last at least one week (in addition to items that can get wet/dirty)! Please label all of your child s clothing! Although there will be a Lost & Found at camp, we cannot guarantee that unlabeled items will be able to be returned. P a g e 3
4 Tuition Balance Payment & Cancellation Policy All remaining balances are due no later than two weeks prior to your Coyote Tracks program and should be sent to the Waretown office. We accept cash, checks, PayPal, money order, traveler s checks, and credit cards. All monies must be in U.S. funds. If automatic payment was indicated on your registration form, the balance will be taken from the credit card number provided at that time. Failure to submit the balance by the due date may result in the loss of your enrollment and will also result in forfeiture of your deposit. Cancellation 30 days or more before the first day of class: 100% of paid balance returned and deposit forfeited. Cancellation less than 30 days before the first day of class: 50% of paid balance and deposit forfeited. Cancellation 7 days or less before the first day of class or failure to attend: 100% of paid balance and deposit forfeited. Mail We encourage letter writing! If you or your child are staying for one week or more and would like to send out mail, our staff will collect it during the week to take to the post office. Be advised that you must bring your own letter writing material and stamps (stamps will not be available at camp). If your child is staying for one week or more, please feel free to send them mail as well! All mail should be sent to: Camp Ludington c/o Children of the Earth Foundation (Your Child s Name) 136 Paine Road Holmes, NY NOTE: We will be unable to return any mail that arrives after your child has left Coyote Tracks. Emergency Information If you have questions during the course, or need to relay a message to your child, please call us at We will get back to you as soon as possible. On the day the program begins, there will be someone in our Camp Ludington office to answer questions. They will be available from 3:00pm until all students arrive, or 6:00pm. School Store Policy We have a small school store available as a service to our program participants. All proceeds support our non-profit programming. Items for sale in the school store include: books, knives, writing material, snacks, Coyote Tracks logo clothing, and other camp items at normal retail prices. Students are given the opportunity to shop during meal breaks throughout the program week. Purchases are not paid for at the time of purchase, but are put on a tab to be paid at the end of each week they are at Coyote Tracks. The bill may be paid by cash, check, or credit card. You may also opt for it to be charged to a credit card that we have already within your file. All tabs must be paid before going home. PLEASE NOTE: It is your responsibility to discuss school store spending with your child. You are responsible for the full amount purchased at the end of their program. You may choose to designate a dollar amount limit to be kept on file with your child s school store tab. If your child will be attending alone, we will assume their school store limit to be unlimited unless you notify our office in advance!! P a g e 4
5 Cell Phone & Phoning Out Policy We do not allow cell phones or other electronics at the camp, except for adults and camp staff. There is a phone available for limited use (calling card or collect calls only) at Camp Ludington. As it is our only phone, it will only be available for use by Bridge program participants (limited usage for calling parents/guardians only), or for emergencies. Thank you for your understanding. Snack Food Policy (Animal Awareness!) Coyote Tracks will provide three full nutritional meals a day. If your child would like to bring snack food with them, we ask that it be a conservative amount and healthy snacks only -- no candy or soda please! There will be snacks periodically available in our school store also. Due to the abundance of wildlife in the area, all food must be kept out of tenting areas. We also have limited storage space. Therefore, any food that your child brings with them should be individually labeled and in a bag. This bag can be given to a staff member upon registration. This food will be made available to your child during designated group break times. Knife Safety Policy At Coyote Tracks we have a very strict knife safety policy. Knives are to be used only during designated activities which are carefully supervised. If we find that knives are being used at any other time or inappropriately, we will hold on to them for the child until the end of the program. We will do a training on knife safety for everyone. PLEASE NOTE that inappropriate behavior with a knife may forfeit their opportunity to participate in certain activities.
