1. Log into Employee Access. Click Expense Reimbursements, and then Submit Request.

1 If you have not received Employee Reimbursement (not payroll) via Direct Deposit previously, Sarah Nelson prior to beginning your reimbursement request. You will not be able to enter your information until you are set-up in Skyward for online reimbursements. Employees submitting a request for mileage reimbursement must have a current MVR on file. Please submit a copy of your driver license and the consent form located on the district website to the Business Office Secretary. 1. Log into Employee Access. Click Expense Reimbursements, and then Submit Request.

2 2. Click on Add to begin a monthly reimbursement.

3 3. ***Important: Enter the first date and last date of the month as the From and To dates. Enter the purpose of the reimbursement as Reimbursement for MONTH/YEAR. Click Save.

4 4. Click Add to add a detail line for each individual expense. This is also where you will attach scanned receipts after entering detail lines for meal expenses, parking receipts, etc (See step 5B below).

5 5. Edit Detail Items A. Enter the date the specific expense is incurred. B. Enter the Reimbursement Type: -Meals in area refers to meals in WI, IL, MN, and IA. Please remember, meals are only reimbursed when a trip requires travel overnight. Meals may be paid for at conference registration when the meal is part of the conference attendance. The meal quantity is one and the total documented amount, up to the meal limit, is recorded. Check the box mark Receipt Attached. Scan the detailed receipts showing the meal and cost and save to your computer. You may scan all receipts for the month into one file. After saving this detail line, click the Attachment link shown by the yellow arrow on Step 4. -Mileage is entered using the quantity driven. If out of district mileage isn t on the approved mileage list below, please figure using Mapquest Driving Directions (quickest route calculation). Employees requesting multiple days of in district mileage for the month may scan the paper form of the expense sheet showing the number of miles driven per day. C. Write a description of the expense.

6 D. Use the appropriate account for the expense. Please check with the office approving travel for the appropriate account if you do not know it. E. Click Save when you are finished with the detail item. F. After your first detailed expense is complete, you may: -Add more detail lines. -Click Save and Finish Later to continue entering other detail lines for the remainder of the month in a later session. -Click Submit for Approval if you have entered your last detail line for the month. The principals will approve and submit to Accounts Payable in the Business Office. Principals will have their own reimbursements approved by the Superintendent. Once approved by the Superintendent, they will be forwarded to Accounts Payable.
