24 Avianca is the o#cial airline of the Cartagena Summit on a Mine Free World and will o"er you special attention and fares to all participants.! Avianca will set up for delegates special support in Avianca s international stations where the international flights to Colombia originate, including a special attention module in the counter for delegates and participants.! The delegations will be received in Rafael Núñez International Airport in the city of Cartagena de Indias by o#cials from the Protocol Direction, where all of the necessary elements for the immigration procedures and transportation to the hotels will be available.! Each country and/or delegation must announce the date, flight number and arrival and departure times of the delegation, in order to coordinate the respective reception and departure. We ask for this information to please be delivered at least twenty days prior to the beginning of the Conference.! In order to facilitate the movements made by the delegates during the development of the Summit, Colombia will render support to each one of the participating delegations.! Additional transportation needs will be the responsibility of each delegation.! Given the characteristics of Cartagena de Indias, collective transportation has been foreseen for di"erent displacements, detailed in the general program and in the Summits commented program.! 24
25 The Colombian Government has reserved rooms in Cartagena s main hotels, as to guarantee lodging of assistance to the Cartagena Summit on a Mine Free World.! Each one of the participants is responsible for the proceedings and payment of the lodging in the reserved hotels. The process of assignment, confirmation and payment of reservations of participants in Cartagena Hotels will be in charge of the Operator Agency appointed by Colombia, the temporary Union of AVIATUR - GEMATOURS, which is domiciled in the city of Cartagena.! The o#cial Operator Agency will answer the reservation requests of the participants rooms which are duly accredited in the strict order in which these are received.! Delegates have up to October 30 th 2009 to define reservations, date in which the event s registrations will be closed. Nevertheless, requests will be received in later dates if necessary.! 25

27 The Summit will take place in the Cartagena de Indias Conventions Center, where all necessary facilities for delegates will be available, such as: documentation and simultaneous translation to English, French, Russian, Chinese and Arabic.!
