Hawaii for Families Mauna Kea Hilo Our 8-Day Itinerary Kona Day 1: Arrive Hilo Day 2: Hilo Bay Day 3: Hawaii Volcanos/Lava Coral Reef Kilauea Volcano Day 4: Hilo Discovery/Mauna Kea Day 5: Akaka Falls to Kona Day 6: Coral Reef Discovery Day 7: Kona Discovery Day 8: Final activities/depart Day 1 Arrival Hilo Welcome to the Big Island! Arriving in the late afternoon we are welcomed with a traditional lei greeting, and then transfer to our hotel oceanfront on Hilo Bay for dinner and a welcome reception. Day 2 Ocean Fun on Hilo Bay After breakfast at our hotel, it is off to Hilo Bay for our first dip into the water. Guided by marine experts, we explore lava lagoons and tidepools, and discover creatures like the brittlestar and rock crab. After lunch on the beach, we head over to the University of Hawaii Canoe shack for a look at how Polynesians carved their outrigger canoes and navigated the oceans for hundreds of years. Then, accompanied by expert oarsmen, we take to the waves of Hilo Bay for an exhilarating ride in authentic Hawaiian outrigger canoes. Day 3 Hawaii Volcanoes and Lava Viewing Hawaii Volcanoes Naitonal Park is home to the world s most active volcano, Kilauea. One of our first stops in the Hawaii Volcano Observatory where expert explain the primal forces at work deep in the caldera before us. Then we hike into an actual lava tube and down into lava fields for a close-up look at the power of nature. After freshening up back at our hotel, this evening holds a highlight of our week on the Big Island... the chance to walk within feet of flowing lava, and observe its nighttime glow where it is flowing into the ocean on the southern coast of the Big Island. Day 4 Hilo Discovery/Mauna Kea Today we explore Hilo, visit the famous farmers market, and view Rainbow Falls. A visit is also planned at the University of Hawaii s Imoloa Astronomy Center. Later today we have the rare opportunity to visit with native Hawaiian elders, who share with us their culture, and demonstrate skills like the hula and fashioning leis out of native flowers. This afternoon we relax at the hotel pool, before preparing for an amazing evening stargazing at the Onizuka Astronomy Center at the 9300 foot level of Mauna Kea. Truly a once-in-a-lifetime experience!

Mauna Kea Day 5 To Akaka Falls and Kona Hilo Today we leave Hilo, heading to Kona by way of the rainforests on the windward side of the Big Island. At Akaka Falls park, we join our expert guides for a magical hike into the deep Hawaiian jungle, pausing to admire the fantastic collection of plants and animals on display. At 400 foot Akaka Falls, we gaze in wonder at the highest waterfall in all of Polynesia. Continuing onward toward Kona, we have stop in Waimea town, and learn about the ranching histiory of this upland region of the Big Island. Arriving this afternoon at Hapuna Beach, we enjoy swimming and body surfing at the best white sand beach on the Big Island. Kona Coral Reef Kilauea Volcano Late this afternoon we arrive at our resort hotel on Kailua Bay, and enjoy an oceanside dinner at the open air restaurant. Day 6 Coral Reef Adventure The coral reef ecosystems of the Hawaiian Islands are legendary, and we spend an entire day on a cruise to the best, richest and most beautiful snorkeling spot on the Kona coast. Enjoying breakfast and lunch on board our catamaran, we use snorkel, fins and viewing boxes to explore the undersea world of the colorful reef and its hundreds of fish species. In the bay we may also see green sea turtles and other marine animals. The protected bay is a great place for fun in the water, and our catamaran is equipped with a two story waterslide that brings out the kid in everyone. This afternoon we return to our hotel to freshen up and get ready for a true Island tradition, an oceanside luau at a resort hotel on Kailua Bay. Day 7 Kona Discovery Hawaiian culture is an important part of any visit to the Big Island. It was here that Hawaiian royalty lived, and where some of the most important temples are preserved. Today we visit the most sacred site of the Hawaiian people, the famous Place of Refuge near the town of Captain Cook. Our guides share the history of the site, and its importance to the traditional Hawaiian peoples who inhabited all of the Hawaiian Islands. Here we learn about ancient Hawaiian kapus or laws, and the lives of common people and royalty. This afternoon we have a variety of options, including a viist to a Kona coffee plantation. Set in the hills overlooking the Pacific Ocean, the Kona colffee zone produces some of the world s finest brews. In a guided tour we learn how coffee is grown, processed and shipped worldwide. This afternoon we return to Hilo with stops at world famous Waipio Valley, the Valley of the Kings, and arrive at our hotel on Hilo Bay for a final night dinner celebration. Day 8 Departure Depending upon flight time, we may have the option of various morning activities before saying a fond farewell to the Big Island. Earth Explore Enrollment Agreement/Family Trips Terms and Conditions Application Guidelines Payment Schedule Tuition: Includes all educational activities, all meals, all accommodations, motorcoach transportation, preparation materials, travel credentials, high school credit tuition, adult supervision and guidance. Group round trip airfare is not included. (See Air Arrangements below.) To Apply: Fill out the attached application form and mail it to the National Office, or apply online. Include an $800 deposit for each family. The application must be signed by the adult applicants. Applications are processed on a first-come, first-served basis. Space is limited in each group to approximately 12-30 participants. We encourage you to submit you application as soon as possible to help ensure that you travel with the local group, and on a date that is most convenient. An additional $800.00 payment is due sixty days after the application is received. Upon acceptance of your application, the balance is due and payable no later than 45 days before departure. Applications submitted within 45 days of departure must be accompanied by full payment. There are no final deadlines for submitting applications, but because of space limitations, we encourage families to apply as early as possible. Program tuition may be adjusted in the spring due to increases or decreases imposed by program content and logistical partners, fuel or currency surcharges. All payments must be made in U.S. Dollars. Credit card payments subject to a 3% fee. Refund Policy The operation of travel programs requires significant costs to be incurred long before the actual date of program departure. With this in mind, the following cancellations and refund policy will apply. Upon application, $150.00 of the deposit will become non-refundable. Thirty days after application, $250.00 of the deposit will be retained if the student withdraws in writing before April 1st. An applicant who withdraws in writing on or after April 1st, but before May 1st, will be refunded their entire tuition less the initial deposit. If the notice of cancellation is received in writing on or after May 1st but before June 1st, the participant will forfeit the initial deposit plus 50% of the total program cost. If the notice of cancellation is received in writing on or after June 1st, no refund will be made. Group travel arrangements must often be made months in advance. Therefore, unless the Earth Explore National Office receives a written notice of cancellation before April 1st, adult participants agree to pay for air tickets (if any) purchased on the participant s behalf as part of participation in an Earth Explore program. Earth Explore may extend payment deadlines for certain groups or programs, but it is understood that this payment extension will not alter the refund policy stated above. Due to strict operational timelines, any applicant whose tuition is not fully paid by April 15th may lose their space and be asked to travel on a later departure date. In addition, it is understood that after April 1st, the deposit and program payments will be committed to hold the participant s space in the program, and are non-refundable. Both the parent/guardian and the participant should understand that Earth Explore has the right to terminate the participation of any group member who violates our Student Rules and Guidelines. In this event, no refund will be granted. Should a participant withdraw voluntarily, for whatever reason, after the start of the program, no refund will be granted. If a participant must be sent home due to illness or accident incurred on the program, Earth Explore will refund that portion of the tuition which is not considered an operating expense, or has not already been committed to an outfitter for a contracted activity. Our goal is to follow the itineraries described in the literature. It is understood that poor weather, mechanical or scheduling difficulties and unforeseen problems may cause alterations to the itinerary. If an area or activity must be cancelled for any reason, every attempt will be made to replace it with a similar one. If Earth Explore is forced to cancel or shorten a trip due to an act of god or other circumstance out of its control, participants and all interested parties understand and agree that program refunds will be limited to the monies recoverable from program partners at the time the cancellation decision was made. As Earth Explore provides program costs to participants up to a year in advance, it is understood that large increases in fuel cost or currency fluctuations may require a cost adjustment before departure. This adjustment will be limited at all times to ten percent or less of total program cost. In addition, Earth Explore reserves the right to cancel trips or dates if the number of participants does not meet operational requirements. In this case participants would receive a full refund of deposits made to Earth Explore. Materials After submitting an application, in the months before departure, each family will receive general program information, travel information, newsletters and a medical form. The medical form must be filled out and signed by a physician/assistant certifying that the participant is in good physical and mental condition. Both the medical form and any release forms must be returned to our office by May 15th. Assumption of Risk/Release of Liability As a participant in an Earth Explore trip or educational program, you understand and agree that any outdoor educational and adventure program involves an inherent element of risk, and hereby agree to freely assume all risks and responsibilities associated with this program. By agreeing to participate in an Earth Explore program, the participant, his or her minor children, as well as any and all other interested parties and assigns agree to hold harmless, indemnify and forever release Earth Explore LLC, the Earth Explore Foundation, their directors, officers, affiliates, agents and content providers, from any and all claims, liabilities, actions or causes of action, damages, costs and expenses arising from, or relating to, participation in an Earth Explore program. This release and indemnity agreement includes all losses caused or alleged to be caused, in whole or in part, by Earth Explore, the Earth Explore Foundation, or its authorized representatives. Earth Explore Policies Travel dates are to be considered as preliminary until final groupings are completed in April. Upon signing the program application, the parents/guardians and student agree to, and are bound by these Terms and Conditions explained in the application materials. Earth Explore s overriding consideration is the safety and well being of all participants. Earth Explore does not tolerate the possession or use of tobacco products, illegal drugs or alcohol by minor participants, or violent, disrespectful or aggressive behavior of any kind, or behavior that is hazardous to the safety of a participant or others. If a participant is found possessing the above or engaging in any one of these activities or behaviors, he/she may be removed from the program. If this takes place during travel, no refunds will be granted and removal will be at parent s/guardian s expense. Participant and parents/guardians agree to allow Earth Explore the rights to limited use of the applicant s likeness, comments, and/or submitted materials for educational and outreach purposes related to the Earth Explore program, unless participant indicates in writing otherwise. Medical Treatment While traveling, all Earth Explore participants are covered under a group accident insurance policy. Parent/guardians are required to submit a completed Health Form for each participant, fully and completely listing details of any pre-existing treatment or condition, medical, behavioral, or otherwise, especially those that might impact the individuals participation in, or behavior on an Earth Explore program. Earth Explore personnel and contracted staff shall have the right to give first aid or other assistance to any Earth Explore participant. Additionally, staff are permitted to use any and all information provided about a participant, including medical information, to assist and protect that participant in any way they deem most appropriate. Earth Explore staff shall also have the right to retain the services of a physician, or if necessary, to hospitalize a participant of an Earth Explore program. Any expenses beyond those covered, as well as any costs incurred by Earth Explore staff while accompanying the participant, and expenses relating to rejoining the group or returning home, shall be paid by the parent/guardian. Medical, Personal Property and Program Cancellation Insurance In addition to the included accident insurance, all participants must be covered by medical insurance. We recommend that you check with your insurance carrier as to whether the student will be covered for a program of this nature. If not, we request that you purchase medical insurance specifically for your Earth Explore program. In addition, Earth Explore insurance does not cover theft, loss or damage to the personal property and equipment of program participants. We suggest you confirm that your insurance coverage includes items of this nature. Finally, we encourage you to consider program cancellation and interruption insurance. Program cancellation and interruption insurance reimburses you for nonrefundable air and land costs should you have to cancel the trip for unforeseen reasons. Air Arrangements As stated in the program application, all air arrangements are the responsibility of the participants. Further, participants agree not to purchase non refundable air transportation before the group or program date has been confirmed by Earth Explore. This usually takes place in January for summer programs. Please inquire with the National Office if you have questions. Any group costs incurred due to air travel delays or disruptions, whether rooming, meals or transportation-related, will be the responsibility of the participants. It is understood that Earth Explore is not responsible for program disruptions due to flight delays, schedule changes, cancellations, or any other actions of the airlines upon which Earth Explore groups travel.
