Policies Camp Nurse (click for camp nurse form) Travel and Compliance You can bring a certified RN or doctor with your group to act as the Camp Nurse for the week. Their spot is free. We only need one nurse per cycle of camp so sign up now at centrikid@lifeway. com! Your church group is responsible for background checks of Adult Leaders and signing the Statement of Compliance in this document. Remember to have the church s insurance and needed info for travel. The church is liable on the way to and from camp. Campers without personal insurance If a camper requires medical attention while at camp, the camper is responsible for the cost. If the camper does not have insurance, the sponsoring church will be the financially responsible party. If the medical attention is needed because of an accidental injury at camp, LifeWay provides a limited insurance policy that applies to those costs. See Camp Director for the form and instructions. Damages and keys Special needs or requests Illnesses at camp Bringing your own kids to camp Your church group is responsible to pay for damages to any facilites or residence hall caused by your group. *Lost Key Charge: $25 Email any special needs that we should be aware of prior to camp to centrikid@lifeway.com. Please specify if it is a mobility, dietary, housing, or emotional/spiritual need and include the week and location that you will be attending camp. CentriKid will work with Group Leaders to handle cases of illness at camp on a case-by- case basis. We must ask that campers displaying flu-like symptoms be sent home for the safety of all campers. Please do not bring children to camp who are already showing symptoms of sickness before you leave home. We understand that sometimes your kids (younger than camper age), have to attend camp in order for you to come with the group. These kids must stay with the parent during programming...they are not allowed to participate in Team Time or Track Time. For pricing for these smaller children, if they need bed space and meals, the cost is full price. If it s a baby that doesn t need a bed space or meals, there is no charge. 2

Registration Policy February 15: $50 DEPOSIT DUE A $50 non-refundable deposit for each individual reservation is required. Lost deposits are non-refundable and cannot be applied toward the remaining balance due. Many churches collect monthly payments for camp from their parents, do fundraisers to cut costs, and have sponsorships through their church to help aid parents. Fundraising normally begins even before this deposit deadline. Many churches require the $50 deposit from parents when they sign their children up to go to camp. May 1: CANCELATION DEADLINE All cancellations after May 1 will incur an additional $50 fee for each person dropped. When this occurs, deposits cannot be applied toward your balance, so make any changes before May. Recruit Sponsors Bring 1 male sponsor for every 5 male campers and 1 female sponsor for every 5 female campers. You may bring students to be in the Team Assistant Program. The cost is the same for Team Assistants as other participants. No Later Than 3 weeks Before Camp: ALL SPONSORS MUST: Be at least 18 years old (unless part of the Team Assistant Program) and have a completed background check. PAY BALANCE Final balance must be received 14 days prior to arrival at camp. If it is not, your group will be charged a one-time $75 late fee. Call us at 1-877- CAMP-123 about auto-pay options for LifeWay accounts or to put your balance on a credit card. EMAIL YOUR PARTICIPANT LIST to your camp email address. We can t do housing until we receive this. Be sure to include correct male and female numbers (including sponsors) and let us know if there are specific campers who do or do not need to be in the same Bible Study group. Housing Arrangements Things to bring Girls are primarily housed in Skycroft s motel-style accommodations. Each motel room has two sets of unique bunk beds, the bottom bunk being a double bed with a twin bed on the top. Boys are housed in bunk-bed style lodges with twin-size beds. Girls will need to bring double sheets, twin sheets or sleeping bags; boys will need to bring twin sheets or a sleeping bag. Lodging can be viewed online at the Skycroft website. Sheets and towels are NOT provided. Skycroft suggests each camper brings a sleeping bag, a shower towel and a towel for water activities. Campus Map Housing will be determined after Skycroft has received your final numbers. When you send in your participant list to Skycroft, make sure to also send in your participant grid to centrikid7@ gmail.com at least 3 weeks before camp! As soon as you drive on campus you will be welcomed by staff in matching CentriKid shirts and pointed where to go. Check-In happens in and around the registration 4

CAmp lingo (words used at camp you might not know) Adult Leader: Any adult in your church group. The Church Group Leader is the one main adult who is responsible for leading and organizing your group. Time Alone With God: I CAN t Wait: Team Time: Adult Gathering: The Spot: Party: Hang Time: Worship: Response Time: Church Group Time: Campers will use the devotional time found inside their nametags. We ve included Adult Leader devotions in the Adult Leader Guide for Adults. The whole camp meets together in the auditorium in high energy to start off the day. Includes Recreation and Bible Study with a camper s individual team of kids, all led by our staff. The time for Adult Leaders to be encouraged and connect with the Lord after some important announcements. Adult Gathering happens during Team Time and will be different each day. The Spot is a central area of campus and will be set up with several CentriKid flags where campers will meet to rotate to different activities. Party will rotate with afternoon Bible Study. Half of the camp will be in the auditorium for high-energy games! Your church group will sit together during the Party. If you re an Adult Leader, be sure you re in Party! This is time for CentriKid Staff and Adult Leaders to hang out with campers as they do activities, visit the Camp Store, etc. There will be multiple options each day. The whole camp meets together in the auditorium. You will be given a specific section to sit in during Worship. Bring your Bible and a pen. An opportunity in Worship for kids to respond to what God is teaching them. Staffers will greet your kids, and we encourage an Adult Leader from your church to join the conversation The time for your group to get together and talk about the day! Your Church Group Host, a CentriKid Staffer, will take you to your assigned room. OMC Stands for Organized Mass Chaos. End of week game that the whole camp plays with their team color by completing fun, random tasks. 5

Their grade is the one they just completed. Everyone will want to have a shirt that is their team color for OMC! They can be purchased in the CentriKid Camp Store or they can bring one from home. Meetat thespot Schedule Note: On Day 4 we will run a slightly altered schedule in the afternoon to accommodate for OMC, but your Camp Director will handle all the details to make this happen. 7

PArent Meeting When should you have a meeting? Every group is different. You will probably want to have one around sign up time to promote and answer any questions that parents may have as well as mentioning Team Assistants. You will definitely want to have a meeting about two weeks before camp, covering the Parent Packet and getting forms turned in and notarized. You may need to meet with parents somewhere in between those as well. Transportation Let them know what time to be at the church to leave and what time you ll be back. Are you stopping for any meals on the way to camp or the way back? (You may want to take up money from parents for this meal. Each child can have an envelope for their travel meals so they don t have to worry about saving enough of their camp spending money.) Parent Packet Walk through the Parent Packet with parents. Tell them about the camp schedule and what color team their camper will be. Remind them to pack a shirt of the camper s team color for OMC or to send money to purchase a t-shirt at the Camp Store. Share the packing list and remind them to write their child s name on everything! Talk them through how they can begin to pray for and with their kids who are attending camp and how they can start talking to their child about the key verse. Track Time Info Remember that campers fill out Track Time cards before you get to camp. It may be a good idea to pass out the descriptions to parents, so they can help explain the tracks. You can have the campers fill out Track Time cards on the bus as you re going to camp, or whenever you choose. Check Grades Take this time to double check with the parents which school grades their children have just completed. We want to have the campers in the correct Bible Study when they get to camp. Contact at Camp Give parents your cell phone number, and also let them know your policy on cell phones and when they could call. There s time in the schedule during our afternoon and evening hang time they could use to call. Afternoons are always best! Be sure to give parents the address at camp. 8

Parent meeting continued Collect Store Orders Take up money for any group pictures, DVDs, Camper Care Packages, and Camp Store Cards.» Church Group Photo - order on the Night 1.»DVDs [$30] - includes all media shown that week. DVDs can be ordered before Day 5 of camp.» Camper Care Packages [$30] - includes all team specific items to get campers completely prepared for OMC. Must be pre-ordered by June 1st.» Camp Store Cards - available in increments of $5, $25 & $50. After you receive these forms from parents, you will need to fill out this preorder form for the Camper Care Packages and Camp Store Cards. This will help us make sure we have exactly what you need when you get to camp! The preorder form must be filled out before June 1st to guarantee items and sizes. Paperwork Guests at CentriKid Ask a notary to attend your meeting and notarize release forms after parents fill them out. Make a copy of each form before coming to camp. You ll turn in the original and keep the copy. Be sure to collect copies of insurance cards for each participant, both front and back on a full-size page. To ensure the safety of all of the campers, everyone must follow these guidelines:» At the beginning of the week, inform your Camp Director of any visitors who will be arriving at camp. This is for both safety of the campers and availability of space.» Upon arrival, guests must call the camp cell phone number to arrange a meeting location to receive their visitor sticker and to sign in. The Director s number can be found in the Contact tab.» Camp Director/Assistant Director can point the visitors in the direction of their church group at that time or arrange a meeting with their church Group s Leader. 9

Team Assistant What is it? The Team Assistant Program is an option designed to give your most-trusted high school rising juniors and seniors or young college students a behind-the-scenes look at being a CentriKid Staffer while they act as an Adult Leader for your church group. In general, each church that participates brings two Team Assistants, but the number of Team Assistants brought is ultimately left to the Church Group Leader s discretion. Middle school students and high schoolers who are not at least rising juniors may not participate. *They will count toward your 1:5 adult to camper ratio and stay with your group. responsibilities sign up SPECIAL NOTES: Attend staff meetings each morning to prepare for the day. Shadow a Team Leader (CentriKid Staffer) during the morning at Recreation. Help out with Track Times in the afternoon. Get an inside perspective of what serving on a CentriKid Team is like, in case they want to apply one day. Register them just as any other camper or Adult Leader. Remember, they must be at least a rising junior or older. Identify them as Team Assistant on the Participant List that you turn in 3 weeks prior to camp. Night 1 - Attend welcome meeting with your Rec Leader during Adult Gathering. Rec Leader will go over talking points and let Team Assistants know their assignments for the week. Day 4 - Track Times take place at 12:15, 1:15 a At 3:15, Team Assistants should assist with OMC setup. During OMC, Team Assistants can help create energy and excitement! Day 5 -Eat breakfast with Recreation Leader if possible. Meet with Recreation Leader at 8:45am during the final Adult Gathering. Become A Staffer CentriKid staffers are young adults with a passion for hanging out with kids and sharing Christ through everything they do! Every staffer must complete the application process and be interviewed by a member of our office team. A great staffer has to have have skills, experience, and most of all, a passion for seeing kids come to know the Lord. Our staff and their desire to invest in the lives of kids at every possible moment is our greatest asset. Staff set examples for kids that far outlive the themes and happenings of camp, and con stantly strive towards our goal to make sure that every person that leaves CentriKid Camp has a life-changing experience with Jesus Christ. 10

Packing List WHAT TO BRING *It s helpful for kids to write their names on their clothing tags and accessories, in case items are misplaced. Essential: Optional: Sleeping bag or bedding (Ask your Group Leader about sheet size Shampoo, toothpaste, toothbrush, deodorant, etc Clothes that can be worn to Recreation and Track Times (tshirts/shorts for each day) Clothes that can get messy (for OMC) Modest one-piece bathing suit or two-piece with dark shirt to wear over it Bag for dirty clothes Towels for the pool and for showers. Tennis shoes for Rec/outdoor Track Times Bible, notepad, pen, and backpack to carry things Water bottle Don t forget to label everything! Sunscreen Spending money for snacks, Camp Store, and missions offering An alarm clock A watch WHAT NOT TO BRING Anything that advertises alcohol, tobacco, illegal drugs Anything that promotes racism, sexism, or hatred of any group or person Anything that promotes sexual actions or situations Short or tight fitting clothing Alcohol, tobacco, illegal drugs, fireworks, or any kind of weapon ipods, tablets, laptops, skateboards, game consoles, or other items at the discretion of your Church Group Leader 11
