Crew Leader Information Crew Leader Job You are here to safely lead your kids, participate, and have fun with our VBS kids. Make sure you are registered. We do not take buddy requests at the crew leader level. This is a volunteer job not a camp. Kid Safety -The Safety of your kids is #1! Count your kids before, during, and after traveling to each station. Keep kids hands free by storing materials in your bag. This includes papers, booklets, and crafts, etc. They may take home the crafts and Bible daily. Your crew is your top priority at all times (socialize after VBS). Do not carry kids or give rides at any time. See that sick or hurt kids get to a VBS nurse or Pre-K Director. A nurse will be in the courtyard on the way to the Games Field and in the Nurse s Room in Bldg. C on campus. Nurses/ medics will be wearing neon green t-shirts Have another crew leader in your same color watch your kids while you escort the ill or hurt child to the nurse. Have them confrm that they are watching your kids- do not assume anything. Do not leave any of your children unattended! Seek an adult s help if this is a problem. Respect the Sanctuary This is God s House! Do not allow standing on pews or kneelers at any time. No Food or drink allowed. If your group has a pew stick, hold your sign UP HIGH. Do not allow your kids to hold the sign. Stay off of your phone in the sanctuary; remember no phone use during VBS. Drop-Off Time If a parent drops off their kid with special instructions, updated kid information, or a note, please direct them to a Registration attendant in the Courtyard. Put the child s name tag on them immediately upon arrival. Name Tags and Health Get to know your kids and be aware of their health. Check their name tags for health issues and allergies. Red lanyards mean they have a food allergy, or other severe life threatening allergy. We are a peanut-free campus. Pick-Up Procedure and Name Tags Carefully look at who is AUTHORIZED to pick up your kids on the back of their name tag. Do not let parents take kids from the sanctuary before 12:00 noon. A Red or Orange shirt volunteer will get the child from you if they are leaving early.
You have our permission to say I m not allowed to release your child, please go to Registration/Security table in the church lobby or breezeway to check them out. Collect their name tags at the end of worship before they leave each day. Sit at the end of the pew so you are aware when a child leaves. Make sure you see the parent connect with the child. Do not leave your crew until every child is picked up even if you are in the gym or pre-k rooms. Your groups are released before the sanctuary kids. You will have plenty of time. Do not let anyone put stickers on their nametag. It is very hard to remove them. Look out for this during Bible time and crafts. Stations Get kids settled and seated quickly; only 20 min. for Activity. Get involved. You are not on break during the stations. No breaks at Bible, Theater, Games, Snacks, or Crafts. Always sit/stay with your kids and be responsible for their actions. You are not on break during the stations Bible, Theater, Games, Snacks, and Crafts. Be loud on the shout out. Set an example. Report behavior problems to an adult. Ask for help. Familiarize yourself with your schedule before/after devotion time. Know where the stations are located on the campus. Stay with your Character and Color group. Snacks: PK in rooms, Kinder, 1st-3rd in Cafeteria, 4th -5th on deck behind G bldg. Please stay at the station until the designated time to leave. Do not get to the next station early. Please ask the teacher that is letting you go early if you can stay in their area until the posted time. Walk don t let your kids run from station to station or to sanctuary. Stay off of your phone when walking to the next station; remember no phone use during VBS. Restroom Reminders Ask your crew about restroom needs after each station stop. Boys are with Boy Leaders and Girls are with Girl Leaders. Get help from another crew leader in your same color. Do not leave any of your children unattended! Children occupy stalls by themselves; you may assist with hand washing. In the Sanctuary restrooms please wait for your child near the sinks, not in the hall. Stay off of your phone in the restroom; remember no phone use during VBS. Games Area Check-out with the Games Director (orange shirt), Mr. Whitehair, before leaving the feld for any reason. Get other adults to help you fnd him. Please take kids to restroom on way to feld. Do not take kids to the restroom during games if possible. Stay off of your phone when walking to the feld; remember no phone use during VBS. After being introduced to the game, go to the correct area for your group. Several maps are
on the feld. Ask an adult for help if questions. Water: keep kids from getting soaked. Help us conserve water. It s the law. Kids will get cold and may damage sanctuary if too wet. Do not throw cups of water on kids and do not allow them to do it. Prevent name tags from getting wet. Taking Attendance This is important because we need to know how many kids are on campus for snacks and crafts. Pick-up the Attendance Sheet at the end of your assigned pew every day. If you can t fnd it ask the other crew leaders in your color to help you look for it frst before coming to the directors. A pen will be in your crew bag to take attendance daily. Do not use it to punch holes in paper. If no kids show up, please mark your attendance form with a Zero (0) and turn in the form. There is only 1 form per crew. If you share your group with another crew leader you need to share the form. Take turns taking attendance or put one of you in charge of it all week. Take attendance daily: - PreK in rooms and Kinder in gym before Opening Worship - 1st 5th during Opening Worship Even if you have no kids, you will still have an attendance form. Be prepared at the frst station to hand your Attendance to a Registration Leader identifed by a Red shirt and a nametag ID that reads Attendance. Please do not give the Attendance sheets to anyone else and do not leave them in the Sanctuary or Classrooms. Attendance collected: -PreK in rooms and Kinder in gym - 1st through 5th upon arriving at 1st Station after Worship Center Helpful Hints and Guidelines 1. Remember each child means the world to someone! Be Jesus with skin on to each child. 2. Greet/address each child by name with enthusiasm and kindness. 3. Communicate expectations with love. Use Positive reinforcement. 4. Encourage kids to be happy and thankful for all they do and receive. 5. Be aware of any lonely, left-out child and work to include him/her. 6. Use language and manners appropriate for a Christian leader that will bring respect to yourself and Concordia. Bad language will not be tolerated. 7. Make sure your kids come frst when it comes to receiving their snacks, their crafts, and your attention. 8. Do not bring any of your own food or drinks. Don t store kid s snacks in crew bags. 9. Only registered volunteers and VBS kids are allowed on campus. Please do not have your friends or boyfriend/ girlfriend come up to VBS to hang out with you. If your friends are not registered they are not to be on our campus. 10. Praise God by singing and dancing! Participate ENERGETICALLY in all songs and activities! Be a good role model.
Crew Leader Business Check-In Procedure Check-in at a computer at the Crew Leader Table located in the Sanctuary Lobby/Narthex. Please register online before checking in. Reminder: Being tardy may result in being placed as an assistant in another crew or in a cafeteria clean-up crew. Schedule: Check-in on time daily. Monday, 7:45 am -12:30 pm Tuesday Thursday, 8:00 am 12:30 pm Friday, 8:00 am 1:30 pm (unless otherwise arranged with Crew Director). Service hour forms available on Thurs. and Fri. Crew Leader Fashion Wear appropriate and modest clothing. - Shorts not too short or revealing. School appropriate length. - No cutting of shirts. Unaltered shirts only. - They may be decorated. - No offensive wording or pictures. Wear tennis shoes or sandals with a strap. Do not wear fip-fops, they may cause injuries and will slow you down. Wear a watch. The schedule is packed and every minute counts. You may not use your phone. Wear your VBS t-shirt each day. It identifes you as a registered leader. If you attend training you will receive a VBS Crew Leader button to show you have been trained. Cell Phones Stay off of your phone; remember no phone use during VBS. Cell phones must be off during Pre & Post VBS meetings. We are serious! You and your crew kids may not use your phone for calling, receiving, texting, emailing, or gaming. Keep it hidden so the kids can t see it. Cell phones will be collected at the Church Secretary s desk if you violate any of these rules. You may pick up after Post-VBS meeting. Let your parents know that your phone will be silent from 8 am to 12:30 pm. Parents may get messages to you through the church at 479-1477. Door Prizes Tickets are awarded to all youth volunteers. Door prizes awarded daily. Everyone will receive an early bird ticket daily for being on time each day. All other tickets are awarded by adults for doing a great job as a youth volunteer. Special Hot Pink tickets awarded for over and above job. These tickets win the grand prize.
Clean-Up and Pizza Party Immediately after the kids are picked up on Friday we will give you instructions on cleaning up the campus. You are a vital part in getting the campus ready for weekend church services. We will have Pizza in the cafeteria for you after clean-up is completed. Please let your parents know that you need to stay for at least an hour after VBS closes. If you have younger siblings in VBS, your parents are free to help too and enjoy the pizza with us. No one allowed on campus past 2:00 p.m. unless otherwise arranged with directors. Have parents pick you up around 1:30 p.m.. What Happens Next...
