DAY OF DEPARTURE - Meeting point at Airport of Departure All students must be at the airport three hours before the time of departure of their flight. The meeting point is at the check-in desks. ON YOUR FLIGHT, YOU MAY FIND AN ASSOCIAZIONE DIPLOMATICI STAFFER THAT WILL MAKE SURE TO BE RECOGNIZED DURING YOUR FLIGHT TO NYC BY SHOWING A SIGNAGE WITH THE LOGO OF ASSOCIAZIONE DIPLOMATICI. FOR ALL THOSE WHO WILL NOT FIND A STAFFER ON BOARD THEIR FLIGHT, ONCE ARRIVED IN NYC AND COLLECTED YOUR LUGGAGE YOU WILL FIND A GREETER WITH THE ASSOCIAZIONE DIPLOMATICI LOGO THAT WILL TAKE YOU TO THE PRIVATE BUS TRANSFER WAITING FOR YOU. ARRIVAL IN NYC Once landed in New York, you will have to go through customs. Depending on the time of the day you might encounter a queue and consequently you may have to wait. For security reasons, during the wait, you are not allowed to use your mobile phone. As soon as the controls are completed, go to the baggage claim belt. Once all the students have collected their luggage you will be able to leave the baggage claim area. 1. If, on board your flight, you were able to find a staffer of Associazione Diplomatici, make sure to follow him outside the baggage claim area. Once outside the staffer will call the private bus that will take you to the Grand Hyatt hotel/westin Hotel. Due to a non-parking area at NYC airports the busses are obliged to wait in a private parking outside the airport area so, depending on the traffic, it may take even 1h before the bus arrives at your terminal. Be patience, relax after your long flight and try to support the staffer as he may be more stressed than you! 2. In case you were not able to find a Associazione Diplomatici staffer on board your flight do not stress out as we have arranged everything for you and your fellow colleagues (you will receive your flight list so to know who is flying with you). Once you exit the baggage claim area you will find a highly recognizable greeter with a Associazione Diplomatici sign. The greeter will call for your bus once the entire group is out of the baggage claim area. Depending on the traffic, it may take event 1h before the bus arrives at your terminal. Be patience, relax after your long flight and try to start enjoying NYC atmosphere! 3. For those students who will stay at the Westin Hotel, before hopping on the bus you will be assigned a colour tag that needs to be attached to your baggage. This will make the loading/unloading of baggage easier!
ARRIVAL AND HOTEL CHECK-IN PROCEDURES 109East 42 nd Street at Grand Central Terminal 212East 42 nd Street The journey from your airport of arrival may take more than one hour. Our hotels are located at the centre of Manhattan (see the exact address of the hotels above). Once at the hotel, unload your luggage from the bus and follow the signs that will lead your to the ASSOCIAZIONE DIPLOMATICI Welcome Room where you will receive the first welcome from the Staff and will be able to listen to a brief presentation of the main attractions of NYC. Rooms will be available after 5.30pm DUE TO THE NUMBER OF STUDENTS CHECKING-IN THE GRAND HYATT/WESTIN HOTEL, YOU MAY HAVE TO WAIT UP TO THREE HOURS TO RECEIVE YOUR ROOM KEYS THAT WILL BE DELIVERED ACCORDING TO YOUR FLIGHT GROUP. THE STAFFERS ARE THERE TO HELP AND WILL DO THEIR BEST TO DELIVER AS SOON AS POSSIBLE YOUR ROOM KEYS. PLEASE BE PATIENCE AND ACCEPT OUR APOLOGIES IN ADVANCE CAUSED BY THE HUGE AMOUNT OF STUDENTS WE WILL BE WELCOMING THAT DAY. 1. You may have to wait up to 2 hours (After your arrival even if it is after 5.30pm); 2. All students will be placed in quadruple rooms (4 students per room with 2 queen size beds); 3. If you want to know with whom you will be sharing your room during your entire stay at the Grand Hyatt please contact your Diplomatici contact person; 4. As your roommates might arrive later than you please make sure to correctly stow away your luggage and to leave space for the four of you; 5. NO ROOMS CHANGES ARE ALLOWED. THE WESTIN HOTEL GRAND CENTRAL STATION 212 East 42 nd Street The Westin Hotel Grand Central is situated in the real heart of New York (212 East 42 nd Street). The Hotel welcomes travellers to New York City with thoughtful amenities, inspired accommodations and a superb location in Midtown Manhattan. You can benefit from the proximity to local points of interest like Grand Central Terminal, Bryant Park and Madison Square Garden.
GENERAL BEHAVIOUR IN THE HOTEL All participants are expected to conduct themselves in a courteous and professional manner at all times. For this reason: o Excessive alcohol consumption should be avoided; o Alcohol consumption is allowed only in specific areas of the hotel (the Hotel bar, ecc) and no alcohol can be consumed in the sleeping rooms. o The consumption of any kind of drug at any time during your stay in NYC is HIGHLY forbidden. o Any issue related to illicit drugs will be immediately directed to the attention of New York City authorities. o Guests who disrupt Committee sessions or create problems in the Hotel may be barred from further participation in the Conference o In case of excessive noise in the hotel corridors or in your room after 11pm the student may be fined up to $500 HOTEL CHECK-OUT 20 th or 21 st of March Within 10.00am Depending on your date of arrival you will need to checkout from the Grand Hyatt Hotel/Westin Hotel or on the 20 th or on the 21 st. According to the Grand Hyatt/Westin Hotel policies all guests are required to leave rooms before 10.00am. After your checkout the Grand Hyatt/Westin Hotel staff will check the rooms both for damage and for tidiness. In case of any encountered damage or excessive untidiness the entire room will be charged a 500$ fine that the students will be obliged to pay before leaving the hotel. LUGGAGE DROP-OFF 20 th or 21 st of March, within 10.00am All luggage will be will be allocated at the Lobby Level or Mezzanine Level according to Hotel needs. Every luggage storage costs 2$. TRANSFER FOR THE AIRPORT 20 th or 21 st of March Due to the large number of participants and to the possible traffic between Manhattan and NYC Airports all buses will leave the Grand Hyatt hotel 5h before the flight time departure.
