INFORMATION NOTE FOR PARTICIPANTS Lusaka, Zambia
Dear participant, Thank you for confirming your participation in the upcoming meeting scheduled to be held in Lusaka, Zambia at Radisson Blu. It is very important to take note of the following information which will assist you in the planning and logistics of your travel to Zambia: 1. VENUE: The meeting will be held at Radisson Blu Hotel, Lusaka, Zambia. 2. Conference Package The conference package will include lunch and tea for the conference days. All travel arrangements should be made by your respective UNFPA Country Offices. 3. VISA REQUIREMENTS All participants travelling to Zambia must be in possession of a valid passport. The application of an entry visa to the Republic of Zambia is the responsibility of each participant. The UN partnership will assist participants to obtain visas by sending official invitation letters, where required, but participants are requested to contact the Zambian Embassy, High Commission or Consulate in their country of residence for any information on this subject. Exemption: Participants traveling from the following countries are exempted from visas: Mozambique, Namibia, Zimbabwe, Tanzania, Malawi, South Africa, Botswana, Kenya, Mauritius, Madagascar, Lesotho and Swaziland Following discussion with UNFPA Office in Zambia and taking into consideration limited time available, all participants with no visa from their departure countries can obtain business visas on arrival at Kenneth Kaunda International Airport. The Zambian Immigration Authority requires at least 2 days to process visa upon arrival. Holders of diplomatic and service passports as well as United Nations Laissez-Passer will receive visas gratis. 4. TRANSPORTATION Your preferred hotels should provide shuttle buses to transport you back and forth from airport and hotels. For those who will be accommodated at Cresta Golf View Hotel, UNFPA will provide transportation back and forth from the hotel to the conference venue in the mornings and at the end of the daily sessions. Please note that transport will not be provided during lunch breaks, as all lunch breaks will take place in Radisson. 7. TEMPORARY IMPORTATION OF LAPTOPS AND OTHER CONFERENCE EQUIPMENT To comply with the import customs regulations of the Government of Zambia, conference participants should declare laptops and conference equipment they may carry with them when entering the country. 3
8. DOCUMENTATION All the necessary documents for the meeting will be distributed through your emails in advance of the meeting and you are expected to come with all the documents shared with you. No background documentation will be provided in hard copy. 9. EXCHANGE RATE Zambian currency is denominated in Zambian Kwacha (ZMW) and Ngwees (1 Kwacha is 100 Ngwee - coins). The exchange rate fluctuates. The UN official exchange rate as of December 2013 is USD 1.00 = ZMW 5.51. The Kwacha is circulated by the Bank of Zambia. The currency code for Kwacha is ZMW. Zambian currency exists in both Paper and Coin forms. Money Exchange: Almost all foreign currencies can be exchanged at banks, bureaux de change and airports & major hotels in Zambia, at the official exchange rates. The Raddisson Blu Hotel is located right opposite a shopping mall which has two or more exchange bureau facilities. Credit & Debit Cards: American Express, Diners Club, MasterCard and Visa are accepted in Zambia. Speak with your credit or debit Card Company for details of merchant acceptability in Zambia. ATMs are widely available. Traveller Cheques: International traveler s cheques in Stirling Pounds, Euro, US Dollars are widely accepted. 10. WEATHER/CLIMATE The month of December falls within the rainy season of our weather in Zambia. During this period the weather is sometimes hot and dry; and sometimes wet and cool. The average temperatures range from 15-25 degrees celsius. Participants are encouraged to carry rainy coats or umbrellas. 11.
