We are over in a few places, one of which has been consistent so warrants looking at for future budgets. Lodge Reports Amangamek-Wipit Davis Kellogg Nentego Matt Morris Nentico Ian Ferris National Planning Meeting Reports Kyle Raffensperger s Report -If lodge is not done with lid by conclave, national would like them to be finished at conclave -For lodge advisers beginning January 1 st, no longer send a check for vigil and founder s award. There is now an online fillable form. Email or fax form to national office, and national will bill the council. Want 30 days for processing. -Putting greater emphasis on the unit of excellence award -Philmont Adviser Conference Northeast Region is providing some scholarships to advisers that will be attending. -Summit is 8 day experience, $250, with whitewater rafting and hiking up to garden ground for activities as part of the program -Arrowtour each region will have a caravan of vehicles going through camps for a 2 month timespan. Will provide a program at the camp, and will run between camps that sign up. OA Branding and other programs will be the attraction, as well as a service aspect. The caravans are promoting the 100 th anniversary of the Order of the Arrow and will be starting in early June. At the end of the 2 month period the caravans will drive to NOAC. There are different categories of visits: full day visit 9am to 7pm, half days (4 to 5 hours), scout service centers (only about an hour or 2). Due to the region size, we should be able to reach every camp that signs up. -Fall 2015 partnering with the BSA and the nation for the largest food drive in the nation.

-Pay attention to each of national s e-newsletters news you can use, lodge ledger, and section sentinel -for lodges that earn JTE, the national OA committee have matching service grants available -OA is on all social media platforms -NOAC the 2015 NOAC patch will be allowed to be worn where the jamboree patch typically is -National is looking into a sash patch for the 100 th anniversary like those done for the 50 th and 60 th anniversaries. Reversed color sash will be given to participants. The sash patch might be a gift for those who participate in the food service event mentioned above. -For lodges that bring 100 or more arrowman or double from last NOAC there is a special recognition. Those lodges will also get housing preference on a first earned basis. Tony s report -2014 is the first time since 1991 that there is no national event. This is to prepare for the big year. Conference fee is announced and is $475. Each lodge as part of the legacy project is asked to bring wood for a centennial fire, note: it will not be a bonfire. The wood the lodge brings is encouraged to be more like a piece of a camp building, or an old campfire bench; less like tree branches. It is requested that the lodges fill the crate (at least about halfway). -Youth Projection Training will be required for all participants that are 18 and older -2015 NOAC patch for shirt will be available before NOAC -Preference housing NOAC staff does not count towards the attendance goals mentioned above, the preferential housing offer is while supplies last, and in order of payments received -Outside of NOAC 100 th anniversary capital campaign, lodges may participate (optional), will be some recognition for lodges that give 1 dollar or more per member, asked what it is used to - Kyle said maybe the OA spot at the summit, Tony s impression is towards the endowment, all 100 th anniversary items are asked to be provided to national for a collection they are putting together -Centurion, hall of fame for greatest contributors to each lodge. National criteria still to be determined. Past or present members can be recognized -The national OA committee voted to standardize the directions of the arrows in the vigil triangle, henceforward they will go counterclockwise -The national OA committee voted to go forward with new brotherhood ceremony. Will be modifications (us of knife will be restored). -The OA was founded at TI; TI is closed but still owned by council. It has been decided that the ceremonial location will be disassembled and moved to the Summit. -What is happening in 2016? Answer: to be discussed at May national OA committee meeting. -NOAC is 2018, and then 2020-2019 World Jamboree? Answer: involvement not discussed yet. 2014 Conclave -Went on tour Competitions Ceremonies Adult cook-off Horseshoes (advisers only) Volleyball Frisbee Lodge ball main sports event Schedule -All activities moved to 1:30pm start time besides the section wide lodge ball competition (1-1:30) -Other activities start 30 minutes later (1:30-end allotted activity time)

-Revile 6:30am -Redidaction 7:00am -Breakfast 8:00am -Unit elections, camping promotions, newsletter, website, and social media competitions will be the lodges sending in the links and materials to be judged -7-7:45pm recreation -8:00pm meet at flag pole -8:00pm move to stage for closing show -When it gets dark Nentico gets started with the show (gets dark around 8:10pm) -Requested that fair moved before. We want to keep it after the closing show along with cracker barrel and patch auction. Patch auction will be in a different place to avoid being near the noise of the fair. Fair will be at the cracker barrel. Participation Award Participation award move to do the following: attend the forum and business meeting opening show optional. -For patch donations we have had problems. If we want them to donate we need to put that information out now. Move donate a patch to optional Set time for interfaith service 9:00am campfire circle -Conclave coordinators and adviser want to do beads on necklace instead of signature page -Remove assist the dining hall staff from optional dining hall staff will automatically receive the participation award -Add to optional attend at least one of the afternoon sessions excluding lodge ball -Meet the NER Chief and National Vice Chief to get their special bead -Kyle Raffensperger asked Tony Sheaffer to create a list of beads during lunch -Religious service right before business meeting at the location of the business meeting -Proposal to hold religious service right before business meeting at the location of the business meeting Davis made the motion, Zach seconded, proposal approved Conclave Numbers -189 registered total 23/30 for Nentego 67/100 for Amangamek-Wipit 93/158 for Nentico -Budgeted for 288 in section budget -Going to have a section officer video go out, want officer videos from Taylor Bobrow and Kyle Piper Spirit Award -bring items to be sold in the trading post, excellent way for your lodge to make money -will compile rules for competitions in the next few days and send them to the lodge chiefs. -Pull snack off of the fair requirement, correct signature game. -Need a coordinator for the adult cook off Tony will make sure it happens -Emails went out for ceremonies judges 1 judge per lodge per ceremony category -Approval with changes noted above; Zach motioned, Davis seconded motion carries Competition Recognition Items -Plaque for volleyball, Frisbee, lodge ball -Certificates for newsletter, website, social media -Horseshoes: plaque that passes around

Zach motioned, Davis seconded approved Bead proposal -Remove bead requirement from participation award Bead Categories -Four training cells (youth forum) different colors for each block -National officers -Opening show glow in the dark -Closing show -Rededication -Religious service -Section Business meeting -Compete in/judge/watch ceremonies -Watched/participated sports -Will already have two beads when handed out at the opening show -Kyle Raffensperger asked that the conclave coordinators put together a new list of requirements for the participation award -Tabled the vote to a COC vote via email Training -Mitchell now training for Brotherhood Conversion, Davis co-teaching with Richie for new member orientation -Trainers are set, need lists and materials -Steve Mosley, Fix name of signature session General Conclave To-do -Want a new draft of the conclave booklet by April 5 th -Need letter from Kyle Raffensperger to section Section Officer Candidacy Procedures -Tony Roman believes the purpose of the forms should be to see that the candidate has necessary approvals, and whether people are qualified for the job or not be left up to youth Form approval: Zach motioned, Davis seconded, motion approved Calendar for 2014-2015 officers Make the year 2014 for the date December 13 Section JTE Progress Bronze for 2013

-2014 section goals have been set and are already looking good to achieve them Lodge High Adventure Numbers: Nentego - 9, Nentico 2, Wipit 2 or half a dozen Section Campership Motion to award $175 to Davis Kellogg, Adam Kerr, and Patrick Thomas Zach motioned, Richie seconded proposal approved Social Media Committee -We have increased our presence on social media through Facebook, Instagram, and YouTube - We are looking for a youth chairman for social media committee whom will be appointed by section chief. We should announce our search for applicants via social media -Chairman would lead a committee that manages social media and help with the section newsletter. Motion to create a social media chairman Davis motioned, Zach seconded - approved Section Training Event -Why?: 0 lodges achieved JTE in 2013 want to change that in 2014 -Need communication to be better between the lodges -Light bulb is the logo, white arrow on red light bulb, turning the light on for the members of the section -Event would be in the jan-feb timeframe -Audience: chapter and lodge officers, LEC members, conclave trainers -Staff: section officers without lodge responsibilities, national officers, out of section officers -Where?: geographically central broad creek, Baltimore council office (constrains numbers), university of Baltimore, Cecil college (might not work out), public schools in Baltimore area or south of Baltimore, Howard County, Naval -Davis suggested Montgomery Community College -Challenges: marketing, ensuring attendance, COC commitment -What we need: ideas for chairman, location ideas, logo/graphic design person, -Richie We should mention in conclave evaluation -January 31, tentative deadline (Feb 1 st COC in place of March COC) Proposal to further look into event: Ian motioned, Davis seconded - approved Sabbath Observant no longer need region chairman approval for non-nentico participants for this event. Need to send at least one lodge member to do a new member orientation tailored to your lodge Philmont Training Conference Pam had a great time last year.
